D&B Optimizer for Microsoft

1. INTRODUCTION

What is it? D&B Optimizer for Microsoft is a foundational data service from Dun & Bradstreet that improves the quality of your business data by correctly identifying, cleansing, and inserting firmographic intelligence into records within your Microsoft application environment. Powered by Dun & Bradstreet's global business database, D&B Optimizer for Microsoft delivers mastered business intelligence on more than 300 million companies and their corporate hierarchies. By offering seamless connectivity through Microsoft's Azure cloud services, D&B Optimizer for Microsoft helps increase productivity and organizational alignment, while enabling customers to grow their most valuable business relationships.

MICROSOFT LICENSING CHECKLIST

Supported Dynamics 365 Versions

For the D&B Optimizer for Microsoft solution you need Dynamics 365 version 8.2, 9.0 or 9.1. There are a number of options when buying a Dynamics license that will give you this application. For more information see Pricing. The supported Dynamics 365 are as following:

Power BI

For the D&B Optimizer for Microsoft solution you need the Power BI Pro Desktop Edition license at a minimum. This ONLY runs on the Windows platform. For more information see Pricing.

Note: Depending on the number of users, capacity pricing might make more sense for your business.

Checklist before Installing Optimizer for Microsoft

Integrating with D&B Hoovers

If you are using D&B Hoovers for Microsoft and D&B Optimizer for Marketing, D&B Hoovers should automatically be configured to map and use the D&B ID-U-N-S # in “D&B ID” field on the Account form in D&B Hoovers.

If are youre NOT using the D-U-N-S # in D&B Hooovers but instead are using the AVID number instead, you should unmap or convert D&B Hoovers for Microsoft to use the D-U-N-S number before onboarding Optimizer for Microsoft Dynamics.

3. Installation of the D&B Optimizer Package

PREREQUISITES

Make sure you are running Microsoft Dynamics 365 8.2 or 9.0 (Microsoft hosted, NOT on-premise) as a System Administrator. This is required in order to install the Optimizer for Microsoft package. You can confirm by going to Settings > Security > Users, select your name for the Enabled Users list and select “Manage Roles”. If you are not able to see or access this, you are likely not a System Administrator.

Installation of D&B Optimizer for Microsoft

As part of the installation process, Dynamics requires you to register and pick which instance of Microsoft Dynamics to which you are installing Optimizer for Microsoft.

1. Contact D&B Sales to request a trail or purchase. Upon doing so, D&B will send you a

Welcome email signifying you can install the D&B Optimizer for Microsoft package. You will NOT be able to complete the installation until you have received the Welcome email.

2. To access the D&B Optimizer for Microsoft package installation, go to the Microsoft AppSource. If the listing does not automatically appear on the AppSource site, search on “D&B”.

3. To start the installation, select “Free trial” on the D&B Optimizer for Microsoft panel. If you want to learn more about the product before installing, select the header of the panel.

4. If you have not registered with Microsoft, you will be asked to enter your account

information. If you agree with Microsoft’s terms, accept and Continue. If you have already registered, select “Continue” or alternatively Edit your information before continuing.

5. You will be presented with a list of all Microsoft Dynamics Organizations to which you

have access based on your permissions in your Active Directory Security Group. Select the desired Organization ID to add the Optimizer for Microsoft application to and Accept that you want D&B Optimizer to access Microsoft Dynamics.

NOTE: You MUST have System Administrator access to the instance of Microsoft Dynamics in order to install the Optimizer for Microsoft package

6. Next you must Register the Optimizer for Microsoft application with a specific

instance of Microsoft Dynamics. This is checking that you are a System Administrator for the selected Dynamics instance.

7. After clicking “Submit”, you should receive a Success message. At this point, Dynamics starts installing the Optimizer for Microsoft package. This process will take up to 15 minutes to complete, depending on network and application conditions.

8. To see if your installation is complete, go to Dynamics, select Settings > Solutions and the “All Solutions” window will display D&B Optimizer 2.0.0.0.

