Going to college is not just about following aprogramme of study and gaining qualifications, it isalso about your own personal development. Withthis in mind, I strongly encourage you to participatein all aspects of college life. Once again you willfind details of these in this handbook.

Although you may be starting out your studies withmany people who initially are strangers to you, intime your classmates will become good friends andyou will without doubt, make friends here at DkITthat will become lifelong friends to you.

Going to college for the first time can take a littletime to adjust to but our academic and studentservices staff will help you to make the transitionfrom secondary to third level as smooth aspossible for you.

At DkIT we pride ourselves on providing a learningexperience that is unique. You will learn in smallgroups with excellent support from your lecturersand other learning support staff and yourassessment will not be based solely on end ofsemester examinations but on a combination ofwork undertaken through the semester as well asend of semester examinations. You will find thatyour lecturers are your main point of contact withthe Institute. They are there to help guide youracademic studies during your time here with us.Please do not hesitate to contact them if you haveany concerns about any aspects of your studies.

Running DkIT

Governing BodyThe Governing Body is the main governingstructure of the Institute. Consisting of nineteenmembers, including the Chairperson, thePresident of the Institute, representatives of localauthorities and VECs, regional industry, ICTU,students, academic and non-academic staff, theGoverning Body generally meets once a month toco-ordinate Institute policy. Two StudentRepresentatives, (one male and one female) areelected to this Body each April, to act on behalf ofstudents’ interests.

Academic CouncilThe Academic Council is a statutory bodyestablished under the Regional Technical CollegesAct (1992) and has responsibility for maintainingacademic standards and the development ofAcademic Regulations. The Academic Councilmakes recommendations to the Governing Body,and its Secretary is the Registrar. The AcademicCouncil has a membership of thirty three,including two student representatives.

PresidentDay-to-day responsibility for running the Institutefalls to the President, Denis Cummins.

Executive BoardThe President in conjunction with the Registrar,the Secretary/Financial Controller, the Head ofDevelopment, the Heads of School are responsiblefor the management of the running ofthe Institute.

RegistrationOnce you have accepted your offer of a place atDkIT and paid the appropriate fee you will beregistered on a DkIT programme. (If you arein receipt of grant assistance you will notbe charged).

You must be registered to attend your classes, touse the institute’s computers, to access coursenotes through moodle, to use the library, toreceive your student ID card and email details.If you have a query about registration please go tothe Academic Administration Office.

Student Grants

Third Level Maintenance Grant SchemeThis grant is available to registered studentsattending approved Higher Certificate or OrdinaryDegree programmes that fulfil the eligibilityrequirements set out by your local V.E.C. If youare awarded a grant you must provide your grantletter to the Academic Administration Office withyour bank account details. The grant is paid inarrears on a four week cycle directly into yourbank account.

Scholarships/Higher Education GrantsVEC Scholarships and Higher Education Grants areavailable to students attending Honours degreeprogrammes that fulfil the eligibility requirementsset out by your Local Authority or V.E.C.If you are awarded a grant you must provide yourgrant letter to the Academic Administration Officefor processing. These grants are paid by cheque inthree instalments over the academic year.

The Back to Education AllowanceThe Back to Education Allowance is a scheme forunemployed people, lone parents, and peoplewith disabilities who are getting certain paymentsfrom the Department of Social and Family Affairs.Further details are available at www.welfare.ie.

Completion of FormsYou may require forms to be validated by theinstitute for example Letters of Registration,Letters for Grant Authorities, or Social Welfareforms. For this service please call into theAcademic Administration Office, the StudentServices Centre or your School Office and ensureyou have your valid ID card with you.

Leaving your Course EarlyYou may decide that you have made the wrongchoice for any number of reasons. i.e accepting ajob offer, applying for a different course next year,etc. If you are considering withdrawing from yourcourse you should discuss this with someone whocan help you: your Head of Department and theCareers Office are available to advise. Please noteif you decide to leave the Institute you mustcancel your registration by completing a CourseWithdrawal form available from your School Office.

