Chapter 1Overview

EMC Documentum Connector for Microsoft SharePoint Farm Solution connects the MicrosoftSharePoint and EMC Documentum platforms so that you can take leverage complimentary benefitsof both systems across your organization. Connector for SharePoint Farm Solution provides endusers with a familiar and intuitive interface for Microsoft Office integration, social networking,and collaboration. Connector for SharePoint Farm Solution also provides the scalability, storagemanagement, federated search, business process management, records and retention managementcapabilities of the Documentum enterprise content management platform.

Browse Web PartUse the Browse Web Part to browse a Documentum repository and perform operations ondocuments. The Browse Web Part also provides options for you to manage subscriptions, lifecycles,and workflows.

After you add a Browse Web Part to a SharePoint page, click the menu arrow in the Web Part andselect Edit Web Part to configure the Browse Web Part. If you cannot access the configuration page,contact your system administrator.

The Browser Web Part also supports lifecycle driven data dictionary properties.

The Browse Web Part provides the following configuration options for accessing and displaying thecontent of a Documentum repository:

Configuration Option Description

Repository Specifies the Documentum repository. You might be asked toenter the credentials to access the repository. The credentialsused to log in to the selected repository are based on theusername and password of the user currently logged in toSharePoint. If you are not sure about the credentials, contactyour system administrator.

Maximum Number of Rows toDisplay

Specifies the maximum number of rows to display in one page.

Root view Sets the folder path, object ID, or DQL query to display in theroot view.

The following are the attributes you must select for a DQLquery:

• object_name

• r_object_id

• r_object_type

• r_lock_owner

• i_chronicle_id

• a_content_type

• r_is_virtual_doc

The Name column is used as the default sorting column for theresult of a DQL query. The default sorting is in ascending order.You can change the sorting order by clicking other columns.

You can add the ORDER BY clause to a DQL query to definea custom sorting order. For example, the following settingspecifies to sort the DQL query result by object_name:

select r_object_id, object_name, authors,

r_object_type, i_chronicle_id, a_content_type,

r_lock_owner, r_is_virtual_doc from dm_document

where object_name like 'doc%' order by object_name

desc

The ORDER BY clause is ignored after you click other columnsto change the sorting order.

Display a row for Home Cabinet Specifies whether to display a row for the Home Cabinet. TheHome Cabinet is designated by the Home Cabinet icon.

You can also access the Home Cabinet by using the HomeCabinet Web Part.

Configuration Option Description

Display a row for Subscriptions Specifies whether to display a row for subscriptions.Subscriptions provide quick access to frequently accessedcabinets, folders, and documents. The Subscriptions row isdesignated by the subscription icon.

You can also access subscriptions by using the SubscriptionsWeb Part.

Choose a default document type Specifies the default type of documents to display. By default,the Browse Web Part displays all documents that are a type orsubtype of dm_document.

Select the columns to display Specifies the attribute columns to display and the order ofdisplaying the attribute columns. You can add or removecolumns for different types. You can also move up or movedown columns to change the order to display.

Managing Content

You can use the Browse Web Part to browse a Documentum repository and perform operations oncabinets, folders, and documents. The security settings determine the actions available. If an action isnot available to you, you may not have the permission to perform the action or perform the actionin the given folder location.

Managing Cabinets and Folders

Cabinets are folders located at the highest level of a repository. A cabinet can contain one or morefiles and folders. The home cabinet of a user is the default primary location for a new documentthat the user creates. The Browse Web Part displays cabinets at the home level, as shown in thefollowing figure:

Click a cabinet to open the cabinet and view its folders and files. Use the Home Cabinet Web Part,page 22, if you want to set the home cabinet of a repository as the home level and browse onlythe home cabinet.

You can create folders under cabinets to save and organize documents. Click New Folder andspecify the folder name and folder type to create a new folder. Right-click a folder to select folderoperations that you have permission to perform, such as deleting a folder, editing folder properties,and viewing folder history.

Managing Documents

The following table lists the document operation tasks you can complete by using the Browse WebPart:

Task Description

Creating a new document Click New Document from the menu bar. You need to specify thedocument name and select the document type, format, and template.Do not use spaces in file names. If you use spaces in a documentfile name, makes the following changes to the file name when youdownload the document:• Using the object_name value as the file name if the documenthas a known object type

• Replacing spaces with underscores if the document has anunknown object type

Viewing a document Click a document to view. You can choose to open the documentdirectly or save the document for open. You can also right-click thedocument and select Open.

Checking out a document Right-click the document and select Check Out or Check Out toSharePoint.

Checking Out a Document , page 14, contains further instructions.

