1 Introduction

The BlueCielo Meridian Enterprise product suite consists of BlueCielo Meridian Enterprise 2012 and its modules. In this document, we briefly describe the highlights of this new release, which is generally available as of February 2012.

BC Meridian Enterprise is a versatile Engineering Content Management solution with a broad range of features, allowing various company types in multiple industries to optimize their business processes related to the creation, collaboration and distribution of engineering data. BC Meridian Enterprise is used as an Asset Information Management solution for owner/operators, as well as an Engineering Data Management solution for engineering

contractors and equipment suppliers. This is possible through the solution’s many features, its great flexibility to be configured to specific user requirements, and the availability of modules to address specific business problems.

With BlueCielo Meridian Enterprise, organizations can ensure that the latest revisions of the right documents are available to the right people. Fully CAD platform-independent, BlueCielo Meridian Enterprise provides flexible revision management, workflow support for projects and single documents, and a safe, secure environment for documents using a vault concept. In recent years, BlueCielo has expanded the scale of the solution to the enterprise level. This is reflected in the scalability of the solution as well as the possibilities for global collaboration. BC Meridian Enterprise allows working with both internal resources at various offices as well as external resources contributing to the projects. The BlueCielo Meridian Enterprise 2012 release comes with several major functional enhancements and a plethora of updates and improvements. New and enhanced functionality is described in this document for the entire BlueCielo Meridian Enterprise product suite, including the modules.

BlueCielo Meridian Enterprise 2012 comes with several major new features, various look-and-feel improvements, and a variety of smaller improvements with respect to usability, application integration, viewing, search, configurability, and technology. The major new features are:

Document renditions: Renditions generated by BlueCielo Publisher can be

stored and linked to native document content in the vault. Configuration allows viewing either the rendition or the native content.

Client/server viewing: Client/server viewing deployment is now available as

an alternative to the traditional desktop-based viewing features. Client/server viewing is especially attractive for web clients and 64-bit desktop clients. In future Meridian Enterprise releases it will also offer functional advantages compared to desktop viewing.

Item subscription: Item subscription allows a user to select an item

(document or object tag) in the vault and choose from a list of events on which they wish to be notified, such as when a document is changed, deleted, released from change, etc. When the events occur, an email is sent to the user and even reminders can be sent if necessary.

Autodesk Revit support: In addition to updated support for other CAD applications, we have substantially improved support for Autodesk Revit.

HyperCache: A new execution mode named HyperCache is provided as default for 64-bit servers to optimize Meridian Enterprise performance. The Meridian Enterprise 64-bit version with HyperCache has been tested extensively under high loads and has been found to offer significantly better performance and scalability than other Meridian Enterprise configurations.

Usability, Search and Configurability: On top of the preceding

enhancements, many other improvements over the 2011 release have been implemented.

The main enhancements in BC Meridian Enterprise 2012 (abbreviated to BC [M] 2012) are described in more detail below. A more complete and detailed overview of changes can be found in the Release Notes distributed with the software.

2.1 Document renditions

BlueCielo Meridian Enterprise stores and manages multiple file streams for each document in a vault. The primary file is the editable, native content of the document. Other file streams include hybrid document parts, a thumbnail image, and electronic redlines. BC [M] 2012 now adds a new file stream for renditions. A rendition is a copy of a document in a format other than the original. The rendition is in non-editable format and is distributed only for reference or hardcopy printing while the original, editable source document is not distributed outside of the organization. Examples of rendition formats are: Adobe PDF, Autodesk DWF, JPG and TIF. In most cases, renditions can be created by the same application that is used to edit the original document or they can be created by a different application. With prior Meridian Enterprise releases, companies have typically stored renditions as separate documents linked with references, in a separate vault, or in a different document management system. Meridian Enterprise 2012 can store renditions as an alternative content stream that is equivalent to the original document. Like hybrid document parts, a document’s rendition inherits the same property values as its parent document.

The BlueCielo viewer is now able to show either the current document’s original content in native format (the default, as in previous versions) or the document’s rendition produced by BlueCielo’s Publisher. Users can also configure the client to show the rendition rather than the native format by default.

