Check In

INTERNATIONAL AND OUT OF STATE CITS

For the convenience of families from overseas, and those from distant states, we provide an airport pick-up and drop-off service between Camp and Boston’s Logan International Airport. CITs are met and/or dropped off at the gate by our staff. There is a fee and specifications for this service. Please look at the ELECTRONIC AIRPORT CONTRACT under CURRENT FAMILIES on our website for more information.

What to expect Upon arrival at Camp you are directed to park in the parking lot and place your luggage in a central location. Our staff deliver your luggage closer to the CIT tent. At check in, you meet the CIT director who signs all the CITs in, takes all outstanding paperwork and medication and trading post deposit if necessary. Once you have checked in with the CIT Director, you may have to see the Nurse. All medications (including vitamins, etc.) must be given to the Nurse. CITs should have their swimsuit and towel near the top of their bag as the swim evaluation takes place during check in day. Eat lunch before arriving at Camp. We have dinner at 6 pm so it is a good idea to make sure you have a good lunch before coming to check-in. The Trading Post is open for you to buy clothing, water bottles and souvenirs. Swim & Health Evaluations take place after check-in. CITs are asked to participate in a swim evaluation to establish the waterfront activities in which they can safely participate. As well, each CIT sees the Camp Nurse for a general good health evaluation, including a lice check. If a CIT has lice, parents are called and the CIT must go home immediately. Within the following 48 hours, the CIT may be able to return to Camp if a doctor confirms the lice are gone.

We have a terrific check-in procedure and if we work together we can ensure you will not be waiting in any long lines on check-in day. In order for us to run check in as smoothly as possible we need the morning to prepare. Please understand that we are unable to start check in before 1 pm. TRADING POST Camp Burgess & Hayward each have a Camp Store called the Trading Post. Snack items, souvenirs and t-shirts are available at the Trading Post. Purchases from the Trading Post are deducted from the CIT’s Trading Post Account. Funds can be deposited into the account either ahead of time, online with credit card information, or at check-in using a credit card, check or cash. Sending payment ahead of time reduces waiting time during check-in. CITs may have an opportunity for one evening off camp, for ice cream or a similar activity and need spending money for this. This small expense cannot be deducted from the Trading Post Account, so we recommend keeping extra cash in Camp’s safe in an envelope with the CIT’s name on it. Keeping cash in the cabin is strongly discouraged. CITs may also want to buy a CIT t-shirt, which they help design, and which costs ap-proximately $20. Any unspent money on your CIT’s Trading Post account will be available to spend at our online store until Oc-tober, at which point the remaining balance will be donated to our Campership Fund. All proceeds go to sub-sidizing campers who cannot afford the full camp fees, to experience the Spirit of Camp. Thank you for your generosity!

Packing Guidelines What to Bring: Camp is a very active place and Camp life can be rough on clothes. Bring stuff you do not mind getting stained, or damaged. At Camp nobody cares what label is on your clothes anyway! Please note that the numbers in-cluded on the packing list are only suggestions. What not to bring: Do not bring any tobacco products (including chewing tobacco), weapons of any kind, skateboards, roller blades, fireworks, electronics, gum or food.

Keeping In Touch for Parents

VISITING YOUR CIT CITs keep very busy with trainings, observing programs and fun! Please plan your visits for changeovers only. If a CIT needs to leave Camp for a previous engagement (big basketball game, exam, family event, etc) please let one of the Directors know before the session begins. Remember no CIT is released to anyone under the age of 18.

We encourage you to write several cheerful letters to your CIT. CITs may be very busy with their activities and their new responsibilities, but they still look forward to receiving news from home. Mail letters and packages to:

Email To email CITs during their stay, please visit us at www.campburgessandhayward.com/email-a-camper/ Emailed messages are printed out once daily and handed out after dinner along with the mail.

Telephones CITs are allowed to earn cell phone privileges. All cell phones will be locked in the office, until CITs are allowed use. However, the use of them is strictly reserved to after 9:30 pm and only in designated areas on Camp. Camp telephones are for business calls only and may not be used for personal phone calls. Camp’s phone lines are for business and emergency calls only. Our number is 508-428-2571

Lost & Found Please mark all of your CIT’s belongings with his/her name to avoid lost articles. Two weeks after the end of each session, all abandoned belongings are donated to a charitable organization. Please check the Lost & Found area at check-out before you leave Camp. Due to the high volume of clothing left behind, we are unable to mail lost & found items back to you. You must come to Camp to claim them.