Student Card & IdentificationA Student Card is issued to each studentfollowing registration. If your card is lost, stolen ordestroyed, you must report this to the AcademicAdministration Office, and a duplicate cardobtained on payment of €5. You may be asked toproduce your card at anytime on campus so keepit with you at all times. The card remains theproperty of DkIT.

Student E-mailAn e-mail account will be issued to you atregistration. Your e-mail username will also beprinted on your student card.Important information will be forwarded to youvia this e-mail account during the course of theyear, including examination timetables and results,changes to timetables and ProgrammeInformation. You should also regularly checkthe Institute website www.dkit.ie for newsand information.

ExaminationsThe Examinations Office is located in The TKWhitaker Building behind the Whitaker Theatre.Examinations deal with timetablingexaminations, issuing examination results, andAcademic Appeals.

European Diploma SupplementThe European Diploma Supplement (EDS) is issuedto all graduates of Higher Education Institutions inEurope in addition to their degree or certificateparchment. It provides additional informationregarding the award which is not availableon the official parchment such as modules studiedand the results obtained. It will be posted to youonce you graduate.

Student Support ServicesThe Student Services Unit is here to support you . . .

Student Services, which operates under the umbrella of the Registrar’s Office,is the section of theInstitute which deals explicitly with non-academic support for students. Linda Murphy, AcademicAdministration and Student Affairs Manager, is responsible for the administration of Student Services,including Admissions, Registration, Examinations and Student Support services. Staff in Student Serviceswork closely with all other areas of the Institute, including the Students' Union, to ensure that thewelfare of students is paramount. Student Services also aim to assist students in planning their futuresand in progressing to employment or further studies.

The Student Services Centre located in the Faulkner Building provides a range of personal support tostudents attending the Institute and aims to provide both advice and practical supports in a wide varietyof circumstances. Appointments for all Student Support Services can be made through this office.

Accidents in DkITIf you have an accident in DkIT, please notify amember of staff immediately or contact theStudent Health Unit. Then inform your Head ofDepartment. All departments and the Students’Union have First Aid Kits. Where necessary,students can be referred to the Casualty Unit atOur Lady of Lourdes Hospital Drogheda, by theInstitute Doctor or Nurse. You will not have to paya casualty charge in these cases. However DkIT isnot liable for any transport costs associated withreferrals. Please ensure you always haveemergency funds available to defray costs.

The Student Health UnitThe Student Health Unit is located upstairs in theFaulkner building next to the Fitness Suite. Allfull-time students of DkIT are treated free ofcharge at the Unit. There is one full-time and onepart-time nurse available to see students daily, noappointment is necessary. A doctor is inattendance each day in the Student Health Unit.Students needing to see the doctor must bereferred by the nurse, and should come to theUnit as early as possible on the morning of thesurgery to make an appointment as there are alimited number of places available. You mustbring your student ID card along whenattending the Student Health Unit.

Doctor surgery times will be posted up in theStudent Health Unit at the start of term andwill be available on the Institute website.Students are advised to notify the Health Unitif they suffer from conditions requiring specialattention, e.g. Epilepsy, Diabetes, etc.

Medical CardsMedical Card application forms may be obtained from the Student HealthUnit. Entitlement to a Medical Card is on the basis of the financialcircumstances of your family if you are under 25 years of age. If your parentshave Medical Cards you may be entitled to a card of your own. Over 25’smay be assessed independently of their parents. Please call in to the StudentHealth Unit for further information or details regarding medical entitlements.

Remember, your visit to the Student Doctor is free. If you don’t have aMedical Card you must pay for anything prescribed. A number of localpharmacies in Dundalk have agreed to give a reduction of 10% on normalprescription charges if you bring your current Student ID card with you.Please see www.dkit.ie/student_life/student_services/health_unitfor further information.

