1.1 Introduction

Fit-out Services Division under Reliable Group. The division that approves and monitors all the fit-out and retrofit activities of the Occupants at their premises in buildings under the different ownership and management of THE COMPANY.

In order for the occupation of the premises to be successful, your interior design and fit-out needs to meet your specific business requirements, service the needs of your staff/visitors and comply with health & safety regulations. The fit-out of the premises also needs to complement The Company‟s design strategy and the statutory regulations.

THE COMPANY’S Fit-out Division has developed this Manual to guide you through the Fit-out implementation process, rules, regulations and other requirements.

All occupants shall provide to their respective architects, consultants, designers, space planners, etc., a copy of the Fit-out manual, outlining the respective occupant’s responsibilities prior to proceeding with any work.

THE COMPANY reserves the right, from time to time, to add to or amend the information, procedures and regulations contained herein. It shall be the responsibility of each occupant to keep themselves informed of all such additions/ amendments from time to time, which shall be made available at the office of the Facilities Management Operator (FMO/ FOS) on the site.

1.2 Purpose of the Manual

This Manual aims to assist the Occupants of “CloudCity” and their vendors to understand our fit-out process, rules, regulations etc. This Manual is intended for:

All Occupants of “CloudCity”.

Existing Occupants undertaking minor upgrades or retrofits.

All Interior Design Consultants, Fit-out Contractors, Fit-out Subcontractors, Space Planners, etc., who design and execute the fit-out works for “CloudCity” Occupants.

Occupants shifting their premises within the building.

Please pay special attention to and comply with all sections in the Fit-out Manual / Technical Specifications.

1.3 Scope of Fit-out Services

This Manual contains general information, steps and guidelines which have been established by THE COMPANY Fit-out Services Division to assist you in the fit-out of your premises and to notify you of the basic The Company design specifications for the premises. The Occupant shall be responsible for ensuring that their design team and fit-out contractors have a copy of this Manual and that they comply with the requirements detailed within.

The provisions contained in this Manual form part of the agreement for lease/sale between THE COMPANY and the Occupant, unless otherwise agreed in writing. If any event or any matter herein conflicting with any provision(s) of the agreements for lease/sale, the agreement for lease/sale will take precedent.

This Manual shall apply to all Occupants of “CloudCity” for all new fit-out works, fit-out additions, fit-out modifications etc. which includes but not limited to the following:

Architectural/Partitioning works

Structural addition/modification works

Interior finishes such as flooring, ceiling, painting etc.

Mechanical, Electrical and Plumbing (MEP) works

Telecommunication and Data modifications

1.4 Parties Involved in the Process

For all kinds of fit-out or modification works at the premises to be carried out smoothly and effectively, the

following parties who are involved in the fit-out process shall work together:

Occupant

“Occupant” means, as the context requires, one or more of the following:

The purchaser/Licencees of the premises; The person for the time being in occupation of the premises; All employees, workmen, agents, and other parties acting for, through or under the purchaser and/or the

person for the time being in occupation of the premises.

You are responsible for making sure all requirements under your sales terms are met. This Manual will guide you to achieve these requirements in relation to your Fit-out. You are also responsible for the selection of appropriately qualified and insured Designers/Contractors.

Fit-out Agents/Consultants/Contractors (FAC)

Interior Designers appointed by the Occupants will act as their Fit-out Representative who produces concept design, detailed design drawings, design submission etc. The company will carry out the registration process of FAC’S The Fit-out contractor and Subcontractors appointed by the Occupant or their representative executes the approved fit-out design proposals in close coordination with The Company Fit-out Services Division.

THE COMPANY Fit-out Services Division (FOS)

The Fit-out Services Division is involved in overseeing the fit-out process requirements of the Occupant starting from facilitating the approval of drawings, site inspection of fit-out works and assisting to receive the Fit to Occupy certificates.

Facilities Management Operator (FMO)/ The Company-REIPL/ RSPL

Appointed by the Company to oversee general administrative activities during execution of the fit-out works and to provide all necessary coordination for connection and disconnection of base building facilities such as power, HVAC, water supply, drainage, etc. for the Fit-out contractor as and when required.

2.1 Fit-out Process

The Occupants are required to follow steps of our Fit-out Process, after the Premises Handover procedure by The Company Fit-out Services Division, for a smooth transformation and safe occupation of their leased/sold premises.

2.2 Security Deposit, Fit-out Construction

The Occupant has to pay the required interest free security deposit to the Company Fit-out Services Division/sales who will control the fit-out works, update drawings, manage associated documentation and undertake regular safety and compliance inspections. In the event the Occupant has damaged the premises while carrying the Fit-out Construction then the entire damage firstly need to rectified by the Occupant to the satisfaction of the Company within 7 days of such damage, failing to which the Company shall make good such damage from the Security Deposit and the Occupant will have to redeposit the fresh Security Deposit with the Company.

The security deposit will be refunded to the Occupant only after the Company FOS Division or the FMO has confirmed in writing that no damage has been caused to any part of the Commercial Building or to any part thereof or to any part of the complex and that the fit-out work has been carried out as per the approved drawings.

Note: All security cheques furnished by the Occupant shall be in the mode of Cheques/Demand Draft from any scheduled bank.

2.3 Handover of Leased/Sold Premises

The newly leased/sold premises will be properly handed over to the Occupant by the Company Project/Fit-out Services Division. The Fit-out Coordinator will conduct a joint inspection with Occupant and the snags will be recorded using Premises Handover Checklist (F-FOS-01)

The keys of the premises will be handed over to the Occupant after rectification of the snags to the entire satisfaction of the Occupant, who then follows the steps of our Fit-out Process. (Please refer Section 5.4 - Key Management Policy)

2.4 Design Drawings Submission Requirements

2.4.1 Base Building Information

The Occupant will obtain on request from the company, any architectural, mechanical, electrical and plumbing, low

voltage, fire alarm and suppression system drawings of its premises indicating the major elements of the base

building structure and systems to assist the Occupant in the production of working drawings. Additional drawings or

information which the Occupant may reasonably require for this purpose may be obtained from THE COMPANY FOS

division at the Occupant‟s expense.

2.4.2 Review and Approval of Occupant Drawings

All architectural, structural, mechanical and electrical, low voltage, fire alarm and suppression system drawings will be

reviewed by the Company consultants and architects. The drawings submitted by the Occupant will be reviewed and

commented upon within a reasonable period unless, in the Company‟s opinion, there is a need to seek the opinion of

either the Company‟s architect for the building complex or a consultant or any other external agency. After such

review, the plans may be approved with or without conditions or may be rejected. The record of all such reviewed

drawings will be maintained with the Fit-out coordinator at the site.

2.4.3 Fees, Charges for Review and Approval of Occupant Drawings

Generally there will be no fees payable to the company for the vetting and approval for fit out plans and specifications

by the Company. However, should the Company, at its sole discretion, consider it necessary to seek advice or

approval of its consultants or the Company‟s architect for the building complex and/or any other consultants/advisors,

the Occupant will be required to pay any fees which become due on account of or arising from such external

consultation.

2.4.3 Documents and Drawings Requirement

The Occupant shall submit to THE COMPANY for its approval the following:

2.4.3A Conceptual Design Package

The Occupant shall submit the Conceptual Design on receipt of Fit-out Invite Package. The Occupant shall submit 1

(one) set of soft copy in AutoCAD format in a CD and 3 (three) sets of prints of work proposed for the respective

premises at a scale of 1:100 with details of the authorized consultants. The copies shall be signed and stamped by

the Occupant‟s authorized representative.

The following is a list of items of information to be included in the Conceptual Design Package:

1. Layout Plan –including partitions layout. 2. At least 2 typical sections- indicating height of partitions and material used for partitions. 3. Suspended ceiling plan with details of ducting. 4. Reflected ceiling plan with sprinkler location, smoke detector. 5. Floor finishes plan. 6. Plumbing layout. 7. Premises entrance design and Signage design. 8. Load requirement- HVAC and Power.

2.4.3B Construction Drawings/As-built Submittal Package

The Occupant shall submit to the Fit-out Coordinator for the Company’s written approval the Construction Drawings/

As Built Submittal Package that will include 1 (one) set of soft copy in AutoCAD format in a CD and 3 (three) sets of

prints of all fit-out work proposed for the premises in a scale of 1:100 duly stamped and signed by the Occupant.

Upon approval (with or without conditions) or rejection, 1(one) set of prints will be returned to the Occupant bearing

THE COMPANY’s comments, conditions if any, and stamp of approval or rejection, as the case may be. Any revision

to the drawings approved by THE COMPANY irrespective of its nature and magnitude must be resubmitted to THE

COMPANY for approval.

