What is Dell Global Portal? A one-stop global procurement center with robust reporting capabilities, delivering a consistent purchasing experience for the creation and management of global orders through a single page.

What you can do with Dell Global Portal Using your Dell Global Portal Site, you can:

Access information on previously defined, standard configurations for your organisation, making it far easier for you to specify and purchase additional systems anywhere you have an account set up

Quickly identify solutions to meet new requirements, configure them to your exact requirements, and place your order for the necessary hardware, software and accessories

Prepare and save machine configurations and orders for purchase at a later date

Purchase peripheral items for your existing hardware

Access the complete Dell catalogue of all Dell products available to you in your chosen country

In fact you’ll find your Dell Global Portal website makes the whole process of doing business with Dell easier and more cost-efficient. This document will tell you how to make the most of the service.

Capabilities and Limitations Dell Global Portal may have certain functionality limitations in some countries due to in-country circumstances and current global conjuncture. Please contact your account team for the latest.

Global Portal Training Video Clips

Video training of the Dell Global Portal is available for all users. You can get to the videos two different ways:

1. On the log in screen, click on Global Portal

2. From the screen that pops up, click on the “view Global Portal Demonstration Videos” link, located in the lower left corner.

3. Or, if you are already logged in, video training of the Dell Global Portal is available within Custom Links situated in the grey toolbar on your page. Video clips are organized in to short sections such as logging in, placing an order, using access groups, etc.

Logging In

First time Portal user When you are first set up as a user of the Dell Global Portal you will receive an automated welcome email giving your organisation’s unique Premier Page name, your profile email address and a temporary password.

1. To access your Premier website go to http://premier.dell.com, click on Sign in.

2. Enter your profile email address and password in the boxes provided and click Submit

3. If your password is not accepted or you have forgotten it, click on the “Forgot password” link and enter your profile email address. Your new password will be emailed to you within 24 hours.

Returning Premier customers

4. Go to http://premier.dell.com, click on Sign in

5. Enter your profile password in the box provided and

6. click Submit

Changing Your Password and Profile Once on the Premier website both new and existing users can change their Personal Password and customise their Personal Profile as follows:

1. Click on Account Options on the top navigation bar

2. Select the Edit Personal Information link to edit your name and email address

3. Select the Change Password link to change your Personal Password

You can also edit your Personal Profile during the Checkout process by checking the Update my current user profile with the changes I entered while completing this order box you will find on the last page of the Checkout process.

Please note: only the user can change their personal information or change / reset their password.

Landing Page Layout You can customize your landing page lay-out by moving / adding/ removing gadgets and/or by adding and naming new tabs, we call workspaces.

You can add up to 5 workspaces/tabs and customise the name of each workspace

Use “add features” link located on the upper right corner of the tab/workspace to add multiple gadgets to your personal workspace creating a customised look and feel

Move gadgets left to right, top to bottom and remove or collapse unwanted gadgets easily

Your landing page offers the following gadgets by default:

1. Global Standards- View and purchase all your Global Standard Configurations and accessories & peripherals

2. Global Order Status – Find and track your recent orders, regardless of how and where they were placed

3. E-Quotes – Create, manage and View all your eQuotes.

4. Global Account team - View your Dell Account team.

5. Global Custom Links - Access your pre-loaded and customised links, which include warranty and support links

6. Document sharing - Document shared between you and your Dell Account team.

Moreover, in order to manage your indirect country purchases, you can activate “partner requests” gadget, through “add features” link

Partner Requests – manage your ordering process in Indirect Countries via Dell approved resellers (enabled only for accounts that order in indirect countries).

Global Standards Your Standard Configurations tab displays items your organization has made available in each of the countries shown in your drop-down ship-to country list.

1. Please select a Ship to Country from drop down list. Countries will show in local currencies, except for Indirect Countries which will show in USD.

Indirect countries are locations where Dell does not have direct presence and the transactions take place between the customer and an authorized commercial partner that the customer selects from the available options.

2. If you select a country for which you are required to purchase via a Dell Authorized Commercial Partner, where one has been defined a message will appear reminding you that Dell does not have direct presence in that country. Please select relevant Authorised Partner.

3. If you select a country for which you are required to purchase via a Dell Authorized Commercial Partner, where none has been defined a message will appear asking for you to contact your Dell Account team for resolution.

E-Quotes

Creating an e-Quote Before creating an e-Quote on your Dell Global Portal it is necessary to select the ‘Ship to’ country within the Global Standards gadget. This selection allows the tool to recognise the localised options that are available for that country.

Selecting your standard configurations

1. In order to ensure that your order is delivered with the correct keyboard and operating system software it is recommended that all systems are configured using the ‘Customize’ link

2. When customizing your system, you will be provided with all configurable options within the configuration. Any items where a selection is mandatory will be highlighted to you via a pop-up box, called compatibility errors. As you make your selections, the compatibility errors will disappear.

3. When ready select ‘Add to Cart’

4. A summary of your order is presented to you that will allow you to: Review the detail, Change quantity, Checkout (dependant on your user level) or Save as an E-quote to retrieve at a later date or for an authorized buyer to approve. From this summary screen, you can also continue shopping and add additional items to your cart.