Student Counselling ServiceThe counselling service is operated by one full-time and one part-time counsellor who are bothfully trained counselling psychologists. Thecounsellors are trained in the art of listening andwill encourage and support you to explore theissues and find the best options for you.The kinds of issues students often look for helpwith include:

Student Learning & Development CentreThe Student Learning and Development Centre in Dundalk Institute ofTechnology fulfils an important role in supporting students who wish toimprove their academic and study skills. It offers advice about studiesprovided by members of staff who are experienced in dealing with suchmatters. The main aim of the Centre is to ease the transition to third levelwhile improving retention rates.

Student Assistance FundAs part of an ongoing funding initiative to tackleeducational disadvantage in the third-level sector,an E.S.F-aided Student Assistance Fund isadministered by the Institute on behalf of theH.E.A. The Fund is intended to tackle educationaldisadvantage by providing financial support todisadvantaged students who require additionalsupport to enable them to fully benefit from theirthird-level studies.

All registered students of the Institute are eligibleto apply for assistance from the Fund. It isimportant to note that, as the Fund is limited,students are not automatically entitled toassistance based on their circumstances. It is amatter for the Institute to target the Fund’sresources at those disadvantaged students most inneed. Application forms for this fund are availablefrom the Student Services Centre.

Hardship FundThe Hardship Fund is available to assist studentswho face a crisis or an emergency and needimmediate financial assistance. The Hardship Fundis administered by the Chaplaincy. The Fund islimited and is only available in exceptionalcircumstances. In many cases, assistance isprovided in the form of a loan. The Hardship Fundis provided jointly by the Department of Educationand Science and Institute funds.

One of the aims of Dundalk Institute of Technology’s newStrategic Plan is to cultivate graduates who understand andcan apply the principles of Sustainable Development.Sustainable Development suggests a way of thinking that seesthe connections between social, economic and environmentalimpacts and which aims to ensure that development meets theneeds of the present without compromising the ability offuture generations to meet their own needs.

Rights and ResponsibilitiesThis section sets out your rights andresponsibilities as a DkIT student, and the conductexpected of you as a member of the Institute andlocal community. All students registered in theInstitute must agree to abide by the Institute’sregulations. This is a requirement for validregistration.

This booklet details the Student Code of Conductand the Regulations for the Conduct ofExaminations. All other required regulations arelisted in this section; further details are availableon the DkIT website as detailed at the end ofthis section.

Your RightsAs a student of the Institute, you are entitled to:

* Be treated solely on the basis of your merits,abilities and potential and not to be unfairlydiscriminated against

Its goal is to maintain asuitable academic environment for all in the Institute and to ensure that your rights as a student member will not be less than therights of other members of the Institute. A Discipline Committee appointed by the Academic Council will oversee all matters ofstudent discipline.

1 Introduction to the Code of Conduct

1.1 Dundalk Institute of Technology is aninstitution established by the RegionalTechnical Colleges Act, 1992.

1.2 The members of the Institute area the members of the Governing Bodyb the members of the Academic Councilc the members of staffd the registered studentse the graduatesf such other persons as the Governing

Body may appoint as members.

1.3 The President is the Chief Officer of theInstitute. The President, the Governing Bodyand the Academic Council perform thefunctions prescribed by the 1992 Act, and asmay be directed by the Minister from timeto time.

1.4 The Governing Body has overall responsibilityfor the regulation of Institute affairs. TheAcademic Council is responsible, subject tothe approval of the Governing Body, formaking the Academic Regulations of theInstitute. The responsibility for controlling and

directing the activities of the Institute andcontrolling the conduct and actions of thestudents rests with the President and with theInstitute's delegated officers. These includethe Registrar, Heads of School, Heads ofDepartment, Librarian, AcademicAdministration & Student Affairs Manager,Computer Services Manager, RestaurantManager and other duly authorised persons.

