GENERAL INFORMATION

Eastern Music Camp is held annually on the campus of Eastern Illinois University in Charleston. The University is located

off Route 16, which can be reached from Interstate 57 or Highway 130.

Registration Fee

$480.00 – Junior/Senior Band, Choir, Strings, Piano

$490.00 – Instrumental Jazz

Sunday, July 16 – Opening of EMC

Registration

Registration will be held in Andrews Hall on Sunday, July 16th between 11:00am and 3:30pm. Any outstanding

camp fees must be paid at the time of registration via check or cash only (we are sorry we are not able to

accept credit/debit cards as forms of payment during registration).

Placement Auditions

All campers should prepare for a brief placement audition on the first day of camp (Sunday, July 16 beginning at

2:00pm). Details for each specific camp’s audition requirements may be found on the EMC web page at

www.eiu.edu/music/emc.

Orientation Meeting

All campers will report to the Doudna Fine Arts Center Dvorak Concert Hall at 7:00 p.m. on Sunday for a

mandatory orientation meeting. Floor counselors will escort campers to/from the Orientation Meeting.

Health & Safety

Students attending EMC are led by a professional staff of counselors and deans. Our staff is trained in basic

health and safety concepts, including CPR, and can take care of most minor health concerns including cuts and

bruises, administration of prescription medications, common colds, homesickness, etc.

Students with chronic/serious health conditions including profound food allergies, moderate to severe autism, or

mental health concerns are encouraged to attend EMC. We ask that parents who will be sending children with

these types of concerns contact the Director in advance of submitting a camp application if possible. In some

cases, the Director may ask parents to fill out a Safety Plan document for their children to ensure they receive the

care and attention they need while on campus. EMC maintains strict confidentiality of students’ medical

conditions but will notify faculty and staff as necessary to ensure your child’s safety. Please note that campers

with dietary restrictions should include appropriate information on their Medical Treatment form and notify the

Director.

*New in Summer 2017. EMC staff will no longer be authorized to take students to the EIU Health Center for

urgent health issues. Campers with any type of urgent health concern will be taken to the Sarah Bush Lincoln

(SBL) Walk-in Clinic in Charleston, or the SBL Hospital Emergency Room in Mattoon, depending on severity.

EMC has instituted this change to ensure that campers’ insurance is properly billed.

Housing & Dining

All campers will live in Andrews Hall. Our counselors are experienced professionals who are EIU students or

graduates. Campers and counselors live together, eat together, and get to know each other. Campers will be

housed two per room; male and female campers are strictly separated by floor. Please note that there is a $10.00

replacement cost for lost room keys. Roommate requests are taken on Sunday during registration at the

room/key station. EMC will strive to accommodate all roommate requests if there is space availability and it is

mutually agreeable between the requested roommates. No more than two campers will be assigned per room.

Campers will receive breakfast, lunch and dinner in the Taylor Dining Center. Campers will have access to

cereals, sandwiches, salad bar, hot entrees and sides, soft drinks and dessert. We strongly encourage all

campers to eat balanced meals. As noted above, special meals are available for campers with dietary

restrictions, though it is the family’s responsibility to notify EMC administrators of any needs in advance.

Campers will be given a meal wristband at registration that must be worn at all times during EMC. Please note

that there is a $5.00 replacement charge for lost meal wristbands.

Rehearsals, Classes & Private Lessons

In general, campers attend six rehearsal or class sessions each weekday of camp (Monday – Friday). Most

campers will attend two full rehearsals, two sectional rehearsals, and two elective classes each day, though there

are some variations in the daily schedule per specific camp (for example, jazz campers do not participate in

elective classes). Classes begin at 8:30 a.m. and continue until 4:00pm, with a break for lunch. Band,

Instrumental Jazz and Strings campers should bring a WIRE MUSIC STAND for use in classes and

rehearsals.

Campers will attend evening activities as scheduled. All campers are required to attend all classes, including

evening sessions.

Camp faculty will offer optional private lessons/coaching at a charge of $20/half hour. Lessons are taught by

experienced instructors, many EIU’s own music faculty, and are scheduled during the camper’s free time.

Campers will be able to schedule private lessons and pay fees for this service during registration (check or cash

will be accepted). The cost is additional and is paid directly to the instructor (please do not make out checks to

EMC or EIU).

