HOW TO RESTRICT PERMISSIONS ON A LIBRARY, FOLDER, OR DOCUMENT WITHIN A SHAREPOINT SITE

This documentation outlines how to give specific permissions to a document library, folder or document within SharePoint 2010. This can only be done by someone in the site Owners group.

Note: SharePoint sites can be accessed via the internet by using either Internet Explorer or Firefox.

Restricting Permissions to a Folder or Document

1. Open Internet Explorer or Firefox;

2. Navigate to your SharePoint site and login with your Active Directory credentials;

3. Navigate to the folder or document you want to restrict permissions for;

4. Expand the dropdown next to the folder or document and select Manage Permissions;

5. The Permissions for the folder or document will open; Verify you are in the correct spot by looking at your

browser tab (in this example is shows Permissions: Munderloch);

6. At this point you want to break the permissions from what has been inherited from the rest of the site. To

do this, select the Stop Inheriting Permissions button;

7. Click Ok to confirm your decision;

8. You will now see that this folder has unique permissions;

9. Select the Grant Permissions button;

10. In the Grant Permissions dialog box, choose the Browse button to browse for a user in Active Directory;

11. Search for the user you want and when you have found them, Select the user Click the Add button

and then click OK;

12. In the Grant Permissions window, you will see all the users you are adding to this site group in the top

section. Second you are required to choose a permission level for the user you are adding. Using the

“Grant users permission directly” section, choose the type of permission you want for that user. Lastly you

have the option to send the users a customized email message if you wish to. If you do not wish to send

the users an email, simply deselect the Checkbox “Send welcome e-mail to the new users”; Click OK to

add the user to the folder.

13. Now you need to remove all the users that you do not want to have access to this folder because the

previously inherited permissions have remained; Select the groups to remove and click the Remove User

Permissions button; Because you have added the user individually to this folder it’s okay to remove the

three groups (Members, Visitors and Owners), however it might be a good idea to keep the Owners group

for future needs regarding this folder;

14. When finished, permissions for this folder should look something like this (no groups, only individual

permissions);

Restricting Permissions to a Document Library

1. Open Internet Explorer or Firefox;

2. Navigate to your SharePoint site and login with your Active Directory credentials;

3. Navigate to the Library you want to restrict permissions for;

4. Click on the Library tab Click on Library Permissions in the ribbon; The Permissions for the library will

open; Verify you are in the correct spot by looking at your browser tab (in this example is shows

Permissions: Test Doc Library);

5. At this point you want to break the permissions from what has been inherited from the rest of the site. To
