Request for Quotation (RFQ)

A Request for Quotation (RFQ) is a type of solicitation in which an organization asks outside vendors to provide a cost quote for the completion of a particular project or program. It is a less formal variation of an Invitation to Negotiate (ITN) or Request for Proposal (RFP)

A Request for Quotation is most commonly used in the following circumstances:

1. When there is an available multi-award contract that has already been formally solicited and that allows for use by other entities *(the vendors under the multi-award are the only ones allowed to respond to the RFQ)

2. When the contract is less than $75,000 and when you know what you want but need information on how vendors would meet your requirements and/or how much it will cost

2

Page 3: Executive Search Firm Solicitation - fgcu.edufgcu.edu/presidentialsearch/uploads/meetings/materials/EXECUTIVE... · Executive Search Firm Solicitation

Benefits of a Request for Quotation (RFQ)

1. Timeline is significantly shorter than competitive solicitations

A. Competitive solicitations average 6 – 12 weeks

B. RFQs average 3 – 6 weeks

2. Vendors have already been vetted

3. Competitive solicitation requirement has already been met

4. Sub-Committee Evaluation – requires a paragraph explaining how the recommended firm best fits the needs of FGCU.

3

Page 4: Executive Search Firm Solicitation - fgcu.edufgcu.edu/presidentialsearch/uploads/meetings/materials/EXECUTIVE... · Executive Search Firm Solicitation

Process

1. Vendors on both the FIU contract and the UVA contract are contacted via email with the link to the RFQ

2. Vendors can download the RFQ through Public Purchase

3. Proposals are sent to Procurement Services by a designated date and time

4. Executive Search Firm Sub-Committee reviews proposals and selects a short list of firms

5. Presentations are given to the Executive Search Firm Sub-Committee by the short-listed firms

6. Executive Search Firm Sub-Committee will make a recommendation for a firm selection to the Presidential Search Advisory Committee

Preferred Provisions:

*Indemnification

*Termination: It is our

impression that “Professional

Further, “not to exceed 5 days”

correction of the perceived

deficiency.