The following is a list of items of information to be included in the Construction Drawings/As-built Submittal Package:

1. Existing As-built Drawings for the premises.

2. Key Floor Plan indicating premises location

3. Architectural/Partitioning Layout indicating all dimensions

4. Flooring/Furniture Layout indicating Floor Service Box locations

This section of the Manual outlines the general rules and regulations of fit-out works in terms of health and safety of the premises and the occupants set by THE COMPANY FOS illustrating various aspects to be followed by the Occupant and their FACs during the work execution at the premises to avoid health, safety and environment issues.

3.1 Working Hours

Working time is 07:00 am – 07.00 pm for seven days a week except for public holidays & holidays declared under the Negotiable Instruments Act.

Working time can be revised after permission from FOS Deliveries and removals including debris should be as follows: Monday to Friday: Between 07.00 am to 07.00 pm. For weekends the work can be carried out full day from Saturday evening 7PM till MONDAY morning 7AM. All noise work activities should be carried between 07.00pm to 07.00am .

3.2 FAC’s Conduct

The FAC must follow and ensure its operatives abide by the following code of conduct during the fit-out works at the premises are in progress:

Site operatives shall utilize only the site latrine/ablution facilities provided. Any person found abusing the

premises would be removed from site immediately.

Smoking on site, eating pan/gutka is strictly prohibited and adequate signs should be posted in visible areas on

site. Cooking on site is strictly prohibited.

There will be no sleeping allowed at the premises. Drinking alcohol is strictly prohibited, any person found abusing the premises would be removed from site

immediately or work will asked to be stopped by THE COMPANY. No worker is allowed to be bare-footed or unclothed when walking around or outside the fitting out area. Shall follow all Health Environment and Safety (HES) rules.

3.3 Statutory Obligations and Labor Laws

The compliance with all statutory obligations including but not restricted to Work Men compensation Act, ESI, and EPF

etc. will be the responsibility of the Occupant.

3.3.1 Illegal Workers

Occupant‟s FACs shall ensure that no illegal workers are employed for their work in the building. Any worker employed

shall at all times carry with them their valid work permits issued by the relevant authorities.

3.4 Breach of Rules

If the FACs contravenes any rules or regulations contained within this Fit-out Manual including, but not limited to health and safety, activation or modification of fire alarm systems, relocate floor boxes on (power & data) and fire fighting shutoff leading to draining of pipes not duly approved, THE COMPANY reserves the right to penalize and suspend fit-out works any time. The Company will be the sole discretion for the penalty fee.

This is also applicable in cases where the FAC blatantly ignores THE COMPANY instructions or fails to adhere to acceptable working practices.

Access to areas which are not usually accessible to occupants and remain locked including the rooftop terrace, AHU rooms, the plant rooms, common service corridors, control rooms, electrical panel rooms etc. (“Restricted Areas”), if required, a written permission has to be obtained from the FMO/FOS on a need to go basis for carrying out of any work approved previously.

Where the breach of rules impacts the safety or privacy of the premises by others then The Company, at their discretion, may insist that their representative is engaged on a full time basis to oversee the FAC‟s activities. The cost of this resource/s will be borne by the Occupant.

Should this action prove necessary, notice will be given to the Occupant in writing and no claims of any nature arising

from the action will be entertained by THE COMPANY.

3.5 Protection Measures

The Occupant shall ensure that no damage is caused to any surfaces or finishes of any parts of the commercial buildings or the common area and the Occupant shall be held responsible for any such damage. To avoid any such damage, the Occupant shall ensure that adequate surface protection is provided from the commencement to the completion of the Work.

The following protection methods may be used:

(A) Lift Lobby

Floor

All the common area flooring should be protected with vinyl sheet underlay and plywood on top. The floor must be clean before the protection is installed. Proper care shall be taken to protect the finishes of the same. Any damage caused to the finishes shall be rectified and set right by THE COMPANY or any agency appointed by THE COMPANY at the Occupant‟s cost.

Walls The Occupant shall arrange for the partition glass and common area false ceiling to be protected

with thermocol and bubble plastic up to its full height.

Door Jambs and Frame These may be taped with thick layer of bubble pack polythene vinyl sheet all around.

(B) Premises To Be Altered/ Fitted Out

Facade Glass The glass shall be protected with appropriate material placed away from the glass surface to avoid the possibility of heat entrapment and possible thermal stress breakage. The external structural glazing is coated on the inside to maintain the uniformity of color and shade. Use of adhesives or any other coating to the glass facade is not permitted. Any damage to the same by the Occupant and/ or FAC shall be rectified by THE COMPANY at the Occupant‟s cost.

Other Building areas/ HVAC systems The Occupant shall ensure that precautions are taken for the control of dust and debris created by the work process within the premises. Specific precautions must be taken to prevent dust and debris from being carried over into any other building areas including into building‟s HVAC systems.

3.6 Uniformity of Office Complex and Building Façade

3.6.1 Office complex:

The entire office complex is intended to have an integrated character and quality to meet highest standards. The Occupant shall not change or cause any change to the interior or exterior façade systems of the Office Building or the premises, or the color scheme, fittings, fixtures, and other amenities in the common areas in the Building or the Tiling/ lay-out of the compound of the building or make any change in the landscaping, gardens or any part of the complex in any manner whatsoever or in any manner alter the original appearance, nature or quality as intended by THE COMPANY.

3.6.2 Uniform appearance of building interior:

The Occupant shall not make any change or alteration in the location or appearance of the main entrance door to the premises or make any addition thereto or make any projection or alteration in the floor lobby/corridors.

3.6.3 Façade and Facade Glass:

The Occupant shall not extend windows or make any installations or additions to the premises which project or extend beyond the premises or make any change to the premises (including the exterior of the premises), or make any extension, increase, installations, additions or change or alteration in the exterior features, façade or elevation or the exterior appearance on any side of the building in any manner whatsoever.

Nothing should touch any part of the façade glass. Providing film of any kind is not permitted. However, screening/ shading can be done using window dressing subject to approval from the Company FOS division. Any form of signage on the façade is not allowed. Any damage / broken of Façade Glass to be replace by FAC/ Client at their Risk and Cost at any given point.

3.6.4 Window Mullions:

Drilling, cutting or any other action (e.g. taking support for resting/ hanging) on or otherwise relating to the mullions or the transoms is strictly prohibited.

3.6.5 Lighting:

The lighting system in the premises is to be installed in such a way that no lights shine directly out of the façade or in any other way that affects the external appearance of the building. Light per Density (LPD) shall be less than 0.8 watt/Sq. Ft.

The Occupant will be responsible for any damage caused by their workers and/or agents or by their contractors or suppliers to any part of the Commercial Building or complex, the premises of any other occupant of the building or to any external areas and facilities, attributable directly or indirectly to the Fit-out works or connected to the Occupant in any other manner. THE COMPANY may carry out all such works through its own approved contractors/ consultants. The Occupant shall pay to THE COMPANY such amount as may be determined by THE COMPANY as being required to rectify/ replace such damages.

3.7 Flex

To maintain the aesthetics and decor of “CloudCity”, the Occupant is required to cover the front and rear façade of their leased/sold premises opening in the common area from inside with flex during the fit-out period. The flex shall be of white color and shall not carry any branding or images. The Occupant is required to do the same before starting the Fit-Outs. This should only be removed after the completion of the fit-outs and clearance obtained from FMO/FOS.

In case of non-compliance for the same the Company will put up the flex and the cost of this will be debited to the Occupant.

3.8 Emissions from Work Area

In order to avoid nuisance to other occupants, the door of the fit-out premises MUST be kept closed at all times while the work is in progress. Dust and odour created by the fit-out works must be contained within the Occupant‟s premises. Noisy works and wet operations shall be controlled as per local Municipality Health and Safety standards.

A separate hot work permit is to be obtained for any hot work (like welding, steel work and gas cutting). FAC should bring along with him Fire Extinguishers, which have to be positioned near the hot work carried out. (Please refer Section 5.5 – Work Permit Guidelines).

3.9 Use of Elevators

The use of elevators within the building for labour and material transport will be restricted. Elevator operator will be available in the elevators designated for transportation of material. Under no circumstances will the F A C s and/ or their employees and workmen be allowed to use any elevator other than designated elevator. Under no circumstances will the elevator be operated in absence of elevator operator. The elevator shall not be loaded beyond its designated capacity.

Elevator floors, walls and ceilings are protected from damage during transportation of material, even though elevator surfaces may be provided with protection by THE COMPANY FOS division from time to time. Any additional protection required i n the opinion o f t h e Occupant or THE COMPANY FOS division to prevent damages shall be provided by the Occupant or Occupant’s FAC at its own expense, subject to THE COMPANY FOS division‟s approval.