Accessing and using D&B Optimizer for Microsoft

Now that you have completed the Optimizer for Microsoft installation, the next step is to onboard all your accounts. What is onboarding? Onboarding is Matching and Appending your ENTIRE database of accounts in your Dynamics instance.

1. Only the D&B Optimizer Administrator User OR the Dynamics System Administrator can access and perform a “Bulk Match” which is accessed via “Settings > D&B Optimizer”.

2. Onboarding instructs D&B Optimizer to go through ALL of your records and for those that do NOT have a Business Profile, perform a Match/Append/Enrich, and create a Business Profile. You must run the onboarding once, manually, and then all subsequent matching and appending is done automtatically. To run the first match and append, select “Start onboarding”. Additionally, over the course of 14 days, D&B Optimizer will refresh all existing Business Profiles for all records. It will not create new Business Profiles, only update existing ones.

NOTE: Company and an ISO Alpha2 (e.g. US) or ISO Alpha 3 (e.g. USA) Country Code are the minimum REQUIRED fields for matching to be run. Accounts that don’t have both will remain unprocessed. Best practice: Only trigger the “Bulk Match” after initial installation.

3. Optimizer for Microsoft displays information on your accounts pages in a section titled “D&B Business Profile”. The Company and 2 letter ISO Country Code are REQUIRED fields for matching an account record to a business profile. With at least those two fields completed, upon “Save”, D&B Optimizer for Microsoft will automatically run a match and append for this account.

Users and Roles Created During D&B Optimizer Installation

1. The installation automatically creates two Security Roles in Dynamics.

• D&B Optimizer Administrator – This role is required for D&B Optimizer for Microsoft and should never be deleted or modified unless specified by D&B Support team.

• D&B Optimizer User – This role is assigned to users for whom you want to grant access to D&B Optimizer Business Profile data.

2. The installation automatically creates the user D&B Optimizer, also referred to as the “Application User”. The D&B Optimizer Administrator Security Role is assigned to the D&B Optimizer user. This is the only Security Role assignment that is automatically performed during the installation.

Enabling Optimizer for Microsoft for your users

1. As the D&B Optimizer Administrator, you can enable the D&B Optimizer capability for your end users by going to Security > Users and enable the “D&B Optimizer User” for each user. Note that the Microsoft Dynamics System Administrator role will also be checked if you are the Microsoft Dynamics System Admin.

BEST PRACTICE: Enable this just for users that will be accessing the system in order to view Business Profiles including the DUNS number for accounts.

Accessing Power BI Dashboards in Dynamics

Note: You must setup Power BI reports before doing this step. Until you setup Power BI reports, you will not be able to access them within the Dynamics dashboards. See section on Power BI.

1. In Dynamics, select Settings > Administration > System Settings and the “Reporting” tab.

2. Set the “Allow Power BI visualization embedding” to Yes and click OK.

3. At this point, your Dynamics instance is configured to display Power BI Reports BUT you must now tell Power BI which reports to display in your Dynamics instance. If you have not configured Power BI, you must do so before proceeding with the remaining steps.

4. Select Sales > Dashboards. 5. Select NEW > Power BI Dashboard

6. If you have already configured Power BI, then from the Workspace dropdown select the workspace the Power BI report is in and from the Dashboard dropdown select the Power BI report.

To access this report within Dynamics, in Sales > Dashboards, select the drop down next to the current Dashboard, which is “Marketing Dashboard” in the following screenshot. The dashboard you created will be listed under in the drop down menu “My Dashboards” at the bottom, under “System Dashboards”.

7. The dashboards are displayed. Select the desired dashboard and then “SET AS DEFAULT” on the menu bar.

Share Your Power BI Dashboard with other Dynamics Users

1. Select Sales > Dashboards. 2. Select the Dashboard you want to share. 3. Click SHARE DASHBOARD.

Add the Users/Teams you want to share the dashboard with.