1.5 The Code of Conduct consists of the codepublished in this document and its appendicesand any detailed regulations that relate to, orare published for specific areas or activities,for example, examinations, laboratories,workshops and the library. The Code alsoincludes the regulations of HETAC and otherrelevant awarding authorities. When theInstitute makes changes to the Code, they areapproved by the Academic Council. Changesto other regulations are notified to theAcademic Quality Sub-Committee andpublished in notices to students.

1.6 Copies of this Code are publishedannually and are available from theAcademic Administration Office. You get acopy at registration and it will be on view inthe Library, in School/Departmental Officesand at the Students' Union.

2 General Principles

2.1 All members and committees of the Instituteshall observe natural justice and fairprocedures in respect of this Code ofConduct, and no penalty will be imposed onyou as a member of the Student Bodyexcept in accordance with this Code.

2.2 You should act in accordance with this Codeof Conduct and with the publishedregulations of the Institute, and you shouldmaintain acceptable standards of behaviourand act in a law-abiding, mature andhonest fashion.

2.3 You should treat others with respect for theirperson and their rights, whether in theInstitute or elsewhere, and avoid conductwhich infringes upon the rights or lawfulactivities of others, or which brings theInstitute into disrepute. You should treatInstitute property and/or facilities with respectand not use them when you are notauthorised to do so. This includes all propertyand/or facilities being used by or under thecontrol of the Institute.

2.4 When you report for a class, laboratory,workshop session or if you seek to use anyother Institute facility, the Institute staffmember in charge has the right to excludeyou, under Health and Safety legislation, if inhis or her opinion, you appear to be underthe influence of alcohol, drugs, or othersubstances. If you dispute this opinion, youmust appeal immediately to the head of yoursection, department or school.

2.5 This Code applies:* To all registered students of the Instituteboth on and off campus.

* To students on work experience where thatis part of their programme of study.

* To students on exchange programmes inother Institutes.

* To students on off-campus assignmentswhich are part of their programme of study.

* To acts or omissions of students when theyare representing the Institute, or at any Clubor Society, which would violate this Code ifdone in the Institute.

3 Student Identity Cards

3.1 A Student Identity Card is issued to youfollowing registration. It is non-transferableand if you lose it or it is stolen or destroyed,you must report this to the Registrar’s Officeat once. You can get a duplicate card if youpay the appropriate fee.

3.2 The card remains the property of the Instituteat all times. It is your proof that you areentitled to use the Institute’s facilities. Youmust produce it or give it up on demand toany authorised member of Institute staff. Youare entitled to ask the staff member toidentify him/herself. In cases of emergency, astudent may get a temporary identificationform from the School Office.

4 Breaches of Code of Discipline

4.1 An act or omission by you* which adversely affects the rights of anyother member of the Institute, or

* which disrupts the orderly and responsibleconduct of any Institute activity, or whichviolates any Institute regulation or thisCode, is a breach of the Code ofDiscipline.

4.2 Any alleged incident of unlawful behaviour

may immediately be referred to the Garda

Síochána. In the event of Gardaí

investigating a student, the Institute reserves

the right to additionally implement the

disciplinary process.

4.3 Minor Offences: The following are defined as

examples of minor offences:* Anti-social behaviour including, excessivenoise, littering, nuisance behaviour,drunkenness and disorderly behaviour orthe facilitation of such behaviour.

* Violation of detailed regulations.

* Disorderly conduct, including being unfit foradmission to class, laboratory, workshop orother Institute facility.

* Being in unauthorised areas withoutpermission.

* Failing to identify yourself to a member ofInstitute staff on request.

* Causing minor damage to Institute property.

4.4 Major Offences:

The following are defined as examples of

major offences:* Criminal damage, major or repeatedincidences of anti-social behaviour includingracism, excessive noise, littering, nuisancebehaviour, drunkenness and disorderlybehaviour or the repeated facilitation ofsuch behaviour.

* Serious breaches of examinationregulations including impersonation,copying, cheating or plagiarism.

* Giving false or misleading information tothe Institute calculated to misleador deceive.

* Malicious destruction, damage or misuse ofInstitute property.