Few main comments are as under:

Occupants are not allowed to use passenger lifts or escalators for the transportation of machines and

equipment and building materials. Occupant will be charged at cost if the Service Lift or escalators are damaged or mad e dirty by their

fitting out works and machines / equipment. All lift emergency exit doors inside Occupant‟s premises should not be covered up or altered if any.

Finishes on top of these doors should be approved by FOS division. Occupants have to submit loading sheets for heavy equipment to THE COMPANY or their representative

for approval prior to transportation. The Occupant or his representative should have the right of access to the lift / emergency exit doors

within the Occupant‟s premises in case of emergency. Affected Occupant will be notified in advance for the planned / preventive maintenance of lifts / device that requires the Occupant to provide access.

3.10 Storage & Handling of Materials

All items of plant, tools and materials brought on to the site are the Occupant’s FACs sole responsibility and must be stored within their premises which is being fitted out at all times. There is no storage area available on site outside the working area and the Occupant‟s FACs shall bring materials to site on day to day basis. Penalty will be imposed, if an Occupant is found storing material, equipments and tools outside their premises or in the common areas.

All loose materials including sand, cement, screed, plaster etc. must be delivered to the site "bagged" with prior arrangement in coordination with FMO/FOS. Storage and mixing of materials must occur within the Occupant‟s premises. All floors must be protected to prevent the possible seeping of materials into other areas outside the unit premises. While working in common areas, the FAC should take necessary precautions like the packing under the equipment kept in the area.

3.11 Debris Disposal

No accumulation of debris will be tolerated inside and outside of the demised premises. It must be regularly emptied so that there is no overflow of debris. Occupant/FAC is responsible to remove their debris in a timely and proper manner.

All the debris removal will be at the Occupant‟s expense. Debris must not be placed anywhere including in the toilets, refuge areas, or in the AHU rooms, within the premises or anywhere in the common areas including the lift lobbies, stairwells or common toilets nor dumped into any building ducts. Any abuse of the debris volume by the Occupant and his designated contractor will result in additional costs being assessed.

After removal of the debris, the Occupant/FAC shall restore all common areas to a tidy, broom swept condition. In the event that the area is left in an untidy condition, FOS Division may, without being obliged to do so, undertake the clean-up at the Occupant’s cost and expense.

3.12 General Works To avoid any fit-out debris/dust entering the air-conditioning equipment and adversely affecting its efficiency, air- conditioning system shall not be turned on while fit-out work is in progress and all inlet/outlet louvers must be properly sealed. The premises are expected to be kept clean, organized with materials neatly stacked and safe at all times during fit-out.

Slabs, columns, walls and beams must not be drilled, cored, cut, chipped or chased under any circumstances. Anchors into slabs & beams such as required for relocated, ductwork, suspended ceiling, etc. will be permitted but such anchors must be fully described in the drawings and specifications.

It is prohibited in any circumstances to join electrical wires or cables directly without using proper joint ferrules, connectors or cable joints.

3.13 Toilet Facilities:

Separate toilet facilities are available for workers as specified from time to time by the FMO or THE COMPANY FOS Division. Any worker found using toilets and other areas than those specified will be liable to be removed from the complex and may not be allowed to return.

3.14 CAM ( Common Area Maintenance ) Charges :

Power supply during fit- out period shall be taken by the Occupant from a service provider. All rules and regulations shall be followed as per the service provider‟s norms. The NOC shall be issued by the Fit-out coordinator to obtain the connection from the service provider. The bill shall be paid directly to the service provider by the Occupant. The safety of the meters and equipment and the rules and regulations for maintaining the safety of these will be the Occupant‟s responsibility.

THE COMPANY shall not be liable in any manner whatsoever, for any consequences arising out of the Occupant‟s use of electrical energy. The Occupant shall be fully responsible for the safe operation and security of his installations and the safety of personnel.

THE COMPANY will designate wet points where the Occupant/ FAC can obtain water for the works, if required. The FAC will be solely responsible for the collection, transportation and use of the water in a safe, clean and professional manner and any damage caused due to the miss use of water the sole responsibility of FAC.

Important Note: Under no circumstances are the hose reels or other parts of the fire prevention system to be used as a source of water for fit-out usage. For Occupants that will not be installing wet pantries or internal plumbing works, the Occupant must contact the FMO/FOS for access to other sources of water within their floor, if required.

3.15 No Liability of THE COMPANY, FOS/FMO or Consultants:

Neither THE COMPANY FOS Division, the FMO/FOS, nor any of the Company’s architects, consultants or agencies, nor the FMO and the FOS shall be responsible for any work carried out by the occupant and no liability shall attach to any of them by reason of any monitoring, supervision or review done or approvals given by any of them.

Approval of plans or grant of permission by THE COMPANY to carry out any work shall not constitute certification by THE COMPANY that the work is legally permissible or technically satisfactory.

Neither THE COMPANY nor the FMO/FOS shall be responsible for any delay in the commencement or completion of the work and the occupant shall not be entitled to delay or reduce or adjust payments of any amounts due and payable by the occupant under any agreement in respect of the premises or any other charges payable hereunder or under any other writing.

3.16 Penalty Matrix

FAC will be fined as per the penalty matrix stated above and the same will be deducted from the Security Deposit.

This is to clarify that any deduction from the Security Deposit need to be paid back to the Company within 3 days of the deduction so that the Security Deposit remains same as per the ratio od Rs. 100/sq.ft. throughout the Fit-out Period.

3.17 Utility Charges:

The electricity and water charges to be paid by FAC/ LICENSEE during and after completion of fit out as per actuals. For any additional services provided by FMO/FOS to the Occupant will be on chargeable basis.

3.18 Works to be carried Out by Specialist Contractors

The list of recommended contractors will be provided, upon request, to the Occupant at the time of possession (Units).The Occupant‟s FAC should take the initiative to coordinate with THE COMPANY Contractor(s) for the fit-out work.

It is advised that the following installations, addition, alterations and modification be undertaken by the contractors recommended by THE COMPANY in order to maintain the quality standards of the building:

a. Air conditioning and Ventilation systems including Smoke Extraction System –installation, addition,alteration and

modification to the existing system.

b. Fire Services System – installation, addition, alteration and modification to the existing system.

c. Electrical System – installation, addition, alteration and modification to the existing electrical equipment inside the Meter Room and LV Shaft.

d. Plumbing and Drainage System –installation, addition, alteration and modification to the existing system.

e. Building Management System –installation, addition, alteration and modification to the existing system.

f. Security and ELV Systems –installation, addition, alteration and modification to the existing security and ELV Systems inside the Meter Room / LV Room.

g. Public Address System – installation, addition, alteration and modification to the existing system.

h. Water proofing of toilets/wet pantries.

i. The occupant shall treat the RCC floor with chemical water proofing to avoid any kind of water leakage to

the floor below.

The occupant shall submit a guarantee certificate of 10 years for water proofing to the company. If any leakage or damage

due to leakages happens the same shall be recovered from the occupant.

k. Distribution of sprinkler lines both void the ceiling and down once would fall under the occupant‟s scope.

I. Before doing the flooring works/ screeding the tenant should make Vata near smoke seal to prevent water seepage/ leakage from

screeding or flooring through smoke seal & then can remove the same after completion of sceeding work.

m.The size of main entrance door of office should not be more than 8‟ X 8‟ including Fixed panel, Openable do or , Signage, Cladding,

Etc. for units which are parallel to passage area and for the units which are perpendicular to passage area size of main entrance door of

office shall be 6‟ X 8‟ including Fixed panel, Openable door, Signage, Cladding, Etc..

n. The timing for work in weekdays is after 7PM till morning 7AM and for weekends the work can be carried out full day from FRIDAY

evening 7PM till MONDAY morning 7AM.

o. Trap door to be provided 48inch X 48inch below the BTU meters.

p. Trap door to be provided below the façade light transformers.

q. Ventilation windows should be easily accessible from inside the unit. Please refer attached drawing for false ceiling details to be

followed at the façade end.

r. Occupants has to insulate the server and panel rooms.

s. Occupants will be penalized by Rs.1,00,000/-against any damage to mullion.

This section of the Manual outlines the particular information in terms of Architectural, Structural and Mechanical, Electrical and Plumbing (MEP) aspects by the Company illustrating various aspects to be followed by the Occupant and their FACs during the work execution at the premises.

Occupant‟s FACs are required to follow strictly the regulations set by the Company for Civil, MEP aspects of the fit- out works illustrated in Sections 4.2.

4.1 Architectural & Structural Works

The designer/contractor should consider and comply with the following key architectural and structural elements in

their interior design and during the fit-out works at site.

