HOW TO USE YOUR ePORTFOLIO As part of this class we will be using an Electronic Portfolio (ePortfolio). This is a web-based method for you to save work and information about your educational career that you can use for class assignments, resumes, help from career and advising offices, and to create a Guest Page to show your skills and accomplishments to family, friends, faculty, staff, employers, and others. HOW TO USE YOUR ePORTFOLIO

As part of this class we will be using an Electronic Portfolio (ePortfolio). This is a web-based method for you to save work and information about your educational career that you can use for class assignments, resumes, help from career and advising offices, and to create a Guest Page to show your skills and accomplishments to family, friends, faculty, staff, employers, and others.

This is a two part training. Working through each step should make using the EPortfolio clear and easy for you.

A quick note about vocabulary: ePortfolio –refers to everything in this web-based site Home Page – This is the page where you create your account and log in. It has a menu

for information about the ePortfolio project and how to contact us. The ePortfolio is web based. You can access the home page at www.ePortfolio.org from anywhere you have internet access.

Main Menu -- when you log in, you will go directly to the Main Menu which describes each part of the ePortfolio. It describes the ePortfolio as a Private Workspace. The work you create and store in your ePortfolio is private unless you choose to make it public.

Guest Page – This is your public page. The information you place here – biographical, resumes, portfolios is available to anyone you invite to see it. Clicking on Preview in the Menu allows you to see your Guest page.

Profile Status – Under the Tools Menu you can chose whether to make your entire ePortfolio “public” or “private.” Public means that your Guest Page is available to anyone you invite to see it. Private means no one can access any of your information.

Visibility – in parts of your ePortfolio you can choose which items are “public” – available on your Guest Page, or “private” – only on your private workspace.

User Code– This is your personal code which gives visitors access to your Guest Page. Note: when you send a Guest an invitation they get an link which looks like this: http://NYC/ePortfolio/public.cfm?uc= 4584577 . Clicking directly on the link will take them to your guest page. The 7 digit number at the end is your user code.

Portfolio – This is a compilation of work which you have selected to meet a specific educational requirement or to showcase your skills. Portfolios are connected to a specific goal and usually require you to describe, or reflect on each piece of work included in the portfolio and on the portfolio as a whole. You can have many different portfolios including a General Portfolio which allows you to store work you think you might need later. If you select “public” for the visibility then a link to your portfolio is placed on your Guest Page. Selecting “private” keeps your portfolio available only in your private workspace.

TRAINING PART ONE: INITIATE YOUR E-PORTFOLIO Go to www.ePortfolio.org and click on “create an account” Fill out all the fields

o Enter your First, Middle, and Last Nameso Note that you have to enter an email address. If you don’t have an email address,

you can get free email at www.yahoo.com or www.hotmail.como Select the institution where you work (are getting your degree) from the drop

down menu – only the 11 participating institutions are listedo Select “faculty” (student)o Create a “username” o Create a “password”o Retype the same password to confirm it. Make sure you keep your username and

password in a safe place. o Read the information about the ePortfolio and click “I agree”o Click “Join”

When you click on “Join,” you have begun the process of creating your ePortfolio. You will also be sent an email with your username, password, and user code. Keep that information in a safe place.

You will go immediately to the Main Menu section which describes all of the tools in the ePortfolio and contains links to your institution.

The menu bar has the following links:Main Menu  |   Biography  |   Career  |   Goals  |   Portfolios  |   Advising  |   Preview  |   Tools  |   Logout

Select BIOGRAPHY Fill out the information in this section. PICTURE: If you want your picture on your Guest Page use the browse option to

select a picture and upload it. The picture needs to be about 150 X 150 pixels. If you have photo editing software, you may want to make that adjustment before you upload the picture. Otherwise the software in the ePortfolio will adjust the size.

Address information and date of birth will NOT show up on your Guest Page To see your Guest Page, choose PREVIEW from the menu bar. If you do not want anyone to be able to see your guest page, select TOOLS from the

menu. Go to status and select “private.” You will still be able to Preview a guest page, but no one will be able to see it until you change your status to “Public.”

You can add more information to your Guest Page by going to the CAREER section by selecting that choice on the menu and choosing EDUCATION and/or EXPERIENCE sections. Click on the EDUCATION on the menu on the top. You can add or change information at any time to these sections.

Select the type of Educational Award – degree, certificate, etc. Put down the Award name: “B.A. in History” “Certificate in Financial Planning.” Fill out the rest of the information.

Decide on whether you want this information on your Guest Page. If so select “public” visibility. If not select “private.”

Click Save. Note that the information is now at the top of the page. Add a second degree/certificate. When you click save that information appears at the

tops as well. Note that you can change the order they will appear on your Guest Page by changing

When you’ve finished, select PREVIEW to look at your Guest Page and make sure you are pleased with it. You can go back to CAREER to toggle items between public and private and see how that changes your Guest Page.