BC [M] 2012 supports renditions in various operations:

The following functionality is not yet available in the BC [M] 2012 release: Hotspots on renditions BC [M] Global Collaboration Framework support

2.2 Client/server viewing

Client/server viewing (also known as Server Based Viewing) was included in Meridian Enterprise 2011 as a preview feature to help customers and BlueCielo Partners gain experience with this new technology. BC [M] 2012 provides a full implementation of client/server viewing, supporting all features that are also supported by the AutoVue desktop viewer. Client/server viewing is supported for all Meridian Enterprise clients, i.e. PowerUser, Office Client, Web Access, and Meridian Explorer, and can now be used as an alternative for the traditional desktop viewing by deploying an application server for the viewer. Client/server viewing offers advantages for web clients such as the BC Meridian Enterprise Web Access and the BC Meridian Explorer client, as it eliminates the need for software installation on the user’s desktop. (Note that the optional Advanced Form Controls and the Upload/Download Control used by Web Access still need to be downloaded and installed locally upon demand.) Client/server viewing also offers compatibility with the 64-bit version of the PowerUser,

which is not compatible with the 32-bit AutoVue desktop viewer. Note that on 64-bit desktops it is also possible to use the 32-bit PowerUser with the 32-bit AutoVue desktop viewer instead of the 64-bit PowerUser. Service packs and fixes of the AutoVue Viewer are easier to deploy in the case of client/server viewing because no desktop deployment is required. Note: BlueCielo partners and customers need to be aware that future releases of Meridian Enterprise will offer more functionality for client/server viewing than with desktop viewing. A migration from desktop viewing to client/server viewing should therefore be planned for this or the next Meridian Enterprise release. We recommend that they start such a migration with the Meridian Enterprise web clients, i.e. Web Access and Meridian Explorer.

2.3 Viewing

2.3.1 AutoVue 2D Professional 20.1.1

AutoVue version 20.1.1 is included with this release of Meridian Enterprise. Among others, new formats supported are:

AutoCAD 2011, 2012 AutoCAD Mechanical 2011, 2012 Inventor 2011, 2012 SolidWorks 2011

2.3.2 Navisworks Freedom 2011 support

The Navisworks Freedom viewer is now supported by the BlueCielo viewer and can be configured as the default viewer for Navisworks files.

2.4 Subscription and email notification

Item subscription allows a user to select an object (document, or object tag) in the vault and choose from a list of events on which they wish to be notified, such as when a document is changed, deleted, released from change, etc.

The notification is then done by emails sent using a preconfigured user profile. The notification can contain a collection of files for the recipient. If follow up is overdue, reminders can be sent.

2.5 Autodesk Revit

BC [M] 2012 extends support for managing Revit models in a Meridian Enterprise vault.

File management for Revit models has been improved. In Meridian Enterprise 2012, synchronization between Revit models can be managed within the vault and integrated with workflow and version management. The history data generated by Revit can now be managed in the Meridian Enterprise local workspace (LWS) to avoid unnecessary overhead in the vault. Meridian Enterprise 2012 can be configured to manage retention of Revit history data in conjunction with workflow in the vault.

This release also adds management of Revit model hierarchies. When work in a large project is distributed over a hierarchy of Revit models (e.g. per project team, within each team per discipline, and then a model for each engineer), Meridian Enterprise can track which Revit worksets are being worked on in the individual models, and manage the synchronization of updates through the model hierarchy. This enables efficient division of labor while maintaining overview and control of the entire project. Also, by carefully choosing the worksets in the Revit model, concurrent engineering in parallel with Meridian Enterprise projects can be implemented. This supports the process of keeping the plant model as-built.

Finally, Meridian Enterprise 2012 adds the management of references created in the Revit model (with the exception of references to point clouds). This brings the advantages of BC [M] reference management to Revit models and avoids losing track of data and relations that are essential for the integrity of the model.

2.6 HyperCache

Because the 64-bit platform provides a vastly larger memory address space and server computers with large amounts (typically 16 GB or more) of physical memory are readily available and affordable, BlueCielo Meridian Enterprise performance and scalability can be improved with an optimal new configuration called HyperCache, which has become the default configuration for BlueCielo Meridian Enterprise 64-bit.