4.1.1 Architectural

Local Municipality (NMMC) regulations for internal spaces must be followed during interior fit-out design

and installations.

Division’s requirements for internal spaces, clear floor heights, lighting & ventilation openings, etc. as per their fit-out guidelines must be complied.

All internal partitions terminated to the glass curtain walls shall be aligned to the aluminum mullions as far as possible in order to protect external aesthetic view.

4.1.2 Structural

The FAC shall provide structural drawing layouts and specifications for any changes in the existing building structures with relevant NOC/approval from the main consultant of the building as per the following requirements:

No drilling, chipping, chiseling or coring in the structural members such as slabs, columns, core walls, shear

walls and beams etc.

Raised floors to be supported as per Developer’s recommended design if the dead load exceeds the limit. All materials to have a fire rating as prescribed by the codes and standards.

The gross weight of the partitions, furniture’s, fixtures, landscaping, water fountains and any new

features not to exceed the loads assumed during the original approval of the building.

No demolition of the structural members is permitted.

All fit-out works to have sufficient allowance for movement of structural members.

No pre fit-out works such as hammering, cutting, assembling etc. to be carried out inside the building during

execution, which may impair the structural safety and stability of the building.

Changes of wall cladding, floor finishes, thickness of screed, raised floors is all to be clearly mentioned in the drawings to check the conformance of load with originally approved ones.

Creation of new opening or closing of existing openings to be clearly mentioned and highlighted in the fit-out drawing submittals.

Partition loads not to exceed 1.5kN/m2 for other usage of buildings it has to conform to the originally approved ones.

Any new planted or floating columns to be shown clearly and the structural adequacy of the supporting members to be checked and all the supporting calculations to be submitted along with the necessary drawings stamped and signed by the main consultant of the building.

Any structural connection of fit-out works with the building‟s existing structural members to be highlighted

on the drawings and subject to NOC/approval of main consultant only.

Any modification or change of usage of building or part of building to be clearly highlighted and mentioned in the drawings.

Addition of unplanned mezzanine floors is not allowed.

Any drilling beyond the depth of 50 to 100 mm is to be clearly mentioned and highlighted. In case of post tension slabs, sufficient precaution is to be taken and well coordinated with the

structural consultants of the building while drilling holes or coring for fit-out works. No drilling should be done on PT lines & 100mm area near PT Lines.

A written NOC/approval is to be submitted from the main consultant or the post tension consultant, whenever deemed necessary.

Any damage will be repaired by the Company at the Occupant‟s cost under supervision of THE COMPANY representative.

4.1.3 Occupant Signage Outside the premises and Premises Entry Door

The details of the entrance doors & signages shall have to be approved by THE COMPANY. .

4.2 MEP Works

4.2.1 HVAC System

All the HVAC installations works should comply with relevant ASHRAE standards. The indoor environmental condition including the noise level in each zone should meet the functional requirement of the space. FAC should consider the following procedures when designing/modifying existing HVAC installation.

To substantiate with calculation the chilled air distribution for each zone. Air-conditioning load should be within

the building design parameter.

The Occupant shall provide the Air Balance Report for its premises upon completion of all the work and installation of heat generating appliances, gadgets and equipment and shall provide the FMO, with all such information as may be required for the purpose of including information as to the number of persons intended to occupy the premises.

Installation of AHU is in Occupant’s scope

It is mandatory for F A C to incorporate the VAVs in the Air Distribution system design, without which the

approval to commence the work will not be given.

BTU meter installation to be done by the Company FOS and the contractor should coordinate with FMO

department before installations.

AHUs should be integrated with the client’s BMS system. Modification to controls, BMS, VAVs, Thermostat etc, should be coordinated with the F MO . Occupant should use modulation dampers for fresh air to facilitate CO2 monitoring control by the Occupant Chilled water system should not be tapped to introduce additional cooling equipment.

Additional cooling (if required in critical areas) shall be provided with DX units considering the availability of electrical power.

Adequate VCDs shall be provided in the duct work to facilitate air balancing by the FAC.

All the materials and controls used shall be matching with the existing ones.

System design brief and method of statement shall be submitted wherever applicable. All the duct works should comply with DW142 standards and flexible ducts should not exceed

1.5 min length.

Chilled water pipes should be re flushed if drained for modification.

Proper access panels shall be provided for all the equipment, valves and controls located above false ceiling.

Additionally, the Occupant shall ensure that no services belonging to individual premises are installed in any

common areas.

Location of condensing units of additional A/C equipment and the refrigerant pipe routes shall be coordinated with existing services and building elevation.

Fire retardant canvas cloth should be used for flexible connection of AHUs/FCUs.

M.S. rod with Angle to be used as support of Duct. Support to support distance not to exceed 2000 mm. A trapdoor of adequate size is to be provided below the AHU in the unit if false ceiling is proposed. This is to

facilitate cleaning of the Air Handling Unit‟s filters, belts replacement/tightening, operation of valves, drain tray cleaning, coil cleaning etc.

While hanging FCUs proper care to be taken & antivibration pads to be used for avoiding

vibration on another floor.

4.2.2 Fire Protection Works

All the Fire Protection installations should comply with relevant Zone code of application and to be approved by Fire officer. FAC should consider the following procedures when designing/modifying existing Fire Fighting Installations.

All the Rooms / Spaces except IT rooms should be covered with Sprinkler system if the building is

provided with Sprinkler System. A compatible Fire Alarm system to be installed & fire alarm panel to be linked to

Building Fire Alarm panel.

Main door access control system and AHUs to be linked to your Fire Alarm system.

Computer server rooms and critical equipment rooms shall be provided with Dry Automatic Fire Extinguisher System. (FM 200 or equivalent).

Each room shall be provided with adequate numbers of smoke detectors and connected to the building fire alarm system as per Civil Defense regulations. Fire evacuation process to be followed during emergency.

Fire retardant paint to be used on all combustible surfaces being constructed.

Any welding work carried out at site will be done after getting Hot work Permit from FMO.

All fire pipes to be painted red and no valves are permitted in the pipe lines.

Hangers are not permissible for support of pipes. Only rigid angle support is permissible.

Support to support distance not to exceed 2000mm.

Occupants are not allowed to cover up any hose reel, break glass unit and alarm bell.

Occupant shall be aware of false alarm and damages may be caused by their fit-out work. The service

charges claimed by Fire Services Department and the charges for the remedial work and other claims in

connection will be charged at the Occupant‟s cost.

If additional smoke detectors, fire panels are installed by the Occupant, hooking up with the main system

shall be done with prior permission and in the presence of the Company representative.

4.2.3 Electrical Works if applicable

The design and execution of electrical installations must be in accordance with PWD regulations, in general. The fit- out electrical contractor should comply with relevant standards during the design and installation of electrical services including the GREEN BUILDING standards IGBC. The key points to be followed during the electrical services design are as given below:

For UPS & Server should take care of structural load

Component and parts of the installation such as Cables, Apparatus, Equipment and Accessories s hall

comply with the relevant IE standards.

Switches and sockets shall generally be fixed in accordance with the mounting heights and the

measurement recommended in relevant standards.

Recommended lighting intensity shall be as per IE Standards All the electrical symbols used shall be as per IE standards.

Provision for emergency light is to be provided in every premise.

All electrical conduits used must be either concealed /saddled/mounted to the wall/ceiling. Preferably MS

conduits are allowed if pipes are not concealed.

Wiring should not be exposed and wires should not be visible.

Electric Load Schedule and Total Demand Load of the premises must be communicated to the FMO at the

earliest. Extra load if requested will be approved internally by THE COMPANY and then invoiced.

We encourage the use of Efficient Lighting. Energy efficient devices such as LED’s are

encouraged.

Electrical wiring to comply with IS-732 and NBC. IE rules to be followed..

All the three phases should be balanced equally. All Cable/wires must be tagged/ feruled. Power factor correction to be done wherever applicable by APFC panel.

4.2.4 Plumbing & Drainage Works if applicable

All the installation should comply with relevant industry standards and practices. The following shall be considered

when designing/modifying existing Plumbing & Drainage works.

Coring on floor slab for drain pipe is prohibited if the lower floor is meant for leasing. THE COMPANY

approval shall be obtained to core the slab in permissible area.

Alternatively drain pump with pipe works connecting to existing drain pipe at higher level should be proposed where coring is prohibited.

Wet pantry to be located at the designated wet areas only.

All the wet area should be water proofed and tested.

Condensate drain from additional AC units (if any) should be routed with proper slope and connected to

proper drain.

Proper access panels shall be provided for all the equipment and valves located above false ceiling.

No FAC is allowed to carry out the fitting out work in any parts of the building other than the demarked area of the premises.

