Source Data

Relationship between Business Warehouse and SAPBusiness Information Warehouse (BW) is an enterprise-wide information hub thatenables analysis of data from SAP. BW provides powerful, intuitive tools to analyzeand report on data from various providers and sources, such as customers orproduct lines.

Source DataSource data, also referred to as data sources, are used to extract data from asource system (SAP) and to transfer the data into Business Warehouse. SAPtransactional detail is available in Business Warehouse for periods 0 to 13. Thedata can be viewed and manipulated in an Excel spreadsheet. From there, datafrom the data sources can then be generated into reports, such as the GL AnalysisReport and the Mexico Inflation Adjustment Report.

SAP BusinessObjects Analysis can connect to SAP Business Warehouse datasources and take advantage of features such as variables and display attributes.

When working with SAP Business Warehouse data, note that some Analysisfeatures behave differently than with other data sources. For instance:

Calculations can be applied only to measures

Members can be displayed with either their keys or text

Logging into Business WarehouseThe following steps explain how to log into Business Warehouse. Before accessingBusiness Warehouse, users must install BusinessObjects Analysis onto theircomputer.

Users may need to request access for BusinessObjects Analysisfrom SOLV before attempting to install the program.BusinessObjects Analysis requires Microsoft Excel 2003 or later torun the program.

Step 1

Open the Business Warehouse file from its location which can be found byclicking on Start menu and then clicking on Programs > SAP BusinessObjects >Analysis for Microsoft Excel.

As soon as you click on the file path, the application will load fromMicrosoft Excel and the SAP BusinessObjects Analysis Edition forMicrosoft Office pop up will appear.

Step 2

Once the Excel spreadsheet has opened, there will be a new ribbon on themenu bar with multiple tabs, such as Developer, Get Started, Nuance PDF, andAnalysis. Click the tab Analysis.

A ribbon will appear under the Analysis tab. Click on the Insert button which isthe first icon on the left-hand side of the ribbon.

A menu will appear with an option button to Select Data Source. Click theSelect Data Source button.

Step 4

Next you will be presented with the Logon to SAP BusinessObjects BI Platformlogin screen. Select the Skip option.

Two folders will appear, Connections and Favorites. Expand the Connectionsfolder by clicking on the plus sign next to the folder. This is where the differentSAP environments will be listed.

Step 6

Click on BW Production [BW1]. Then, click Next.

The Logon to System 21. BW Development [DW1] pop up will appear after youhave clicked Next. Enter your username and password (431) in the dialogue boxwhen prompted. Then, click OK.

Immediately after logging in, the Select Data Source screen will be displayed.Close this screen by clicking on Cancel.

You will be taken back to the Analysis tab ribbon. Proceed by clicking on theFile tab.

Under the File tab, click the Analysis from the drop down menu. Then, selectthe Open Workbook Open Document from SAP NetWeaver button.

A list of reports will pop up. You will choose the report which you plan to workon. The figure below is an example of a list of reports.

What is the GL Analysis Report?

A GL Analysis Report:

Allows analysis of SAP transactional data using either source GL accounts toTCOA format.

Maps GL source accounts to TCOA accounts and allows users greaterflexibility in formatting and viewing data and filtering parameters.

Benefits of a GL Analysis include:

Provides greater flexibility for users with drill down functionality

Reduces time needed to analyze tax sensitive accounts

Generating a GL Analysis ReportAs shown in the login steps, select the Open Workbook Open Document fromSAP NetWeaver button to access the list of reports.

Expand the Tax GL Analysis Reports root folder then select the GL Analysisworkbook and click OK.

Users will only be able to access the data source listed above andthey will only be able to view data for the entities to which theyhave been granted access.

Once the data source has loaded, an Excel spreadsheet will open. The dataobjects will appear on the right hand side of the screen and the results of the reportselection will dynamically appear on the left hand side of the Excel sheet.

Soon after the Excel spreadsheet opens, the Prompts screen will automaticallyopen requesting you to enter the necessary parameters to run the GL AnalysisReport.

You can make your prompts selection based on Fiscal Year, Fiscal Year Period,Country, Company Code, or GL Account. Do not select a full year because the GLAnalysis Report may exceed its capacity to display rows.

Click on the icons next to each prompt to specify a value.

When the icon is clicked, a Select Member screen will appear for each iconclicked. Designate the prompt parameters by clicking the radio button next to thedesired Member (Key). Then, click OK.

The report will then be displayed.

Is used to calculate Mexico inflation adjustment amounts using the ConsumerPrice Index and currency exchange rate prescribed by the official Mexico TaxAuthorities

Mexico inflation adjustments and currency conversions from foreign currenciesinto Mexican pesos are automated in Business Warehouse rather than theexisting manual process used by BHI

Generating a Mexico Inflation Adjustment ReportAs shown in the login steps, select the Open Workbook from SAP NetWeaverbutton to open a list of reports.