Checking in a document Right-click the document and select Check In. You can also checkin a document from a SharePoint library by selecting the documentin the SharePoint library and clicking Check In to Documentumin the ribbon.

Uploading a document Click Upload from the menu bar. You can also upload a documentfrom a SharePoint library by selecting the document in the SharePointlibrary and clicking Check In to Documentum in the ribbon.

Uploading Documents, page 13, contains further instructions.

Editing a document To edit a document, you must check out the document from therepository. Checking out a document places a symbolic lock on thedocument and prevents others from editing the document at thesame time. After you complete editing the document, check in thedocument to the repository and the lock is automatically removed.

Editing documentproperties

Right-click the document and select Properties. After you save thechanges to the properties, click Refresh in the Browse Web Part toreflect the changes in the Web Part view.

Viewing document history Right-click the document and select Document History.

Creating a documentrendition

Right-click the document and select Request Rendition. A renditionis a copy of a document stored in a different format. You can createHTML and PDF renditions of documents in a repository.

Deleting a document Right-click the document and select Delete. You can select whetherto delete the selected version or delete all versions. You cannotrestore a document after you delete it.

Uploading Documents

You can upload documents to a repository in the following ways:

• Uploading a single document

• Uploading multiple documents

• Uploading a document from SharePoint

Uploading a Single Document1. Navigate to the repository location to which you want to upload a document.

2. Click Upload in the Web Part. The Documentum File Upload page opens.

3. Click Browse next to the File text box to browse to the document you want to upload.

4. Enter the name of the document to appear in the Documentum repository. The default name isthe current filename.

5. Click the Document Type menu to set the document type of the document. The default isDocument (dm_document).

6. Click Upload to upload the document.If you upload a document as a document type that is not Document (dm_document), theProperties page opens after you click Upload. Set custom properties for the document andclick Finish.

The current repository location automatically refreshes to show the uploaded document.

Uploading Multiple Documents1. Navigate to the repository location to which you want to upload multiple documents.

2. Click Upload in the Web Part. The Documentum File Upload page opens.

3. Click the Upload Multiple Files link. The DocumentumMultiple File Upload page opens.

4. Add documents using one of the following ways:• Drag documents into the files list box.

• Click the Select Files button and browse for files.

5. Set the document type of each document by selecting the document and clickingDocument Typeto select a document type. You can select Same document type for all documents to use the samedocument type for all the documents you select for upload.

6. (Optional) Click Set Properties to set the properties of a document.

7. Click Upload to upload the documents.The current repository location automatically refreshes to show the uploaded documents.

Uploading a Document from SharePointYou can upload a document from a SharePoint library to a repository.

1. Select the document in the SharePoint library. Make sure that the document is not checked outfrom Documentum.

2. Click Check In to Documentum in the ribbon.

3. Select how you want to upload the document to Documentum.

Action Description

Move Moves the document from the SharePoint library to Documentum. Thedocument no longer exists in the SharePoint library.

Copy Saves a copy of the document in Documentum.

Link Moves the document from the SharePoint library to Documentum. Thedocument no longer exists in the SharePoint library but a link is created andpoints to the document in Documentum.

4. Select the document type.

5. Select a cabinet or folder to save the document.

6. Click Save.

Note: Refresh the SharePoint library if you selected to move a large document and still see thedocument in the SharePoint library.

Checking Out a Document

You can check out a document for editing. After you check out a document, a symbolic lock appearsbefore the document and other users cannot edit the document at the same time.

1. Navigate to the document in the repository.

2. Right-click the document and select Check Out.The current repository location automatically refreshes to show the document is locked. The LockedBy column shows the user who has checked out the document.

Checking out a Document to a SharePoint Library1. Navigate to the document in the repository.

2. Right-click the document and select Check Out To SharePoint.

3. Select the SharePoint library into which you want to check out the document.

4. Click Checkout.The Overwrite existing document option is selected by default, which means if the document existsin the SharePoint library, the checkout overwrites the existing document.

You can cancel the checkout of a document by right-clicking the document and selecting CancelCheck Out. Canceling a checkout reverts all the changes you make to a document.

Checking in a Document

You must check in a document when you finish editing the document and want to save changes in aDocumentum repository. Checking in a document unlocks the document.

1. Navigate to the document in the repository.

2. Right-click the document and select Check In.

3. If necessary, update the name of the document.

4. Click Browse to select the document you want to check in.

5. (Optional) Select how you want to save the new version of the document.

6. Click Check in.The current repository location is automatically refreshed to show the document is checked in. If thedocument was checked in as the next minor or major version, the new version of the document isreflected in the repository view.

