Restricted Key Figures :

USE:

A Restricted Key Figure is used in BW queries to limit the output of a key figure to particular

characteristic values. E.g. you need to display sales only for year 2004, then you can create arestricted key figure (RKF) by using Sales > right click> Restrict by Cal Year value 2004. You can also

include variables in the restrictions, like Sales restricted to a year chosen by the user.

Restricted Key Figures can be created locally i.e. for a particular query, or they can also be created

globally (on the left hand side in the query designer) for use in all queries on the particular Info

Provider.

The restricted key figure gives the Multi dimensionality concept in the reports. For example, assume

you have Customer and Month are the characteristics in ROWS of the query. And also assume "Value

of the document" in the Columns. So if you execute the query , it displays the "Value of the

document" for all types documents("Value of the document" of all documents with type 'Invoice' +

"Value of the document" of all documents with type 'Returns') for different combination of customer

and month.

If you make the restriction for this column with document type = 'Invoiceu2019. Then the report

displays the "Value of the document" of all documents with type 'Invoice' only (i.e. excludes all other

documents with type other than 'Invoice) for different combination of customer and month.

In simple terms RKF is used when you want to restrict the selection of the key figure for some

particular value of Characteristic, as in your case if you want to see the data for fiscal year 1999

create an RKF with that selection.

Defining Restricted Key Figures :

You can restrict the key figures of an Info Provider for reuse by selecting one or more characteristics.

The key figures that are restricted by one or more characteristic selections can be basic key figures,

calculated key figures, or key figures that are already restricted.

Procedure

1. In the Info Provider screen area, select the Key Figures entry and choose New Restricted Key

Figure from the context menu (secondary mouse button).

If a restricted key figure has already been defined for this Info Provider, you can also select the

Restricted Key Figures entry and then choose New Restricted Key Figure from the context menu.

The entry New Restricted Key Figure is inserted and the properties for the restricted key figure are

displayed in the Properties screen area.

2. Select the New Restricted Key Figure entry and choose Edit from the context menu (secondary

mouse button).

The Change Restricted Key Figure dialog box appears.

You can also call the Change Restricted Key Figure dialog box from the Properties screen area by

choosing the Edit pushbutton.

You make the basic settings on the General tab page.

The text field, in which you can enter a description of the restricted key figure, is found in the upperpart of the screen.

You can use text variables in the description.

Next to that, you can enter a technical name in the Technical Name field.

Underneath the text field, to the left of the Detail View area, the directory of all objects available in

the Info Provider is displayed. The empty field for defining the restricted key figure (Details of the

Selection) is on the right-hand side of the screen.

3. Using drag and drop choose a key figure from the Info Provider and restrict it by selecting oneor more characteristic values.

You can also use variables instead of characteristic values.

4. Make any necessary settings for the properties of the restricted key figure on the other tab

pages.

5. Choose OK. The new restricted key figure is defined for the Info Provider.

Editing restricted key figures

Note that when you change a restricted key figure, these changes are effective in all queries that use

this restricted key figure.

You can see where the restricted key figure is used. Choose Where-used List from the context menu

of the restricted key figure (secondary mouse click).

Determining properties for the restricted key figure

1. Select the restricted key figure. The properties dialog box is displayed in the Properties screen

the restricted key figure.

You have defined a restricted key figure for reuse. You can now use this restricted key figure in all

queries based on this Info Provider by moving the key figure into the rows or columns of the query

using drag and drop. The restricted key figure is not an actual element in this query, but a

placeholder referenced to the restricted key figure in the Info Provider.

Business Example

In order to analyze the sales volumes of your customers, you need additional key figures that are not

contained in the Info Cube.

In your report you want to generate an overview of the sales volumes in various time periods for

each sold-to party. You also need detailed information on sales volumes, restricted to particular

materials, for your individual sold-to parties. You need four different restricted key figures to do this.

In each case, you use the basic key figure

Sales Volume EUR, and then proceed according to the view you want.

1) Limit the basic key figure Sales Volume EUR (T_INVCD_V) to the period before 2001.

2) Define a restricted key figure Sales Volume 2001 at Query level. This key figure displays the

Sales Volume EUR (T_INVCD_V) for the year 2001.

3) Define the third restricted key figure.

Description: Sales Volume 2001 Flat screen MS

Use the Sales Volume 2001 key figure as a template, and further restrict it to the range of

materials from Flat screen MS 1460 P (M-06) to Flat screen MS 1775P

(M-10).