In the HyperCache configuration, vaults are stored in a Hypertrieve database that is loaded entirely into server memory. This maximizes the performance of these vaults, which typically serve larger numbers of users and larger document quantities. The Hypertrieve database gives the cache persistence between service shutdowns and startups. The vault contents are replicated to Data Library repositories hosted by SQL Server or Oracle where they

can be accessed read-only with the Meridian Explorer client or standard reporting tools such as SQL Reporting Server and Crystal Reports.

Performance tests in simulated customer environments have shown that HyperCache can improve performance significantly. Tests have shown that Meridian Enterprise 2012 64-bit with HyperCache is capable of handling 1.5 million documents (not counting revisions) and over 200 concurrent PowerUser sessions, while still providing good performance. Please note that while these tests have been executed on hardware and software configurations that resemble typical customer environments, they cannot be taken to be representative of any particular customer environment. Therefore, in case of large amounts of documents and many concurrent users, we recommend that the hardware and software configuration be reviewed by BlueCielo or by your BlueCielo partner. BlueCielo Meridian Enterprise 64-bit with HyperCache can be used in any environment,

but is specifically recommended in the following scenarios: Existing implementations with performance and/or scalability problems New deployments with 100+ concurrent users or 500,000+ documents and tag

object tags Customers planning to significantly expand their number of users or documents

in the near future Implementing HyperCache requires:

A recent model 64-bit CPU server computer Microsoft Windows Server 2003 or 2008 x64 Sufficient physical memory (8 GB or more, depending on the number of vaults

and their size) BlueCielo Meridian Enterprise 2012 64-bit version Database migration (for existing SQL Server and Oracle vaults only) No new system administration tasks

2.7 Usability

2.7.1 New icons

A more contemporary set of icons has been created for the PowerUser, Office Client, and Web Access. All icons have been redesigned for consistency, clarity, and intuitiveness. The new icon-set can can be chosen under [view] in the main menu.

2.7.2 Web client enhancements

Various usability enhancements have been made to the Power Web Client and Office Web Client:

The look-and-feel of the web clients has been optimized to look and function more like the PowerUser client. One of the most important changes in that respect is the introduction of floating windows for properties and the viewer.

The Compare dialog available in the PowerUser and Office Client has been made

available in the web clients. It provides a visual comparison in the viewer of two documents or two revisions of a document. It also provides a dialog to compare the documents’ properties.

A default scope can be set when publishing a vault. Web Access users are not

aware that they are actually seeing a subset of the vault’s contents and capabilities.

Internet Explorer version 9 is now also supported, while IE versions older than release 6 are no longer supported.

2.7.3 Data Import Tool

The Data Import Tool has been enhanced with the following features: All imported documents can be assigned a specified document type

Specifying values for properties that are linked to lookup lists is made easier by the

display of the existing lookup list values.

Folders created during import now raise the BeforeNewFolder and AfterNewFolder events

It is possible to skip documents that have already been imported during a previous

execution of the document import tool The document import tool no longer imports documents that are out of the current

scope.

2.7.4 Last destination folder is remembered

With various commands (e.g. Import Document, Create Project Copy, Copy Document, and Copy with References) a folder selection dialog is shown to the user. All clients (PowerUser, Office Client and Web Access) now save the last selected folder for each operation and use this as the default for the next operation.

2.7.5 Thumbnails in folders

Thumbnails of documents in a folder are now shown in each navigation view.

2.7.6 Lookup lists in Set Property Value dialog

For properties that are linked to a lookup list, the Set Property Value command now shows a list of the existing values (similar to the Find dialog).

2.7.7 Replicate documents (Paste Multiple)

A new command Paste Multiple has been added to the Edit menu. It allows the user to make multiple replicas of a document copied from inside or outside of the vault.

2.8 Application integration

2.8.1 Updated CAD support

One of the primary goals of each release is to support the latest versions of popular authoring applications with which Meridian Enterprise integrates. The latest versions of the following CAD applications are supported:

AutoCAD 2012 family Autodesk Revit 2012 SolidWorks 2011, 2012 (Note: SolidWorks 2012 drawings cannot yet be viewed

in the AutoVue viewer) A complete list of the supported operating systems, authoring applications, email applications, web client applications, database management systems, languages, viewers, and the Meridian Enterprise versions supported by each version of the Meridian Enterprise modules are provided in BlueCielo Meridian Enterprise 2012 Supported Applications.

