18.1 Freight Instructions

The organizer has appointed BALtrans Exhibition & Removal Ltd. as the official freight forwarder and on-site contractor for the China International Hardware Show 2006 Powered by PRACTICAL WORLD.

Since the exhibits imported to PRC. are under the temporarily base, the official freight forwarder will go through Customs formalities for exhibitors. But on some occasions, the presence of exhibitors will be required. As Customs require the official freight forwarder to be responsible for the control of all exhibits, exhibitors should not allow their exhibits to be taken away from the show ground without prior arrangement with Customs through the official freight forwarder.

Full information and instruction are enclosed herein to help you ensure the correct despatch of goods and associated documents to this show. Kindly read these carefully and comply with the instructions accordingly.

When making forwarding arrangement of exhibits, the exhibitors are requested to note that only the official freight forwarder, who is appointed by the organizer, is entitled to handle the exhibits after they have arrived at PRC.

We must emphasize the importance of adhering to the shipping instructions. Failure in compliance will cause unnecessary delay in clearance in HKSAR / PRC and additional expenses.

For the sake of efficiency and economy, you are encouraged to ship your exhibits through BALtrans overseas branches or agents who are specialists in exhibition freight forwarding.

18.2 Routing

Exhibits will be transported to Shanghai by one of the following routing : -

18.9 Packing of Exhibits

The exhibitor shall be responsible for the consequences of improper packing,

a) Protection against Damage and Rain Please note that the exhibits are to be repeatedly loaded and unloaded by different parties during the long distance transportation shocking/bumping will sometimes be inevitable. Moreover, the exhibits will be placed outdoors many times, including open-air storage at the exhibition centre before and after the exhibition sometimes even without a tarpaulin. Therefore, we strongly recommend the Exhibitor to take necessary precautions against damage and rain, especially when the return exhibits are to be packed

Page 45: Exhibitor_Manual.pdf

41

with original packing materials (the case as well as aluminium foil, plastic covers etc. may be damaged already during unpacking).

b) The Case The case must be strong enough to avoid damage during transportation as well as unpacking and in particular, be suitable for repacking and for sale or return movement after the exhibition.

It is advisable that the gross weight of a package is between a few hundred kilogram and 2 tons - smaller case will be handled manually and therefore has more chances to get damaged; while too heavy a case will cause surcharge for heavy lift.

18.10 Layout of Stand

When the gross weight of a case of exhibit exceeds 1,000 kilos or when the total volume of exhibits is substantial, e.g. over 10 cubic metres, exhibitors should submit a drawn-to-scale layout on FORM (APPENDIX II) or prepare one separately if necessary, to facilitate the transport and positioning of exhibits. Case number and front side of the case must be clearly shown on the layout as well as on the case. When the gross weight of a case of exhibits exceeding 1,000 kilos is required for proper placing or positioning.

18.11 Heavy / Over-size Exhibits

In case you have some bulky cargoes to be shipped via Hong Kong SAR (exceeding 220 cms length, 210cms width and 210 cms height), you have to contact us for prior arrangement.

Exhibitor with heavy exhibits must arrive on-site early and direct the actual positioning of heavy exhibits. If a mobile crane or forklift is required for installation of equipment, including removing wooden bases, the exhibitor should send their detailed requirements to the official freight forwarder, quotation of hiring these equipment will be given upon exhibitor's request. A detailed layout should also be provided to the official freight forwarder for better on-site operation.

If no layout has been submitted or no instruction are given, exhibits will be delivered and placed arbitrarily on the stand, extra expenses will be levied if the exhibitor requests any repositioning of the exhibits.

It is imperative to mount the heavy exhibit firmly on a sturdy base with skid in order to protect the machine while being hoisted and positioned. Exhibits should be displayed on the base. Otherwise, surcharge will be incurred for removing the base from heavy exhibits. Case for heavy exhibits should be constructed so that the sides are fixed by bolts rather than by nails or screws. This will prevent the case from being damaged during unpacking and will save considerable time, especially during the exhibition closing. Please mark the front side of the case clearly to ensure correct positioning.

18.12 Case Marking

All packages must be clearly marked on at least 3 sides :- NAME OF EXHIBITION : NAME OF EXHIBITOR : HALL NO. : STAND NO. : CASE NO. : (1/UP) GROSS WEIGHT : (KILO) NET WEIGHT : (KILO) DIMENSIONS : (L x W x H CMS)

Please also mark "FRONT" or "BACK" & "CENTRE OF GRAVITY" on packages as well.

Page 46: Exhibitor_Manual.pdf

42

18.13 Customs Clearance, Unpacking & Repacking

Customs clearance will be effected on the fair ground. BALtrans will deliver exhibits to the stand, assist unpacking and repacking and customs clearance against the signature of the Exhibitor or his authorized agent.

Exhibitors are highly recommended that a representative of the company are present on-site during move-in & move-out period. As the customs requires the on-site forwarder to be responsible for every exhibits, exhibitors should not be allowed to unpack their exhibits on-site or take away from the show ground without prior arrangement with the customs through the official freight forwarder. Representative contact details must provide to us at once.

The official freight forwarder will not be responsible for the delay of customs clearance and positioning/displaying of exhibits due to the late arrival of the representative or without receiving the explicit instruction from exhibitors beforehand.

During the move-out period, exhibitors must also supervise the dismantling and repacking of exhibits, especially for delicate or heavy equipment, since these operations will be carried out at exhibitors' risk.

When utilizing the used packing materials for repacking, exhibitors must understand that they are responsible for the outcome thus caused.

Empty cases will be started to return to stands from the storage place once the exhibition is closed. The official freight forwarder will assist in repacking according to exhibitor's requirements and will go through customs clearance on behalf of exhibitors.

18.14 Hand-carried Exhibits

If hand-carried exhibits are detained by the Customs at the Shanghai Airport, exhibitors should immediately give BALtrans on-site staff the detention slips, issued by the Customs, that BALtrans can use them together with the completed “List of Exhibits” to apply the Customs Cover to collect those detained hand-carried exhibits at exhibitors’ expenses according to our official tariff. Please allow 2-3 working days to finish this Customs clearance and collection procedure.

All other hand-carried items from local suppliers should also be declared in the “List of Exhibits”, which will be provided by the official freight forwarder upon request, and submitted to us to arrange customs clearance.

18.15 Insurance

Page 47: Exhibitor_Manual.pdf
