1. INTRODUCTION

This program is complementary to ESApro P&ID and is composed of the following modules:

Project Database Management manages the project database which is previously fed by ESApro P&ID. It contains the data referring to all the components (valves, in-line components, instruments and equipment) of the P&I diagrams of the various projects. Datasheet Management is dedicated to the creation and management of the Datasheets of the components stored in the above mentioned Database, in particular instruments, valves and equipment. Hook-up Management is dedicated to the creation and management of the Hook-ups representing the detail of the connections between an instrument and the pipeline or equipment. The logic sequence of operation of the program is:

o Generation of the P&I diagram through ESApro P&ID

o Feed of the Project Database through the function “Data Extraction” provided by ESApro P&ID.

Then for each applicable component of the Database:

o Choise from the library of the model of Datasheet in Excel format to be linked to the component.

o Generation of the Datasheet with automatic filling for the cells

linked to the Project Database fields and manual filling for the remaining ones.

o Only for the fields shared between Database and Datasheet,

updating of the Database with the values manually inserted or modified in the Datasheet.

o Only for the fields shared between Database and Datasheet, updating of the P&I drawing with the values stored in the Database.

2. THE PROJECT DATABASE

The Project Database, shared among the P&ID, Datasheet and Hook-up modules, includes the data related to all the components existing in the P&I diagrams of the various Projects. The Project Database is split into three sections each one containing homogeneous component typologies:

1. Instrumentation, which includes instrument and control valves

2. Valves, which includes on-off valves and in-line components

3. Equipment, which includes generic equipment, pumps and ejectors, compressors, motors and generators, vessels and exchangers.

From the 2009 edition of ESApro onward the database is SQL Server. Such choice been made in order to guarantee the compatibility with the 64 bit platform and to increase the level of security in he net environment.

In the “Utilities” pull down Menu "Database Management" allows the maintenance of the ESApro P&ID, Datasheet and Hook-up working Databases.

All existing Databases are listed on the mask.

Once selected a Database, at first only “ESAin” exists, and pressing “Open” it enables the setting up of the current database in the “Specifics Management” environment. The name is shown on the

application tool bar up above. If other operators are connected they will be able to keep working on their current database. Mind that the Database set in a AutoCAD drawing through “Working Option” is not affected by such a choice.

Press “Import” to insert a new Database. It is imported from the folder the operator indicates. The name of the database is the same as the MDF file’s name without the extension. The program checks there are not other databases with the same name.

Press “Export” to create a new copy of the Database and move it in other working environment. The choice of the folder where to process the database is up to the user. It is also possible to rename the database. The program checks no other operators are working at the same time at the same database.

Press “Delete” to permanently remove a database either from the procedure and the system disk. A window will display asking to confirm the procedure. While proceeding the program verifies that no other operators are working at the database. The “Delete” procedure is necessary when the project is completed or just before importing a Database with the same name in order to work on an updated version.

Press “Back-up” in order to export at the same time all Databases of the procedure to create one copy for safety reasons. The operator will choose the export folder. At the same time the program denies the access to any other operators at the moment of the back-up.

After many updating procedures it is advisable to use the “Compact“ command in order to reduce the size of the Database.

2.1 PROJECT DATABASE MANAGEMENT

Please bear in mind that the primary source of data is the P&ID module. This means that records in the Database are created or deleted only through the creation or modification of a P&I diagram. Once a diagram has been created or modified the “Data Extraction” function of the P&ID module collects all the components existing on the drawing and performs the following operations on the Project Database:

1. When the program detects in the diagram a new component it creates a new record in the Project Database

2. Once the P&ID module detects a modified component it

updates the corresponding record

3. Once the P&ID module detects a deleted component it deletes the corresponding record

The overall deletion of all the records of a whole drawing or a whole Project can be performed only through the ESApro P&ID. For further information on this subject see the P&ID user manual. In this context let’s consider a Database correctly pre-feed by ESApro P&ID.

When ESApro Instrumentation runs the following mask is displayed first.

When you push the Project button or select Project in the Files pull down menu, the list of the Projects is displayed in the upper part and below the list of the drawings belonging to the selected Project. The

Print button performs the printing of the list of the drawings belonging to the selected Project.

By selecting one or more drawings of a Project and then pressing the buttons at the side you access the Database or more precisely the Database section related to the selected typology: Instrumentation, Valves or Equipment. Only the records related to the selected drawing/s will be shown.