2.8.2 Ribbons in CAD applications

The AutoCAD, Inventor, MicroStation, and SolidWorks links now provide a BlueCielo ribbon that can be used instead of the classic menu items.

2.8.3 Microsoft Outlook link

The Outlook link allows users to store emails in the Meridian Enterprise vault. The following enhancements have been implemented: It is now possible to minimize the user interactions by configuring the client so that

the destination selection dialogs are skipped. You can configure the client to save email and attachments as a single file in .msg

format.

If an email has multiple attachments, then properties set for the first attachment can also be applied to the other attachments, avoiding duplicate data entry.

When an email is dragged from Outlook to the PowerUser, email properties (such as From, To, and Subject) are now automatically synchronized to document properties as determined by email settings (this was already the case except for drag-and-drop).

2.8.4 Lotus Notes link optimizations

The Lotus Notes link now provides the same level of functionality as the Microsoft Outlook link. Besides the added features, the scripting possibilities have also been extended, allowing more flexibility for the import of emails and their attachments.

2.9 Search improvements

2.9.1 Folder search

The Find command can now be used to find folders based on the folder name or properties, including custom properties. Note that folder searching is not supported by the Quick Find or Key Find features.

2.9.2 Savable search column filters

It is now possible to save the search column filter settings in the Power User and Office Client.

2.9.3 Routed properties in Find dialog

Routed (inherited) properties have been available in Meridian Enterprise for a long time. They are used to show parent folder properties for sub-folders or documents. In Meridian Enterprise 2012, it has been made it possible to search on these inherited properties while searching for documents with the Find dialog.

2.10 Configurability

2.10.1 Wizard pages for commands

Custom property pages have been available for documents and folders in prior versions. This release allows them to all be applied to custom commands. This enables easier prompting for property values that are required for the command to process.

2.10.2 Sorting of custom commands

A field has been added to the custom command properties to control the order of the display of the command in the context menu.

2.10.3 Centralized Outlook link settings

The Outlook link settings that were previously configurable by each user have been centralized on the Email Settings page in Meridian Enterprise Configurator.

2.10.4 VBScript enhancements

Numerous user properties; vault, folder, and rendition methods; and briefcase and submittal events have been added to VBScript. For details, see the BlueCielo Meridian Enterprise 2012 Release Notes.

2.10.5 Sequence number management tool

A tool has is included with Meridian Enterprise to view and manage sequence numbers in a vault. Sequence numbers can be imported and exported to allow sequence migration when required.

2.10.6 Import of Active Directory groups

A tool is included with Meridian Enterprise that

enables groups to be copied from the Microsoft Active Directory and imported into the Meridian Enterprise 2012 user Database. The tool can be configured to map AD properties to the Meridian Enterprise directory.

2.10.7 Option to disable work area functionality

In the past, BC Meridian Enterprise has been extended with more and more functionality related to project folders and scopes. Since the 2010 release, it has been announced that work areas are being phased out. Work areas can still be used within Meridian Enterprise 2012, but the related functionality is clouding the user interface and the configuration options when project folders are used in the vault. Therefore, a new option in the vault configuration can be set to enable or disable work areas. This option is available for new vaults only at the time of

creation. The default for this option is to disable work areas.

2.10.8 Work area conversion tool

To enable the upgrade from Work Area’s to Folders a conversion tool is available. This tool is not installed with standard BC Meridian Enterprise but is provided upon request and evaluation during test conversions.

2.10.9 Various enhancements

Show wizard for change document type

Optionally the new document wizard can be shown to change document type.

Columns in separate tab The column configuration has been moved to a separate tab to allow easier configuration of the columns used for common View and Search operations.

Load/save script Script files can be saved and loaded.

Document Type Keywords Keywords or free text can be associated to documents. This allows the designer of an environment to make easy tests in script by testing for the association of a particular keyword in script for a document type.

Force document to be created in project

The project select dialog can now be shown when a new document is created.

Script functions DeleteFile It is now possible to delete a file using script.

Retention properties can now be set from script The built-in retention properties can now be manipulated via scrip.

