HOSTING A PERFORMANCEFROM RIDING LIGHTS

Many thanks for booking a performance of CROSSLIGHT.

This is your information pack, please take a little time to go through it. Follow our suggested timetable for the 10-week countdown to the show, and you should find everything you need to know for a sucessful and stress-free ride.

The pack is divided into sections, each labelled as to when you need to act on it. To the left of this page is a handy timetable of everything you need to do and where to find more information in this pack.

SHARING OUT THE JOBS

We recommend you ask a couple of people to help you organise the performance. We’ve split the tasks into 3 jobs, though you can to divide these up as best suits your volunteers and their availability:

• Someone to organise the practicalities, including: stewards and refreshments, food and hosts for the actors, and making sure the cast are met when they arrive at the venue.

• Someone to co-ordinate publicity, contacting local churches, giving notices, distributing posters etc.• Iftheperformanceisticketed, someone to oversee ticketing and run the box office on the night.

We’d also encourage you to photocopy/print the relevant pages from this booking pack and pass them on those helping you.

The disciple chosen to lead, is in pieces.

Caught in the crosslight of the flickering candles at the last supper, the torches of Gethsemane, the firelight in the courtyard, by the searching gaze of his Lord, Simon ‘the rock’ is shattered.

As he hangs from the cross, Jesus is surrounded by a jeering crowd, laughing at his claim to be the Son of God. A small group of family and friends stands by until the agony ends. But the great friend who, more than any other, has stood by Jesus throughout the story is conspicuous by his absence. One man is missing – one who knows the truth.

Crosslight draws us into the dramatic events of Christ’s Passion and into the experience of one disciple who failed, despite everything he believed so passionately…

THE CREATIVE TEAMPAUL BURBRIDGE – WRITER & DIRECTOR

Paul Burbridge is Artistic Director of Riding Lights. He has been involved as actor, director or writer in all the company’s major productions, from early award-winning revues at the Edinburgh Festival to the world premiere of the hilarious comic masterpiece Augustus Carp Esq. and highly successful national tours of Dario Fo’s Mistero Buffo, Shakespeare’s The Winter’s Tale and the 2007 co-production with York Theatre Royal of Murray Watts’s African Snow, marking the 200th anniversary of the Abolition of the Slave Trade. In August 2012 Paul directed the acclaimed production of the 2012 York Mystery Plays, with a local cast of over 600 for Riding Lights, York Theatre Royal York, and the York Museums Trust. In 2015 Paul wrote

and directed Baked Alaska, a satire, comissioned by Christian Aid and Operation Noah, calling for action on climate change in the run up to the UN conference in Paris.

Paul has overseen the development of Riding Lights into one of the UK’s most productive and enduring independent touring companies. Their first permanent home, Friargate Theatre in York, opened in 2000. Other notable productions for Riding Lights include his own adaptation of Three Men in a Boat (Northcott Theatre, Theatr Clywd and York Theatre Royal) and The Fire Raisers (Northcott Theatre and The Bridewell, where it was Time Out’s Critics’ Choice) and Ben Johnson’s The Alchemist (Belgrade Theatre, Coventry).

ANNA GOOCH - DESIGNER Anna trained at Nottingham Trent University in theatre design. Most recently Anna designed costumes for the musical Dreamboats and Miniskirts. She was production designer on Blood and Chocolate, a city wide adventure in York produced by Slunglow, Pilot Theatre Company and York Theatre Royal.

Recent design credits include A Day of Pleasure for Useful Donkey Theatre, Angels and Insects for York Theatre Royal and Useful Donkey Theatre, A Midsummer Night’s Dream and The Comedy of Errors for Sprite Productions and Igam Ogam for The Welsh Millennium Centre and Coreo Cymru. She designed costumes for York Mystery Plays

2012, a large scale open air production by Riding Lights Theatre Company, York Theatre Royal and York Museums Trust. For Riding Lights Theatre Company and York Theatre Royal she designed costumes for Two Planks and a Passion. Other design credits for Riding Lights include Give it Back, Mak!, Nearly the Goat, Origins & Lemons, The Narrow Road, Redemption Song and Inheritance. Anna is a founding member of Forward Theatre Project.

FREQUENTLY ASKED QUESTIONS!

WHO ARE RIDING LIGHTS?Riding Lights Theatre Company was established in York in 1977. Although the company’s main work takes it on tour across the UK, Riding Lights also owns Friargate Theatre, a 100-seat studio theatre space in York. The company presents a wide range of work, all of which is rooted in christian belief and understanding - not so much evangelistic but best described as theatrewithaspiritualheart.