When you access the Database the grid shown above is displayed, the lay-out is the same for the three sections Instrumentation, Valves or Equipment while the data fields are different from each other.

The Database lay-out is described in the Appendix. The fields marked by an asterisk can only be modified from the drawing through the P&ID module while the remaining ones can be modified directly in the grid as well as through the Datasheet module, as it will be explained further on.

The fields which can be modified from the drawing only are displayed in yellow the others in green.

In order to change the values of a field that can be modified (green fields) simply select it and write. The right mouse button enables the copy and paste functions.

3. DATASHEET MODULE

The purpose of the Datasheet module of ESApro Instrumentation is the creation of the Datasheets of the components existing in the P&I diagrams i.e. Instrumentation, Valves and Equipment made by ESApro P&ID.

The following functions are provided:

1. Generation of models of Datasheets

2. Linking of the Datasheet models to the components stored in the Project Database with automatic transfer of the field values from the Database to the Datasheet.

3. Back transfer of the values of the shared fields from the Datasheet to the Database.

4. Direct modification of the fields in the Database with consequent updating of Datasheets and P&I drawings.

The program can be run from the P&ID module or work independently, in both cases sharing the Database with P&ID.

Please note that if the “Instrumentation” command is run from the P&ID environment while a drawing that has already undergone the “Data Extraction” procedure is in use, only the records related to such drawing will be displayed.

3.1 CREATING AND MODIFYING DATASHEETS

The program is equipped with a library of Datasheet models in Excel format complying with ISA S20 standard. Such models are located in the following directories C:\Program files\ESApro 2007\Ins\Datasheets\Tipici\Strum

C:\ Program files \ESApro 2007\Ins\Datasheets\Tipici\Appa

C:\ Program files \ESApro 2007\Ins\Datasheets\Tipici\Valvole

The Datasheet models are standard Excel files with the peculiarity that some cells are linked to the Project Database fields. The user can freely modify the models supplied with the program or create new ones from the beginning as described in the paragraph dealing with customization. Single and multiple Datasheets are provided. A single Datasheet refers to one component only while a multiple Datasheet refers to more components necessarily of the same type. This last one is characterized by a header with the common data and a series of rows or columns containing the specific detailed data for each component. The Database is accessed through the pull down menu Files\Projects (or by directly clicking on “Project”) and pressing the button of the desired section (Instrumentation, Valves and Equipment). The buttons on the left side manage Datasheets and Hook-ups which will be dealt further on. Possible records highlighted in red mean that the related P&I drawing/s is/are in use and therefore their modification is denied. The “Create” button links a component to its own Datasheet. You must select the component first, or the components in case of multiple Datasheets.

The component is selected in compliance with the Windows standard by clicking the selector of the desired record in combination with the Control or Shift keys for multiple selections. The program asks if you want to start with an empty model or add the component/s to an existing multiple Datasheet. In the first case you need to select the model and enter the datasheet name or confirm the default one. Be careful when choosing a model that its data structure complies with the component type, see customization. In the other case you are just asked to select an existing Datasheet. In both cases all the Database fields linked to the Datasheet cells will be copied into the cells themselves. In the original models supplied with the program the cells linked to the Database fields are blue for easy location. The cells that can be fed from the P&ID environment are write protected. Once Datasheet generation is terminated a message displays which reports the result of the process.

An asterisk in the DS column of the Database grid indicates that the component is already provided with a Datasheet. The file name and path are shown in the lower left part of the mask. The “Open” button opens Excel where you can see and modify the component Datasheet, see the following chapter for a complete explanation.

The “Remove” button breaks the link between component and Datasheet but the Datasheet is not physically deleted. The “Update” button updates the mask with the values entered or modified in the Datasheet or in the P&ID environment. We point out that if you modify a Database record and then open a P&I drawing which contains the component which has been modified a message is displayed asking you to accept or reject the modification.

3.2 EDITING AND SAVING DATASHEETS

From the Database environment you can launch Excel with the Datasheet file of the selected component through the “Open” button. While editing, the mask for the Database updating can be shifted out of the working area or closed in order to have a wider space available.

When the modifications have been completed press the “Update database” button to update the Project Database. All data in the cells linked to the Database are transferred to the fields of the relevant component (or components in case of a multiple Datasheet). This operation automatically saves the Excel file too. If not available the above mentioned mask must be recalled with the following commands: Ctrl + X for instruments and control valves Ctrl + Y for on-off valves and in-line components Ctrl + Z for equipment Or otherwise the suitable items of ESApro Datasheet pull down menu. The “Exit” button closes the mask.