Command line options for PowerUser

The PowerUser can be launched with command line option to allow a PowerUser to be opened in a particular view with a particular set of documents based on search criteria.

2.11 Technology, installation & deployment

BlueCielo strives to continually improve the technological foundation upon which Meridian Enterprise is built. This release incorporates the improvements described in the following sections.

2.11.1 Deployment on 64-bit servers and desktops

The default client version of the PowerUser and Office Client is 32-bit on both 32-bit and 64-bit desktops. It is possible to install the 64-bit versions of both clients, but these are only compatible with the client/server version of the AutoVue viewer and not with the AutoVue desktop version. On 64-bit systems, it is now also possible to use Microsoft Access (MDB) files for external tables and the user database (on the server) and for the local workspace (on the client). MDB files offer a simpler alternative to the default Microsoft SQL Server Compact Edition. 2.11.2 BlueCielo File System driver (AMFS)

The BlueCielo File System driver (AMFS) will not be updated with new functionality and will be discontinued in a future Meridian Enterprise release (as yet undetermined). Customers currently using AMFS are recommended to migrate to local workspace (LWS) or centralized workspace (CWS). 2.11.3 Certified for Windows Server 2008 R2

After its release, Meridian Enterprise 2011 was certified for Windows Server 2008 R2 by Microsoft. This certification identifies hardware and software solutions that meet Microsoft standards for compatibility and recommended practices with the Windows Server 2008 R2 operating system. Solutions that have earned the certification take advantage of top-performing technologies, such as 64-bit and virtualization. Meridian Enterprise 2011 has been tested by a third party test vendor. Microsoft periodically reviews the certified solutions for compliance with these standards. For more information about this certification, see the Windows Server catalog web site.

3 BlueCielo Meridian Enterprise 2012 – Modules

BC Meridian Enterprise can be used as an Asset Information Management solution for owner/operators, as well as an Engineering Data Management solution for engineering contractors and equipment suppliers. This is possible through the solution’s many features, its great flexibility to be configured to specific user requirements, and the availability of modules to address specific business problems. In this chapter, we will give a brief introduction about the modules, followed by a description of the new possibilities in the 2012 release.

3.1 BC [M] Advanced Project Workflow Module 2012

The BlueCielo Meridian Advanced Project Workflow Module enables the management of complex projects and fully supports the management of change processes by owner/operators that are faced with complying with ever tighter regulations. In

BlueCielo Meridian Advanced Project Workflow Module 2012, the following enhancements and new features are added.

3.1.1 Source documents are inactive after transfer to another project

When a project copy is itself copied (transferred) to another project, it is no longer possible to release it as a revision of the master document. The new project copy should be released as new revision of the master document.

3.1.2 Force documents to be created in projects

It is now possible to configure the vault to only allow the creation of new documents in project folders. This increases the control over the total set of master documents in the vault, leading to increased data consistency and completeness.

3.1.3 Link to Master command

When working on projects in which external companies

participate, data will have to be imported. Sometimes the received documents are new revisions of existing master documents. In that case, the new documents in the project will have to be linked to existing master documents through converting the documents to project copies of the master documents. To enable this, the Link to Master command has been added. The command is only available if the imported document is not yet linked to a master document.

3.1.4 Retain comment log after Release to Master

A document has history stored in the comment log. When a project copy is made, the comment log of the project copy is empty since the document is new and has not yet completed any workflows. By default, when the project copy is released as a new revision of the master document, all project copy-related history is not transferred. A new VBScript method Document.GetLog() has been added to transfer the project copy comment log to the comment log of the master document. 3.2 BC [M] Asset Management Module 2012

The BC [M] Asset Management Module enables BC [M] users to expand their engineering content management solution into a full Asset Information Management System. Based on the unique identification number of assets (tag numbers) and functional locations, all related documents are immediately available to the users. Through the tag-document relationships, the documents can be found in the stand-alone BC [M] Explorer Client or through integration with maintenance management systems such as Maximo, Ultimo, Datastream, SAP PM, or through facility management systems like Famis, Archibus or others. The BC [M] Asset Management Module actually consists of two parts; the BC [M] client extension and the BC [M] Explorer (server and client). The new options and features of the BC [M] Explorer 2012 release are separately discussed in the next chapter of this

document. In this chapter only the enhancements and new features of the BC [M] client extension part of the BC [M] Asset Management Module 2012 are discussed.