You click on the EXPERIENCE section and add information about work, co-curricular, and volunteer experiences you had. Selecting Public Visibility will add that information to your Guest Page. Don’t forget to SAVE

We will end this training by adding some Career and Educational Goals to your E-Portfolio.Go to the Goals section by clicking on “GOALS” on the menu on the top.

From the Pull down menu labeled “type” select “Career.” Under Area put the type of career you are interested in (if you aren’t sure, just put in

something you are interested in now, remember you can come back and change this at anytime). For example: You could put in “College President.” This information does not go on your Guest Page unless you use it in a resume or portfolio.

Under Goal: Specify what your career goal is. This is information that your advisor and career counselors may use to help you plan your course of study. For example: “I want to be the President of a large, Research 1 University.”

Click Save: You will see that your goal is listed on the top of the page. From the Pull down menu select “Education.” Under Area put the area of your goal in Education. For example: “Philosophy.” Under Goal put your specific goal. For example: “A Masters Degree in Philosophy

because I believe philosophers make the best college presidents.” There are also boxes where you can reflect on your goal at different times, add

comments, or other information. This may be helpful for career planning or meeting educational goals.

Click Save. Now you will see both types of goals listed at the top. You will also note that you can “edit” what you’ve written or “delete” it. Any time you make a change to your Career, Education, or Biography section make

sure you click on SAVE.

In general Goal information does not appear on your Guest Page which is why there is no Visibility choice. However, it is used in other sections of the EPortfolio, as you will see in the second part of this training, certain Goals are linked to the creation of a work portfolio.

Finally select TOOLS from the menu bar at the top. Scroll down to Profile Status and select “public.” Scroll up to the email invitation, and send an email to yourself. A clickable email will be sent to you with your “user code” embedded. Clicking on the

link will allow you to see your actual Guest Page. Note: when you send a Guest an invitation they get an link which looks like this: http://NYC/ePortfolio/public.cfm?uc= 4584577 . Clicking directly on the link will take them to your guest page.

Another way to access your actual Guest Page is to go to TOOLS and scroll down to Profile Status. You will see the following:

o Making your profile Private will prevent any visitor from finding your account. o Making your profile Public will activate a public guest page, accessible by searching on the ePortfolio.org

home page using 4584577, which is your Secret Search Code. Then Logout which will take you back to the home page. In the Search For A User

box enter the 7 digit Secret Search Code. Click on Search. Don’t forget to log back in and go back to TOOLS and Profile Status and select

Private, if you would prefer to keep your page Private. Note: If you have selected “Private” and someone enters your code, they will get this message: We're sorry, the User Code entered did not return a portfolio from the system. Either try again or contact the owner of the portfolio to either obtain the correct User Code or make their portfolio publicly viewable.

Now Logout.

TRAINING PART TWO: CREATE A PORTFOLIO In the first part of this training, you created your EPortfolio and your Guest Page. We are going to be using the Portfolio section as part of your assignment for this class.

Go to www.ePortfolio.org (now might be a good time to “bookmark” or add this link to “favorites.”)

Type in your user name and password and click sign in. This will take you to your Private Workspace Page which has some important links from

your institution.

In this class you will create a skills portfolio which will show the skills you have mastered at the end of the class. You will turn the portfolio into me two weeks before the end of the semester, but you will also be able to put the portfolio on your Guest Page to show employers and others what you have learned.

All Portfolios have to be connected to a Goal. Select “GOALS” from the menu on the top. From the drop down menu, chose “Course.” Under “Area” type in the name of this course: “EPortfolio 101” (You may be creating

portfolios in other classes). Under Goal type: “To show my mastery of EPortfolio skills.” In the “Comments” text box, please write a one paragraph description of why it is

important for you to meet this goal.Useful tip: Whenever you need to complete a text box, you may want to open your word processor and write your response in a document. You can then grammar and spell check it and then copy and paste it into the text box.

When you have finished click on save. You will see your course goal added to the career and educational goals you wrote in part 1.

Select “PORTFOLIOS” from the menu: You will see all of the goals that you have created in the Goal drop down menu. Select

your course goal, “To show my mastery of EPortfolio skills.” Now add a Title. Here’s your chance to be creative. You’ll be able to edit the title

before you hand in the portfolio. At the end of the course, before you hand in your portfolio, please come back to this

section and complete the “Introduction”and “Reflection” sections. Please write at least a one paragraph Introduction to the entire portfolio and at least four paragraphs on what you learned. There are also sections for “Comments” and “Other” which your instructor may ask you to fill out.

Scroll down to the bottom of the page. Leave the Visibility at Private. You don’t want to put your portfolio on your Guest Page until it is completed.

Click Save and you’ll see that the Goal and Title of your portfolio are saved on the top. Notice that you have the ability to edit, delete, manage work, and package work by using the function menu on the right.

o “Managing Work” is how you select work to be part of this portfolio. o “Packaging Work” is how you put the portfolio together as one package to

email it to your instructor.

Your complete portfolio will need to contain the following which demonstrate the skills you have gained:

o A word documento A digital photoo An Excel Spreadsheeto An HTML document.

