Building Coordinator Job Responsibilities (Amended 8/2020/JEM)
Building Coordinators are essential assets to Winston-Salem State University. Your responsibility is to stay efficient in work requests, which helps in ensuring maintenance issues are resolved in a timely manner. Facilities Operations is here to assist you in your everyday demands and needs. The Building Coordinator Program is structured and designed for your building to run smoothly and be maintained so the occupants may be able to work and reside in a safe environment. As we gear up to reopen our campus, your role will be critical in helping us maintain our student, staff, and public spaces. We anticipate that each building will have unique needs, and we depend on you to oversee your building's day-to-day needs. Ensuring that sanitation and proper social distancing are met in each space is imperative to us being able to keep our campus community safe.
• As Building Coordinators, your principal responsibility will be to have frequent contact with building occupants and the employees of Facilities Operations to keep your building running smoothly and assist the occupants and Facilities Operations personnel in processing work requests.
• You will handle inquiries from faculty, staff and student occupants about the need for maintenance services to the building or equipment.
• In the event of an unusual circumstance or emergency, you may be contacted at home. Your personal cell phone number, home and office numbers must be on file and current at all times.
• Be in the building most of the day during normal operating hours of 8:00AM – 5:00PM. When not in the building (i.e. vacation, sick, etc.) the previously trained back-up Building Coordinator will fill in. Often, the backup Building Coordinator might be from an adjoining building, however, that is at the Building Coordinator’s discretion.
• Building Coordinator will communicate all scheduled and emergency utility shutdowns received from Operations Maintenance, Zone Supervisor and Design & Construction to building occupants.
• Receives and logs maintenance and service requests from building occupants. • Electronically submit Work Order Requests (WO Req.) via the Mainsaver system; understands
the basics of the repair or service to be performed; makes sure the work was completed as requested and that the requestor was satisfied.
• Know your building well—familiarize yourself with the physical aspects of the building including electrical box locations, fire extinguishers, emergency breakers, current and future renovations, all activities occurring within the facilities, etc.
• Conduct and document building inspections/walk-throughs in conjunction with Environmental Health and Safety (EHS on a regular basis according to its safety plan,).
• Since you are most familiar with your building and its occupants, you will train your replacement. However, the Director of Operations is available to assist you in any training needs you may have.
• Participate in surveys regarding services provided by Facilities. • Coordinate all building access via the University Key Policy. Responsible for key control, key
audits, key distribution and collection. • Work with WSSU Campus Police in scheduling the opening and closing of building. • Coordinate and provide input regarding the building usage (Classes, meetings, internal and
external events, etc.). The actual approving and scheduling of specific usage will vary depending upon the space use.
6
Building Coordinator Job Responsibilities (Amended 8/2020/JEM)
• Work with Emergency Management on notification of building occupants in emergency situations that occur during regular University business hours. In addition, coordinate the development of a building Emergency Action Plan with the Emergency Management Director. Participation in annual emergency management related training for BCs is expected, and such training will be administered by the Emergency Management Director.
• BC Signage Placement: Notify building occupants of your BC status. Please complete the document on the following page and place prominently within the building.
COVID-19 Related Changes: Trash: Ensuring there is a centralized trash receptacle on each floor. Housekeeping staff will not enter individual offices. You will need to communicate with those in your building to ensure they understand their responsibility in getting their trash to the centralized location each day. Vacuuming: Educate your team members that offices will be vacuumed once per week. Hand sanitizer: Ensure that hand sanitizer stations are filled and functional.
PPE (personal protective equipment) requests: Below is the list of available PPE that can be requested for your building.
Items Provided by the Office of Emergency Management and EH&S. Request via email.
• Masks • Face Shields
Items Provided by Facilities and to Be Requested via Mainsaver
• Plexiglass • Refilling of any dispensers (hand sanitizer, paper towels, sanitizing spray) • Sanitizing wipes
HOW TO REQUEST SUPPLIES Building Coordinators will need to request all PPE and supplies through MAINSAVER. If you are working remotely, you will need VPN or VDI access to submit your MAINSAVER requests. If you do not have those services, start by reviewing the How to Complete a New Work Request Page. If access issues continue, you will need to submit a RAMTech request.

Facilities Design and Construction
Facilities Design and Construction (D&C) is responsible for administering the planning, design and construction of most university projects. FDC is also responsible for the implementation of the University's Physical Master Plan. Likewise, FDC is responsible for providing guidelines and direction for all architectural (exterior and interior) issues involving University facilities.
The types of projects that require the involvement of FDC:
• Major Building Renovations • Architectural and building systems renovations • Repairs to campus roads and parking lots • Repairs to campus utility systems • Construction of New Facilities • Engineering and Feasibility Studies • Space Planning Studies • Campus-wide Aesthetic Considerations • Sculpture installations • Building signage • Exterior & Interior material selection • Space Planning • Special Projects Unit • Sustainability & Energy Saving Services
13
For New Facility Planning and Construction When existing facilities do not provide adequate accommodations in support of the programs housed or new programs and renovating the existing space not feasible, the following procedures for requesting new facilities must be implemented.
1. Requester submits a letter and justification to his or her vice chancellor for approval. 2. If request is approved by the vice chancellor, a request is submitted by the Vice
Chancellor to the Campus Space Planning Committee for approval. 3. The Campus Space Planning Committee submits recommendations to the Chancellor for
approval. 4. If approved, the Director of FDC will develop with the users a building program and
Preliminary Cost Estimate for a capital improvements budget submission.
The project sequence and procedures follow the steps of a Capital Improvement Project described above. Duration of the project will vary based on complexity and scope. For planning purposes, the design phase will take one year and construction one year, for total project duration of two years.
University Sustainability Efforts, Recommendations and Energy Conservation Tips The university has embarked on an Energy Conservation program with the goal of reducing energy consumption by 4% per year for the next five years.
Sustainability Committee Mission Statement Sustainability is the concept of meeting the needs of the present without compromising the ability of future generations to meet their needs. It is progress toward a sustainable economy, society and environment (environment, equity and economy). Sustainability can be described as each of us doing our part to build the kind of world—economically, environmentally and socially—that we want to live in, and one that we want our children and grandchildren to inherit. It means becoming aware of all interconnections—visible and invisible—in which our day-to-day choices affect the intricate balance of social, economic and ecological systems. The United Nations’ World Commission on Environment and Development (Brundtland Commission) introduced the far-reaching implications of the term, “sustainable,” in their widely cited report, Our Common Future (1987): “Humanity has the ability to make development sustainable—to ensure that it meets the needs of the present without compromising the ability of future generations to meet their needs.” Over 400 university and college presidents have signed the “University and College President’s Climate Commitment” aiming to eliminate carbon emissions and integrating sustainability in their curriculum. In view of the above, several universities in the University of North Carolina System have established
14
Sustainability Committees or Task Forces to provide an integrated avenue to address the many areas
The university has submitted a Strategic Energy Conservation plan to the State Energy Office. The plan calls for:
• Review and analysis of utilities accounts and consumption • Establishment of benchmark consumption • Establishment of a campus Sustainability Committee • Study feasibility of electrical, steam, chilled water, and gas sub-metering • Study feasibility of installing unoccupied-mode controls in facilities
A campus Conservation Awareness Team will be established.
Energy Conservation Tips • Turn off room lights when exiting and when not in use. • Use fluorescent task lighting for office work and turn off general lighting. • Replace incandescent light bulbs with energy-efficient and money-saving fluorescent bulbs. • Eliminate individual office kitchen appliance use (e.g., refrigerators, microwave ovens, coffee
makers, etc.) and consolidate to single break room units. • Eliminate space heaters from all offices and rooms. • Eliminate personal energy-consuming items such as fish tanks, decorative lighting, etc.
• Turn off computers, printers and other office equipment at night, if not equipped with energy-saving features.