3.2.1 Improved setup

BlueCielo Meridian Enterprise modules such as the Asset Management module can now be enabled and disabled through a vault setting. Now it is part of the regular client setup and the MSI, so there is no need to distribute extensions.

3.2.2 Multiple hotspots/objects on the same Tag block

Currently a hotspot is created over the whole block; this means that only one attribute can be used for a certain block. This is OK for a regular tag blocks. However if you have multiple attributes in a block that point to different objects, it has now been made possible to link to multiple objects and hotspots.

3.2.3 Tag-Tag relations

Especially for line tags, a relation between tags is necessary, for example the link

between a pump and the process line. The BC [M] Asset Management 2012 extension now supports the creation of tag-tag relations.

3.2.4 Alternative tag number calculations

It may be the situation at your production facilities that the tag label is not always calculated in the same way. For example it may depend on the production process or area. In the BC [M] Asset Management Module 2012 it is possible to enable different tag label calculation schemas.

3.3 BC [M] Explorer 2012

The BlueCielo Meridian Explorer allows large viewer communities to access released engineering and asset data from the BlueCielo Meridian Enterprise vault by use of the modern web interface of the BC [M] Read-Only Explorer Client. The client provides an extensive set of search and navigation features that can be configured to meet the requirements of specific user groups. The data in the Explorer repository, known as the Meridian Enterprise Data Library, also allows the use of common reporting tools like Microsoft Reporting Services and Crystal Reports since it is stored in standard SQL Server or Oracle databases. The data made available to the users can be controlled through configuration of the Meridian Explorer server, which also allows consolidating data from multiple BC [M] vaults into one enterprise repository. Data can also be synchronized to multiple remote Explorer repositories to provide an improved user experience with local data centers.

The primary differences between the Meridian Enterprise Data Library and the Meridian Explorer are highlighted in the following table.

With the support of projects in the BC [M] Explorer 2012 release, it now becomes possible to provide data released for construction to the shop floor and construction sites. The Feedback page allows the viewers to comment on the design data for quick update, ensuring project progress and shortened project lead times.

Asset information like tags, functional locations, and equipment linked to engineering content can be included to provide an asset-centric view on the engineering content, both during the construction phase as well as during operations and maintenance. This requires extension of the BlueCielo Meridian Enterprise environment with the Meridian Asset Management Module (see below). With an asset-centric BlueCielo Meridian Explorer repository, integration is possible with maintenance and facility management systems like IBM Maximo, SAP PM, INFOR (Datastream), FAMIS, and many others.

3.3.1 User interface & search enhancements

The Welcome page of the BC [M] Explorer Client has been redesigned to give a better user experience.

The application has a number of customizable user interface features:

The (HTML) content on the Welcome page can be modified to display information that is relevant to the company or to the user.

The BlueCielo logo can be replaced by a customer’s logo. The application comes with a set of standard icons and thumbnails for common

asset types. These can be modified and extended. The Advanced Search page can now be shown in a form layout for easy searching. See the lower left picture below. With floating detail pages, the user can display property pages and the viewer in a separate browser window and even place them on a second monitor. See the lower right picture below.

3.3.2 Icons at the Properties page

In the properties page of a document some information is provided through icons. In the above picture not all icons are highlighted, indicating that this document does not have a rendition or hotspots. For “Project Copy” multiple icons can be shown, as indicated separately, like the revision status.

3.3.3 Support for projects

The BC [M] Explorer has been extended to support projects and the master document/project copy relationship. After synchronizing BC Meridian Enterprise project folders, they will be available in BC [M] Explorer with selected folder properties. Separate views can be defined to search for projects. The project view supports the same rich search functionality as the document and object tag views.

Property pages can be configured based on the project type. In addition, the details view of a project provides access to the documents and object tags assigned to the project. Users may add projects to a personal Favorites list. This provides quick access to the project information.

Project copies of documents or object tags are synchronized from BC Meridian Enterprise to the corresponding project in BC [M] Explorer. The relationship between the master document and its project copies, and the state of the project copy, are displayed on a dedicated property page.