Health Care

It is a state requirement that all medications (including vitamins) are stored in the Health Center by the Nurse. In case of illness or accident, CITs are cared for by Camp’s Nurse, with standing orders from a medical Doctor. Any medication prescribed as a result of an injury or illness while at camp is billed to the CIT’s Trading Post Account. In case of an emergency, CITs are taken to the local Emergency Room (Cape Cod Hospital or Falmouth Hospital).

Staying In Between Sessions If your CIT is staying on camp for the weekend between their 1st and 2nd session, they may do so at no extra charge. Please let the Camp Director know if you plan to avail this service.

Laundry The changeover weekend is the only opportunity to do laundry. If a CIT stays at Camp during changeover, please ensure the Trading Post Account covers the cost of laundry.

While we have previously been using CampDoc for our campers’ health paperwork, we have moved our health record system over to CAMP BRAIN, the same system that is used to register all participants for camp. Our online CAMP BRAIN portal contains our electronic health record system, which allows camp to consolidate and integrate camper health information into a centralized, secure location. Once our administrative staff have registered your CIT for the CIT Program on CAMP BRAIN, you will be notified that you are now able to submit your health paperwork. Parents will also know at any time if paperwork is missing. CITs must upload our camp health form, a physical examination from their doctor, and a copy of their insurance card. The security, confidentiality and privacy of your camper’s personal health information will always be protected. Only camp’s nurses and administration staff will have access to camper health information, and the Camp Brain site is secure, encrypted and password protected.

Check Out Please Note : Early and late pick-ups must be arranged ahead of time with the Camp Director. On check-out days please do not arrive earlier as your CIT is busy with important closing Camp traditions. In the excitement of seeing your CIT, don’t forget to sign-out! All CITs must check-out with their CIT Director before leaving Camp. The CIT Director is in a central location and has important material for you and your CIT. Please remember to bring photo I.D with you to check– out. Camp does not release CITs to anyone other than the person(s) authorized in writing by the CIT’s parent/guardian (on check-in day), not even another family member. Under no circumstances is a CIT released to someone under the age of 18. If you need to add someone to the list of people authorized to pick-up your CIT you must do so in writing prior to check-out day. Mail or fax your request to the Camp Director and call us to let us know your situation so we can make sure check– out goes smoothly for you.

CAMP BURGESS & HAYWARD CIT GUIDE CIT TRIPS

As Counselors in Training (CIT) of Camp Burgess & Hayward, CITs are allowed supervised trips off Camp (e.g. Ben & Jerry’s, cinema, local community service project) during their program. We require written permission from a Parent/Guardian in order to allow them to leave Camp property in Camp vehicles. The only exceptions to this requirement would be if a CIT needed medical attention and there was no Camp vehicle available. Please indicate on the CIT agreement if your son/ daughter may leave Camp in a South Shore YMCA approved vehicle.

Fundraising

Camp Burgess & Hayward is part of the South Shore YMCA. The South Shore YMCA is a charity and 100% of every donation goes directly to help children and families in our community. At Camp we try to raise money to help send kids to Camp who otherwise wouldn't be able to afford to attend. We need your help. As a CIT you will get to see directly how Camp Burgess & Hayward positively affects Campers, many of whom would not be able to attend Camp without the help of our Campership fund. We are asking our CITs to host a fundraising event prior to your CIT summer with the aim of raising a minimum of $100. This could be anything from a bake sale to a swimathon to dog walking to a car wash. You can also set up an online giving page. Please email [email protected] with any fundraising page set-up questions. You will hand in your fundraising and brief paragraph on what you did to your CIT Director on check in day.

CAMP BURGESS & HAYWARD CIT GUIDE Spring Events for Counselors in Training

April Vacation Camp April 17-21, 2017 Join us for our April Vacation Camp as a Counselor in Training! We have a full week of activities planned both on and off Camp. From tower to canoeing, to geo-caching to scavenger hunts, we’ll try out bowling and spend time hiking and swimming too! Come spend the week with us, hang out with Camp friends, sing Camp songs and get psyched for the summer. As a CIT during April Vacation Camp you will learn lots of helpful skills and gain unbelievable experience for your upcoming summer.

Join us at a discounted CIT only price of $250.

Volunteer Day May 13th, 2017 Our annual Volunteer Day is a fun-filled day of getting Camp ready for the summer. We will spend time painting, clearing trails of fallen branches, setting up sailboats and preparing Camp for the arrival of our first Campers. During the day you will have the opportunity to get to know the other CITs, share your ideas for the program and enjoy a fantastic barbeque. All Burgess & Hayward CITs are expected to attend Camp’s Volunteer Day

Spring Service Weekend May 12-13, 2017 This weekend is the perfect combination of community service and fun. It’s a great way to help Camp get ready for the summer; reconnect with Camp friends and take part in some of your favorite Camp activities. Traditionally CIT’s have been a big part of the Teen Service Weekend, helping to lead groups of campers in projects, gain community service hours and valuable experience working with Campers. The price for Spring Service Weekend is $50.

