Title of Module: Manuscript and Certification
The purpose of this module is to read a list of glossary terms the student will need to know. They will also demonstrate proficiency of the literary braille rules through examining two different mock manuscripts. The students will be given different situations and the
answers on how to transcribe these issues.

Classroom Preparation – steps to follow when setting up the learning environment
1. Each workstation should have a computer, a braille writer, a slate and stylus, an LOC
Manual, an EBAE, a means of communicating with the embosser and printer (network
or thumb drive), braille paper (not-tractor feed), a braille eraser, pen/pencil, notebook,
and highlighter.

PREINSTRUCTIONAL ACTIVITIES
The instructor will be familiar with the handout Appendix F Glossary for Transcribers from Braille Formats Principles of Print-to-Braille Transcription, 2011. This is a glossary of terms the students may come across in their braille career.
You will need copies of the handout: Glossary for Transcribers (71.A.1).
CONTENT PRESENTATION AND LEARNER PARTICIPATION
The instructor will pass out the handout to each student. As a class the students will go over this handout and look at the words and definitions. As an example, these definitions will help the students know the difference between poetry and
an epigraph.
Some reminders to the students:
“Although these definitions made seem redundant you will need to keep them handy as a help tool you when you are trying to decide how to transcribe the different types of print matter. You will have to know what each item is so that when it is transcribed the braille reader will know
what it is by the format.
You may want to write out the definitions you feel you need most next to the word in your literary book. This will allow you to have a quick
reference at your fingertips.”

Each print page will be followed by a braille page. This will allow the students to look at the braille and the print at the same time to compare the text. Most publications for braille are set up like this. This arrangement allows a line-by-line assessment with explanations to help the students understand the various format, contraction usage, special symbols,
headings, etc.

As a class, the students will go over the print and braille text in order to grasp the various items they will have to transcribe in their manuscript. This file starts with the title page and contains all of the preliminary pages needed, plus the first page of text.
The instructor will say to the students (before the students study the packet):
“Since formatting and transcribing a book can be a complicated task we have selected two books in which to analyze. The first book we will research is called
Karla Faye Tucker Set Free.
This is a mock manuscript of the Karla Faye Tucker Set Free book to help you see how your trial manuscript is supposed to look. This mock manuscript is a valuable tool for you to look at now and in the future. Until you fine tune your understanding of the title page and preliminary page you will have this as a help
tool, along with the LOC rules.
You can open your package and see that each print page has a corresponding braille page. You will want to lay these open so you can view both the print and braille text at the same time.
This package starts with the title page. Remember that the Library of Congress requires the title page to be centered. This is a thorough explanation of the title
page, but if you have questions please stop and ask.”
At this time the students will study the packet.

pages and special symbols, to making sure the contractions you are using can
actually be employed.
Remember that a braille transcription has an order for everything. One thing you will want to pay attention to is the sequence of each item according to the LOC
rules. This way you will not have any points deducted on your manuscript.
It is very easy to reverse characters, like the letter sign or the two cell transcriber’s
note symbol. You will want to make sure you have the correct dots in every cell.”

FORMATTING A MANUSCRIPT:
KARLA FAYE TUCKER SET FREE (71.B.1)
The certification manuscript must consist of at least 35 full braille pages which is approximately 875 lines of text, including preliminary pages, taken from a general reading book. Several partial pages can be added together to total 25 braille lines, to count as one braille page. If a transcription includes a dedication page that contains less than 25 braille
lines and all other pages are full then 36 braille pages must be submitted.
The Library of Congress requires that all manuscripts be prepared using literary- style pagination. The book used must also contain a table of contents. The LOC requires that
the braille title page be centered in format (19.2b(1)) and (20.4).
Paragraphs in general literary reading material are transcribed in braille with the first word of each new paragraph beginning in cell-3 on a new line. All of the following lines will then begin in cell-1. This rule applies even if the print text is in blocked form with blank lines between the paragraphs. Never leave a blank line between the paragraphs unless the print indicates a break in thought or scene with symbols, one or more blank lines, or extra
spacing (2.2).
When headings occupy an uneven number of cells so that it cannot be perfectly centered, move the heading off center by one cell to the left, so that the extra blank cell falls to the
right of the heading (17.1a) cross ref. (page xiv).
Since this serves as a test of the rules of literary braille format, a manuscript must be prepared using only the rules for literary braille. All manuscripts should be submitted in single-sided embossed form. Separate and remove all blank pages. It is not necessary for
the pages to be bound. If you choose to do so, then use a plastic-spiral binder.
An actual copy of the print book used for the certification manuscript or photocopies of each of the pages transcribed, needs to accompany the manuscript (20.1).
The book that is selected for the trial manuscript must contain a table of contents. The manuscript should resemble a complete braille book as closely as possible. It should be transcribed using a 40-cell braille line and it must have a running head. When the required number of pages has been transcribed, end at a logical place such as at the end of a paragraph. The words THE END must be placed on the last braille page and should be centered following a blank line. If the text ends on line 24 of the last braille page then no
blank line is left (19.9) and (20.2).
For the purpose of this exercise, only a few print pages from the books “Karla Faye Tucker Set Free” and “The Hidden Smile of God” have been selected.