3.3 CUSTOMIZING DATASHEET MODELS

This function can be accessed by the pull down menu “Utility\Datasheet model customization”. It is used to create customized Datasheet models as an alternative to that complying with ISA S20 standard which are supplied with the

First of all let’s set some definitions:

Single Datasheet: is a Datasheet relevant to one component only.

Multiple Datasheet: is a Datasheet relevant to more than one component, necessarily of the same type. It is constituted by a header with the cells common to all components and by a series of detailed rows or columns with specific cells for each component.

Index: is an attribute of the only cells linked to the Database fields. Cells with the same index refer to the same Database record. In a single Datasheet all cells must have the index “00”. In a multiple Datasheet the header cells must have index “00” while the detail cells of the first instrument will have index “00”, those of the second instrument “01” and so on.

Selection: is the number of contiguous cells selected in the Excel worksheet. The current value is shown in the customization mask as a memo.

Cycle: is the difference between the last and the first index value set in the customization mask. The current value is shown in the customization mask as a memo.

In order to continue with the customization the user must pre-define the following:

1. the type of instrument the Datasheet model will be applicable to (Instrument, Valve, Equipment)

2. whether the model is single or multiple

3. the links between the Datasheet cells and the Database fields

First of all select the item “Datasheet model customization” in the “Utility” menu. The auxiliary Excel file MacroESAEN.XLS will open. Now create the datasheet lay-out complete with text, graphics and images if needed, with the standard Excel commands.

You can start from a new file or use an existing one. In this latter case take care that no “name” starting with the underscore character “_” exists within the file. For the “name” scheme refer to Microsoft Excel on-line guide. Once created the model enables the customization mask with Ctrl+S for instruments and control valves, Ctrl+V for valves and in-line components and Ctrl+A for equipment or otherwise with the pull down menu. Before starting to create the links between cells and database fields you must launch the “Remove sheet prot.” command. The following functions will then be available:

Single zone creation: links a cell of the model with a database field. Just select a cell in the worksheet and the field to be linked to such cell from the pull down menu, the type of field (header or detail) and the index.

Single zone deletion: deletes the link between a cell of the model and a database field. Just select the field, type of field (header or detail) and index.

Multiple zone creation: applicable to multiple Datasheets only. Links a set of contiguous cells from the model to a given field of a set of records in the database. Just select a set of cells in the worksheet, the field and the indexes. The difference between the last and the first

index value must be equal to the number of cells in the set. Note that the cells of the set must be contiguous.

Multiple zone deletion: deletes the link between a set of cells of the model and a database field. Just select the field and the indexes.

Refresh selection: is a utility which displays the number of cells selected in the worksheet.

Sheet protection: is a utility which enables the cells protection from accidental overwriting without the need to use the Excel commands.

Remove sheet prot.: is a utility which disables the sheet protection from accidental overwriting without the need to use the Excel commands.

Remove cells prot.: is a utility which disables the cells protection from incidental overwriting without the need to use the Excel commands.

Note: the pull down menu offers the list of the data fields (which are different in the various component typologies). In addition there is a special field called index which is located at the beginning of the list. Such a field must always exist in the worksheet and we suggest you set it out of the worksheet print area.

Single models require only one index field of header type.

Multiple models require a number of index fields of detail type equal to the maximum number of components in the Datasheet.

4. HOOK-UP MODULE

The purpose of the Hook-up module of ESApro Instrumentation is the creation and management of the hook-ups between the instruments existing in the P&I diagrams and the pipelines or equipment.

The following functions are provided:

1. Management of the Database of the hook-up components.

2. Management of the hook-up library.

3. Creation of new hook-ups in the AutoCAD environment.

4. Linking the instruments existing in the Project Database with the related hook-ups.

4.1 HOOK-UP COMPONENTS DATABASE MANAGEMENT

This section is dedicated to the management of the database of the hook-up components. The database structure is described in the Appendix. The Database is accessed by the pull down menu Files/Hook-up/Components. The window below displays.

In order to insert or modify records use the buttons on the left. The filling of the fields Measurement Unit, Size, Schedule/Rating, Material and End-Type is driven by pull down menus displaying the provided values. The management of the tables where said values are stored is described further on.

“Copy” creates a copy of the selected record, the new description becomes “Copy of ” followed by the description of the original one.

“Delete” deletes the selected record.