3.3.4 Support for renditions and hybrid parts

Document renditions and hybrid parts are included when synchronizing the documents from BC Meridian Enterprise to BC [M] Explorer. Please refer to the description in Document renditions on page 4. User access can be restricted to the document rendition only. Alternatively, the document synchronization can be configured to exclude native documents from BC [M] Explorer. Both options ensure that users of the BC [M] Explorer client only have access to the rendition.

The different content files that may exist for a document can now be displayed on a property page. The user can view or download the individual files from this page.

3.3.5 Batch printing

From the context menu in the search results page, you can select 'Draft Print' for one or more selected documents. This will use the Office Web Client viewer control (ActiveX) to print the document to a local printer.

3.3.6 Enhancements to existing functionality

The DOCFILTER & TAGFILTER parameters used for the asset management system link are now also applied to all value dropdown lists in the client.

On a 64-bit server, text extraction for full-text indexing now supports both 64-bit and 32-bit IFilters.

The size of the thumbnail image in the search results is now configurable. The use of wildcards in advanced searches can now be configured. This enables

users to search for values containing the * and ? characters. BC Explorer 2012 can use the MS SQL Server 2008 FILESTREAM option for

storing document content.

3.3.7 Web-based configuration

The views for the BC [M] Explorer Client can now be configured directly from the web application. System administrators can create and configure views without requiring access to the desktop of the web server.

The configuration interface has the same layout as the client application, making it easy to use.

3.3.8 Language support

The user of the BC [M] Explorer client can choose from any of the following user interface languages:

3.4 BC [M] Email Manager 2012

BC [M] Email Manager provides automated importing of emails to a vault via configurable rule sets. Email messages and their attachments can be automatically categorized and stored in the BC Meridian Enterprise vault. The BC [M] Email Manager is compatible with all email servers that support the common IMAP protocol, for example, Microsoft Exchange and IBM Lotus Notes.

3.4.1 Stronger checking of duplicate attachments

BC [M] Email Manager 2012 now uses a 160-bit SHA-1 hash code instead of the previous CRC-32 to determine if an email attachment is a duplicate of an existing document when imported into the vault. Use of this hash code eliminates the chance of false positives.

3.5 BC [M] FDA Module 2012

The BC [M] FDA Module adds configurable FDA 21 CFR Part 11 technical controls to the already-powerful technical document management system of BC [M]. In earlier releases, organizations faced with regulatory compliance issues for their electronic documents would deploy the BC Meridian FDA Module as a configurable add-on to BC Meridian Enterprise. To manage GMP-controlled engineering documents, the module provides features related to:

Enhanced authenticated access control Event audit trail and reporting Electronic signature support for document & project workflows Esignatures manifested on Adobe PDF document renditions Document workflow status email notification and subscription Rendition watermarking

BlueCielo Meridian Enterprise 2012 integrates all of the features of the BC [M] FDA Module into the base product. This makes the BC [M] FDA Module more transparent,

easier to configure and administer, easier to implement in industries other than the pharmaceutical industry, and easier to deploy because it does not require extensions to be installed. All of the features work similarly in the PowerUser, Office Client, and Web Access clients with minor limitations. Use of the features (except for renditions) still requires Meridian FDA Module licenses.

3.5.1 Authenticated access control

Heavily regulated environments often require an application dialog that authenticates the user prior to entering the system. Prior to opening the vault, the user is prompted by the Power User, Office Client, or Web Access to re-enter the same domain user name and password that they use to log on to their computer and the corporate network. Failure to enter the correct credentials within the allowed number of attempts will lock the account and require unlocking by a system administrator.

3.5.2 Audit trail

The Comment property of documents in BC Meridian Enterprise provides a useful history of the document life cycle of every document. By extending the BC [M] environment with the BC [M] FDA Module, other useful events and information will be included in the audit trail, such as:

3.5.3 Audit Reports

In this release, all of the actions available to the audit trail and their related data can be recorded in a secure database separate from the BC Meridian Enterprise vault. The data can be viewed, filtered, and printed by authorized users.

3.5.4 Electronic signatures

Transitions in workflow definitions can be configured to require an electronic signature from the user before the transition can be executed. The user will be prompted to re-enter the same domain user name and password that they use to log on to their computer and the corporate network. The electronic signature information is stored with the document, can be added to the audit log, and can be manifested on printable renditions using watermarks or an attached signature page.