WHEN IS THE PRODUCTION TOURING?The first performance of the tour will be on 23rd February 2016. After this, the show runs until 26th March 2016.

WHAT’S THE SCALE OF THE AUDIENCE?Medium/Large (120 - 400 people)

WHAT AUDIENCE IS THE PRODUCTION AIMED AT? Crosslight is more than a play to be performed for an audience; it is also a communal experience of theatre and worship. The performance is structured to ensure that the audience has an opportunity to reflect on Christ’s Passion, and to make their own response at the foot of the Cross. It is aimed at adults and young people aged 12 and older. The performance may be suitable for younger children who are familiar with theatre-going experiences.

WHAT’S MY PART AS A LOCAL ORGANISER?Over the years, Riding Lights has established a pattern of working which enables us to perform just about anywhere. We have found that having an enthusiastic local organiser helps to ensure a performance’s success and having someone on the ground who shares in the vision of what we are trying to achieve is very important. After all, you know your own area far better than we do. Your participation in promoting the performance locally is crucial to the success of the tour. We look forward to working hard with you, and are always happy to help if you need any advice or materials to help promote the event.

HOW MUCH HELP DO WE GIVE OUR LOCAL ORGANISERS?Beth Richardson, our tour manager, is based in York and will guide you through the necessary steps you need to take. We will supply all the publicity material you need and we will liaise about publicity matters as necessary. We may also be able to put you in touch with some of our local members who might be able to help with accommodation or other tasks (please ask if this would be helpful). We are always here to try and answer your questions and provide as much support and help as we can.

WHY DO I NEED TO PROVIDE ACCOMMODATION AND AN EVENING MEAL FOR THE ACTORS?We endeavour to tour as economically as possible. If we were to provide bed and breakfast in each place then our costs would escalate dramatically in a way that could be detrimental to the project. In addition, because of the intense nature of the tour, with a different venue virtually every night, it is good for the company to feel that they are being cared for in each place. Part of the success of Riding Lights has been the encouragement of a sense of community. Hosting actors has been an important element in this.

PLEASE NOTE that because the touring company have to dismantle the set at the end of the show and pack up the van, it can be quite late before they can get to their overnight host’s house. Please ensure that hosts are warned about this.

The company arrives at your venue in the afternoon after making the journey from the last performance. They have to set up the stage and lighting and prepare for the show. Very often venues can be a long way from somewhere they can find a meal - especially in the brief time that they have available to eat. We therefore ask for a light meal to be provided for them at the venue before the performance.

HOW MANY PEOPLE ARE THERE IN THE TOURING COMPANY?The production will comprise a touring company of 3 actors and 1 stage manager. They will travel together in a Mercedes Sprinter van which has been specially adapted to accommodate five passengers. Everything that they need for the performance will travel with them.

WHAT ARE THE FINANCIAL ARRANGEMENTS?There is a booking fee of £1,125 (Plus VAT). Invoices and contracts will be sent out once we have recieved your performance booking form. There is an initial depost of £250 to pay with the remaining balance due after the performance.

WHAT ABOUT TICKET SALES?It is your choice whether you sell tickets, and at what price, for the performance to help cover this cost. Any money from tickets sales is kept by the host church/local organiser. If you do decide to sell tickets you will need to create the tickets and run the box office yourself.

We find tickets sold face to face (after church services etc.) account for a large proportion of ticket sales. We would also suggest you look at making tickets available online - we can advise about some easy ways to do this.

IS IT NECESSARY TO GET A PUBLIC ENTERTAINMENTS LICENCE?This depends on where the performance is being held. Some venues already hold Public Entertainments Licences and you should check this at the time of booking. Other venues may require an application to be made for a temporary licence. You should always have a discussion with your Local Authority about this matter and follow their advice. (see page 8 for more details)

WILL THERE BE A PROGRAMME?The company will bring programmes with them. We ask that box office staff and ushers help by distributing programmes before the show begins.

HOW LONG IS THE SHOW?We don’t yet know an exact running time, but we expect it to last about 90 minutes.

IS THERE AN INTERVAL?Crosslight does not include an interval.

CAN WE PROVIDE REFRESHMENTS?We recommend that, if possible, you provide drinks before and after the show for your audience.