* Forgery, alteration or misuse of any Institutedocument, record, stamp or identity card.

* Forcible or unauthorised occupation ofInstitute buildings.

* Physical abuse of another person.

* Bullying.

* Sexual harassment.

* Unwanted interference with Institute’ssafety equipment, alarms,fire-fightingequipment or failure to comply with areasonable request by staff with regard tosituations that endanger life, health orproperty.

* Repeated or aggravated incidents ofminor offences.

4.4.1 Bullying is defined by the Healthand Safety Authority asRepeated inappropriate behaviour, direct andindirect, whether verbal, physical orotherwise, conducted by one or morepersons against another or others, at theplace of work and/or in the course ofemployment, which could reasonably beregarded as undermining the individual’sright to dignity at work.

4.4.2 HarassmentEquality legislation in Ireland definesharassment as any act or conduct (includingspoken words, gestures, or the production,display or circulation of written words,pictures or other material), if the action orconduct is unwelcome to the recipient, andcould reasonably be regarded as offensive,humiliating, or intimidating. The harassmenthas to be based on or motivated by one ormore of the nine relevant characteristics ofthe person targeted. These are: MaritalStatus, Age, Sexual Orientation, FamilyStatus, Race, Gender, Religious Belief,Disability and Membership of the TravellingCommunity.

4.4.3 Sexual HarassmentThe definition of sexual harassment is similarto that of harassment but with a sexualelement. It includes any unwelcome act ofphysical intimacy, unwelcome request forsexual favours, other acts or conductincluding spoken works, gestures, or theproduction, display or circulation of writtenwords, pictures or other material that isunwelcome and could reasonably beregarded as sexually offensive, humiliating orintimidating. It does not refer to humaninteraction or behaviour that is mutuallyacceptable to the parties involved.

4.4.4 Bullying, Harassment and SexualHarassment may be dealt with by a separateand specific Institute policy. In this event, theInstitute will advise students accordingly.

5 Reporting Offences

5.1 A student who wishes to make a complaintshould do so either to his/her Head ofDepartment or to the Disability and StudentQuality Officer.

5.2 The Head of School/Department/Function orother authorised Institute officer is responsiblefor maintaining order in particular areas ofresponsibility and for the administration, inthe first instance, of the Institute’s Code andregulations. Every student is responsible inthe first instance to this official for his/heracts or omissions. If he/she reasonablybelieves a penalty might be imposed on youunder this Code of Discipline, he/she will:

a inform you of the alleged offence;b verify your student identity, andc report the matter to the Disability and

Student Quality Officer together withdetails of the alleged offence.

5.3.1 In the case of minor offences the Head ofSchool/Department/function or that officer’sdeputy may act in place of the Disability andStudent Quality Officer.

5.3.2 When the Disability and Student QualityOfficer receives a report under 5.2 (c) above,he/she will consult with at least two otherpersons who, under Appendix B of this Code,can be members of the Institute’s DisciplinaryCommittee. They will decide whether theincident appears to be a major or aminor one.

5.4 If not previously involved, the appropriateHead of School/Department/Function will benotified of any alleged offence, and thisperson may make a written submission to theDisability and Student Quality Officer.

5.5 If the Disability and Student Quality Officer, inconsultation as above in 5.3.2, finds that youhave committed a minor offence, he/she mayimpose what he/she considers a suitablepenalty on you. This process will normally becompleted and the outcome notified to youwithin fifteen working days from the report ofthe incident. When you accept this finding,the incident, under this Code, is regardedas closed.

5.6 The procedures described in the remainingparts of this Code apply* if you do not accept this finding, or

* if you do not comply with any penalty, or

* if the Disability and Student Quality Officerfinds that you have committed a seriousoffence, the 15-day period mentioned in5.5 may be extended by the Disability andStudent Quality Officer only when it is inthe interest of the student. Any incidentthat is not proceeded within the timescaleabove will lapse.