Saving an e-Quote Saving as an e-Quote you will be prompted to complete required information

1. Initially, name and email fields will be prepopulated by your log in information

Mandatory fields that must be completed are ‘e-Quote Name’ and ‘Description’. These are used later to identify the e-Quote.

2. You may be asked to identify an Authorised buyer for your purchase; a selection of Authorised Buyers is available in the drop down box if required

There are three ways to provide your shipping details: Enter a single use address, add new address for future use or select an existing address that has already been saved in the address book.

Shipping Address for single use If the shipping address you will enter will not be needed for future use, then you can enter the details direct into the fields provided on the contact details page.

New Shipping Address for future use If you would like to save the address for future use, however, please click on “ship to a different address” link.

When selecting to add a new address please ensure that you complete all details required and then click submit This information will then be added as the default option in the shipping information for this order and will appear in future address searches.

Searching for existing Shipping Addresses In case there are many previously saved ship-to addresses, users can utilize the search fields provided to find the correct shipping address record by entering a name or address or postal/zip code or again click on ship to a different address and select the appropriate option.

When selecting ‘Ship to a different address’ you will be provided with a full list of saved addresses available for this country. You will also have the ability to add a new address to the database.

If required to create your e-quote with payment information, you will be asked to select one of the existing billing records. Please note that users cannot add or edit billing records. If you need to add or edit a billing record, please contact your Dell account team for assistance.

Retrieving an e-Quote

1. To retrieve an E-quote, enter the E-quote number in the Search box in the E-quote gadget and click search.

2. Alternatively, select ‘Detailed View’. This will provide you with a list of all E-quotes (depending on your level of access) within their validity period.

You can use an E-quote more than once to place multiple orders within the validity period. Please note that the quote is only valid and available for the original ship to country selected.

E-quotes are valid as standard for 28 days, provided there are no changes to the pricing or the product itself.

3. To use your quote, click on the Quote Number and proceed through the checkout process as you would with a standard order.

4. If the order has an error due to product availability or a pricing change, a notice will appear on the checkout page, and you will be able to either remove the item or adjust the system. You can also add new items to your existing quote and save it as a new E-quote.

The Ordering Process

Direct Ordering 1. Before placing an order on Global Portal it is

necessary to select the ‘Ship to’ country within the Global Standard Configurations gadget. This selection allows the tool to recognise the currency that you require and the localised options that are available within that country.

2. Or, you may place an order from an existing e-quote, by clicking on an e-quote in your e-quotes gadget. In which case, the below process will begin directly from the cart.

In order to move to the next stage of order placement you must answer all Tax and Export Compliance questions. These questions are mandatory and governed by legal requirements.

Payment Details Various payment methods are available for use. The available alternatives will have been pre-approved by your company.

Purchase Order Upon selecting your preferred payment method, you will be asked to provide a Purchase Order Number.

A selection of billing addresses are provided for use, these addresses are not available for editing as they have been specifically approved by all finance parties. If you require a new address to be added please contact your Local Account Representative.

Indirect Ordering

Before placing an order on Global Portal it is necessary to select the ‘Ship to’ country within the Global Standard Configurations gadget. This selection allows the tool to recognise the currency that you require and the localised options that are available within that country. If the country you have selected is not a Dell Direct country you will be prompted to select an approved Partner. If no Partner is available please contact your Site Administrator.

Please note: Pricing provided for Partner countries is indicative only and the final pricing will be provided by the Partner in the form of a quote.

Selecting your configurations 1. In order to ensure that your order is

delivered with the correct keyboard, software, and power cord, make sure that all orders are configured using the ‘Customize’ link.

Proceed as you would as per the Direct Ordering process.

2. When ready, select ‘Add to Cart’

3. A summary of your order is presented to you that will allow you to:

Save as Request

4. When you are ready to proceed select “Save as Request”

When you are ready to proceed to send your Request for Quote (RFQ) to your chosen Partner select “Submit”.

You will receive an email notifying you of your Request Number and a summary of your request will be available for you to view. In order to track your requests please select the ‘Request’ Gadget within your workspace. An email will be submitted to the Partner to advise them that a request has been submitted and the request will remain visible within your gadget until it expires. Requests expire and are automatically removed from your Portal Page after 30 days.

There are various statuses for each request. At each change of status the relevant party will be emailed with a notification that an action is pending for them.

When the request is initially submitted the status is at ‘Pending Pricing’. When the Partner has completed the quote, they will upload the quote to the page and change the status to ‘Priced’. This will prompt an email to you to advise you that the Partner has completed their action.

Selecting the request, once it has been priced will allow you to review a copy of the Quote. After reviewing the quote you will have the option to cancel the request or request the order from the partner using the “Change Status Request” drop down and selecting the applicable. On selecting “Request for Order” upload your Purchase Order confirmation for the Partner to action. On changing the status an email will be submitted to the Partner to advise them of the actions required. The Partner will then change the status of the request to “Order Submitted”.