No building material should be placed outside the premises or in the common area. No FAC is allowed to use fire hose reel water other than for fire-fighting purposes. No modification to the existing plumbing and drainage system could be done unless with prior written

approval from the Company and the relevant Authorities.

4.2.5 Public Utilities:

Occupants have to apply for their own telephone or telecommunications installation from the Fixed

Telecommunications Network Services (FTNS) Operators. Any damage in respect of the installation of the telephone cables or other wiring related to a n Occupant’s

equipment by any FAC will be charged at the Occupant’s own cost.

5.1 Safety Rules

5.1.1 Basic Site Safety Rules

Work will commence only after site induction and submission of Occupant details, insurance details and

relevant trade licenses wherever applicable.

Health and Safety Standards Form should be submitted – Annexure 12

In case FAC notices any condition or practice which may cause an injury to employees or damage to equipment then the same may be reported immediately to the FMO/FOS.

Whenever Occupant/FAC or the equipment the Occupant/FAC are operating is involved in an accident, regardless of how minor then the same to be reported immediately to the FMO/FOS.

FAC should employ only skilled/ certified workers for work and should comply with all the nor ms and Legislative requirements.

No labour below 18 years of age shall be employed at site. FAC to ensure use of right tools and equipment for the job and use them safely and replace when faulty. Wear approved personal protective equipment. Keep it in good condition and replace it when necessary. Good housekeeping is to be maintained at all times. Do not tamper with fire-fighting equipment.

5.1.2 Passageway

Do not enter other work areas without proper authorization. Passageway and emergency exit doors must be kept clear at all time. Good housekeeping shall be maintained at all work areas.

5.1.3 Electrical Safety

To avoid electrical hazards, be alert and ensure to avoid conditions that allows electricity to cause harm.

Avoid loose or broken insulation on wires, loose or broken fuses, improper connection between devices, broken or defective plugs, improper ground at the plug, and loose or broken switches.

Do not place inflammable material/ liquids near electrical equipment. Electrical supply connections for lighting and power should be necessarily through an ELCB of proper

rating. All electrical tools and equipment (except Class 2) need to have an earthing provision and should be properly earthed

while in usage.

Electrical distribution board shall be located in a safe place so that it is away from the material movement path.

5.1.4 Fire Evacuation and Safety

FAC shall study the emergency exit floor plan located at the work site. Only when it is safe to do so, use fire extinguishers to fight the fire. When fire is detected and out of control, leave your work area immediately, walk to the nearest emergency

exit and assemble at a safe distance and re-enter the site only after clear instructions from the responsible persons.

5.1.5 Equipment & Operational Safety

FAC shall provide suitable personal protective equipment when the job requires. This includes but is not

limited to safety helmets, safety glasses, face shields, earplugs, respirators, hand gloves & safety shoes. Ladders or tripods used in site shall have slip-resistant bases and shall be defect free. Inspection of all

ladders must be carried out. A ladder is considered damaged if it has broken rungs, missing steps or other construction defects.

Proper scaffolding should be used for any work at more than fifteen feet height.

Safety harness is to be worn while working on height above fifteen feet.

Do not stand on the top two steps of a ladder as it can become unstable. Use ladder of the correct height.

5.1.6 When Accident Occurs

When an accident, incident or injury occurs, all work shall be stopped immediately. Attend to the injured

first and seek help immediately.

First aid treatment should be provided even for the slightest injury.

Work related accidents and injury should be reported immediately to the FMO/FOS.

5.2 Vehicle Access and Material Delivery

Under no circumstances will the FAC vehicles be allowed access to or have parking facilities on the parking lots

designated for use only by the Occupants and/or visitors at the premises. All materials and debris are to be

transported to and from the Occupant‟s premises using the designated loading bays, service lifts and service

passageways. Passenger lifts are NOT to be used during fit-out period unless specifically provided by the

FMO/FOS. Only rubber-wheeled carts and trolleys are allowed to be used to deliver goods and materials within

the building. (Please refer section 3.1 Working Hours)

All material deliveries to the site will be unloaded at a single drop off point as indicated in the Material Movement Plan

(Section 5.3). The items are to be taken immediately to the Occupant’s premises. FAC staff/ Laborers shall use the

designated service lift / side staircase for the conveyance of man and material to the designated floor. Prior

arrangement must be made in coordination with the FMO for the delivery of heavy equipment via service lifts due to

load capacity considerations. At least one (1) working day advance notification for arrangement of such

deliveries is required; please contact the Fit-out Coordinator during office hours. Occupant shall provide the size

and weight of the heavy equipment when making such a request. In cases where the lift contractor’s presence is

required, charges will be borne by the Occupant.

and the charges will be debited from the Occupant’s account.

All entry of heavy goods vehicles must be with prior intimation and appropriate advance notice of at least one (1) day to

the FMO.

5.5 Work Permit Guidelines

5.5.1 Definitions and Abbreviation

a) Security Permit Signatory (SPS): A designated officer authorized to signing a work permit. He must

convince himself by a personal inspection that equipment used in confined space involved is safe for the

work intended.

b) Fire Permit Signatory (FPS): FPS means a designated officer authorized to issue work permit. He is „Fire

Permit Signatory‟ in case of Hot-Work Permit. He issues the permit for the particular job after addressing the

checklist points of permit for the premises. FPS will sign the permit after being convinced that SPS has

carried out all the checks and signed the permit.

c) Receiver (Permittee): The „Receiver‟ is the designated person authorized to receive work permit. Receiver

generally is the representative of the Occupant, who has to execute the particular job for which permit has

been issued. The representative can be Engineer In-charge / Site in-charge of the job or any other nominated

representative for the fit-out work.

5.5.2 Works that Require Permit

Jobs where work permit is required include but not limited to following:

Any hot work (including use of normal battery driven equipment in operating areas).

5.5.3 General Requirements of Work Permit

a. All maintenance/ alteration jobs not limited to the areas in the aforementioned shall be carried out under valid

“Permit to Work” only.

b. Separate permit shall be issued for each job. Multiple jobs in a single permit are prohibited, except

entry to confined space and hot-work inside the confined space in particular equipment. In such cases a

composite permit can be issued and permit must address all the applicable aspects for both the works.

c. Before issuing a permit, equipment is to be inspected to ensure that the equipment/ facility is prepared for safe

execution of the assigned work, the area is cleaned and all safety precautions have been adopted. Wherever

necessary, ensure that equipment is isolated, drained/ depressurized, properly purged, water flushed, gas tested

(including oxygen deficiency test) through portable gas meters and readings have been recorded in the permit.

5.5.4 Issue of Permit

Permittee/FAC i.e. under whose direct supervision the job is to be carried out shall issue the appropriate

permits. All permits shall be issued in duplicate, of which, one copy will be deposited with the

FMO/FOS.

In case Hot works are planned to be executed, permit shall be raised by FAC and jointly signed by the FMO/FOS.

The period of validity, in terms of the date, start time and completion time should be entered.

The location of the work shall be specified clearly in terms of the leased unit, floor, or equipment. Wherever it is

necessary location sketch should be attached with the permit for clarity.

The FMO/FOS shall check the permit conditions prescribed in the format. Permit shall be issued only after all

the conditions are adhered to. Additional precautions and remarks, if any, shall be clearly mentioned.

General Instructions:

1. The work permit shall be filled up carefully and accurately in clear handwriting ensuring that complete information is

provided in all the sections / subsections and none of column is left blank. Sketches should be provided wherever

possible to avoid miscommunication.

2. Appropriate safe guards and required personnel protective equipment (PPEs) shall be determined by a careful

analysis of the potential hazards and the operations to be performed prior to starting the work.

4. In case of fire alarm all work must immediately be stopped, all personnel must leave work site and proceed to

designated safe assembly area.

5. For renewal of work clearance, the issuer shall ensure that the conditions are satisfactory for the work to continue. If

the conditions have changed, it may be necessary to issue a new permit or amend the existing permit.

6. This permit shall be valid for a period of 12 hours only.

7. Original permit must be available at work site at all times.

8. On completion of the work, the permit shall be closed and returned to the issuer.

5.5.5 Surveillance and Withdrawal of permit

The FMO/FOS has the right to inspect the work site randomly to ensure that permit conditions are being complied and maintained.

The FMO shall make surprise checks at the sites where jobs against work permit are in progress. Surprise checks shall be carried

out on a structured checklist and findings shall be documented. Date and time of such surprise checks shall be recorded. The

corrective measures shall also be taken.

The permit can be withdrawn by issuing authority, executing authority, security personnel, or any person authorized by THE

COMPANY the Company/ the FMO in case of violation of permit condition, or any other unsafe situation.

