Calendar When you launch
Microsoft Outlook you will be placed in the “Outlook Today” screen from which you can go to all the various parts of Microsoft Outlook
We have already examined the Mail functions of Outlook however Outlook is a personal manager which has several other functions
The first one we will use will be the Calendar
This is actually much more than a calendar, it is an automated personal assistant which will keep track of appointment, events and meetings.
You launch it by clicking here.

Your screen may look somewhat different, however it will have the same basic components
There are the usual menu buttons across the top
The current month or months
An the current day, divided into half hour segments
Finally, there are the Outlook function buttons so you can quickly transfer back to email or any of the other functions

If you enter an appointment into the Outlook calendar, Outlook can remind you at specified periods of upcoming appointments.
To enter an appointment, click on the day of the month for your appointment

Now click on the time of the appointment
The blue bar will appear
You may have to scroll up or down the page to find the proper time

Type in a short message for your appointment
Then press enter

Position your cursor on the wall of your appointment
Drag the wall up or down to “block out the duration of your appointment

To add a reminder of this appointment:
right click on the bar
choose Open

On this screen, you can change as set a lot of the parameters for this appointment
First put a check mark in the Reminder box
Then drop the options list down and choose how long before the appointment you wish to be reminded

If you wish you can have your appointments color coded, by dropping down the options list next to the “Show time as” label
Your choices are Free, Tentative, Busy and Out of the Office
Choose one

You can color code the appointment by dropping this options list and choosing the appropriate category

If this appointment is to be a recurrent appointment, click the Recurrence button
Calendar
Choose whether this appointment is to recur Daily, Weekly, Monthly or Yearly

I have chosen Weekly
This appointment will recur every Tuesday
Calendar
I have also chosen to have this appointment stop after 10 occurrences
When you are done choose OK

Now you will be dropped back to the previous screen
If you are finished, choose the Save and Close button

When you set a reminder for an appointment, this screen will pop up at the time you set, to remind you that the appointment is due or overdue
To get tell Outlook to remind you later, click Snooze
To get Outlook to stop reminding you, click the Dismiss button
