KHUH (King Hamad University Hospital) is a university hospital with a capacity of 311
beds and with a 1731 strong team of employees. The hospital is located in Bahrain
and is managed by Bahrain Defense Force. It has operations in both Public and
Private practice. Currently, it is operating as a single hospital but has future plans of
taking over on a series of Hospitals in Bahrain and also building up multiple clinics.

Project Summary – Implementation of Oracle Modules
• Lack of Proper Existing System. Majority records were maintained in Excel.
• Cater to the reporting requirement from Bahrain Defense Force.
• Lack of any Existing Department Policies including HR Policies.
• Evolve standard processes and systems than can be rolled out to Further
Hospitals managed by KHUH.
Business Problem / Business Need
• Deployed Oracle E-Business Suite financial, supply chain, and human resources
(HR) applications, standardizing and streamlining health service operations with
industry best practices.
• Integrated the complete process of purchasing, logistics, and financial
management into a single, hospital wide system, giving management greater
control and the ability to make more agile and informed decisions.
• Reduced need for customized solutions by using Oracle’s many specific settings
for hospital purchases, logistics, and financials.
The Solution and Business Benefits
• Used Oracle Self-Service Human Resources to cut overhead by devolving
routine HR processes, such as updating employee records and leave
entitlements, for staff and managers.
• Used Oracle Payables and Receivables to Provide a comprehensive Petty Cash
Management solution to track and maintain Petty Cash Balances and
Transactions.
• Comprehensive report development activity to cater to Budget Reporting
with Ministry of Finance.

• HIS-AR integration to interface Patient Billing information into Oracle from
INDRA.
• EAM-FA Integration to interface Asset Tracking information into Oracle from
INFOR.
• EAM-Inventory integration to interface consumption details related to
maintenance both ways with INFOR.
• HR-Staff Tracking integration to interface staff records from Oracle to INFOR.
Integration with Third Party Software
• Majority HR Policy Documents were not available and the once which were
available were in Arabic.
• Deliver the system with mapped requirement within 10 days post CRP-1.
• It was the first ever case which involved both Support and implementation
stage simultaneously where in the team had to work hard to make the users
work on the system and gather further requirements to make the system more
friendly.
• Mapping of the Petty Cash process which involved multiple petty cash boxes
balance tracking and its complicated report developments.
• Migration activity for Payments was a critical task.
Challenges
• Soft Live 10 days Post CRP-1 making Financials and HRMS available to the Users
for recording their day to day activities.
• Support of KHUH management towards acceptance of leading business practices
for the optimum utilization of the standard application and reduce/minimize
custom extensions to the applications.
• Clear roles and responsibilities defined between Evosys and KHUH team for the
project in order to assure accountability, ownership, and quality.
• A comprehensive project work-plan and project management plan.
Critical Success Factors
• Thorough understanding of known project risks and assumptions amongst the
Steering Committee and project team.
• Thorough understanding by KHUH that the business process defined during
the mapping phase will have long term implications in terms of using the
system and its maintenance.
• Active participation of the users in Testing and Training programs.