WHAT ABOUT PARKING?Don’t forget that you’ll need to think about where your audience are going to be able to park their cars. We will also need parking close to the venue for our Mercedes Sprinter van which is 6.5m long and 2m wide.

FROM 10 WEEKS BEFORE

PUBLICITY, MARKETING AND PRESS

It is vitally important to publicise your performance as widely as possible: after all, if people don’t know it’s happening, they can’t come.

We do as much as we can to promote our national tours from our office in York. However, as you know your local area, and your possible audience better than we ever could, your help in promoting your performance is essential. HERE ARE OUR TOP TIPS ON PROMOTING THE SHOW:

• Plan: think about who might be interested in the show, and who might help you with publicity: (Other churches, arts organisations, charities, schools & colleges, book shops, CUs and Uni societies...)

• Be enthusiastic: More than any plot synopsis or well designed flyer, being enthusiastic about the show tells people that it’s worth seeing.

• Start telling people now: Again you don’t have to say much, but giving people a little bit of info regularly, in the 8 weeks running up to the show tends to be the most effective way to publicise it.

• Tell people in different ways: e.g A combination of a Facebook event invite, printed flyer, and a notice in church can be very effective. Ask people in your church to take flyers and invite friends.

MAKE USE OF EVERY AVAILABLE CHANNEL FOR PUBLICITY, INCLUDING...

POSTERS AND FLYERS

Each venue will be provided with printed posters and flyers for your performance. We provide up to 1,000 A5 flyers, 50 A4 posters and 25 A3 posters - plus larger posters can be made on request. (Additional print can be ordered but a charge may have to be made for larger quantities.)

Try putting up posters & leaflets in: schools & colleges libraries & bookshops churches shops, cafés & supermarkets community centres village halls windows of cars windows of houses restaurants arts organisations tourist info offices basically... all over the place

PLUS - If there are other local events in your community taking place in the month running up to your performance, you could try asking them if they’ll hand out flyers after their event too.

CHURCHES AND OTHER LOCAL ORGANISATIONS

Past experience has proved the benefit of several organisations teaming up to support one central venue, ensuring wider publicity and a larger audience. Finding others in these organisations who are enthusiastic about the show can be very helpful too.

- Local chuches/diocese - across the denominations (churches together organisations can be very helpful) - Other community organisations (Youth Groups/Community Centres/Guides/Scouts etc.) - Local Schools (particularly church schools or secondary schools with drama & R.E departments) - Arts centres, book groups, local charities or theatre companies/drama societies.

Ask these groups how they’d prefer to promote the show, but verbal notices combined with a flyer are often most effective. Alternatively if they have a weekly email/notice sheet, web diary or Facebook group, any of these could be used for publicity. If you are selling tickets, giving an allocation to other churches to sell after services can also be an excellent way to reach a wider audience.

PRESS AND PR

Press contact will be looked after by our Marketing Department. However, any connections you have locally - with local papers or radio stations - are vital. Often a phone call from the local organiser persuades local press that this is an event with a local connection, and therefore word organising

Please have a think about any local newspapers, radio stations or particular journalists active in your area and add the details to the Publicity Material Order Form. If you would like to contact any of them directly then please indicate this on the form. Otherwise we will contact them along with the other publications and radio stations on our lists.

Local monthly magazines and free-sheets that run ‘What’s On?’ guides often need information 8 - 10 weeks before publication in order to meet their printing schedule. For this reason it is important that your list of relevant local publications is with us as soon as possible – ideally 10 weeks prior to your performance date. You don’t want to miss out on any possible publicity.

ONLINE AND SOCIAL MEDIA

There will be a dedicated section of the Riding Lights website for this tour (www.ridinglights.org/crosslight). We will also be using Twitter (@ridinglights) and Facebook (www.facebook.com/ridinglights) to promote the show.

You can then use all of these materials to promote your performance by:

• Directing people towards the website• Posting links on Twitter/Facebook/blogs/church websites to spead the word about the show ...and encouraging others to do the same• We’ll create a Facebook event for your performance, but don’t forget to share this/invite contacts.• Asking other churches to add it to their websites / events calendars / Facebook pages & groups• Finding relevant local ‘What’s On? websites on the Internet and uploading the details of your show.

ONLINE PUBLICITY IS ESSENTIAL FOR REACHING A WIDER AUDIENCE - if you’re unsure on how to do any of this, we’re very happy to help - JUST ASK US. Plus there are likely to be others in your church who can help too.

