MAKING MEETINGS BETTER
The objective for this presentation is to help you (the audience) improve your ability to create eff ective meetings by helping you identify 3 new strategies for improving your own meetings.
I will be using fl ip chart, video and PowerPoint. I will be covering the history of the social psychology
movement as well as the current best practises for structuring eff ective meetings.
OBJECTIVE
Guidelines Obtain the fl oor ( the r ight to speak) by be ing the fi rst to stand when the person
speaking has fi nished; state Mr. /Madam Chairman. Rais ing your hand means nothing, and standing whi le another has the fl oor is out of order! Must be recognized by the Chai r before speaking!
Debate can not begin unt i l the Chair has stated the mot ion or resolut ion and asked "are you ready for the quest ion?" I f no one r ises, the chai r ca l ls for the vote!
Before the mot ion is stated by the Chair ( the quest ion) members may suggest modifi cat ion of the mot ion; the mover can modi fy as he pleases, or even withdraw the mot ion without consent of the seconder; i f mover modifi es, the seconder can wi thdraw the second.
The " immediate ly pending quest ion" is the last quest ion stated by the Chair ! Mot ion/Resolut ion - Amendment - Mot ion to Postpone
The member moving the " immediate ly pending quest ion" is ent i t led to preference to the fl oor!
No member can speak twice to the same issue unt i l everyone e lse wishing to speak has spoken to i t once!
Al l remarks must be di rected to the Chai r. Remarks must be courteous in language and deportment - avoid a l l personal i t ies , never a l lude to others by name or to mot ives!
The agenda and a l l committee reports are mere ly recommendat ions! When presented to the assembly and the quest ion is stated, debate begins and changes occur!