PRELIMINARY PAGE— TITLE PAGE (19.2b)
The Library of Congress requires that each line of the title page of the certification manuscript be centered on the page. The items on a title page are usually grouped into the following sections, with a blank line between each section:
1) Title, subtitle, series name
2) Author's name
3) Publisher, copyright, reproduction notice, ISBN
4) Year of braille transcription, transcriber's name, group affiliation and address
5) Volume number and braille page numbers
The title of the book is always listed on line 1 with the braille page numbers on line 25. If there is enough information to fill out the page in this way, leaving one blank line between groupings then place the word by on the line above the transcriber’s name. If more space is available then two blank lines may be left between groupings, starting at the bottom of the page and work up (19.2b (2)).
When there is more information than will allow for blank lines to be left between each of the groupings mentioned above, condense the information by placing the word by on the same line as the date of the transcription. Another line can be saved, if space is needed, by combining the publisher’s information (Published by followed by the name of the publisher and the first city and state if given). If even more lines are needed, some of the blank lines that separate the groupings may be deleted, starting at the bottom of the page and work up (19.2b (2)).
A question that has often been asked is “do you add the word ‘by’ when transcribing the copyright information on the title page”? Constance Risjord, co-author of the Instruction Manual for Braille Transcribing, Fifth Edition, 2009 was consulted regarding this and she states “there is no rule, but notice that all the examples that we have of title pages use ‘by’ for the publisher, copyright, and transcriber.” This is preferred because it’s consistent.
However, you learned in 8.1e that when the word by occurs at the end of a braille line and there is room to spell it out, it is preferable to contract it and join it to the next word on the next line. On the title page, when the lines are centered, it is often clearer to spell out the word by. Whether you choose to contract and join or spell it out you need to be consistent and braille the word by in the same way wherever it occurs on the title page (with publisher, copyright and transcriber information).
Every certification manuscript must be prepared using literary-style pagination. The actual print page number is ignored because the preliminary and text pages are numbered consecutively with only braille page numbers. The braille page numbers are placed at the right margin of line one on every page (19.2a). 71.B.1

Regardless of where a dedication is placed in a book, it is always placed immediately following the title page in braille as a preliminary page in Volume 1 only. The format for a dedication is to be centered vertically on a page by itself, the lines may be centered, indented as a paragraph, or blocked at the left margin. You must follow the indention pattern in print as closely as possible in braille (19.2c).
Because the example dedication page consists of less than 25 braille lines it is treated as a partial page. Therefore, an extra braille page must be added to complete your manuscript.

LINES 2-5 — The necessary blank lines to center the dedication vertically (19.2c).
LINE 6 — Center heading: capitalize as shown in print (17.1a) and (19.2c).

LINES 8-13 — In this example, the text is centered and indented because that is
how it appears in print. It is important to maintain the line by line
alignment of the braille as close as possible to the print text (19.2c).
LINE 14 — A blank line is left between paragraphs because it is following
print.
LINES 15-20 — The lines of the text are centered and indented following print as
close as possible for the line per line alignment (19.2c).
LINES 21-25 — The dedication needs to be centered vertically (19.2c).
In the example there are 4 blank lines left at the top of the text and
5 blank lines left at the bottom of the text. When it is necessary to
divide an uneven number of lines leave the greater number at the

For the purpose of the trial manuscript, the Table of Contents page in braille will only contain the chapters and pages that actually appear within the pages of the manuscript. Do not braille the entire table of contents. Substitute the appropriate braille page number for the page number shown in the print table of contents. Since the manuscript consists of only one volume there is no need to center the heading Volume One as it normally would be done in a complete transcription of an entire book (20.4).
LINE 1 — Running head (17.1d), Preliminary page number (19.2a).
LINE 3 — The heading Contents is centered and follows print capitalization.
Print should be followed if there is a different word used in place of
Contents. (19.2f (1)).
LINE 5 — Place the word Page at the right margin. If print includes the single
word Chapter, Essay, Stories or a similar heading preceding each
listed item, that heading should be placed at the left margin on
the same line as the word ‘Page’. If no heading appears in print as in
the example, do not add one in braille (19.2f (1)).
LINES 6-7 — Foreword and acknowledgments are major divisions and should be
separated from the rest of the items in the table of contents by a

Include this material on a preliminary page after the Table of Contents page (19.2).

preceding it and three blank cells between the end of the title and

When transcribing a publication that is primarily devoted to
religious topics and contains numerous biblical quotations, as
shown in this example, use the following guidelines to condense
the spelled-out book names:
Print should be followed and a space left between the name and the following chapter number.
The chapter number and verse(s) are transcribed using a number indicator with each and leaving no blank space
between the two.
When condensing, do not divide the chapter and verse between braille lines.
Print colons and commas are ignored.
Arabic numbers are substituted for roman numerals.
Regardless of print, hyphens are used to join verses to verses and chapters to chapters.
A dash is used to join verses to chapters.