The Open Document screen will open. End users will use the Productionenvironment. Select BW production [BW1] then click Next.

The Logon to System 22. BW production [BW1] screen will appear next. Enter 100for the Client number and enter your username (431) and password . Users willneed to contact SOLV to set up their initial default password. Then, click OK.

A list of folders will appear. Use the drop down menu next to View to select Role.

Drill down into the Mexico Inflation Adjustment Report folder by clicking on theplus sign next to the folder. Under the folder Workbooks, select MEXICANINFLATION ADJ REPORT. Then click OK.

The Mexico Inflation Adjustment Report will open.

Locate the tool bar at the top of the spreadsheet. Click on the Display button to seethe fields and measures (Columns, Rows, Background Filters, and Data Objects)for the Mexico Inflation Adjustment Report.

For this report, you will use the rows section to select Account Number. Right clickAccount Number in order to access the Filter By Member option. Click Filter ByMember.

The selection screen for Account Number will appear. Here, the GL Accounts canbe located and selected to be added to the report. Click OK when you havefinished filtering the GL Accounts.

Once the GL Accounts are filtered, the Mexico Inflation Adjustment Reportspreadsheet will refresh to show only the GL Accounts selected on thespreadsheet.

Lesson OverviewThis lesson consists of the following topics:

Drilling Down Reports

Exporting Reports

Drilling Down ReportsA drill down report is a type of report that displays a hierarchy of summary data thatcan be expanded down into related detail data. Users are able to drill down reportsby adding or removing data objects by dragging and dropping the objects directlyinto the report, rows, columns, or background filter menus.

For example, you are able to drag and drop Country onto the rows node and thedata for this object will dynamically appear on the left hand side of the spreadsheet.

If you want to filter the countries visible in your data set, you are able to do this byright clicking on the Country. Then, click Filter By Member.

The Country: Filter by Member screen will appear. You can select or unselect thecountries. Click OK when you have finished selecting the countries you wish to see

By defining your filter you are now able to see only the countries that you selectedon the report.

If you wish to see data by multiple objects, drag additional objects from the dataobjects menu on to the right hand side of the screen onto the spreadsheet on theleft hand side of the screen.

For example, drag the Divisions object and drop it to the right of the Countryvariable. This will create the next level of detail.

If you wish to see the data by TCOA Number you will need to repeat the stepslisted above for the Country and Divisions objects by selecting the desiredparameters and members. Then, drag the TCOA Number object from the dataobjects menu onto the spreadsheet on the left hand side of the screen.

The TCOA Number data will then dynamically appear on the spreadsheetillustrating the additional level of detail.

Furthermore, users may need to add Posting Date data to the report. Users candrag and drop the Posting Date object onto the spreadsheet.

Posting Date data appears as a new column on the report spreadsheet.

If you need to remove the Posting Date column, then drag the Posting Dateobject from the rows and drop it back into the list of data objects.

Data for Posting Date will no longer appears on the report spreadsheet.

Users can also select Background Filters. For example, drag and drop FiscalYear/Period into the Background Filter menu in the bottom right of your reportscreen.

In the Background Filter menu, right click on Fiscal Year/Period then selectFilter by Member.

The Fiscal Year/Period: Filter by Member screen will appear, where you can selectthe periods to display can be chosen. Click OK when selection is complete.

You are also able to view reports by a specific time frame. If you need to select adifferent time frame, you are able to do so by clicking the Prompts button locatedon the Analysis ribbon at the top of the spreadsheet.

Select Prompts for Workbook underneath the Prompts button to choose a timeframe for the report view.

The Prompts screen will appear and you are able to enter a new time frame byselecting the icons next to the Calendar Year/Month Period. Use the first icon to select a start date and the second icon to select an end date.

The Select Member screen will open. Select the time frame by clicking the radiobutton next to the desired Member (Key). Then click OK.

The report will be populated with the report data from the selected time frame.

Once you are satisfied with the results of the report, the report can be exportedonto your local drive.

Exporting DataUsers are to export their reports onto their personal computer after viewing andmanipulating each report. To export a report to your local drive click Save As underthe File tab.

Do not click Save in the system because this will save the reportdirectly to Business Warehouse and cause server congestionproblems.

The Save As screen will appear. Name the file and place it in an easily accessiblefolder. Click Save when finished.

Once a report is exported you will not be able to add/arrange thecolumns in the report and will only have Excel functionality. If youneed to add/remove columns you must re-run the report.

The name of the saved report will appear under the Insert button the next time youlog into Business Warehouse. From there, you can access reports more easily.
