Enterprise Management SystemA system is a set of interrelated components, with a clearlyDefined boundary, working together to achieve a common set of objectives.

Management in all business and organizational activities is the act of getting people together to accomplish desired goals and objectives using available resources efficiently and effectively.

That which is undertaken; something attempted to be performed; a work projected which involves activity; an undertaking; as, a manly enterprise; a warlike enterprise.

Explanation:

From the above diagram it is clear that enterprise is any business activity which is carried out continuously.

Enterprise can be a service industry or may be a goods distribution business or a production industry or may be a raw material distribution business activity etc., which is carried out continuously.

Any business activity needs management support to have butter co-ordination and to integrate the whole processes /activities of the business.

Management helps the business to have future plans, goal setting for individual as well as for business in near future.

The whole Enterprise management system explain that the all activity which is included in any business which are managed to be a complete system.

Components of EMS

Attendance management system:

Employees attendance register is maintained in this system.

Employees attendance will be monitored every day but analysis will be done periodically as an when required.

If Employees working on hourly bases then hours calculation will be done in this system on the bases of which payment or salary calculation is done at the end of week or at the end of month on the bases of business type.

Document management system:All documents related to the organization or business are maintained.

All statutory and non statutory documents related to the organization are submitted to the authorized person or institute.

All employee details documents are maintained.

All top level meeting details, agenda, minuets, proxies, etc is maintained.

All reports record is also maintained eg: financial report, annual report etc,

All financial documents which are prepared or came from outside are maintained.

All certificates and authority letters are preserved.

Communication management system:

Communication with suppliers.

Communication with customers.

Communication with wholesaler or middle man.

Communication with Government.

Communication with retailer.

Communication with customers by giving free samples, taking market survey, asking to fill suggestion form etc.

Communication with Experts.

Communication with top level management.

Security management system:

Security is maintained at each and every stage of transaction or exchange or any other event happening in the organization.

Security is very much necessary thing as important information should not be transferred to any un authorized person how can miss use it.

Security is maintained by keeping passwords to the computers or systems.

Firewalls are used when there is data transfer through internet.

Identity cards are given to each employee to avoid unauthorized person to come in to the campus.

To keep track of the activities going in the system or office cameras are used for security.

CAD/CAM:

Full form for CAD/CAM is computer aided design / computer aided management.CAE stands for computer aided engineering.

Here in this stage all designing takes place on the bases of decision taken by top management or on the bases of the planed work process.

Designing of product also takes place here.

Electronic data interchange:

Electronic data interchange is achieve by using E-commerce .

Data or information is exchanged between organization and supplier, customer, experts, government, etc.

Whenever customer ask about any product all the information related to that product is given to his.

Whenever supplier interacts with the company for the products all the information about product price of the product quantity can supply etc is given.

Introduction :Enterprise Resource Planning is a cross functional enterprise system.

It acts as a framework to integrate & automate many of business processes that must be accomplished within manufacturing, accounting, finance, human resource etc of the business. ERP aims at creating a common database across the organization that is used by different function or department within the business organization.

There are many ERP solutions available in the market.

Each of these solutions takes about some distinct features, advantages & highlights plus points.

Selection of these packages can be made on many criteria 1)Vendor

2) The technology used 3) Architecture used 4) Solution scope

Vendor Evaluation

What is the business strategy & capacity of the vendor.

Research & development activities.

Philosophy & policies of business.

Used of object oriented technologies in development.

The Technology Used

Two tier or three tier client server architecture used.

Use of case tools ,screen generators, Real time access.

Use of operating system.

INTERACT

Requirement :

Carry out in depth study of organization.

Requirement is noted down.

Changes & modifications:

Simple cosmetic change to major functionality change.

Consultant has to carefully note the impact of changes & convey it to the user

Freezing Expectation:

If there is no changes in requirement, then freeze it to carry out changes in the packages.This document will be used as a guideline for ERP implementation.

Hence the company should do a pre evaluation screening to limit the number of packages.

Package EvaluationSince ERP system involves huge investments, once a package is purchased it is not easy task to switch to another.

Some important points to be kept in mind include: Functional fit with the company’s business process.Flexibility, scalability, complexity, user friendly.

Project Planning Phase

This phase will decide when to begin the project, how to do it & when the project is supposed to be completed.

What to do? How to monitor? What correction actions to take?

Gap Analysis

This is the process through which companies create a complete model of where they are now & in which direction they want to head in the future functional gaps are to be covered in this phase.

Reengineering

Human factor is taken into account in this phase.BPR emphasizes the human elements of necessary changes within organization.

ConfigurationIn order to do so business processes have to be understood & mapped in such a way that they arrived at solutions match up with the overall goals of the company.

Implementation team trainingThis is a phase where the company trains its employees to implement & later run the system.

Testing

This is the phase where you try to break the system.The system is configured & you must come up with extreme case scenarios.

Going Live

The old system is removed & the new system is used for doing business.

End User training

Here the actual users of the system will be given training on how to use the system.

Post Implementation(Maintenance Mode)

This phase is very critical. To reap the full advantages of ERP systems it should get enterprise wide acceptance.

Projects for implementing the ERP system get a lot of resources & attention.

However an organization can only get the maximum value of these inputs if it successfully adopt & effectively uses the system.

Conclusion From above presentation it is stated that Enterprise Management system helps in each sector of business process:
