    Broker Xchange The QBE Broker Xchange website allows brokers to login to load and view their client’s policies and claims online at any time (24/7). To access the QBE Broker Xchange, either:

    • Google search for QBE Broker Xchange or

    • enter the following URL: https://brokers.qbe.co.nz/Nexus/default.aspx

    1.0 Login a.) To login, select the Login link on the

    top right of the Broker Xchange Home screen, or use the quick links at the bottom of the page

    b.) Enter username (which is your email address) & password

    If you do not have a username or password please email [email protected].

    If you have forgotten your password, click ‘forgot your password?’ link and follow the prompts to reset your password.

    2.0 Quotes and policies

    To start a new quote, select the Quotes and policies tab at the top of the Home screen, or follow the quick links to take you to this page.

    2.1 Finding or adding a client

    a.) Select ‘Find / add client’

    b.) On the next screen enter your

    client(s) name(s)

    c.) then click ‘Check for client’

    This needs to be the exact and legally correct name of your client(s).

    d.) If your client does not yet exist, a

    message will appear saying that there are no existing clients found with that name.

    Remember to make sure the name is spelt correctly.

    To add a new client

    a.) Select the ‘Create a new client called [client name]’ link under Add a new client. The client will then be created.

    b.) Once client name and client code

    appears, click on ‘New Quote’ to load New Business into Broker Xchange

    c.) If your client(s) does exist your client(s) name(s) will appear as shown

    From here you can do one of the following: • View client • Load new quote

    3.0 Home and/or Contents Quote/policy Follow these steps to generate a new quote for Home and Contents.

    a.) Click on ‘New Quote’

    b.) Select ‘Domestic Home and Contents’

    c.) Select Underwriter:

    Always select ‘Sandra Bees’

    Please ensure you use Sandra’s name as this impacts referrals and reporting

    d.) Enter “Cover start date’; the ‘Cover end date’ will automatically populate

    e.) Click ‘Next’

    f.) Select the cover option your

    client(s) requires

    g.) Under ‘Location Details’, start typing

    in the house address and/or address for the contents. The drop down box will begin to automatically populate with options

    h.) Click on the appropriate one that applies to your client

    i.) If the correct street address does not appear (i.e. it is a new subdivision), click ‘Unable to find address’ and manually enter the address details

    j.) Click on appropriate ‘Occupancy’

    k.) Click the check box if House risk has ‘Town Water’ supply or leave unticked if the property runs on tank water

    3.1 Home Quote Follow these steps if you would like to obtain a Home insurance quote.

    a.) For ‘Maximum Sum Insured’ select the appropriate CAP Level

    b.) For ‘Home Excess’ select the

    appropriate Excess option

    c.) For ‘Year Built’ select the year the

    house was built. If the home was built ‘Pre-1945’, additional questions will need to be answered. Please provide details where the response is ‘Partially’.

    d.) Enter ‘Number of Dwellings’

    e.) Enter the square metre size:

    • Main Dwelling Size (sqm)

    • Secondary Dwelling Size (sqm) – This is to be completed if more than one dwelling on the property (this includes all self-contained units)

    • Total Size of detached

    outbuildings (sqm) – This includes garages, carports, large sheds and sleep-outs

    f.) If there is nothing noted on the LIM report or Entry on the Title, please leave box unticked

    If there are details noted on the LIM report or Entry on the Title, please tick the box and provide full details.

    3.2 Contents quote Follow these steps if you would like to obtain a quote for Content insurance.

    a.) Enter ‘Contents Sum Insured’ and select ‘Contents Excess’

    b.) Enter alarm details

    3.2.1 Adding specified items

    c.) To add specified item click ‘Add’

    d.) Select ‘Item type’, enter details and

    click ‘Save’

    3.3 Home and Contents – General Questions

    a.) Please insert your client’s Date of Birth

    This is a rating factor so the correct Date of Birth is important

    Date of Birth for the Secondary person insured is not as important, but you may want to input those details for your records.

    b.) Complete your client’s history

    questions, providing details where applicable

    3.3.1 Adding an interested party

    c.) To add interested party, tick the box and click ‘Add’

    d.) Enter in the interested party details:

    • Name – Enter Interested party

    • Country – New Zealand

    • Reference/Item

    3.3.2 Calculating premium

    e.) Click ‘Calculate’ under Premium Details, this will calculate the Company Premium

    f.) If more than one dwelling is insured

    please ensure the correct levies are shown, if not you will have to refer to QBE to adjust this for you

    If you see $0.00 as Company Premium this could be for one of two reasons:

    • There is information missing i.e. General Questions not answered, or

    • The policy needs to be referred to QBE to be underwritten – the information will be displayed at the bottom of the page in both instances

    3.3.3 Declaration

    g.) Read the ‘Declaration’ and then click ‘Next’

    Once you have clicked ‘Next’ it will save the quote you have entered

    3.4 Saved quotes You can do the following to saved quotes:

    • Edit information on first page

    • Accept Quote (Bind) if policy does not need to be referred

    • Submit referral if would like QBE to

    review by your request

    3.5 Referrals – Automated If the policy has to be referred, due to the information provided, you will only see the ‘Submit referral’ button

    Once you have clicked the ‘Submit referral’ button and your quote has been referred, the details on your screen will now look like this, with a status of ‘Underwriter Processing’

    3.6 Referrals – Manual If you want to submit a manual referral click ‘Submit referral’ - Type your message in the text box and click ‘Proceed’

    3.7 Accepting the quote and binding the policy If you wish to bind the policy click ‘Accept quote’ and the below box will appear click ‘Proceed’ if you wish to accept the quote

    Now that you have bound the business, you can download, print and email yourself the following documents:

    • Certificate of Currency

    • Proposal

    • Schedule

    • Wording

    4.0 Motor vehicle quote/policy Follow these steps if you would like to obtain a quote for Motor insurance.

    a.) Click on ‘New Quote’

    b.) Select ‘Domestic Motor Vehicle’

    a.) Select Underwriter:

    Always select ‘Sandra Bees’

    Enter ‘Cover start date’ and ‘Cover end date’

    Click ‘Next’

    a.) Under ‘Location Details’, start typing

    d.) Enter motor vehicle details : Year,

    Make, Model and click ‘Find’

    e.) Select the correct vehicle – the key characteristics to ensure are correct are : • The cc rating • Body shape • Engine type (Turbo = True)

    Vehicle type is a significant rating factor so it is important to get these key characteristics correct.

    f.) Enter Registration, Sum Insured and Vehicle Type only (Sedan, Wagons) (Truck, Van & Ute) can be selected

    g.) Select where the vehicle is kept.

    h.) Enter any modifications or non-standard accessories if applicable.

    i.) Tick the box for Discount for name drivers (maximum 2 drivers, aged 25 years or over). Tick Discount for excluding drivers under 25 years, which will apply a further discount.

    j.) Enter Driver Details To add driver details click ‘Add’ and enter details of driver, then click ‘Save’. Repeat to add additional drivers.

    k.) If ‘use of vehicle’ differs from that which is outlined in the policy wording, please select ‘yes’ and provide details in the text box provided

    4.1 Adding an interested party

    a.) To add an interested party, tick the box and click ‘Add’

    b.) Select the excess option

    c.) Enter number of years since the

    driver’s last claim

    Please ensure this information is correct, e.g. if the main driver is 21 years of age or younger, they cannot have a 4 year claim free driving record.

    d.) Complete your client’s history

    questions, providing details where applicable

    4.2 Calculating premium

    e.) Click ‘Calculate’ under Premium Details, this will calculate the Company Premium

    If you see $0.00 as Company Premium this could be for one of two reasons:

    • There is information missing i.e. General Questions not answered, or

    • The policy needs to be referred to QBE to be underwritten – the information will be displayed at the bottom of the page in both instances

    4.3 Declaration

    f.) Read ‘Declaration’ and tick box and click ‘Next’

    Once you have clicked ‘Next’ it will save the quote you have entered

    4.4 Retrieving saved quotes Refer to 2.1 Finding or adding a client Follow steps a), b), c) and f).

    Select ‘View Client’ You will see a list of the policies quoted, simply select the relevant policy and you can do the following:

    • Edit information on the first page • Accept the Quote (Bind) if policy does not need to be referred – see Accepting the quote and binding the policy • Submit a referral if you would like QBE to review the details – see Referrals – Automated or Referrals -- Manual

    5.0 Retrieving a quote which has been referred You will receive an email to say QBE has accepted your referral.

    a.) If QBE has approved your quote

    you will see ‘Underwriter Accepted’ in the status section

    b.) Click on the policy, this will take you

    to the screen where you can see the Terms given by QBE in the ‘Underwriter Notes’ section.

    From this page you can also:

    • Edit the quote • Accept the quote • Edit and re-submit the quote for

    referral

    6.0 Midterm adjustments/ Endorsements Once a policy is ‘live’ you can make some changes You cannot make cancellations at this time

    a.) Please follow steps within the Finding and adding a client section of this document

    b.) Click on the live policy that you would like to endorse

    c.) Click ‘Update cover’

    d.) Select effective date of

    endorsement, then click ‘Next’

    e.) You can update the cover details in

    this section

    For an example:

    • You want to change the ‘Maximum Sum Insured’ to a higher CAP from $350,000 to $750,000, or

    • Change a vehicle

    6.1 Removing a specified item

    a.) Click ‘Edit’ and click on the drop down option

    b.) Select appropriate

    option/reason for item being removed, then click ‘Save’

    c.) Click ‘Calculate’

    The adjusted Company Premium will show if no referral required - if Company Premium shows $0.00, a referral is required and the reason for the referral will show at the bottom of the page.

    d.) Click the second box of the

    ‘Declaration’ and click ‘Next’

    e.) If no referral is required, Click ‘Accept MTA quote’

    f.) If a referral is required , Click ‘Submit referral’

    Refer to ‘Retrieving a quote which has been referred’ to retrieve your MTA/endorsement referral.

    7.0 How to load a claim There are two ways you can lodge a claim

    Refer to ‘Finding and adding a client’ to find the policy number for which the claim is to be loaded against. Private Motor Vehicle claims cannot be loaded via this system at present, please lodge claim as per the current procedure

    Option 1

    a.) Via ‘Quotes and Policies’ tab - Click on ‘Quotes and policies’ and find your client

    b.) Select the policy number the Claim is to be lodged against

    c.) Click ‘Add claim’

    d.) Enter Date of loss.

    Please ensure you select an accurate date of loss. Once selected, the date of loss cannot be amended

    e.) Click ‘Find’

    Option 2

    a.) Click the ‘Claims’ tab

    b.) Click on ‘Add claim’

    c.) Enter the policy Number and enter Date of loss.

    Please ensure you select an accurate date of loss. Once selected, the date of loss cannot be amended

    d.) Click ‘Find’

    e.) Click on the policy Number

    f.) Select ‘Claim Handler’ - Home and

    Contents is Charlotte Benn

    Please ensure you use Charlotte’s name as this impacts the claim notification process

    g.) Select ‘Primary cause’

    h.) Click ‘Secondary cause’

    i.) In the description field note reason

    for claim and click ‘Next’

    j.) Click ‘Next’

    k.) Complete the General details fields:

    • Territory of loss – New Zealand

    • Jurisdiction – New Zealand • Broker ref. – Your reference

    l.) Click ‘Add’, if you have any parties

    details to add

    m.) Click ‘Add’ if you have any

    documentation you would like to attach i.e. pictures of damage, attached document/s and click ‘Save’

    n.) If you have a repair invoice from i.e.

    a builder you can enter the details into the below box

    o.) Tick box and click ‘Next’

    p.) Click ‘Submit claim’

    q.) If you have any further information,

    please provide it in the field supplied and/or click ‘Submit claim’

    7.1 Viewing existing claims To view any claims you have lodged against a policy Number click on ‘View claims’

    Here you can view all claims and current pending claims

    7.2 Selecting a claim Choose the claim from the list by clicking on your client’s Name showing in bold

    8.0 Navigating the claims screens You can now click on the various tabs to see claim information, payment history and any documents should they be available