• The North Carolina Energy Conservation code requires adherence to the following room temperature guidelines: Summer: 75 degrees F; and Winter: 68 degrees F.
• Request vending machine lights be turned off. • Ensure water faucets are turned fully off. • Report energy wasters; for example, outside lighting turned on during daylight hours or leaking
faucets. Submit a work request to schedule repairs.
Facts: An average space heater consumes 1400 watts (1.4 kilowatt) per hour. This is equivalent to the energy required by fourteen 100-watt bulbs. Based on actual utility costs, the university pays $.060 per kilowatt-hour in the winter. Therefore, the cost to the University of each space heater on campus is $48 per heating season.
15
Building and Environmental Services
Building and Environmental Services (BES) is responsible for routine and specialized cleaning of University buildings, landscape and maintenance of grounds, sidewalks, parking lots and streets; solid waste containment, disposal and reduction; sanitation; recycling and moving and hauling services.
• Housekeeping Services • Landscaping and Grounds Maintenance • Solid Waste Disposal • Recycling and Waste Reduction • Light Moving and Hauling
Moving and Set-ups Moving and Event set up services are provided by the Grounds area in Facilities. The Grounds area provides moving and hauling services that include relocation of furniture within the university, relocation of furniture and equipment for surplus off campus. In addition, Facilities also assists in setting up of university sponsored events.
Facilities does not have a moving crew. All moving services are contracted to outside vendors. Facilities is responsible for administering purchase orders to moving vendors and for managing and coordinating the moving process.
Customers are required to submit a Work Request to schedule moving services. Building Coordinators should not approve any Moving request. These are reviewed and approved by the Facilities Grounds Manager.
Please make sure to include the word "Moving" in the Location/Building field, on-line in the MainSaver Request for Service Form.
In general all moving is scheduled for Wednesday of every week. Therefore, it is most important that any request for services for moving is received at Facilities no less than 14 calendars prior to the desired moving date. This will allow Facilities to contact a vendor, complete the required purchasing process and schedule the move. Requests for assistance in setting up university sponsored events may require longer than 14 calendar day notice. Please contact Facilities main number 750-2850 to discuss specifics of the event with the supervisor of the Grounds area.
Building Coordinators are responsible for making sure that discarded furniture is NOT left in corridors or in stairways as this is considered a fire code violation. Building Coordinators are responsible for issuing a Request for Service to have discarded furniture removed from the building.
16

Campus Police
Safety and security on campus is a team effort. You can assist in maintaining a safe campus environment by avoiding risky behaviors. Following are some key safety tips for resident students, non-resident students, employees, and visitors. For additional safety information, please consult the WSSU Annual Security Report, available online from the Department of Public Safety Home Page or in printed form from the Department, the Admissions Office, the Employment Office, or the Library.
Vehicular Safety If you bring a vehicle to campus, lock it and safeguard your keys. When approaching your vehicle always look under, around, and inside to make certain no one is hiding. If your vehicle will not start or otherwise malfunctions, be wary of accepting assistance from a stranger who just happens to be in the area. This person may have sabotaged your vehicle in the first place. If you find that your vehicle will not start or you have locked your keys inside, call the Department of Public Safety by dialing 750-2900 or use an emergency callbox. Someone will come to your location and assist you. Property Safety While on campus, do not leave your possessions lying around unattended, especially in the library or eating areas. A backpack or purse further away than the length of your arm is unattended. Do not leave expensive items exposed inside your parked vehicle. Lock such items in the trunk. Personal Safety If you are on campus after dark, do not walk alone. If you are not with a group, call the Public Safety Department for an escort. Never impair your judgment or ability to think clearly by using alcohol or drugs. Report any suspicious conditions to the police by dialing 336-750-2900 or by using a call box. Resident Students Lock your room at all times, even if you anticipate being gone for just a minute. Report lost keys immediately and get replacements. Do not leave the room unlocked because you or your roommate has lost the door key. Never prop open the building exterior doors. Do not let strangers enter a residence hall behind you when you open the door to let yourself in the building.