Recreational Activities

During the late afternoon and some evenings, campers will participate in various recreational activities. EMC

sponsors a dance led by a professional DJ, movies, karaoke, a swim/pizza party at the Charleston Rotary Pool,

and a talent show (see below), all of which are included in camp fees.

The EMC Talent Show has become a tradition and a camper favorite. This event is held on Thursday evening

and features campers, counselors and other staff, all with the opportunity to demonstrate their unique talents.

Much of the entertainment is light and humorous, but campers whose talent is singing, dancing or playing an

instrument are invited to share it with us. All acts must be appropriate and non-offensive; participants are

determined by members of our counseling staff. An accompanist will be provided and recorded sound playback is

also available.

Check-Out and Final Concerts

All campers must check-out of Andrews Hall by 12:00pm on Saturday, July 22, before the final concert. Check-

out will begin at 10:00am. Luggage may be kept in rooms until 12:00pm.

The final camp concerts are scheduled for Saturday, July 22 at the Doudna Fine Arts Center at EIU. The

concerts are free – be sure to invite parents, family members, music directors and friends to hear you perform.

The final concerts are scheduled for the following times:

Concert Dress

Female: Dark skirt/slacks and white top

Male: Dark pants, white shirt, and long tie.

Miscellaneous

Money

Campers will only need money for personal expenditures as room and board are provided within the camp fee.

We recommend no more than $25 cash.

Cell Phones

Cell phones are allowed, but must be turned off during all class and rehearsal times, all performances (recitals,

talent shows, concerts), as well as at all floor meetings.

EMC T-shirts

T-shirts are included in the camp fee. Campers will pick up the size t-shirt they ordered during registration.

Campers should plan to wear t-shirts during the day on Monday for camp photos.

Photos

Campers may order photos at an additional cost during registration or during the final concerts. More details

concerning photos will be available closer to camp.

Recordings

We are sorry that EMC is unable to offer recordings of the final concerts due to copyright restrictions.

RULES AND REGULATIONS

We know that you will have a fun and educational week while you are on campus at Eastern Illinois University. Your EMC staff is charged with the safety and comfort of every camper and staff member, so we expect campers to adhere to the following rules of conduct:

1. Permission to visit such places as the Union and University Village Shopping Center is not necessary. Special

shopping and field trips to other locations are arranged and are escorted by counselors.

2. Campers are not allowed to be in automobiles during camp.

3. Drugs, alcohol, and tobacco products are not permitted.

4. Attendance is mandatory at all educational functions such as, but not limited to, rehearsals, sectionals, classes,

concerts, and recitals. Failure to attend an educational function without proper authorization from the instructor or

counseling staff is grounds for dismissal from camp.

5. Hours: All campers must be in the residence hall by 10:00pm. For security reasons, once the outside doors

are locked, a camper will be unable to gain entrance.

6. Quiet hours will be observed after 11:00pm.

7. No camper will be allowed to leave his/her floor after 11:00pm.

8. Females are not allowed on males’ floors. Males are not allowed on females’ floors.

9. Campers are responsible and will be held liable for any damage done to University and private property.

10. Dorm Keys: Campers will be responsible for a $10 replacement charge for lost, stolen or damaged keys.

11. Meal Wristbands: If wristbands come off or break, they can be replaced as long as the broken wristband is returned.

Campers will not be charged for replacement meal wristbands.

12. Name Badges: Must be worn at all times. Campers will be charged a $1 replacement fee for lost, stolen, or

damaged name badges.

13. Firearms, weapons, and fireworks of any type are prohibited by law.

14. Campers are expected to refrain from using profanity, excessively rowdy behavior, and disobedience of EMC staff

instructions. In addition, bullying of any type will not be tolerated.

15. All faculty and staff members of Eastern Music Camp have the authority to enforce these rules.

16. Campers are subject to the Eastern Illinois University Student Conduct Code, Section 1, Standards of Student

Conduct, and Security Jurisdiction.

Failure to comply with the above rules and regulations may result in expulsion from Eastern Music Camp at the sole

discretion of our staff. In cases where civil or criminal law(s) are broken or obstructed, the appropriate law enforcement

agency will be notified.