All violations of safety procedures will be documented and a notice will be issued to the Occupant working on the site. After issuing

three notices serious action will be initiated against the Occupant. However, in case of any serious lapses observed, the above

mentioned authorities have the right to stop the work immediately.

5.6 Policy for Keys Management for Fit-out work

Keys will be handed over only to the bona-fide Occupant of the premise, consequent to the FMO/FOS having gone through the requisite authentication process. Every premises will have a lock, each with three (3) keys. One key will be designated as Duplicate and will be in possession of the FMO. The other two (2) keys will be designated as Original 1 and Original 2. These will be in possession of the Occupant.

1. Action During Emergency

FMO/FOS has the right to access the premises, during non-business hours, in the event of an emergency. During an emergency, especially a fire on the premises, specifically during non-business hours, the premises will be opened with the help of the duplicate keys kept in the Key Box.

The FMO, the Duty Officer or the Shift Engineer on duty, as the case may be, will be informed immediately. The Occupant, if the emergency has occurred in his/her property, will be intimated at the earliest.

After the emergency has been controlled, the premise will be locked up again, if possible. If it is not possible to lock the door, a security guard, appointed by the FMO, will be posted 24 X 7 till the lock has been repaired or replaced.

2. Loss of Key

Loss of a key will be intimated immediately by the concerned Occupant to the FMO in writing and a written request will also be put in for issue of duplicate Key No 3.

The FMO, after confirming the authenticity of the loss, will issue duplicate Key No 3 to the person authorized by the Occupant. The key will be deposited back with FMO after completion of work by EOD.

In the event of even the duplicate Key No 3 getting lost, the change of lock will then become mandatory.

3. Review

Review of the Key Management Policy must be done every 3 months. A copy of the amendment must be circulated to all

concerned, including the Occupants.

5.7 Issuance of Identity Cards

The identity cards for the FACs and the laborers will be issued by FACs only. The expenses for the same will be borne by the Occupant.

For Contractors/Supervisors:

The FAC must show the written permission from occupant to carry out any construction or fit-out work inside the premises.

The FAC will have to fill all necessary and required details in the ID card requisition form provided by the FMO. The FAC will have to show photo identity proof to the security. Only then will he be awarded his ID card to enter the building premises.

For Labourers:

The FAC needs to duly fill the ID card requisition form provided by the FMO. The ID card requisition form must be accompanied by the photocopies of the labourer‟s photo ID proof.

Along with the requisition form the contractor must provide the ESIC and PF details of the workers working under him at site (as applicable).

The FAC will have to give an undertaking for the safety and behavior of their labourers.

Green Building Guide line for FAC

The Cloudcity has been handed over to you at the fit out stage. The fit out stage provides your organization with a cost- effective opportunity to enhance its reputation, boost employee satisfaction and lock-in significant ongoing cost savings over the lease period.

At this stage, you have the opportunity to make decisions that can, at little or no additional upfront cost. The changes

you choose to make help you in the following:

6.1 Water Reduction

Water Use Reduction The CLOUDCITY project has undergone measures to reduce the amount of potable water used in the building. Our recommendation for you is to install water efficient fixtures with performance levels that in aggregate use 20% or 30% less water than the conventional fixtures.

6.2 Energy Conservation

Optimize Energy Performance Lighting Power –

The CLOUDCITY has installed “green” lighting throughout the base building in order to maximiz e lighting power efficiency. In order to minimize the amount of excess electricity used for lighting, we recommend that the interior lighting should be designed with overall lighting power density less than 0.8 Watts per sq. ft.

An illustrative list of lamps & control gears is listed for your reference:

1. Compact fluorescent lamps(CFL‟s ) with mercury content (Hg), less than 2 mg per lamp 2. T5 series of fluorescent lamps 3. Colour 80 series fluorescent lamps 4. Dimmable ballast 5. Movement sensors 6. Lux level based sensors 7. Occupancy sensors 8. DALI system for controlling the entire lighting system 9. Toggle switches for individual controls 10. Controls for blinds on the select glazing

As per our recommendation, daylight sensors come handy in office and lobby areas. Occupancy sensors that could be possibly installed in common areas i.e. toilets; lobbies and corridor will optimize the energy performance of your space.

Other options also include energy efficient lamps, luminaries and control gears.

HVAC – To use AHUS with VFD control to save energy

Plug loads – We recommend the following that will help in optimizing the energy within your office space

1. Energy efficient monitors for PC‟s 2. Energy efficient UPS 3. Energy efficient equipments and appliances, such as Energy Star rated equipment or Bureau of Energy

Efficiency of India (BEE) certified products.

6.4 Indoor Air Quality

Ventilation – The base building complies with standard ASHRAE 62.1-2004 Ventilation for Acceptable Indoor Air Quality (IAQ). Our recommendation at The Cloud City is that the FAC design the HVAC system(s) to meet the ventilation requirements for Sections 4, 5, 6, and 7 of the references standard (ASHRAE 62.1-2004), and identify any potential IAQ problems in the space.

Control of Environmental Tobacco Smoke

The CLOUDCITY is a no smoking building and we recommend that you strictly adhere to a no smoking policy in your premises. Prohibit smoking by all occupants and users to maintain any exterior designated smoking areas at least 25 feet away from entries, outdoor air intakes and operable windows.

Outdoor Air Delivery Monitoring:

The Heat Recovery Wheel & HVAC ducting has been designed to comply with the +30% increased ventilation rates above ASHRAE 62.1-2004. Our recommendation for you to install fresh air monitoring stations at each Densely Occupies spaces (with occupant density of ≥ 40 sf/person) to facilitate CO2 Demand Controlled Ventilation system. Install modulating airflow dampers in each Non-Densely (occupant density of < 40 sf /person) occupied spaces

Indoor Chemical & Pollutant Source Control – Requirements for copier/print Rooms-

The requirements to be followed are mentioned below:

Provide separate exhaust for centralized copiers and printers.

Where hazardous gases or chemicals may be present or used (including housekeeping and copying/printing rooms, science laboratories, prep rooms, shops of any kind, and UPS room), exhaust each space sufficiently to create negative pressure with respect to adjacent space with doors to the room are closed to ensure that no hazardous chemicals or fumes escape out.

The exhaust rate must be at least 0.50 cubic feet per minute (cfm) per/square foot, with no air recirculation. The pressure differential with the surrounding spaces must be at least 5 PASCAL‟ s(Pa) (0.02 inches of water gauge) on average and 1 Pa (0.004 inches of water) at a minimum when the doors to the rooms are closed.

In order to effectively remove airborne contaminants generated by this type of equipment, the rooms must be physically separated from adjacent spaces. This may be accomplished through installation of self-closing doors and deck-to-deck partitions or sealed gypsum board enclosure.

All janitor rooms and housekeeping areas will also be physically separated using the above strategy.

Chemical storage and mixing areas,such as janitor‟s room housekeeping areas and photolabs ,should be located away from occupant work areas, additionally these rooms must be physically separated from adjacent spaces via installation of deck-to-deck partitions or sealed gypsum board enclosures

Rooms must be equipped with a dedicated exhaust system that creates the required negative pressurization to ensure that nearby occupied spaces will not be cross-contaminated.

Drywall ceilings may be used in place of full-height partitions, but acoustical lay-in ceilings are not adequate.

Chemical area should not contain a return vent to the HVAC system, i.e. 100% exhausted and not combined with return air system where air will be recalculated, this exhaust system is acceptable.

Battery banks used to provide temporary back-up power must be segregated by above strategy to satisfy this credit requirement.

Housekeeping facilities that are part of a common laundry room in residential or hospitality buildings must meet the chemical storage requirements.

Chemical mixing rooms should include sinks and/or drains in appropriate locations to ensure that chemicals are disposed of properly and are not dumped into inadequate spaces (e.g., restrooms).Local codes if requiring separate drain lines must be followed.

In addition, sources of outdoor air pollution (such as trash dumpsters or areas where vehicles tend to idle) should be located away from outdoor ventilation air intakes.

Species that drop berries, flowers, and leaves should be avoided in entrance areas so that organic matter does not migrate into the building on occupant‟s shoes.

Plant selection should also be based on an integrated pest management approach to eliminate that have potential for tracking into the buildings.

Provide water spigot and electrical outlet at entryways for maintenance and cleaning activities.

In mechanically ventilated buildings, install new air filtration media in regularly occupied areas prior to occupancy; these filters must provide a Minimum Efficiency Reporting Value (MERV) of 13 or better. Filtration should be applied to process both return and outside air that is to be delivered as supply air.