Appendix A: Major Offences,Procedures & Penalties

A.1 If the Disability and Student Quality Officerhas decided that a major offence appears tohave been committed, the InstituteDisciplinary Committee will deal with thematter. The Disability and Student QualityOfficer will* Give you five working days notice in writingof the meeting of this Committee;

* Notify you of the alleged offence; yourright to be represented and to makepersonal representations;

* Send you a copy of the Institute’s Code ofStudent Discipline and of the evidenceagainst you, including the report sent tothe Discipline Committee by the Disabilityand Student Quality Officer.

If you are a student on an Instituteprogramme, which is jointly sponsored orprovided with another provider, that providerwill have the opportunity to nominate anextra member to any disciplinary hearing.

A.2 After the meeting of the DisciplineCommittee, its chairperson will notify you (inwriting within three working days) of itsdecision, any penalty and any rights of appealagainst its decision. If you fail, within onemonth of receiving this notice, to comply withthe decision of the committee, you commit afurther offence, and so you may be liable forfurther disciplinary action. If a charge ofmisconduct is not proceeded with inside 25working days, it will lapse and you will not beliable for further proceedings in regard to it.

A.3 However, notwithstanding A.2 above, inexceptional circumstances, such as astudent(s) facing criminal charges, orunavoidable changes or absences of staff, theDiscipline Committee may extend this periodand give you written notice of this decision.

A.4 If the Discipline Committee decides that yourconduct was a breach of the Code of StudentConduct, it may impose any of the followingsanctions, or others, or a combination ofthem, which it judges appropriate:

* A fine of not more than €1,000;

* Temporary or permanent exclusion fromcertain Institute facilities, events or activities;

* Suspension from the Institute for a statedperiod or until loss or damage is made good;

* Being disqualified from examinations orexamination sessions for a stated period;

* Being excluded from having results, grades orassessments considered by an examinationboard;

* Temporary or permanent expulsion from theInstitute;

* Deprivation or withholding of any award, prizeor qualification;

* Imposition of voluntary work in the Institute orthe community in lieu of financial penalty;

* Require you to surrender your student identitycard for a specified period.

The Committee may also require you tomake an apology to any person offended byyour conduct.

Appendix B : The Discipline Committee

B.1 The Institute will designate a panel ofmembers who will be eligible to be membersof a Discipline Committee from among thefollowing:* The Academic Administration and StudentAffairs Manager (AASAM) (or a dulyappointed substitute) who shall bechair of the committee;

* A student who is a member of theAcademic Council or who is appointed bythat Council or who

* Is a registered post-graduate researchstudent, or is eligible for appointment inaccordance with a previously minuteddecision by the Academic Council;

* The Heads of School or Heads ofDepartment who are not the heads of yourschool or department, academic staffmembers nominated by heads of School.

* The committee may obtain the advice ofrelevant experts.

B.2 The quorum for a meeting of the committeewill be at least two members, including thechairperson (or deputy). The composition ofthe panel will, as far as practicable, takeaccount of the need for an appropriate levelof gender balance in the light of your genderand the circumstances of the conduct.

B.3 If the Committee cannot meet, for any reasonwhatever, the Academic Administration andStudent Affairs Manager, or his/her deputy,may act in lieu of the Committee. If a personwho might otherwise be a member of theDiscipline Committee has previously beeninvolved in the case, he/she shall not be amember and shall be replaced byan alternate.

B.4 You are entitled to the presence of anadvocate of your choice. Both you and thediscipline committee will be entitled to beheard and to respond and afterwards, thechairperson will invite both sides toaddress concluding remarks to thediscipline committee.

B.5 The Discipline Committee will consider itsdecision in private. If the decision is that yourconduct is a breach of the student code theCommittee will ask both sides to makesubmission to it about the penalty tobe imposed.

B.6 The Committee will consider theserepresentations and decide on the penalty. Itwill inform you of its decision in writingwithin one week of the end of the meeting.