4. Sharing Reports with Power BI Desktop

Optimizer for Dynamics reports are generated in Power BI Desktop Edition where they are published for viewing in Power BI Web, then finally published for viewing in Microsoft Dynamics. To setup Power

BI to build and publish reports, follow the instructions below. For more information see Power BI. If you have not already installed, download and install the Power BI Pro Desktop application from the

Microsoft Power site here. The file name will look like this: PBIDesktop_x64.msi. Note: Only Power BI Desktop Edition for Windows is supported.

Importing the D&B Optimizer Template into Power BI Desktop

1. Download the D&B Template. The file name will look like this: dnb_Optimizer_1_1_0_0_powerbi.pbit.

2. Import the D&B Optimizer template by choosing Select File | Import | Power BI template and browse to the D&B Optimizer template.

3. When browsing to select the D&B Optimizer template, make sure to change the drop-down to display the .pbit files and select the DNB Optimizer Power BI Template.

Configure Power BI Desktop to access the Dynamics Instance

1. Next configure Power BI Desktop Edition so it can access your Dynamics instance data source. To do this, select Home > Edit Queries > Data source settings.

2. To update the Data Source Settings, select Change Source and enter your Dynamics environment details. It will have the format below. Microsoft recommends using API v 8.2.

• https://<Your Dynamics 365 (online) service URL>/api/data/v8.2

• For example: https://RoscamSB01.crm.dynamics.com/api/data/v8.2

3. After applying the Data source setting, Power BI will display an information notice.

Select “Apply changes”. This information notice will be just below the main toolbar.

4. Changes are applied in the screen titled “Odata Feed”. Select “Organizational account“ and then “Sign in”

5. After successfully signing in, select “Connect” and your query changes are applied.

6. The report should now populate with the data from your Dynamics accounts and look something like this.

Publishing Report from Power BI Desktop Edition

1. Select Home > Publish and sign in. 2. Select a destination to publish the report to.

Configuring Power BI Web

1. The purpose of configuring Power BI Web is so reports can be accessed within a dashboard inside of Microsoft Dynamics.

2. Sign in to Power BI Web Edition This can be accessed via the App Launcher in the top left corner of your Microsoft Dynamics interface.

Select the App Launcher.

Select Power BI from the list.

3. Select the workspace you published the report to from Power BI Desktop Edition, select the Reports tab and select the report.

4. Click the pin icon on the top right corner to Pin to dashboard.

5. Select an existing dashboard or in this example, create a “New Dashboard”, name it “D&B Optimizer Dashboard” and click “Pin Live Page”.

6. Navigate to My Workspace and select Dashboards to view your dashboard.

7. Select the workspace you published the report to, select the Datasets and click the "Schedule Refresh" icon for the dataset associated with the report.

8. Expand the section titled "Scheduled refresh" then wait a few seconds until the section becomes active.

9. If “Scheduled refresh” does not become active, select “Edit credentials” to add the URL for your Microsoft Dynamics instance and the Authentication Method for logging into your Microsoft Dynamics instance.

10. Toggle the slider for "Keep your data up to date" to the "On" position, choose a time and frequency for the refresh, and “Apply” changes.

1. Note: A refresh schedule MUST be provided for the dataset otherwise the associated dashboard will never update.

11. Make your changes and select “Apply” and you should receive a confirmation.

12. To access your Power BI dashboards in Dynamics, click here.

5. Field Mapping

How D&B D-U-N-S Lookup Works

The D&B D-U-N-S Lookup is available only to the D&B Optimizer System Administrator and allows you utilize a company’s DUNS number to perform a lookup to see if any updates are available across the 80 fields that can be associated with an Account in Microsoft Dynamics.

This is a global setting and applies to all accounts in your Dynamics instance. If the Dynamics Account Field is mapped to the D&B Optimizer Field and the field is populated, Optimizer for Microsoft will perform a “lookup” and if changes are found, will update the D&B Business Profile for that account with all changes. This is an all or nothing operation and can’t be selectively controlled at the field level.

