September 9, 2014 Messages from CaroMont Health Senior Leadership Epic Update from the Chief Medical Information Officer (CMIO) To keep you in the loop on what is happening with our electronic medical record (EMR) conversion project with Epic, please find some frequently asked questions from our CMIO, Dr. Salim Saiyed. Who is on our Epic project team? We have partnered with Mercy Technology Services to help us achieve a successful implementation of Epic. With this partnership, we gain Mercy’s expertise and Epic’s model system that is currently used by 33 hospitals, over 800 clinics and more than 1800 physicians. Along with Mercy and Epic, your co-workers will be involved throughout the implementation in various roles. Are clinicians involved in the design and recommendations for our implementation? Yes. The Physician Advisory Council (PAC) will guide and make recommendations to adapt the Mercy’s Epic model for CaroMont Health. Clinical managers and subject matter experts are currently involved in various design sessions and workflow evaluations. What is the timeline for implementation? Our first go-live at CaroMont Regional Medical Center is scheduled for late summer 2015. CaroMont Medical Group is expected to follow the hospital, but the final date has not yet been finalized. How will Epic improve patient care? Currently, we have a number of systems that while they communicate, are very separate. This fragmented environment can make it difficult to obtain information as quickly and efficiently as we would like. One system with one record will not only save time and money for CaroMont Health, it will also simplify how our patients interact with us. Which systems will Epic replace? Epic will replace all four of our current EMR systems (Soarian, Athena, ECW and Greenway). Hardware (including monitors and desktop computers), software and network infrastructure will also be evaluated in advance of the go- live date. What Epic applications will go-live at CaroMont Regional in 2015? Mobile & Portals Care Everywhere: Helps ensure patients’ medical data can follow them when they are away from their regular healthcare organization, creating a more complete health record for patients. EpicCare Link: Strengthens ties with non-CMG providers by giving them secure access to patient information and referral management functions - helping manage both incoming and outgoing referrals. MyChart: Gives patients controlled access to their medical records via browser or mobile app. MyChart’s self- serve online functions can help patients improve their own health, reduce the cost of customer service and provide a vital communication link to support improved care. CaroMont Epic CMIO UpdateWhat Epic applications will go-live at CaroMont Regional in 2015?

Clinical

� EpicCare: Inpatient Clinical System spans hospital departments, giving providers the tools they need to deliver safe, high-quality care. It provides CPOE, documentation, results reviewing, clinical decision support, reporting, billing, and e-prescribe among other tools to connect each member of the care team to a single patient record.

� ASAP: Emergency Department Information System streamlines workflow and helps improve care delivery in ED environments.

� OpTime: Operating Room Management System helps improve surgeon productivity, schedule utilization and data access. With OpTime, surgeons can plan an entire case from a single workflow, including entry of pre-operative, intra-operative and post-operative orders. Obstetrics workflows include efficient perinatal and postnatal care.

� ICU module supports users in super-acute, comprehensive and interventional care environments, combining the functionality of core clinical systems with targeted features and information displays.

� Anesthesia streamlines anesthesiologist workflow for efficiency and patient safety. It allows anesthesia staff to document the pre-surgery assessment as well as pre-op, intra-op, and post-op information quickly.

� Willow: Inpatient Pharmacy System automates pharmacy communication and workflow while coordinating ordering, dispensing and charging activities.

� Radiant: Radiology Information System combines tools for rules-based scheduling, documentation, results communication, film tracking and detailed statistical reporting in a unified application for radiology.

When and how will I receive training? Training of the core team and trainers began in July. This group will become our in-house trainers and super-users. They will serve as resources for physicians and co-workers when they begin training in summer of 2015.