Checking in a Document from a SharePoint Library1. Select the document in the SharePoint library.

2. Click Check In to Documentum in the ribbon.

3. Fill out the document properties as necessary.

4. Click Check In.

Note: Only the latest version in SharePoint is saved to Documentum as the new version. Previousversions are removed from SharePoint. Refresh the SharePoint library if you selected to check in alarge document and still see the document in the SharePoint library.

Adding a Document to the Clipboard

You can add a document to the clipboard and then move, copy, or link the document to anothercabinet or folder within Documentum.

1. Move the pointer over the document and click the arrow that appears.

2. Select Add To Clipboard.

3. Select one of the following actions on the Clipboard - Move/Copy/Link page:• Move – Moves the document to another cabinet or folder.

• Copy – Saves a copy of the document in another cabinet or folder.

• Link – Moves the document to another cabinet or folder and creates a link that points tothe document in the new cabinet or folder.

4. Select the target cabinet or folder.

5. Click Save. The Browse Web Part performs the file operation and returns to the Web Part view.

6. Click Refresh to update the Web Part view.

Filtering Results

You can use the results filter to set up a name filter so that the Browse Web Part display only the itemsthat match the name filter. For example, you can display only items whose name contains moss.Name filters are not case-sensitive.

To create a name filter in the Browse Web Part:

1. Click Actions and select Set column filter > Name.

2. Enter the phrase for filtering the results.

3. Click OK.

The current repository location automatically refreshes to show only the items that match the filter.

To clear filter results, click Actions > Set column filter > Remove filter. The current repositorylocation automatically refreshes to show all the items.

Managing Subscriptions

Subscriptions provide quick access to frequently accessed content. You can subscribe to cabinets,folders, and documents. The Browse Web Part provides the Subscriptions row that you can click toview your subscriptions. To subscribe to or unsubscribe a cabinet, folder, or document, right-click thecabinet, folder, or document and select Subscribe To or Unsubscribe.

You can also use the Subscriptions Web Part to manage subscriptions.

Managing Lifecycles

A lifecycle is a series of states that define the life stages of a document. A lifecycle models a businessprocess, as each state in the lifecycle can represent a step in the process.

You can view the lifecycle and current state of a document from the properties page of the document.Right-click the document and select Properties to display the properties page. If the document hasan applied lifecycle, the Lifecycle ID property is the Documentum object ID of the lifecycle and theCurrent State property is the number of the current state of the object in the lifecycle. If the documentdoes not have an applied lifecycle, the Lifecycle ID property shows 0000000000000000 andthe Current State property shows 0.

You can manage the lifecycle of a document by right-clicking the document and selectingManageLifecycle. The Document Lifecycle page provides the following actions for you to manage thelifecycle of a document:

Action Description

Apply Applies a lifecycle to a document. Applying a lifecycle attaches a defined linearbusiness process to the document. You can only apply a lifecycle to a documentwhose object type is defined as a valid object type for the lifecycle. In order toapply a lifecycle to a document, you also must have Relate permissions on thedocument or be the owner of the document.

If you apply a lifecycle to a document that has an existing lifecycle, the previouslifecycle is removed and the new lifecycle is applied. If you apply the samelifecycle to the document, the lifecycle is restarted.

Promote Promotes a document to the next lifecycle state. In order to promote thelifecycle state, you must have Write and Change State permissions on thedocument. You can also define automatic promotion of a document duringthe configuration of the lifecycle. You cannot promote the lifecycle state of adocument to be past of the end state.

Demote Demotes a document to a previous lifecycle state. In order to demote thelifecycle state, you must have Change State permission on the document.You can define manual and automatic demotion of a document during theconfiguration of the lifecycle. During lifecycle configuration, it is possible todisallow the demotion of a document from one state to its previous state, aswell as automatically demote a document to the base state upon such actions ascheckin and save of that document.

You cannot demote a document beyond its base state.

Remove Removes a lifecycle from a document.

Suspend Suspends a document from its current lifecycle state. Suspending a lifecyclestate places the document into a temporary or permanent exception state. Anexception state is a deviation from the normal business process defined bythe lifecycle. In order to suspend a document, you must have Change Statepermission on the document. You can only suspend a document from itscurrent lifecycle state if the current state has an exception state. Exception statescan be defined for a lifecycle during configuration.

Resume Resumes a document to its previous normal state. Resuming a lifecycle stateplaces the document back into the normal business process progression definedby its lifecycle. You can only resume a document lifecycle to a normal state ifthe document is currently in an exception state.

Managing Workflows

You can use one of the following ways to start workflows with packages in :

• Right-click a document and select a workflow from the Start Workflow submenu.