Regardless of where a dedication is placed in a book, it is always placed
immediately following the title page in braille as a preliminary page in Volume 1 only. The
format for a dedication is to be centered vertically on a page by itself, the lines may be
centered, indented as a paragraph, or blocked at the left margin. You must follow the
indention pattern in print as closely as possible in braille (19.2c).
Because the example dedication page consists of less than 25 braille lines it is
treated as a partial page. Therefore, an extra braille page must be added to complete your
manuscript.
LINE 1 — Running head (17.1d), Preliminary page number (19.2a).
LINES 2-10 — Necessary blank lines to center the dedication vertically (19.2c).
LINES 11-16 — In this example, it was decided to center the text as in print and
follow print as closely as possible for line alignment of the text
(19.2c).

(19.2c). In the example there are an equal number of blank lines at
the top and at the bottom. When it is necessary to divide an uneven

For the purpose of the trial manuscript, the Table of Contents page in braille will
only contain the chapters and pages that actually appear within the pages of the
manuscript. Do not braille the entire table of contents. Substitute the appropriate braille
page number for the page number shown in the print table of contents. Since the
manuscript consists of only one volume there is no need to center the heading Volume
One as it normally would be done in a complete transcription of an entire book (20.4).
LINE 1 — Running head (17.1d), Preliminary page number (19.2a).
LINE 3 — The heading CONTENTS is centered and follows print capitalization.
Print should be followed if there is a different heading (19.2f (1)).
LINE 5 — Place the word Page at the right margin. If print includes the single
word Chapter, Essay, Stories or a similar heading preceding each listed
item, that heading should be placed at the left margin on the same
line as the word Page. If no heading appears in print, do not add
one in braille (19.2f (1)). In this example the word Chapter is
repeated therefore, it was necessary to move to line 5 to avoid
duplication.
LINES 6-9 — Preface, acknowledgments, and introduction are all major divisions
and should be separated from the rest of the items in the table of
contents by a blank line. The format for these listed items is 1/3 since
there are no subdivisions in the entire table of contents. (19.2f(1)).
LINES 11-13 — Print shows only main entries throughout the entire table of contents.
Therefore, the format for every listed main item is 1/3 (19.2f(1)).
Do not use emphasis indicators for print italics except where needed
for distinction. In this example ignore italics for the chapter headings,
(19.2f); these headings are not in italics throughout the book either.
Guide dots are used between the chapter title and its page number
whenever at least two dots will fit between them (19.2f (1)).
Runover lines. When a listed item takes more than one line, the
runover lines are blocked in cell 3. The page number and guide dots
(if used) are placed at the end of the line on which the item ends.
There should be at least six blank cells at the end of every line that
does not end in a page number as shown in lines 8 and 12 in this
example (19.2f(1)). All page numbers should be substituted by the
braille page number in which they appear in the braille edition

An epigraph is a short introductory statement, often a quotation or motto placed at the beginning of a book, a book unit, or chapter. In this example it is located on a page by itself after the Table of Contents but before the beginning of the narrative text pages. Therefore, in braille, it is centered vertically on a page by itself and paginated as a preliminary page. The capitalization of each line indicates that it is written in verse style (19.2h(5).
When poetry shows an indented pattern (as in this example) braille should follow print. The transcriber’s decision was to left align all epigraphs throughout the book (18.2b).
LINE 1 — Running head (17.1d), Preliminary page number (19.2a).
LINES 2-10 — Necessary blank lines to center the epigraph vertically the same as
with a dedication (19.2c).
LINES 11-14 — The epigraph in this example is written in verse showing an
indented pattern. In braille, follow print for the indention. The first
indented line starts in cell 3. Each further indention starts two cells
to the right. Runovers of all lines in the entire poem start two cells
to the right of the beginning of the farthest indented line (18.2b).
LINES 15-16 — The Attribution or name of the author of the work, also known as a
credit line is placed in braille beginning four cells to the right of the beginning of the preceding line. In this case the preceding
braille line started in cell 7. Therefore, the attribution begins on
cell 11 on the line immediately below it. The entire attribution
should be blocked. Follow print for the punctuation (17.6a).
LINES 17-25 — Necessary blank lines to center the epigraph vertically. In this case
9 lines were left at the bottom of the page and 9 lines at the top of
the page. Whenever, an uneven number of lines are left, leave the
greater number of blank lines at the bottom of the page, for balance

If they are too long to both fit properly centered on the same line then the number must be centered on one line and the chapter title centered on the next line.