By default, the D&B D-U-N-S Number field is NOT mapped but if you do have D&B Hoovers installed before D&B Optimizer for Microsoft is installed, this will be detected and will automatically be mapped to the D&B Optimizer Field named D&B D-U-N-S Number.

NOTE: When the DUNS field is mapped and populated, any change to ANY of the nine fields

will trigger a Match. But instead of using data from the 9 Account Entity fields, ONLY the DUNS number will be used to perform a lookup and automatically update the Business Profile with any changes.

How Match Field Mapping Works

By default Optimizer for Marketing utilizes 9 fields on the Dynamics Account Entity when attempting a company “match”. Here are the “Match 9” fields.

This capability lets you set and use any Dynamics Account fields as inputs to the Optimizer Company Match process. The D&B Optimizer fields are on the left and are populated by the “Dynamics Account Field” setting on the right.

Any time one or more of the 9 fields are updated, AND the account has both a Company Name and a Country Code, Optimizer for Marketing will automatically attempt a match if it’s a new Account or a rematch if it’s a previously matched account. If a DUNS number exists, that is used in the Match process and the Match Field Mappings are ignored. If there isn’t a DUNS number, then all the data in the 9 fields are used inputs to the Match process.

6. Enrichment Mapping

Enrichment mapping allows you to configure D&B Optimizer for Microsoft to write to field-level data to your Dynamics Account entity. The Dynamics Account Enrichment is available only to the D&B Optimizer System Administrator and allows you to select and configure the Dynamics Account fields that you’d like to update with D&B Business Profile data. This is access under the Account Field Mapping section,

Enable Auditing in Dynamics

When using the Enrichment capabilities, we recommend that you enable Auditing for the Account entity that you’re populating with D&B data before configuring Enrichment mappings. Note that for field level auditing work, you MUST enable Auditing at the Organization level, the Account Entity Level and then on each of the individual fields you want to Audit. Enable Auditing - Application Level

Your Dynamics System administrator can enable auditing using the following steps:

1. Navigate to Global Audit Settings via: a. Settings > System > Auditing > Global Audit Settings

2. Under Audit Settings, select "Start Auditing" 3. Under Enable Auditing in the following areas, select “Common Entities” 4. Auditing will be enabled for all fields of the Account entity and several other entities by

selecting "Common Entities" (Skip this step and follow the instructions below if you wish to enable auditing for only the Account entity)

5. Click "Ok"

Enable Auditing in Dynamics - Entity and Field Level

When using the Enrichment capabilities, we recommend that you enable Auditing for every field you plan on updating with D&B data. Follow these steps to enable auditing at the Entity and Field level.

1. Navigate to Entity and Field Audit Settings via: a. Settings > System > Auditing > Entity and Field Audit Settings

2. Select the Account Entity a. Components > Entities > Account > Account

3. Under Data Services, select Auditing 4. Click save icon

How does the Enrichment Mapping work?

This is a global setting and applies to all accounts in your Dynamics instance. By default the Account Enrichment mappings are not configured and are added by utilizing the “+ Add Field” button. One you’ve selected the Dynamics Account Field, the D&B Business Profile Field drop down will appear and display only fields that have the same field type (e.g., Text 255) as the Dynamics Account Field. If one exists, the recommended default is listed at the very top of the drop down with the “(suggested)” notation. If Auditing is not enabled for every field mapped for enrichment, a Warning notice will be displayed at the top of the page and next to each individual field.

By default, fields mapped for enrichment will NOT overwrite existing data in the Account Entity, which in the image is the “ONLY WHEN BLANK” setting. Optionally you can configure, on a field by field basis to “ALWAYS” overwrite Dynamics Account data with D&B Business Profile data. Delete rows by selecting the “X”.

The enrichment mappings will be triggered anytime a D&B Business Profile is updated. A typical sequence is:

1. A user creates a new Dynamics Account record or updates one or more match mapping fields of an existing Dynamics Account

2. The changes trigger D&B Optimizer to update the account’s D&B Business Profile. 3. Immediately after updating the D&B Business Profile, all Enrichment Mappings are

How to view Audit Changes on an Account Entity?