• Select a document and click the Start Workflow button.

Once you start a workflow, you can only modify the packages from the task details page. Use theInbox Web Part or Quickflow Web Part to view task details. The Inbox Web Part and Quickflow Web

Part also allow you to finish a task, add or remove attachments, add comments, and add data viadisplayed data fields to the workflow, if configured.

Checked Out Files Web PartUse the Checked Out Files Web Part to view and manage the documents you have checked out froma Documentum repository.

You can also perform file operations in the Checked Out Files Web Part, such as editing a document,checking in a document, deleting a document, and so on. Right-click a document and select theoperation you want to perform.

Configuration Web PartUse the Configuration Web Part to modify the data services mapping file from SharePoint.

Because the Configuration Web Part provides access to the configuration file, it is recommended thatyou deploy the Web Part to a page in SharePoint accessible to only users that are allowed to modifythe configuration. Use the security features in SharePoint to limit the access to the page on whichyou deploy the Configuration Web Part. The EMC Documentum Connector for Microsoft SharePointFarm Solution Configuration Guide provides detailed information about how to use the ConfigurationWeb Part.

D2 Browse Web PartUse the D2 Browse Web Part to browse a Documentum repository and perform file operations. Thefollowing table lists the file operation tasks you can perform by using the D2 Browse Web Part:

Task Description

If you have C2 enabled, you can view the document through C2by right-clicking the document and selecting View through C2.

Checking in a document Right-click the document and select Check In. You can also checkin a document from a SharePoint library by right-clicking thedocument in the SharePoint library and selecting D2 Check Into Documentum.

Uploading a document ClickUpload from themenu bar. You can also upload a documentfrom a SharePoint library by right-clicking the document in theSharePoint library and selecting D2 Check In to Documentum.

Viewing document properties Right-click the document and select Properties.

Viewing document history Right-click the document and select Document History.

Deleting a document Right-click the document and select Delete. You can selectwhether to delete the selected version or delete all versions.

Creating a New Document

Complete the following steps to create a new document in a Documentum repository:

1. Navigate to the repository location in which you want to create a new document.

2. Click New Document.

Note: If you want the new document to inherit properties or content of a specific document, selectthe document and then click New Document .

3. Select a creation profile from one of the creation matrix list boxes.

4. To inherit properties or content from a document you selected, configure the Inheritance section.

5. Click Edit Properties and enter content properties.

6. Click Select Template and select a template for the content.

7. Click Check in.Depending on your configuration, the D2 Browse Web Part creates the document in the followingways:

Uploading Documents

You can upload documents to a Documentum repository, either from your local machine or froma SharePoint library.

Uploading a document from local machine1. Navigate to the repository location to which you want to upload the document.

2. Click Upload. The Import page appears.

3. Add the document either by dragging the file into the box or browsing for the file.

4. To select a file format for the document, click Selected file format.

5. Click OK.

6. Select a creation profile from one of the creation matrix list boxes.

7. If you want to inherit properties, select the content and properties to inherit.

8. Click Edit Properties and enter content properties.

9. Click Select Template and select a template for the content.

10. Click Check in.Depending on your configuration, the D2 Browse Web Part uploads the document in the followingways:

• If there is an autolink rule, the D2 Browse Web Part uploads the document to a folder specifiedby the autolink rule.

• If there is no autolink rule, the D2 Browse Web Part uploads the document to the folder thatyou selected.

Uploading a document from a SharePoint library1. Navigate to the SharePoint library that contains the document you want to upload. Make sure

that the document is not checked out from Documentum.

2. Right-click the document and select D2 Check In to Documentum.

3. Select how you want to upload the document to Documentum.

Action Description

Move Move the document from the SharePoint library to Documentum. Thedocument no longer exists in the SharePoint library.

Copy Save a copy of the document in Documentum.

Link Move the document from the SharePoint library to Documentum. Thedocument no longer exists in the SharePoint library but a link is created andpoints to the document in Documentum.

4. Click Import.

5. Select a file format for the document.

6. Click Choose Creation Profile.

Checking Out a Document

You can check out a document for editing. After you check out a document, a symbolic lock appearsbefore the document and other users cannot edit the document at the same time.

Checking out a document1. Navigate to the document in the repository.

2. Click the menu next to the document and select Check Out.The current repository location automatically refreshes to show the document is locked. The LockedBy column shows the user who has checked out the document.

The D2 Browse Web Part also automatically starts the download of the file you checked out.

Checking out a document to a SharePoint library1. Navigate to the document in the repository.