“Print” creates the hard copy of the whole database.

4.2 HOOK-UP LIBRARY MANAGEMENT

This chapter describes the procedures for the management of the instrumentation hook-up library. Each Hook-up is characterized by a header with descriptive data and the list of the components which go to make up the hook-up and the related quantities.

The header layout is described in the Appendix.

The Component Database can be fed manually or, if the user develops the hook-up drawings in the AutoCAD environment, can be filled with the aid of a series of functions for interfacing the database (see chapter 7).

4.2.1 Feeding Hook-Up Database

The Hook-up database is fed through the pull down menu “Files/Hook-up/Hook-up”

The mask above with the functions of creation, modification, deletion and printing displays.

“New”: inserts a new hook-up header. “Hook-up Code” (mandatory) and “Revision” are useful for identification purpose. Furthermore “Long” and “Short Description” in five languages are provided (mandatory). The field “Type” can get the “Primary” or “Secondary” values only. The pull down menu of the field “Project” gives access to the list of the Projects of the current Project Database. For the management of the Project Database see the ESApro P&ID manual. Up to five “ISA Code” fields can be attached to the Hook-up. The filling in of Type and ISA Code is aided by pull down menus. By pressing “File Name” you access the mask where you can choose the graphic file representing the hook-up.

“Modify”: modifies the selected hook-up header. “Delete” deletes both the header and the detail of the selected hook-up. This operation is prevented if the hook-up is linked to one or more records of the Instrumentation Database. In such cases a LOG file is created giving details of the links. “Copy” duplicates both the header and the detail of the selected hook-up. At first the new hook-up gets the name “Copy of” followed by the name of the original one. It is then possible to rename it. “Detail” manages the materials that go to make up the hook-up. The mask below displays.

“New”: inserts a new component in the hook-up bill of materials. Through the pull down menu of the field “Component” you can pick the desired component up from the component database and then you must enter the related quantity in the field below. “Modify”: modifies the quantity of the selected component. “Delete” deletes the selected component from the bill of materials.

This chapter describes the various accessory tables used by the program and the procedures for their management.

4.3.1 TABLE OF MATERIALS

This table contains the values which are available in the pull down menu related to the field “Material” of the Insertion/Modification mask of the hook-up components described in paragraph 4.1. It is accessed through the menu Files/Hook-up/Materials. The mask below displays. With the buttons you can Insert a new value or Delete the selected one. For modification just double click on the record and correct. The left and right arrow buttons select the first and the last record respectively.

4.4 LINKING HOOK-UPS TO INSTRUMENTS

This chapter explains how to link hook-ups to the instruments existing in the Database.

When you access the Database, the grid shown in the figure displays as already described at paragraph 2.1.

In addition to the buttons pertinent to Datasheets, already discussed, you will also find those related to Hook-ups.

The “Link” button links hook-ups to components. First select one or more instruments as usual by clicking the selector of the desired record in combination with the Control or Shift keys for multiple selections. A mask displays provided with a pull down menu for selecting the hook-up among those stored in the library. An asterisk in the “HU” column of the grid indicates that a hook-up is already linked to the component. If the selected component is in this

condition, its hook-up path and file name display in the lower part of the mask. The “Open” button opens the AutoCAD file representing the hook-up (if defined). The button “Delete” breaks the link between the selected instrument and its hook-up.

4.5 BILLS OF MATERIALS

Esapro Instrumentation gives access to the Process and Instrumentation Database management functions for the creation of customized reports of Instrumentation, Components and Equipment. This subject is explained in the user manual of ESApro P&ID which we refer to for details. Here the generation only of the bills of materials related to hook-ups will be discussed. 4.5.1 HOOK-UP MATERIAL LIST

In order to generate the bill of materials pertaining to hook-ups select “Hook-up list” in the pull down menu. The window in figure displays where you can select the Project and one or more P&I drawings in the related list.

The output has a fixed lay-out with rows and columns and supplies the list of components of all the instruments existing in the selected set of P&I drawings gathered in columns as a function of the hook-up type. In order to get the list set the following parameters first.

In the upper part of the window all the available data fields are listed. Check those you want to appear on the report. In the center left area choose whether the list must include all the hook-ups or the primary or secondary ones only. In the center right area choose whether the title of the columns of the hook-up type must display the hook-up code or the hook-up description or both. In the lower part select the output (monitor, Excel or Access file) and press OK in order to get the list.