If Auditing is enabled, you can access and view changes made to the Account Entity. Follow these steps:

1. Navigate to the desired Account form where you want to view the audit changes. 2. Select the Account > Common > Audit History

3. On the Audit History page, changes will be displayed based on your Entity and Field level Auditing settings. Changes are displayed in the “New Value” column.

4. Alternatively, Dynamics offers a more concise summary view. This can be via Settings > System > Auditing > Audit Summary View. Select the desired Event and a summary view will be displayed.

How do the D-U-N-S Lookup and the Match Field Mapping work together?

If the DUNS field is not populated, then only the populated Match 9 Fields are used to determine a Company Match.

If the D-U-N-S Lookup is both mapped and populated, then all the remaining fields in the Match Mapping settings are ignored and only the DUNS number is used to determine if there are any updates for the associated company. Once a company has been successfully matched, the DUNS number will never be changed/modified without you taking action.

I don’t agree with or need to change the company that was previously matched. How can I change or Rematch a single company associated with an Account?

There are a few ways to accomplish this but in essence, you must remove the linkage of the Account Entity and the D&B Business Profile that was created when the Account was previously matched. After removing the linkage, update the data in the Account Entity fields that are feeding the Match Mapping fields and then saving the record will generate another Company Match attempt.

To do this, follow these steps;

1. If you have mapped the D-U-N-S field, go to the specific record and delete the

data in the field mapped to the D-U-N-S field or remove the DUNS field mapping.

2. Remove the data in the field “Business Profile ID” on the Account entity. If the Business Profile ID field is not visible on the Account Entity, then Edit the Account Entity form and ensure the Label and the “Visible by default” are enabled.

3. Save the record and Publish the updated form. 4. On the Account you are re-matching, update the Input Matching fields that you

want to use in the matching process and Save. o This will attempt a new rematch which may find a better match or it’s

possible it does not find a match or it may actually return the same company match.

• NOTE: If Dynamics auto save is enabled, a form will automatically be saved thirty

seconds after a change is made so it’s possible it may auto save before you have

completed your match mapping changes. It’s advised you turn auto save OFF,

make your Match Mapping changes and Save which will trigger a rematch

attempt. When done, turn auto save back ON. The auto save feature setting is in

Settings > Administration > System Settings

If you are also using D&B Hoovers, follow these steps.

1. Go to the Hoovers View and

2. Select “Wrong company?” which displays a list of companies to choose from.

3. Make your selection and click “Save” and the Dynamics Account entity will be updated with the selected company. To confirm, go back to the Account page and the newly re-matched company should be displayed.

8. Known Issues

ISSUE: Installing immediately after an Uninstall doesn’t seem to work.

WORKAROUND: After completing an UNINSTALL, you may have to wait up to one hour before Microsoft completely removing all components and allowing you to perform another installation.

ISSUE: After what appeared to be a successful installation, the Bulk Match is taking too long and Business Profiles are not being created.

EXPLANATION: There is a known Microsoft Dynamics defect related to Keys. D&B Optimizer will not work if these keys are not properly created on the D&B Business Profile and D&B Match Field entities during installation. The following steps will ensure an alternate key is active. Microsoft fixed this issue for customers who are running D&B Optimizer Version 2.2.1 or higher AND running Microsoft Dynamics 9.0 or higher.

To work around this issue, follow these steps:

1. Confirm Status of Key | Settings > Customization > Customizations > Solutions > D&B Optimizer > Components > Entities > D&B Business Profile > Keys > Business Profile Alternate Key. If the Status is “Failed”, go to step 3 below. If the alternate key status has been “Pending” for a long time, perform step 2. If the key is “Active” and the problem described above is still occurring, there may be another issue at play, please contact support.

2. Verify status of Alternate Key System Job | Settings > System > System Jobs > and search on “Create Index”. If the status of the system job to activate the alternate key is “Failed”, proceed to step 3. If the job is “In progress”, please allow more time for it to complete, and return to step 1.