Provide containment (i.e. a closed container for storage for off-site disposal in a regulatory compliant storage area, preferably outside the building) for appropriate disposal of hazardous liquid wastes in places where water and chemical concentrate mixing occurs (e.g., housekeeping, janitorial and science laboratories).

Construction IAQ Management –

The Cloudcity followed a Construction Indoor Air Quality Management Plan during building construction for air quality in order to prevent indoor air problems due to construction work in the building. Our recommendation for you is to create an IAQ Management Plan for the construction and pre-occupancy phases of the tenant space.

The following describes the specific measures to be performed in each area of concern:

HVAC Protection –

During construction, provide MERV 13 filters for supply air intake when in use. Provide MERV 8 filters at the return air system openings when in use. Perform frequent maintenance when the HVAC system is being utilized and replace filter as they become loaded prior to building flush-out and prior to occupancy.

When performing construction activities that produce dust, such as drywall sanding, concrete cutting, masonry work, wood sawing or adding insulation, seal off the supply diffusers and return air system openings completely for the duration of the task.

Shut down and seal off the supply diffusers and return air ducts during any demolition operations. Whenever HVAC system not in use during construction, seal off the supply diffusers and return air system openings to prevent the accumulation of dust and debris in the duct system.

Do not use the mechanical rooms to store construction or waste materials. Keep rooms clean and neat. Provide periodic dust inspections during construction; if the ducts become contaminated due to inadequate duct protection,

clean the duct from HVAC professional as per standard.

Indoor Chemical and Pollutant Source Control-

Use low VOC products to reduce potential problems.

Restrict traffic volume and prohibit idling of vehicles where emissions could be drawn into the building.

Utilize electric or natural gas alternatives for gasoline and diesel equipment where possible and practical. Use low-sulfur diesel in lieu of regular diesel.

Cycle equipment off when not being used or needed.

Exhaust pollutant sources to the outside with portable fan systems. Prevent exhaust from recirculating back into the building.

Keep containers of wet products closed as much as possible.

Cover or seal containers of waste materials that can release odour or dust.

Protect stored on-site or installed absorptive building materials from weather and moisture; wrap with plastic and seal tight to prevent moisture absorption.

The construction contractor shall take photographs showing measures in place.

Provide dust curtains or temporary enclosures to prevent dust from migrating to other areas when applicable. Locate pollutant sources as far away as possible from supply ducts and areas occupied by workers when feasible. Supply and exhaust system may have to be shut down or isolated during such activity.

During construction, isolate areas or work to prevent contamination of clean or occupied areas. Pressure differentials may be utilized to prevent contaminated air from entering clean areas.

Depending on weather, ventilation using 100% outside air will be used to exhaust contaminated air directly to the outside during installation of VOC emitting materials.

Housekeeping –

Provide regular cleaning concentrating on HVAC equipment and building spaces to remove contaminants from the building prior to occupancy.

All coils, air filters, fans and ductwork shall remain clean during installation and, if required, will be cleaned prior to performing the testing, adjustment, balancing and commissioning of the systems.

Suppress and minimize dust with wetting agents or sweeping compounds. Utilize efficient and effective dust collecting methods such as damp cloth, wet mop, or vacuum with particulate filters, or wet scrubber.

Remove accumulation of water inside the building. Protect porous materials such as insulation and ceiling tile from exposure to moisture.

Thoroughly clean all interior surfaces prior to replacing filters and running HVAC system for system balancing, commissioning and building flush-out.

Scheduling and Construction Activity Sequence –

Scheduling high pollution activities that utilize high VOC level products (including paints, sealers, insulation, adhesives, caulking, and cleaners) to take place prior to installing highly absorbent materials (such as ceiling tiles, gypsum wall board,fabric furnishing, carpet and insulation,for example).These materials will act as „sinks‟‟ for VOC‟s doors and other contaminants, and release them later after occupancy.

Indoor Environment

Day Light and Views Interior layouts and fit-outs have to be designed in such a way that the design provides the building occupants a connection between indoor spaces and the outdoor through the introduction of daylight and views.

Providing daylight and views for occupants will enhance the productivity of occupants by 10– 15 %.

Controllability of Systems – Day light

Our recommendations for you are to provide lighting controls for the following: - 90% of occupants, allowing adjustments to suit individual needs and tasks. - Provide lighting controls for all multi-occupant spaces where transient groups must share lighting controls. Lighting controls include task lighting for individual needs and/or zoned controls.

Low VOC Materials

To reduce the quantity of indoor air contaminants that is odorous, irritating and/or harmful to the comfort and well - being of installation workers and occupants.

Volatile Organic Compound (VOC‟s) present in finishing products has harmful effect on the building occupants. The VOC‟s vaporize (become a gas) at normal room temperature. Hence the interior designers can use products with VOC‟s within the specified limits.

The VOC limits for Adhesives and sealants are as follows: Architectural sealant 250 (gpl) Non membrane roof 300 (gpl) Roadway 250 (gpl) Single-ply roof membrane 450 (gpl) Others 420 (gpl)

The VOC limits for interior paints

Non-flat 150 (gpl) Flat 50 (gpl)

The Emission factor limits for Carpets are as follows:

Carpet total VOC‟s 0.50 (mg/m2 h) Adhesives total VOC‟s 10.0 (mg/m2 h) Cushion total VOC‟s 1.00 (mg/m2 h)

Composite woods

Composite woods and agrifiber products are required to be free from urea-formaldehyde resins. Hence, the interior design team that specifies interior materials should specify the composite wood be free from urea-formaldehyde resins. At present, composite woods are available made with Phenol-formaldehyde resin.

6.6 Materials and Resources

Regional Materials -

The Cloudcity has taken effort to source materials within a radius of 800 km. Our recommendation for you is to source Regional and alternative materials that contain recycled content while redesigning your interior space.

Rapidly Renewable Materials –

The Cloudcity recommends that tenants could use rapidly renewable building materials and products (made from plants that are typically harvested within a ten-year period or shorter) which contributes to resource efficiency.

Typical examples of rapidly renewable materials are as follows: 1. MDF Composite wood 2. Bamboo flooring 3. Linoleum flooring 4. Sunflower seed board 5. Wheat grass cabinetry 6. Wool carpet

Recyclable Materials –

The CLOUDCITY recommends that the users could possibly explore the opportunity of using building products that incorporate recycled content materials. By doing so, it reduces the impacts resulting from extraction and processing of new virgin materials and giving a new life to the recycled content material.

An illustrative list of building products with recycled content materials are as follows:

1. False ceiling material, which comprises of gypsum (which an industrial by-product or waste) 2. Door panels made out of baggasse 3. Doors made from MDF such as eucalyptus and straw

4. Aluminum door and window frames, with very high recycled content

Waste Management - The CLOUDCITY is committed to proper management of wastes generated during occupancy of the building. A dedicated area will be provided for separation, collection and storage of materials including paper, corrugated cardboard, glass,plastics and metals for recycling within the premises to facilitate effective waste management.

Our recommendations for you are:

- During interior fit-outs, segregate these materials to facilitate recycling. - During occupancy, segregate waste at source to help the facility group to recycle - Research for local recyclers for diverting recyclable materials from waste stream. - Provide instruction to occupants and maintenance personnel on recycling procedures. - Encourage activities to reduce and reuse materials before recycling in order to reduce amount of wastes generated.

LEED for Commercial Interiors

The design features considered in this project will have an impact on energy efficiency levels and will result in tangible & intangible benefits for Occupant.

Occupant could design & construct your fit-outs in accordance with the guidelines provided, as above. This will further enhance the performance of the whole building.

This building is aiming to achieve IGBC‟s Core and Shell rating by implementing the green features and technologies . In order to facilitate the tenants, the United States Green Building Council - USGBC has introduced an exclusive rating programme for commercial interiors, LEED for Commercial Interiors (LEED-CI).

Your organization can take your fit-out space to the next level of green by aspiring to acquire USGBC‟s LEED CI rating system. To make it easier for YOU – the tenants, we have put down the checklist of credits for obtaining the LEED CI for YOUR fit out space.

The LEED-CI credits marked as ‘Yes ’can be immediately ac hi eved by YOU because of the green building features implemented in base building. The LEED-CI credits marked as ‘? ’ indicate that YOU can achieve these credits by enhancing the base building’s green building design into interior fit out.

We, as the Fit-out Agent/Contractor representing the Occupant for the design and execution till

completion and handover of the fit-out works at their premises, undertakes to comply with the

terms and conditions listed below and as outlined in the guidelines set by The Company’s Fit-

out Services Division (FOS).

Terms & Conditions:

Drawings and documents shall be prepared and submitted in accordance with Fit-out Work

Permit Request form by The Company. The design and installation works should comply with

all relevant industry standards, regulations and guidelines by all the local authorities and

agencies such as Local Municipality, relevant Electricity company, Fire department, TWG, EHS,

SED, ASHRAE, NFPA etc.