4.6 CREATING HOOK-UPS IN AUTOCAD

The “Instrumentation” pull down menu contains the commands for creating and managing hook-ups in the AutoCAD environment.

In order to create a Hook-up and the related bill of materials in the AutoCAD environment launch the “Hook-up Data” command first and enter the Hook-up identifying data as described in paragraph 4.6.1, then create the hook-up drawing with the standard AutoCAD commands and with the “Insert Item” command (see par. 4.6.2) and “Insert Reference” command (see par. 4.6.3) insert the balloons which will identify the various components to be listed. Once updated the database with the “Data Extraction” command (see par. 4.6.5) use the “BOM Table” command in order to generate the hook-up material list.

4.6.1 ENTERING HOOK-UP DATA

The “Hook-up Data” command is used to insert the hook-up identifying data, Code, Project, Description etc., directly from the AutoCAD environment. This operation is quite similar to that described in paragraph 4.2.1.

In addition to the hook-up identifying data two fields are provided. Database: sets the working database. Synchronize title block attributes: automatically copies the content of the fields “Project”, “Italian Description”, “English Description” and “Revision” on a suitably customized title block (see par. 4.6.9).

4.6.2 TAGGING COMPONENTS

In order to generate a list of components they need to be recognized by the program. This is achieved by inserting suitable balloons (see the figure below) which identify the components and the related quantities. For this purpose use the “Insert Item” command on the Instrumentation pull down menu.

The mask in the figure below displays where you can find all the available components in the “Hook-up components database” through the pull down menu. Choose the desired one and enter item number and quantity.

We point out that the program allows one item balloon only for each type of component therefore the related Quantity must be set equal to the total number of components of that type existing in the drawing. If, for clearness reasons, you need to add more balloons for the same component type you must use the “Insert Reference” command as explained in the next paragraph. Once inserted, the balloons can be modified by the “Edit Item” command as explained at paragraph 4.6.4.

4.6.3 INSERTING DUMMY BALLONS

If more than one component of the same type exist in the same hook-up drawing, for example 3 equal elbows or half-couplings, generally each one of them must be individually identified with its own balloon. Since the program does not allow you to apply the “Insert Item” command twice on the same component type, the “Insert Reference” command is made for this purpose. This last command requires the selection of the related Item Balloon first. 4.6.4 EDITING ITEMS

This command is used for modifying the data of an Item Balloon. If the modification concerns the Item number, the Dummy Balloons are updated. 4.6.5 DATA EXTRACTION

Once the drawing is completed and Dummy Balloons inserted execute the “Data Extraction” command to update the Hook-up Database. This operation has exactly the same result as if the feeding were made by the manual procedure described at paragraph 4.2.1 Feeding Database. 4.6.6 BOM TABLE

This command inserts a table containing the list of the hook-up materials on the drawing.

In order to set the fields to be listed it is necessary to customize the AutoCAD blocks which define table header and rows (see paragraph 4.6.10).

4.6.7 RESETTING ENVIRONMENT

The “Reset Environment” command resets all the previous drawing settings. This utility is for quickly solving possible problems should they arise when using a drawing. 4.6.8 DATABASE MANAGEMENT

The “Database Management” command gives access to the Project Database and in particular to the functions for the Hook-ups management (see paragraph 4.1). 4.6.9 TITLE-BLOCK CUSTOMIZATION

Although ESApro Hook-up does not necessarily require a title-block in the drawing, it is possible to insert a suitable customized one in order that the program automatically fills it in with the hook-up identifying data (see paragraph 4.6.1). The customization is basically performed by linking some pre-defined tag attributes to the block (for information on the attributes of blocks see the AutoCAD User Manual). The Tags the program is automatically capable of recognizing are listed below.

The BOM table lay-out can be customized by suitably modifying the files HKP_TTBL.DWG (for the header row) and HKP_RTBL.DWG (for the detail rows) located in the Instrumentation folder. Similarly to the title-block customization described at the previous paragraph the visibility of data depends on the existence of fixed Tag attributes which the software is capable to automatically recognize (for information on the attributes of blocks see the AutoCAD User Manual). 5. UNLOCKING DRAWINGS

A drawing is locked when in use by ESApro P&ID, that means that no modifications can be made to the drawing data and to the Datasheets and Hook-ups from the Database environment.

In case of anomalous closure of an AutoCAD P&I drawing the related records of the Database may remain locked up. In such case use the “Unlock Drawing” command of the “Utility” menu in order to remove the lock.