Often there’s nothing better than a friend recommending a show to encourage someone to come along. When talking about the show be enthusiastic (particularly if you’re giving a church notice etc.) and make sure you tell people why they should come and see the show...

10 WEEKS BEFORE

TECHNICAL REQUIREMENTSPLEASE ENSURE THAT YOU COMPLETE AND RETURN THE VENUE QUESTIONNAIRE FORM TOGETHER WITH PHOTOS AS SOON AS POSSIBLE.

VENUE We have already discussed our venue space requirements with you which can be summarised as:

• A performance area of 5 metres wide x 4 metres depth, free from obstructions, with a flat stable surface and with 4.5 metres of height clearance above it. (SEE PLAN ON THE BACK PAGE)

• The venue should be able to accommodate an audience of between 120 and 400

• You may need a Public Entertainments Licence. This depends on where the performance is being held. Some venues already hold Public Entertainments Licences and you should check this at the time of booking. Other venues may require an application to be made for a temporary licence. You should always have a discussion with your Local Authority about this matter and follow their advice. Please note that Riding Lights cannot be responsible for any costs involved in obtaining the appropriate licences or in the necessary arrangements for operating the venue in accordance with the licence. (More information can also be found at http://www.homeoffice.gov.uk/drugs/alcohol/alcohol-licences/licensable/)

• Don’t forget to consider things such as where your audience is going to be able to park and whether you can provide them with refreshments.

SPACE The production is presented ‘end on’, with the stage at one end of the space and the audience looking towards that area – just like in a regular theatre. We will be providing our own raised staging which is 4m square. In addition, we need space around this bringing the total area we need up to 5m x 4.5m. Please see the diagram on the back page for more details.

PLAN When you return your venue questionnaire, please send us a clear plan of the venue and performance area, including measurements (in metres), position of exits, and marking any unmovable obstructions (eg. pulpits, choir stalls, steps, grand pianos etc.)

Please contact the Riding Lights office with this information BEFORE you book the venue or part with any money. We will need to have received a plan of the venue, and have confirmed that it is suitable, before we are able to send out your publicity material and before you can start selling tickets.

LIGHTS We will be bringing some stage lighting with us and will need two 13 amp sockets reasonably close to the acting area. Please check to see if there is anything else substantial using the same ring main (tea urns, heaters etc.) We will need to be able to use up to 26 amps in total.

SOUND The Company will tour with a PA system which and is operated by the stage manager. Please contact us if you have any queries about the sound set up, or the acoustics of your venue.

7 WEEKS BEFORE

LITURGY AND STRUCTURECrosslight is more than a play to be performed for an audience; it is also a communal experience of theatre and worship. The performance is structured to ensure that the audience has the time and opportunity to reflect on Christ’s Passion and, finally, to make their own response at the foot of the Cross. We will provide the text for a number of options for the liturgy.

The text will include both a call to worship and closing responses, there will also be space for music if you would like to include that too.

It is up to you how you present the non-dramatic elements of the event. You may wish for everything to be led by one person or you may wish to ask different people to read the various items. There will be some elements that might, depending on your church, be most appropriately led by a priest or minister.

The music will be simple and can be led in whichever way is most appropriate for your church. This could be just a piano or, if you so wish, a music group. It’s entirely up to you. A wide selection of music choices will be given in the script to reflect the different styles and traditions of the many churches we will visit.

We will provide you with the details to be included in the service sheet for the event. These details can be provided as a document or electronically. It will be your responsibility to produce the service sheet. You may use projection for text if you wish, provided there are no screens obscuring the acting area or scenery.

We are aiming that the evening will belong to the community we are visiting and will not just be a Riding Lights performance. It is important that the evening flows well and that the overall tone is meditative and reflective rather than celebratory.

6 WEEKS BEFORE

ACCOMMODATIONWho will you need to accommodate?There will be 3 actors and 1 stage manager in the company. Mostly this is for the one night of the performance, but, if you are hosting a performance on a Sunday which is followed by a day off (Monday) for the actors, we would be grateful for two nights’ accommodation. (Please note that, on days off, our actors do not need entertaining or taking out. Due to the rigorous nature of the group timetable, they may just want to sleep, or do something by themselves. Please do not feel offended!)

We will send you more specific details closer to the time, such as how many males/females, allergies, and dietary requirements.