Appendix C : Appeals

C.1 Discipline Code Decisions by the Disability andStudent Quality Officer may be appealed,either by you or by any other complainant, tothe Institute’s Discipline Committee. Such adecision may not be further appealed underthis Code.

C.2 The Discipline Code Appeals Committee musthear any appeal against a decision by theDiscipline Committee. You have threeworking days only from notification of thedisciplinary decision, in which to bring anappeal. You must do this in writing to theAcademic Administration and Student AffairsManager’s Office and state the following: thegrounds or reasons for the appeal, theappropriate written evidence or noticeof whatever new oral evidence supportsthe appeal.

An appeal can go forward only if you canhow that:

* There was a substantial irregularity in themaking of the original decision; or you canbring new evidence which could materiallyaffect the decision; or

* There were extenuating factors whichcould affect the decision and the parties tothe original decision were unaware ofthese; or

* Bring forward any matter which theAppeals Committee deems proper toconsider.

C.3 The Discipline Committee or (whereappropriate) the Appeals Committee willconsider the appeal submission and decidewhether to allow the appeal to go forward.Where it so decides, the Appeal Committeewill receive a report from the Disability andStudent Quality Officer or from the DisciplineCommittee. This report will contain notice ofthe decision under appeal, the evidence and

the penalty imposed and the student willreceive a copy of this material at least twoworking days before the meeting toconsider the appeal. Where it decides thatthe appeal shall not go forward, it will sendthe student a written notice of this from theDisability and Student Quality Officer withinfive working days of the decision.

C.4 In an appeal hearing, the student orappellant shall be first to present his/hercase, and then the Disability and StudentQuality Officer (or other Institute officer)shall be heard. After this the student orappellant is entitled to be heard in reply.The Appeals Committee will be entitled, atits discretion, to hear such evidence as itdeems fit. If the appeal is against a penaltythe Appeals Committee may uphold, setaside or vary the original decision. If theoffence was a minor one, the revisedpenalty may exceed the maximum penaltynormally to be imposed in such cases.

C.5 Composition of Appeals Committee: TheRegistrar of the Institute (or Nominee) acts aschair of the appeals committee. Its memberswill be the Registrar (or Nominee), the Vice-Chair of the Academic Council (or Nominee),or (if this Vice- Chair is a member of thestudent’s school), a member of the AcademicCouncil nominated by the Registrar from adifferent school. The Appeals Committee actson behalf of the Board of Governors and theAcademic Council in the matter of appeals.Amendments to the Code of Conduct andDisciplinary Procedures will be made fromtime to time, and these will be included inlater editions. Where amendments to thisCode are made and a later edition of theCode incorporating these is not yet available,details of amendments will be displayed onnotices in the Institute and will be availablefrom the Academic Administration andStudent Affairs Manager’s Office, the Library,the Students’ Union and School Offices.

1 Serious breaches of the ExaminationRegulations, and in particular cases ofsuspected cheating, are Major Offences in theInstitute’s Code of Conduct, and the Registrarwill refer them to the Disciplinary Committee.

2 If you are entitled to alternative and/orsupplementary examination arrangements(generally students with disabilities and/orspecific learning difficulties), it is yourresponsibility to contact the Access Officerwithin five weeks following your registration,and no later than four weeks prior to the startof examinations.

3 You should arrive at the examination room tobe seated fifteen minutes prior to the start ofthe examination, but you should enter theexamination room only when the Invigilatorasks you to. If you arrive once othercandidates are seated you can enter theexamination room only when the examinationhas been underway for ten minutes, and youwill not normally be given extra time.

4 You must not bring into an examination roomany books, papers or information recorded inany form (except for any specified unmarkedtext allowed by the examiners). It is yourresponsibility to ensure that no such materialis brought into the examination hall. [For‘Open Book’ examinations, see item 25below].

5 You should sit in the area of seating indicatedby the Invigilator and/or indicated on thenotices displayed outside the examinationroom and on departmental notice boards.