CIT POLICIES DISMISSAL: The following are reasons for dismissal:

Repeated failure to comply with Camp policies and regulations.

Theft from Camp or from any member of the Camp community.

Possession and/or use of alcohol or illegal drugs

Misconduct/unlawful acts on or off Camp property.

Failure to comply with Camp’s Child Protection and Discipline policies.

Any action deemed inappropriate by the Camp Director. ALCOHOL & DRUGS: Use and/or possession of alcohol & drugs are strictly pro-

hibited. TOBACCO USE: Use and/or possession of tobacco in any form are strictly prohibited. AUTOMOBILES: CITs may not drive personal vehicles while staying at Camp. If a CIT drives a personal vehicle to Camp, the vehicle must remain in one of Camp’s parking lots until the CIT is checked out or signed out by their parent/legal guardian. CURFEW: At night CITs must stay in their tents beginning at the designated time. NIGHTTIME SOCIALIZING: For CITs wishing to socialize in the evening, they must be in the designated common areas of Camp

such as the dining hall and lodge of each Camp. FOOTWEAR: Shoes must be worn at all times. The only exceptions are when you are inside a cabin, at the beach or taking a

shower. FURNITURE: Furniture found in your tent is to remain inside, so that it is protected from the weather. DINING HALL: All members of the Camp community are required to be present and on time at all meals. The kitchen is off limits,

and only food designated by the Food Services Director is to leave the kitchen area. Nighttime Staff Snacks will be arranged by the Kitchen Staff on a daily basis. TELEPHONE: Cell phone use is permitted only after 9:30 and only in designated areas. PERSONAL HABITS: CITs are expected to wear neat and clean clothing. Clothing, piercing and tattoos must be neat in appearance and appropriate for camp. You may be asked by the Camp Director to remove a piercing or cover a tattoo.

Proper personal hygiene should be practiced daily. Swearing at Camp is not an acceptable form of personal expression. MAIL: Mail will be distributed on a daily basis by the office staff after dinner. SWIMMING: Swimming, boating and any other aquatic activities will be scheduled by the Waterfront Director, all normal rules

apply. There is no boating or swimming after dark. VALUABLES AND MONEY: CITs are encouraged to keep all valuables and money in the safe. Camp is not responsible for loss or

theft of any valuables or money if they are not in the safe. PERSONAL EQUIPMENT: CITs may choose to use their own equipment in the program. Camp cannot be responsible for damage

to any such equipment. HOUSING: Housing is assigned by the Camp Director. Males are prohibited from entering female housing and females are prohibited from entering male housing. ROMANTIC RELATIONSHIPS: CITs may not carry on romantic relationships with campers or paid staff. CITs are expected to

conduct themselves as positive role models for our campers. All public displays of affection must be suitable for public display! Relationships must in no way interfere with your performance of the job you have agreed to do. Personal

relationships should remain personal! GOSSIP: Gossip can be hurtful and damaging. Please do not discuss other people’s business as an idle pastime. MUSIC: Music must be kept at an agreeable volume - it should not be heard outside the cabin. If anyone is offended by the

music, they may turn it off or down without repercussion. PRACTICAL JOKES: A joke should be safe and funny! Practical jokes must be cleared with the Camp Director. Never play a joke

out of malice.

Fees & Refunds

Balance of your fees is on or before May 1st. You may call us to charge the balance to your Visa, MasterCard, Discover or American Express. Alternatively, you mail your check, made out to CAMP BURGESS AND HAYWARD, to the Camp office at the following address:

Checks must be in American dollars. There is a $25 fee for returned checks. If the balance of fees is outstanding past the due date, your registration may be cancelled. There are no refunds for late arrivals or early departures. This includes being dismissed for behavioral issues and/or homesickness. Refunds are only given for certified medical reasons, on a pro-rated basis.

Directions Cross the Sagamore Bridge to enter Cape Cod. Follow Route 6 for 5.7 miles to Exit 3 (Quaker Meeting House Road). Turn right onto Quaker Meeting House Road and follow for 2.5 miles to Cotuit Road (After Traffic Lights). Turn left onto Cotuit Road and continue 0.3 miles to Farmersville Road which will be on your left. Turn left onto Farmersville Road, and follow for 1.1 miles to Stowe Road which will be on your left. Turn left onto Stowe Road. To reach Camp Hayward turn left onto Pinkham Road. To reach Camp Burgess, continue on Stowe Road for 0.5 miles.
