2012-2013 Advising Philosophy The role of advisors is to identify and meet students, organizations and councils in their current context and lead them through a process to identify and arrive at a new and better place. The advisors will treat everyone fairly; remembering that treating everyone equal does not mean fair, and treating everyone fair does not mean equal. Advisors will use the concept of “equal effort” with chapters – the amount of effort chapters put into developing themselves is the amount of time the advisors will put in to working with them. Advisors will participate in leadership coaching, educating and involving chapter advisors and inter/national volunteers in efforts on the campus-level and be a partner to our inter/national organizations. Advisors will take a team approach to ensure each chapter is receiving the education and assistance it needs. The advisors will use the Council for the Advancement of Standards (CAS) in Higher Education as a guide to working with chapters and the fraternity and sorority community. CAS will specifically guide the work of the Fraternity and Sorority Life Office with chapters during the 2012-2013 academic year.

What we do all day

• Serve as a resource to chapters (academics, membership, risk management, etc.)

• Advise councils (CPC, IFC, MGC, NPHC) on leadership development, programming, risk management and other initiatives.

level administration about what the community and chapters are doing. • Plan major programs (Welcome Week Events, Leadership Retreat,

Sorority Recruitment)• Other duties as assigned: University committees, national volunteer

VIRGINIA COMMONWEALTH UNIVERSITY POLICY STATEMENT ON HAZING

Hazing is prohibited by law in the Commonwealth of Virginia and by Virginia Commonwealth University. Hazing is activity which is physically or mentally abusive, potentially dangerous, humiliating or demeaning, or which interferes with academic achievement and the human rights of the individual. Branding and Tattooing The University prohibits branding and tattooing in University facilities and on University grounds. The University does not encourage the practices of branding and tattooing. The Dean of Student Affairs or designee will conduct an investigation and determine sanctions when notified that an organization has violated University regulation or local, state, and federal statutes. The exact nature of the sanction imposed on the organization shall be based on the severity of the violations. All sanctions can be appealed as described in the document in Rights and Responsibilities of Registered Student Organizations. Virginia Statue 18.2-6 states that:“It shall be unlawful to haze, or otherwise mistreat so as to cause bodily injury, any students at any school, college, or university. Any person found guilty thereof shall be guilty of a Class I misdemeanor, unless the injury would be such as to constitute a felony, and in the event the punishment shall be inflicted as is otherwise provided by law for the punishment of such felony. Any person receiving bodily injury by hazing or mistreatment shall have a right to sue, civilly, the person or persons guilty thereof, whether adults or infants. The president, Or other presiding official of any school, college or university, receiving appropriations from the state treasury shall, upon satisfactory poof of guilt of any student found guilty of hazing or mistreating another student so as to cause bodily injury, expel such student so found guilty, and shall make report thereof to the attorney for the Commonwealth of the county or city in which such school, college, or university is, who shall present the same to the grand jury of such city or county convened next after report is made to him.” With my signature, I certify that I have read and understand the Virginia Commonwealth University Hazing Policy and the Commonwealth of Virginia hazing law. I also agree not to haze and not to tolerate anyone else being hazed and will report any suspicious activity to the appropriate people. CONSENT TO RELEASE STUDENT RECORDSWith my signature, I hereby authorize the University Student Commons and Activities staff to verify my enrollment, membership eligibility, and grade information. I also authorize the designated Commons and Activities staff member to release this information to my advisor, chapter president, scholarship officer, and/or international headquarters for the duration of my membership in this chapter. If I no longer wish to have my records released, I understand that I must request in writing to the Coordinator for Fraternity and Sorority Life or the Associate Director for Programs and Educational Services. • To add a new member:– Grade check (2.3 college / 2.75 high school)– Blue cards submitted within 48 hours

• To add a member who was on roster previously:– Submit Add/Drop Form – Blue card may need to be resigned

• Members’ removal– Chapters will only be able to remove members three times per semester

• January, February and March– The last day to remove a member will be *Wednesday, April 3 at 5 p.m.

Chapter Presidents Roundtable meeting)• Chapters will have one week to update roster

– Members will be removed ONLY with Add/Drop Form submitted.

Viability Policy

• Philosophy• Virginia Commonwealth University values a strong fraternity and sorority community. The University also

recognizes that the community must have sufficient numbers so as to provide membership opportunities for every student who has the desire and means to join.

• Student Organization Registration at Virginia Commonwealth University is a privilege. Chapters are expected to meet expectations with respect to academic performance, membership development and education, risk management and legal liability, leadership and community engagement, community service and philanthropy, membership recruitment/intake and chapter management as indicated in Shared Standards.

• Additionally, the policy for Registered Organization of Student Organizations at Virginia Commonwealth University states that the majority of the membership of the organization will be currently enrolled students at VCU. A minimum of five (5) currently enrolled VCU students are required to form and maintain an organization. This is to insure that registered fraternities and sororities possess the ability to meet performance expectations and for the continued health of the community.

Viability Policy

• Standard• Fall 2012. All registered fraternities and sororities are required to list at least five (5) full-time,

active, undergraduate members (initiates and new members) on the roster at all times.

• Process• Rosters will be reviewed in December, May and August to determine Viability Policy compliance.• All Hazing and Grade Release Forms (blue cards) must be submitted 48 hours after acceptance

of membership. • Chapters that fall below five (5) full-time, active, undergraduate members (initiates/new members)

will lose university registration for a minimum of three semesters.

Viability Policy• Appeal• Chapters that have been notified that University registration has been withdrawn may submit a

written appeal to the Fraternity and Sorority Life Office if both of the following parameters are in place:

• the chapter has a 2.5 GPA or better • in the previous academic year, the chapter all Level One for Shared Standards• The apppeal should include the plan for the next two semesters for the organization to have

between five and ten initiates and new members. • Fraternity and Sorority Life will review the request to determine if granting an appeal is

appropriate.• Chapters that do not have the appropriate GPA or Shared Standards met, but feel that their

organization faced extenuating circumstances with respect to recruitment/intake, may also submit a written appeal.

• The appeal will be reviewed by the Fraternity and Sorority Life Office in conjunction with University Student Commons and Activities. Guidelines for submitting appeals will be provided by the Fraternity and Sorority Life Office.
