Event Support, Event Services (Full Time Position) The Event Support position is a full time, entry-level position within the Event Services department of metroConnections. This position serves as a support role on assigned programs/events to the Event Coordinators and Program Managers, who are the program/event leads. Position responsibilities include, but are not limited to: Serve as lead for Office Management: o Greeting guests and informing staff of visitors o Managing office organization and cleanliness; main contact for office cleaning service o Managing office supplies: ensuring office supplies are stocked for Burnsville office location o Managing office deliveries: receiving and sorting mail and other deliveries to front office Serve in a support role to Director of Event Services with assigned office tasks, including but not limited to the following: o Managing part-time event staff: hiring, scheduling, managing payroll, etc. o Serving as proxy to organize corporate credit transactions for multiple cardholders o Updating inventory: revising resources and selling outdated inventory o Organizing shared resources: O: Drive, SmugMug, etc. o Coordinate small client projects when assigned, following standard group process Serve in a support role to program/event leads during the planning, preparation, and post-event phases of assigned programs/events, including but not limited to the following: o Researching options for potential events – venues, vendors, etc. o Participating in creative brainstorming sessions for potential events o Designing layouts for events o Attending meetings and site visits at event sites

o Researching options for potential events – venues, vendors, etc.o Participating in creative brainstorming sessions for potential eventso Designing layouts for eventso Attending meetings and site visits at event siteso Corresponding with vendors – check availability/options, negotiate rates, book services, etc.o Inputting event details into Flexo Gathering budget details and communicating them to event leado Communicating with operations team regarding event detailso Filling out on-site part time staffing requests and executing requestso Creating and formatting documents and materials required for eventso Researching and booking travel arrangements for staffo Shopping for and ordering event supplies pre-evento Pulling, sorting, and putting away event supplies post-evento Creating inventory overview documents for new inventory items post-evento Sending Event Lead debrief notes post-event

Serve in a support or lead role on site to a program/event lead during the on-site execution phase of assigned programs/events

o Serving as the secondary or lead on-site contact for client and venue contactso Serving as the secondary or lead contact for vendors, operations team, part-time staff, etc.o Coordinating meals for on-site staffo Trouble-shooting with event leado Assisting with setting up and tearing down of décor and other inventory itemso Facilitating interactive game stations for interactive and teambuilding eventso Assisting with casino game events, such as dealing Blackjack, Texas Hold’ Em, Let It Ride,

Pai Gow, or running a Video Horseracing Teller Booth (casino dealing optional)o On-site responsibilities are held primarily within the metro area; however, travel

within/outside of Minnesota is possible occasionally.

Minimum qualifications include:

Excel in written and verbal communication Exhibit strong computer skills; proficiency in Microsoft Word, Excel, and Outlook Possess strong leadership skills and an outgoing personality Ability to manage many details while maintaining big-picture thinking Ability to multi-task efficiently Ability to learn quickly Ability to manage stress successfully Ability to adapt to change, trouble-shoot, and make decisions while maintaining a calm demeanor Ability to work independently to come up with viable solutions Ability to work well with a team – both as the lead and in a support role Ability to provide excellent customer service via email, on the phone and in-person Willingness to take direction from multiple managers or team members, as well as having a good

understanding of with whom to advise/consult in the event of conflicting direction Ability to work successfully with many different types of personalities Ability to maintain a cheerful and positive attitude Ability to maintain a presentable appearance as many work functions are performed in or adjacent to

a corporate atmosphere Ability to be on your feet for long periods of time Ability to lift up to 40 pounds Access to reliable personal transportation Willingness to work evening and weekend hours to manage events on site Flexibility with scheduling; due to the nature of the event industry, schedules can change and last-

minute event additions are possible Experience travelling domestically, and ability to travel out of state for multiple days at a time Willingness to travel and be away from home for multiple days or weeks at a time

Preferred qualifications include: Experience and knowledge of the corporate meetings, events, and hospitality industries.