These correspond to the work required in the four learning units of this course.You will need to select your best example of each of these types of work. For each one, you will need to “name the work,” “introduce it,” and describe “what you learned from doing” it.

To begin, click on “manage work” next to your portfolio. Note on the top of the page there is a bar which tells you how much disk space you have left in your ePortfolio. If you complete portfolios that you don’t need anymore, you may want to download them to disks or CD’s.

Select the word processor document which you think best demonstrates your word processing skills. You do this by using the Browse feature to find the document and double clicking on it.

Now give the document a “Title.” In the “Introduction” box describe what is in the document. Skip the “Why this Document” text box. In the “Reflection/Learned” text box write at least two paragraphs about what you

learned about Word Processing by creating this document. Change the Visibility to “Public.” This does not put the document on your web page,

but makes it part of your portfolio. Note 1: This Visibility choice allows you to put a work in a portfolio that you are submitting to a faculty, and then later remove it from the portfolio that you are putting on your Guest Page. Note 2: You can email work, even if you have marked it private.

Click Save. You will see that work show up under the Portfolio you are creating. You have the option of:

o Edit: You can editing your title, comments, reflections, other info, or choose a different work to upload. Remember any time you Edit you must SAVE.

o Deleting it from your portfolio. Note: before you delete any work, you may want to save it to a disk or CD so you have a copy. Once you delete it, it is gone from the ePortfolio. If you click on the title of the work, you then can select “save as” and choose where to save it.

o Emailing it Click on Email: And send the document to me at. (insert your own email here). This

will email the document to me, but not the Introduction or Reflection.

Now follow the same steps to select a photograph that demonstrates your great digital photography skills. Make sure you give the photograph a “Title,” an “Introduction,” and fill out the “reflection” box.

You will follow the same steps throughout the semester until you have the four pieces of work described above that best describe your attainment of these skills.

Now return to the PORTFOLIOS section by selecting it from the Menu: Click on edit next to the Portfolio. Make sure you still like the title to your portfolio. Write at least a two paragraph “Introduction” to the entire portfolio. This should

describe what exactly is in the portfolio. In the Reflection section, describe, in a minimum of three paragraphs, what you learned

from completing this portfolio. Under Visibility select Public. This will put a link to your portfolio on your Guest

Page. Note: If you want to change from Public to Private, you must click on Edit first, then change the Visibility, the click on SAVE.. Click on Preview and then the link to your portfolio.

Select “Package Work” – this allows you to put the entire portfolio together and email it to me. You will see the several works that make up your portfolio. Note: If they are checked they are part of the portfolio. If you do not want that work in the portfolio, go back to Portfolio, click on Manage Work, click on Edit and change the Visibility to Private.

Click on “Create Zip File.” The computer will name the file the same name as your portfolio with all special characters (hyphens, slashes etc.) removed. You will see all of the zip files you have created at the top of the page. You can download (instructions on the last sheet), delete, or email a zipped file.

Email the zipped portfolio to me. Click on Email and send the file to (insert an email address here).

Remember if you want to see your zip files, click on PORTFOLIO and then Package Work.

Click on Preview and take one final look at your Guest Page. If you want to invite someone to see what you have created, go to Tools. Go to Profile Status and make sure you have selected public. Go to Send Invitation and invite a friend, colleague, or family member to see what

you’ve created.

Now Logout.

REMEMBER: Whenever you make a change in any section of your EPortfolio, you must click on SAVE

Other Notes:Downloading or receiving a Zipped Portfolio. Portfolios are “zipped” so that all the pieces can be emailed or downloaded together as one package. In order to see an entire portfolio, you need to have the WinZip download.

Go to Tools. Select WinZip and follow the instruction to download the program. This is a free program which allows you to read zipped files.

Email: In the email, click on the attachment, and choose Save or for aDownload: From Portfolios, select Package Work, Download, and then Save.

Save the zipped portfolio on your hard drive or disk. Go to the saved zipped file and double click on it. The WinZip program will open. Click on Extract Browse for where you want the files to go. And choose Create a New Folder.

Name the folder the name of the Portfolio or the name of the student. The click on Extract.

Go to the folder you just created, open it, and click on the HTML link. That will open the portfolio with all of the introductory and reflective text as well as links to each document.

Deleting a Portfolio – You can delete a portfolio by choosing that option. This is a good idea if you no longer need the portfolio, since there is a limit on how much disk space is available to you. HOWEVER, if you delete a portfolio, then you delete all the work connected to it. You might want to copy the portfolio to a hard drive/CD/zip drive before you delete it.

Saving Work Outside a Specific Portfolio: If you/students want to save work that you think you might want to use for a portfolio, create a generic work saving portfolio. Like any portfolio, you need to create a goal (go through the steps above – chose Other or Education for the type of Goal. Under Area type “my work.” Under Goal Type add “a place to keep my work.’” Then go to Portfolio, select that Goal, and give your Portfolio a title such as “General Portfolio.” Save it. Then use this portfolio to save work that you might want to use at another time for a portfolio.