Ordering S&P

Based on your selected Ship-To Country, where available, you will be able to see S&P Catalogue in a separate tab in your Global Standards gadget. This catalogue will contain items like, carrying cases, additional memory, hard drives, printers, toners, etc.

You can simply click on that tab and order the S&P items that are not part of your global standards.

Ordering from Full Catalogue Depending on your needs, we may be able to switch on Dell’s full catalogue on your global portal page, which will appear as yet another tab next to your Standard Configurations tab in Global Standards gadget. Please contact your Dell team, should you need to activate full catalogue

Global Order Status Global Order Status enables you to monitor and manage our recent orders. Recent because, it will contain only the last 100 orders, globally or regionally, depending on the tab selected. It will display all direct orders placed, regardless of the method with which the order was placed, such as placed on global portal, on premier page, by telephone or via email through a Dell ISR

The default view - Orders Processed will show the last 5 direct orders processed by Dell.

Please click on “Detailed View”

Orders are grouped by their status and by clicking on the down arrows next to the group all orders in that category will become visible. You have various Filter and Search Options, which are accessed via the detailed view button on the front screen of the Global Order Status.

Searching for and finding your orders Default view displays filters. To quickly retrieve your order, please first select “Search” in the radio button in the grey strip, right above the tabs.

A user can enter either a Dell generated order number or a customer entered Purchase Order Number to find a specific order, then click search. Only this order will be displayed below the search function. If the requested order does not display, you should contact the local sales rep for further update.

Details include Dell Order number, PO number, Order Description, Bill To and Ship To countries and Date Info (Order Date, Ship Date, Estimated Delivery Date)

Orders in Production and OrderWatch function You can register in-production orders for others to receive status change notifications. This is called order watch.

The user that places the order will always be notified of status changes, this functionality is to make other stakeholders aware of the status changes of orders.

Orders in Production or Pre-production have check boxed to the right hand side if they are eligible for order watch service. Check the box and click on register, this will open a box to allow you to enter the e-mail address and register the order.

Enter e-mail address, click ADD, then click, register these orders. Going forward, listed users will receive email notifications when the status of the order changes. You can register more than one order and you can add more than one email to the list.

Order Details and Real Time Order Tracking (where available) Now, please bring dispatched orders into your view For further details of a processed order, click on the highlighted dell order number and a new window will open with the relevant order details.

By clicking on ‘Order Detail’ you will be presented by full details of the order including billing and shipping information, the value and the contents of the order.

Or, to enable real time order tracking, where Dell has an electronic link with our couriers, we will provide access to the courier web status of the order by clicking on the carrier name. As more couriers are electronically linked, we will be happy to improve this service.

Global Account Team In the Global Account Team Gadget you can find any member of your account team in any country. Your Global Account team will be available when selecting ‘General Contact’ in the country Selection box. To find a local Account Representative select the country you require.

You can email your Account team member directly from the Gadget.

If you need to provide your internal users with contact details for your internal team we have added a ‘Company Contacts’ section within the Account team gadget that allows you to manage your own internal contacts:

Select: ‘Company Contacts’ and click on ‘Detailed View’

Add your contact details:

This is particularly useful if you have centralised the Administration of your page and would like a single point of contact defined for adding users, approving commercial partners, etc

Reporting Reports are made available in a specific access group for a select list of managerial users. If you think you need acess to the reporting, please contact your user administrator, requesting access.

Detailed reporting is available from Global Portal. The list below is separated into specific sections, two sections specifically applicable for reporting purposes. Reporting can be provided online, by e-mail or the option to export the data to excel.

Purchase History Report

This report has various filter options. Dashboard view contains last 15 months of purchase data in graphical views. Summary view includes an additional view – Detailed view – which contains last 3 years worth of purchase data. Reports can be downloaded into Excel, or sent by e-mail

Service Contract Report (Warranty)

This report has various filter options. It identifies expired warranties (with service tag details) 15 months back and expiring warranties 15 months ahead. Reports can be downloaded into Excel, or sent by e-mail

Invoices

This report is available in U.S. and EMEA only.

Depending which country you are looking to find copy invoice for, there are two ways of accessing this information.

For US The invoice report is available through the Toolbar, under Reports – Invoices:

You can search for your invoices using various filters. Download into Excel option is also available.

For EMEA To search for an invoice in EMEA, go to Quick Links and ‘My Invoice’

Fill in your Customer Number, Order Number and Post Code:

You can select the invoices you need and view / print out copies:

Reports by E-Mail

If made available for your access group, when you wish to receive regular reports sent to you directly to your email address you can select ‘Reports by Email’ from the toolbar, under Reports.

Select the reports you wish to receive, the frequency and regions, click ‘Submit’

You will receive a confirmation email which stipulates the delivery schedule of the report, for example ‘Every 5th day of each month’ etc. Reports will be received, the following quarter / month / week dependant on your selection. Export to Excel

It is possible to export all reporting data into an excel format. This will allow the user to share the information or forward the detail onto a colleague. This is available, via detailed view or summary view of each report, as indicated in Fig 6 below: select excel option and then click on export