6 You must sign two attendance sheets, whichthe Invigilator will circulate.

7 You must place your student cards on yourdesk so that one of the invigilators can checkit, without any disturbance, after the start ofthe examination.

8 You must not turn over the examinationpaper on the desk until the Invigilator asksyou to do so.

9 You may use a non-programmable calculatorexcept in circumstances where this is expresslyforbidden. Programmable calculators or otherdevices with data storage capabilities, as wellas mobile phones and other electronic mediasuch as personal stereos, are prohibited fromall examination rooms. Specific electronicequipment (such as laptops and/orDictaphones) may be used in exceptionalcircumstances (by, for example, students withdisabilities and/or specific learning difficulties),but only by express prior arrangement withthe Access Officer.

10 It is your responsibility to ensure that you havean adequate supply of pens, pencils, ink,correcting fluid, drawing instruments etc. asyou need.

11 You may not use dictionaries and otherreference books unless expressly approved.Your examination paper will carry thisapproval where it applies. Mathematical andstatistical tables, if required, will be supplied.

DkIT Regulations for the Conduct of Examinations

12 The examination centre will supply answerbooks and graph paper as required. Roughnotes may only be made in the answer booksprovided. You may not take answer books orparts of books, whether used or unused, fromthe examination room.

13 If you hand up additional material, other thana single answer book, you must use a treasurytag to hold them together. Invigilators willsupply these.

14 You are not permitted to leave theexamination room during the first hour of anexamination. If you wish to leave theexamination room temporarily, after the firsthour, you must be accompanied by anInvigilator. You cannot leave the roomtemporarily during the first hour unless youhave a medical certificate for this.

15 If you wish to withdraw early from theexamination you may not leave theexamination room, except in an emergency,during the first hour of the exam.

16 If you leave early you must do so quietly andyou are not permitted to take theexamination paper with you.

17 If you arrive late you will not be admitted tothe examination room more than thirtyminutes after the start of the examination.Extra time will not normally be allowed. Inexceptional circumstances, however, andproviding that no other candidate haswithdrawn and left the examination room,you may be admitted later at the discretion ofthe Examinations Officer or AcademicAdministration & Student Affairs Manager.

18 You must not, on any pretext whatever, speakto or have any communication with any othercandidate, or attempt to copy from anothercandidate. If you need to ask a question orobtain extra stationery, you should raise yourhand. Complete silence must be observed inthe examination room.

19 If you are distressed or ill you may bepermitted to leave the examination roomtemporarily during an examination,accompanied by an Invigilator, andsubsequently return to complete theexamination, providing the continuity andquality of supervision is not affected. TheInvigilator may, if deemed necessary, giveyou a time extension at the end of theexamination equal to the period of absence.

20 Before leaving the examination room, allcandidates (including those withdrawingearly) must hand in their answer books tothe Invigilator.

21 Smoking is not permitted in any examinationroom.

22 An invigilator has the right to check andsearch your person and/or desk and has theright to remove and retain any materialwhich is not permitted in the examinationroom, to note your name and seat numberand confiscate your identity card. You willbe allowed to complete the examination.

23 Spot checks will be carried out during eachexamination.

24 The invigilators should, immediately after theconclusion of an examination, make a writtenreport of any irregularity or breach of theExamination Regulations to the ExaminationsOfficer, and should submit with it anyconfiscated material. The ExaminationsOfficer will immediately send a copy of thereport to the Academic Administration &Student Affairs Manager, and to the Head ofDepartment concerned.

25 (For Open Book Examinations only, whenspecified on the examination cover sheet)Use of appropriate written or printed notes,course-related materials and reference papersor books is permitted. These materials canonly be brought into the examinations hallbefore the exam paper is given out. Nomaterials whatsoever are to be brought intothe examinations hall AFTER the exam paperhas been given out and the exam hascommenced.

Environmental Awareness PolicyAt Dundalk Institute of Technology, we arecommitted to working with all our stakeholders tominimise our impact on the environment andcontinually improve our environmentalperformance.