2. Click the menu next to the document and select Check Out To SharePoint.

3. Select the SharePoint library into which you want to check out the document.

4. Click Checkout.The current repository location automatically refreshes to show the document is locked. You can findthe document in the SharePoint library that you selected.

Checking In a Document

You must check in a document when you finish editing the document and want to save changes in aDocumentum repository. Checking in a document unlocks the document.

Federated Search Web PartThe Federated Search Web Part enables you to use the Federated Search Services of Documentum.The Federated Search Services is Documentum federated search technology, which integrates contentsources inside and outside an organization. You can access all relevant content with a single query, nomatter where the content is located and how you access the content. The search results appear aseither Documentum repository items or web links.

Home Cabinet Web PartThe Home Cabinet Web Part operates like the Browse Web Part. However, the Home Cabinet WebPart starts navigation in your home cabinet and you can only navigate in that location. The actionsavailable in this Web Part are the same as the actions in the Browse Web Part.

Click the menu arrow and select Edit Web Part to configure the Home Cabinet Web Part. You can setthe paging size for the data and the columns to display in the grid.

Inbox Web PartUse the Inbox Web Part to view Documentum notifications and tasks assigned to you. Click anitem and select View Task Details to view the task details and process the task. You can filter thetask list to show all items, notifications, or tasks.

Click the menu arrow and select Edit Web Part to configure the Inbox Web Part. You can set thepaging of the inbox items and set the default view for the inbox to all items, tasks, or notifications.

Delegating Tasks1. Click I am available.

2. Select the I am currently unavailable checkbox. TheWorkflow Delegation page shows a list ofavailable users.

3. Select the user to whom you want to delegate tasks. You can filter users by using the User namestarts with text box.

4. Click Finish.The Inbox Web Part displays I am currently set to unavailable in its toolbar. To disable delegation,click I am currently set to unavailable and clear the I am currently unavailable checkbox.

Quickflow Web PartUse the QuickflowWeb Part to view Documentum quickflow tasks and notifications assigned to youwithout using Documentum Process Engine. You can filter the list to show all items, notifications, ortasks.

Click an item and select View Task Details to view the task details.

Click the menu arrow and select Edit Web Part to configure the QuickflowWeb Part. You can set thepaging of the inbox items and set the default view for the inbox to all items, tasks, or notifications.

Search Web PartUse the Search Web Part to search documents in a Documentum repository. The Search Web Partprovides the following types of search:

• Basic search

• Advanced search

If you have EMC Documentum xPlore installed on the Content Server, the Search Web Part usesxPlore to search and show xPlore search facets in the search result. A facet represents one ormore important characteristics of an object, represented by one or more object attributes in theDocumentum object model. Select different facets to drill down to areas of interest.

Basic Search

Use the basic search to perform searches in a Documentum repository using search terms.

By default, the basic search searches only the metadata like name, title, keywords, and subject. Youcan select Search Content (Full-Text) to perform a full-text search, which searches both the metadataand content. If you want to search all versions of a document, select Search All Versions.

The Save Search list box contains the search queries you save from the Advanced Search page.

Advanced Search

Use the advanced search to perform searches with complex search criteria. In the Search Web Part,click Advanced Search to open the Advanced Search page.

When using the advanced search, you can select an object type and define properties to create asearch query against the metadata of the object type. You can also perform a full-text search, searchall versions of a document, and search for hidden objects.

Note: If you set a date as the property, you must set the date format in MM/dd/yyyy.

In the search result page, you can click Save Search and specify a name to save the search for later use.

Saved Search

The Saved Search list of the Search Web Part can show search queries that you save from theAdvanced Search or from other applications like EMC Documentum Administrator and EMCDocumentum Webtop.

When you run a search saved from the Advanced Search, displays the exact columns saved in thesearch. When you run a search saved from other applications, displays only the columns that apply.

Subscriptions Web PartThe Subscriptions Web Part operates like the Browse Web Part, except that it displays only repositoryitems that you subscribe to. You can see any type of item in the Subscriptions Web Part. The actionsavailable for subscribed items are the same as the actions in the Browse Web Part.

Click the menu arrow and select Edit Web Part to configure the Subscriptions Web Part. You can setthe paging size for the data and the columns to display in the grid.

Workflow Web PartUse the Workflow Web Part to start workflows that do not use a package. The Workflow Web Partdisplays a list of workflows and you can select one to bring up a menu with a start workflow

Shared Web Partsprovides the following shared Web Parts:

The shared Web Parts provides the same functionality as the regular Web Parts. However, you canshare configuration settings among different users when you use a share Web Part. Shared Web Partsare useful when you want to give access to users external to a repository.