What will we need you to provide?When finding hosts it is literally bed and breakfast that is required. The actors will arrive after the show, so if could be very late. Due to the late finish of their working day during the tour, the company tend to use the morning as a chance to relax. If possible we ask that arrangements can be made so they can stay in their host houses until they need to leave for their next destination, even if their host is not at home.

We ask hosts to provide members of the touring company with:

� Their own room – The company’s timetable is hectic as they are on the road constantly for around 5 weeks. For this reason we ask that you provide each actor with his/her own room so that they can have some rare but vital personal space.

� It is important that our actors are well rested so that they can work and perform at their best. For this reason we ask that the actors have a real bed, instead of a camp bed, sofa beds or Z-beds.

� Laundry Facilities, so they can wash their clothes! � The company will need somewhere safe and preferably off road to park the company van. � Access to breakfast.

It is helpful to know well in advance where our actors will be staying. As our companies are on the road for lengthy periods, it is vital for us to be able to pass on their whereabouts to their families, agents, friends etc. It is also reassuring for them to know where they will be next.

ACCOMMODATION FORMPlease find an accommodation form online which requests the names, contact addresses, postcodes and phone numbers of the hosts for our own records.

We will get in touch with each host individually with more information about who they are hosting closer to the time.

1 WEEK BEFORE

CHECKLIST: 1 WEEEK TO GO

In the week before the performance we suggest you take some time to make sure everything is ready for the show. Here’s a checklist for the jobs that need to be covered.

� AUDIENCE SEATING: Do seats/furniture need moving in the venue? Do you have people to help you do this?

� MEET THE ACTORS Is someone available to meet the cast at the venue, on the day?

� MEAL FOR ACTORS Cooks at the ready? Is water/drinks available for the cast at the venue?

� TICKETS (if applicable) How many tickets are left to sell? Have you prepared floats for Box Office?

� LITURGY (if applicable) Have you printed service sheets or prepared the projection?

� MERCHANDISE STALL Is there someone to look after the merchandise stall before the show?

� AUDIENCE REFRESHMENTS Are you serving refreshments?

ON THE DAY

To help things run smoothly on the day of the performance, please could you help us with the following...

ARRIVALThe company will need access to the venue 4 hours before the performance is due to start. Please ensure that the initial meeting point, if different from the venue, is clearly marked on the map. They will assume that they are to be met by the contact at the venue unless told otherwise.

SEATINGPlease set out seating you may be using before the company arrives. If you would like to confer with them about the best way to do it, please do, but as they will be setting up their own equipment they will not be able to help put out seating.

MEALSPlease provide a light, hot meal for the actors at the venue about one and a half hours before the show. They would also appreciate tea, coffee and cold drinks as required, and some water at the interval. (Amanda will notify you of any dietary requiements for the actors closer to the time.)

STEWARDS and TICKETS (ifapplicable)You will need people on the door to sell tickets, sell programmes, and be generally welcoming. Even if you are not ticketing the event, we strongly suggest you have a couple of stewards who are familiar with the building (including the fire evacuation procedure), and can show audience members to their seats.

MERCHANDISE STALLThe company will bring a selection of merchandise with them. Please provide a small table from about half an hour before the show and immediately afterwards as well as someone to look after the stand when the actors cannot be there before the show.

ON THE DAY - TIMETABLE

Riding Lights will be working to the following approximate timetable. This is based on a 7.30pm performance.

3.30 The touring company arrives at venue. Look at performance area with local organiser and discuss any alterations that need to be made to the layout of the venue (eg. chairs etc)

3.40 Unload van

4.00 Putting up the set, Membership stand, etc.

5.00 Food - a light, hot meal provided at the venue

6.30 Company prepares for performance - getting changed, warming up, praying etc.

7.00 House opens and the audience begins to arrive 7.28 Organiser confirms Riding Lights are ready to begin, and asks them to "stand by"

7.30 Performance

9.00 At the end of the show, as the audience leaves, the company will be at the door and at the Membership stand. They will then get changed, take down the set, pack up the Membership stand.

10.30 Finish loading the van and make their way to their overnight hosts.

THE SETwill occupy a space 4m wide by 4m deep. This

area needs to be flat and unobstructed. We do not need a stage or any raised staging.

Ideally, there should be clear space to the left, right, and back of the set which should be 0.5m on each side. If this is not possible, we may still be able to perform the show but we will need to

know what the restriction is.

There should also be a 1.2m distance between the front row of seats and the front of the stage. This

is a Health and Safety regulation.

Minimum height clearance from the floor of the stage area is 4.5m (15').