Program of works shall be submitted by the Contractor at the time of obtaining Permit to Work

(PTW). Valid Work Permit shall be posted and remain at all times throughout the work execution

period on the main entrance door of the premises or temporary hoarding. All site staff including

subcontractor’s staff should posses security passes. A suitably qualified and competent

supervisor should be present full time and a complete set of approved drawings should be

available on site throughout the execution of fit-out works in order to facilitate routine site

inspections by THE COMPANY Fit-out Field Inspectors.

Complete safety precautions and procedures such as personal protective gears, safe

scaffolding etc. should be followed by the Fit- out Contractor and all those persons employed or

engaged by the contractor or under the Contractor’s control in relation to the performance of any

works throughout the work period. Fit-out Contractor and all those persons employed or

engaged by the fit-out contractor or under the Fit-out Contractor’s control should not carry out

any unauthorized works at site. Work site shall be maintained clean and tidy all the time. Public

space such as corridors, walk ways etc. shall not be blocked and used as material storage

and/or any other purpose to facilitate the fit-out construction inside the premises.

Any activities causing disturbances such as noise, smoke, smell etc. to other neighbors should

be carried out as per timings mentioned in the manual. The Fit-out Contractor shall be

responsible for compliance with all laws and regulations and shall indemnify FOD in respect of

any loss or damage suffered as a result of any breach of the same.

It is the responsibility of the Fit-out Contractor to protect all existing live equipment and devices

against damage or malfunctioning during the fit-out works execution period. All existing fire

alarm devices in the working area should be temporarily covered to avoid accidental activation

of fire alarm system which will result in subsequent penalties from THE COMPANY Security.

Any fine that may be imposed as a result of failure to comply with this or any other provision of

these conditions shall be payable by the Fit-out Contractor to avoid stoppage of any or all

related works at site. The temporary covers must be removed and the devices to be cleaned

after work completion.

Temporary electrical power should not be tapped from floor outlets or elsewhere for enabling

construction works at site. Fit-out Contractor to provide proper temporary power arrangements

and coordinate with the building FMO and FOS for power provisions on a temporary basis.

The Fit-out Agent/Contractor must submit the Work Completion Notification duly signed by the

Occupant at least 7 working days prior to the expected completion of the works in order to

arrange the final inspection along with THE COMPANY fit out team and all parties involved. The

Security Deposit by the Fit-out Contractor will not be refunded upon failure to submit Work

Completion Notification and which will result in stopping the owner/tenant from occupying the

premises.

Insurance: Fit-out Contractor shall insure and maintain its validity during the work period (or for

a longer period, if necessary) including where applicable (but not limited to) Public Liability

Insurance, Workmen’s Compensation Insurance, Professional indemnity insurance and any

other insurance policies applicable to the works being carried out.

Indemnity: Fit-out Agent shall fully and effectually indemnify and keep THE COMPANY’s Fit-

out Services Division & FMO indemnified against any costs, claims, demands, losses or

liabilities whatsoever arising directly or indirectly out of any breach by the Fit-out Contractor of

its obligations hereunder or arising from the execution and subsequent use of the works carried

out by the Fit-out Contractor.

satisfied as regards the quality of materials and fittings privided by the Developer and that I/We shall

not have any complaints in respect of the same nor hold the Developer liable for any defects therein.

7. I/We further state and declare that we/I shall, alongwith the contractors/consultant/workers engaged

by me/us, strictly follow and abide by the Fit-Out Manual enclosed herewith.

8. I/We further state and declare that the temporary possession has been granted strictly for the purpose of

carrying out the interior work/ fit-out work in the said Premises and as such this possession shall not be

deemed / claimed to be the possession for occupation by us/me in the said Premises.

9. I/We further state and declare that I/We shall submit list of all the interior drawings, plans,

specifications (Such as Civil Drawings, Electrical layout, AC Drawings, indoor / outdoor layout,

section / elevation of all exterior wall / windows, Plumbing details, any all other relevant drawings) to

the Developer, before 48 hours for their approval, without which I/We shall not be allowed to carry out

any such work in the said Premises.

10. I/We hereby agree to indemnify and keep the Developer indemnified and save harmless the

Developer and its heirs, successors, executors, administrators, assigns and all persons lawfully

HOUSEKEEPING & SANITATION

Total Site, Building and Floors are to be kept in clean and clear conditions at all times.

Collection of debris shall be at a single point as approved by the Fit-out coordinator and removal from the

site shall be on regular basis.

FAC to ensure for proper stacking of various materials at a particular specified place. No inflammable and

unhygienic material should be stored/ stacked at a place inside the building premises.

At the work site, an adequate supply of potable water must be provided, as well as clean drinking water

dispensers. Potable water for clean-up must be provided. Where non-potable water is used for fire-fighting

purposes it must be identified by appropriate signs.

FIRE PREVENTION

Electrical wiring equipment for heating, light or power purposes must be installed in compliance with the

requirements of applicable codes or requirements of any authorities and it shall also be ensured that:

All temporary wiring should be well supported and protected.

All flammable liquids, gas cylinders and flammable materials shall be kept separately and properly stored.

All gas appliances shall be fitted with control taps.

All flame cutting and welding shall be done with proper precautions.

PERSONAL PROTECTION

All necessary personal safety equipment as considered adequate by the FMO shall be available for use if persons

employed on the site and maintained in a condition suitable for immediate use; and the contractor shall take

adequate precautions.

ELECTRICAL INSTALLATION

Earth leakage protection (ELCB of 20mA) to be provided on distribution board outlet, lighting and power

circuits.

Separate 15A socket outlets to be used. Multi-socket connections shall not be used.

All wiring shall be properly colour coded.

Neutral- Black

Earth- Green

Wiring shall be done in neat and orderly manner and run at 7’-0” height. Wires lying at floor not permitted.

Fuses are not to be used. Only circuit breakers to be used.

Lightning protection as per IS: 2309 to be provided.

All DB’s or switchboards shall be pad lockable. These shall be kept locked during normal operation.

All equipment drawing from socket outlets should only be portable electric equipment.

All cabling to be overhead with trays and these should be clamped at regular intervals.

HAND & POWER TOOLS

Hand and power tools must be maintained in a safe condition, whether furnished by the contractor or by the

employee. When power-operated tools are designed to accommodate guards, they must be equipped with

appropriate guards when in use. Belts, gears, shafts pulleys, sprockets, spindles, drums, flywheels, chains

and other moving parts of equipment must be guarded if the parts are exposed to contact by employees.

All hand-held power tools must be equipped with a constant pressure switch that shuts off when the

pressure is released.

Electric power-operated tools shall be of the approved double insulated type, or grounded in accordance

with good electrical practice.

LADDERS

Ladders shall:

Be fixed near the top if practicable, or near the bottom if not. If suspended, they must be firmly secured.

Be placed (except when suspended) on a firm level base; they must not stand on loose packing (e.g. bricks).

Be intermediately secured, where necessary, to prevent swaying and sagging

Be supported, or suspended, equally on each stile.

HANDLING & STORAGE OF MATERIALS

Cement

The height of stack shall not be more than 15 bags to prevent the possibility of lumping up under pressure.

The width of the stack shall not be more than four (4) bags length or three (3) meters. In stacks more than

eight (8) bags high, the cement bags shall be arranged alternately lengthwise and crosswise so as to tie the

stacks together and minimize the danger of toppling over.

Drums or other heavy containers of cement shall not be stacked more than two (2) layers high.

Paints Varnishes and Thinners

Storage and Stacking- Paints, varnishes, lacquers, thinners and other flammable materials shall be

kept in properly sealed or closed containers. The containers shall be kept in a well-ventilated

location, free from excessive heat, smoke, sparks, or flame. The floor of the paint stores shall be

made up of 10 cm thick loose sand.

Temporary electrical wiring/fittings shall not be installed in the paint store. When electric lights,

switches or electrical equipment are necessary, they shall be of explosion proof design.

Care should be taken not to use any naked flame inside the paint store. Buckets containing sand shall

be kept ready for use in case of fire. Fire extinguishers when required shall be of foam type

conforming to accepted standards.

Flammable Materials

Hazardous and flammable materials will not be allowed on the construction site without the

approval of the Fit-out Coordinator/ FMO.

Compressed gases and petroleum products shall not be stored inside the building and close to each

other also.

All flammable and hazardous material, liquids such as timber, plywood, diesel, petrol, etc. are to be

stored in an approved non-combustible room with a sump if sufficient volume to contain any

slippage. In no case these type of flammable items be stored inside the building or part thereof

under construction.