4) You need the fourth key figure for the sales volume in 2001 for the hard disks with the capacity of

1080 MB. The material description for them always begins with: Hard disk 1080 MB. Give this key

figure the description Sales Volume 2001 Hard disks 1080 MB.

Calculated Key Figures :

Use

In the Query Designer, you use formulas to recalculate the key figures in an Info Provider so that you

can reuse them. Calculated key figures consist of formula definitions containing basic key figures,

restricted key figures or precalculated key figures.

The use of complicated calculations for information analysis is the order of the day.

This requires various mathematical functions such as percentage functions and totals functions. You

can take basic key figures, restricted key figures or calculated key figures to define new calculated

key figures. For example, you use the restricted key figures for two specific years to calculate the

difference between the sales volumes of the years in question.

Formula is local one and CKF is global.

If you go for CKF, you can use this CKF across all Queries of that info Provider.

Procedure

1. In the Info Provider screen area, select the Key Figures entry and from the context menu

(secondary mouse button click), choose New Calculated Key Figure.

If a calculated key figure has already been defined for this Info Provider, you can select the

Calculated Key Figures entry and, from the context menu, choose New Calculated Key Figure.

The system adds the New Calculated Key Figure entry. The properties for the calculated key figure

are displayed in the Properties screen area.

2. Select the New Calculated Key Figure entry and, from the context menu (secondary mouse

button), choose Edit.

The Calculated Key Figure dialog box appears.

You can also call the Change Calculated Key Figure dialog box from the Properties screen area by

Above these two areas, you see the symbols for the basic arithmetic operations. To the right there is

a number block.

Proceed as follows to define a formula:

u2022 Choose the required operands and insert them in the Detail View field by double-clicking or by using drag and drop.

u2022 Choose the calculation functions you want to use by either clicking on the symbols for

the basic arithmetic operations, double-clicking on the functions, or using drag and drop.

u2022 Select the numerical values for the formula by clicking on the number block.

You can also enter digits, parentheses and basic arithmetical operations using the keyboard.

3. Define your formula using the available operands and operators. With each step, the system

checks the syntactic correctness of the formula. If the formula is not yet complete or is not

syntactically correct, the system underlines the location of the error in red.

The system does not check whether the formula makes sense semantically, for example, if it

contains the same units. Semantic checks are performed with the Check Query function.

Note that when you execute a query, the key figures are always calculated as the same unit. A

formula is semantically incorrect, for example, when you add a currency unit (such as EUR) with a

weight unit (such as kg). If you want to calculate values regardless of the unit, use the function Value

without Dimension (Without Units).

4. Enter a description for the calculated key figure.

5. On the other tab pages, make any required settings for the properties of the calculated key

figure.

6. Choose OK. The new calculated key figure is defined for the InfoProvider.

Editing Calculated Key Figures

Note that when you change a calculated key figure, these changes are effective in all queries thatuse the calculated key figure.

Determining Properties for the Calculated Key Figure

1. Select the calculated key figure. The properties dialog box is displayed in the Properties

screen area.

2. Make the required settings for the description, display, number format, currency

translation, local calculations and aggregation behavior of the calculated key figure.

Business Example

You need additional calculations for the analysis of sales volumes in order to carry out a comparison

between the sales volumes of two different time periods. You want to show the difference, the

percentage variance of the sales volumes, and the share of sales volumes for each sold-to party in

relation to the total sales volume of the time period in question.

Define a new calculated key figure at the Info Provider level:

Description: Sales Volume Diff. 11/12 2001

Technical name: ##

This is calculated as the difference of the two restricted key figures that have already been defined:

GR00 Sales Volume 11/01 (T_BW3058AAA) and GR00 Sales Volume 12/01 (T_BW3058BAA). When

finished, place the new key figure into the columns.

In the same query, define a second calculated key figure at Info Provider level.

Description: % Variance Sales Volume

Technical name: ##

This key figure is for calculating the percentage variance of the sales volumes for the months

November and December 2001. Once you have defined this key figure, place it in the Columns area

of the query definition.

Now define a new formula, this time at Query level.

Description: % Share 12/01 to Overall Sales Volume

This calculates, for the month of December, the percentage share of sales volume for a sold-to party

in relation to the overall result. Place the new key formula as the last element in the key figure

structure.

To display the subtotal of the sales volumes for December in a separate column, define a new

formula in the same query. Position it as the last key figure in the structure.
