Central Sharing Tool – SAP EHP1 for SAP CRM 7.0

Introduction

Central Sharing is a powerful tool to share items across organizational units much

quicker and will be a central hub of all sharable entities within the Business Suite.

The main advantage of Central Sharing lies in the ability to share Tags, Favorites,

Saved Searches, and Favorite Reports across Business Roles, user,

organizations, and positions.

The Central Sharing Tool introduces the notion of a Super Sharer, Sharer, and

Recipient.

The Central Sharing Tool (CST) is the next evolutionary step of the SAP CRM

user interfaces regarding usability and flexibility for the business user.

Assigning Business Role to User

1. Before the CENTRAL Sharing Tool can be used, the user needs to be assigned to a business role. Central Sharing is a

feature that needs to be activated on a business role level.

2. A CRM_UI_PROFILE must be assigned to the user

Define Business Roles for Central Sharing Tool

1. Run transaction crmc_ui_profile.

2. Select the Business Role for which you want to enable Central Sharing.

3. Double click Assign Function Profiles.

To Create the Function Profile CENTRAL_SHARING_TOOL:

1.Launch transaction SPRO.

2.Navigate to Customer Relationship Management>UI Framework>Technical Role Definition>Define Function Profile.

1.Enter the details of the CENTRAL_SHARING_TOOL Profile ID.

1.Launch transaction SM34 and enter CRMV_UI_PROFILE view cluster, then navigate to the Function Profile definition for the specific Business Role.

Assign Profile Values to Business Role

1. Press the New Entries Button to open up the screen as shown below.

2. Enter CENTRAL_SHARING_TOOL into Function Profile ID .

3. Enter one of the following 3 values into Profile Value:

• RECIPIENT

• SHARER

• SUPERSHARER

Sharing an Item in the Web UI

Central Sharing is available for sharing Tags, Favorites, Saved Searches, and Favorite Reports once defined during the backend

customizing across Business Roles, User, Organizations and Positions.

1. To Launch the Central Sharing Tool, press the Share Link.

Sharing Tool in the Application

1. You can enter multiple share types ( Tags, Favorites, Saved Searches, and Favorite Reports) by clicking “Add”.

2. You can enter multiple Share With Entities.(Note depending on user Authorization either User, Organization, BR, or Position).

3. Press the Share button to send the share.

User’s Sharebox in Homepage

1. On next log in the Recipient sees the shared item in their Sharebox in the Home Page.

2. When the Shared item in the Shared Inbox is clicked the user will navigate to the shared item.

User Navigates Back to Home Page

1. When recipient navigates back to the Home page, the shared item in the Shared Inbox has moved to the Share With me root

folder.

User Views Text Attached to Shared Item

1. The user can perform 3 actions on fields to a shared item. These are the following:

Forward

View Message

Add to central (Note: Add to central is only available to Saved Search items)

View Recipients (Note: Is only available to Sharers in the Sent root folder)

2. When the user selects the view message action on field they can view the attached message to the shed item.

User Forwards a Shared Item

1. When the user selects the Forward action on field they can forward the shared item to another share entity.

2. The user then navigates to the Central Share Tool pre-populated with the shared item where the user can then select

another share with entity.

User Adds Saved Search Shared Item to Central Search

1. When the user selects the Add to Central action on a field they can push the shared Saved Search to their Central Search

for quick access.

2. In the Central Search area the added Shared Saved Search works in a similar fashion as the users own Saved Searches.

Note: the Shared Saved Search is identified by the “(*)”.

User Filters Sharebox by Share Type

1. The user can filter their Sharebox by Share type.

2. Then, by clicking on the shared item, the user navigates to the specific shared item.

Sharebox Maintenance and Personalization

1. Click on the Personalize Icon

2. Use the following features:

New Folder

One can create a folder anywhere in the hierarchy. If no line is selected, the new folder will be placed at the end of “Sharebox". If a folder is

selected, the new folder will be appended at the end of this folder's children. If the user selected a shared item in the tree, then the new folder is

also appended at the end of this Shared item’s parent.

Rename

One can always click on a folder and rename it by either pressing on Enter or on the Save button. Note that you cannot rename the root folders

“Shared Inbox“, “Shared by me“, and “Shared with me".

Delete

Deletion can only occur to Shared items within the “Shared by me“ root folder and any empty folders in the “Shared with me” root folder. Before

performing deletion, a pop-up confirms with the user that this is his intention. If the line selected was a Shared Item from the “Shared with me“

root folder the item will not get deleted. However if the item was from the “Shared by me“ root folder, it will be deleted after confirmation. If it was

a folder that was selected, the folder and all it’s children (folders/favorites) will be deleted as well. If a folder is selected for deletion from within

the “Shared with me“ root folder, the folder will not get deleted

until the contents have been moved.

Cut/Paste

A user must select a line and press on the Cut button, then

select another line and press on the Paste button. One can

move a Shared Item or a folder and all its children. Note that the

drag/drop functionality is also available.

Up/Down

The user must select a line and either press Up/Down button.

Note that you can only move a Shared Item/folder within the

same parent root folder.

Forward

The user can select multiple shared items and then press the

Forward icon. The CST will be displayed pre-populated by all

the selected Shared items.