3.5.5 Migration tool

Existing FDA module users can update to the BC [M] 2012 release through use of the FDA Migration Tool. This tool helps to get renditions stored separately in the current environment migrated to a rendition stream in the 2012 environment. The tool will also migrate the existing audit trail information. The FDA Migration Tool is only available upon specific request and with support of BlueCielo Professional Services.

3.5.6 Regulated Industry

With the transition of the FDA module related features into core BlueCielo Meridian Enterprise, we have also decided to structure the FDA module differently. For any regulated industry support of rendition streams is important. This has now been made a core feature, as described in the section about BlueCielo Meridian Enterprise 2012 above. For making the renditions, the BlueCielo Publisher is required. This applies to users of the BC [M] FDA Module as well as any company who wants to make use of PDF renditions within their way of working. The possibilities of the BlueCielo Publisher are described separately below. Another regularly requested and useful feature is item subscription. Item subscription allows a user to select any creatable object (document, folder or object tag) in the vault and choose from a list of events upon which they want to be notified, such as when a document is changed, deleted, released from change, etc. As described under the new features of BlueCielo Meridian Enterprise 2012, the notification is then sent by email using a preconfigured user profile.

3.6 BC [M] Global Collaboration Framework 2012

The BC [M] Global Collaboration Framework (GCF) allows geographically-separated engineering teams to establish the seamless exchange of content and global workflow to enable global engineering processes, while at the same time retaining their own local working environments and processes in BC [M]. The BC [M] GCF can also be used to collaborate with external engineering teams, streamlining outsourcing processes. In the BC [M] GCF 2012 release the following features were added:

Completed briefcases can now be

transferred while new briefcases are being created simultaneously. A new transfer processor has been added.

The Transfer Ownership command has been added to the document shortcut menu. Renditions and their redlines can be synchronized with collaborating vaults.

3.6.1 GCF/Kronodoc

BC [M] GCF 2012 now also supports the exchange of documents between BlueCielo Meridian Enterprise and BlueCielo Kronodoc. BlueCielo Kronodoc supports the exchange of documents between contractors in large capital expenditure projects. A new integration with BC [M] GCF 2012 makes it possible to set up a document workflow that encompasses Meridian Enterprise and Kronodoc users, and completed documents can be transferred during the project from contractors to the internal BlueCielo Meridian Enterprise users. Official release is expected in Q2 2012.

3.7 BC [M] Transmittal Management Module 2012

For customers working on complex projects involving suppliers and/or customers, the BC [M] Transmittal Management Module offers full control and tracking of what is sent to and received from whom, when, and how. The module fully integrates with BC [M] enabling projects to be executed up to 20% more efficiently and full control over project deliverables can be proven. In the BC [M] Transmittal Management Module 2012 some enhancements have been added to improve the transmittal and submittal processes. A few are listed here:

3.7.1 Automatic template selection

When a transmittal is sent, a transmittal sheet can be added based on a transmittal sheet template. If there is only one template available, there is no need to have a selection dialog. For this reason, some extra VBScript events have been added:

3.7.2 Create transmittal sheet as separate document in the vault

The transmittal sheet can be stored as a separate document in the vault. After creation, the transmittal document will be linked to the transmittal with a reference. The reference type can be hard-coded or configurable.

3.7.3 Remove transmittal sheet from briefcase

After the transmittal sheet has been stored in the vault, it can optionally be removed from the briefcase.

4 BlueCielo Publisher 2012

The BlueCielo Publisher offers the capability to render documents from various source content management systems and publish them into the same or another destination system. In the destination system, metadata can be published along with the (optionally rendered) file. If the properties in the destination system have different names, the properties can be mapped with to the property names of the source system. Many file formats that are used in engineering can be rendered to another file format, most commonly the Adobe PDF format. Various BlueCielo systems as well as third-party systems are supported, such as BlueCielo Meridian Enterprise, BlueCielo Kronodoc, BlueCielo ProjectForce, and ECM platforms such as Microsoft SharePoint, EMC Documentum, IBM FileNet, and IBM OpenText LiveLink. For publishing files, an event is required to trigger the publishing job. The event can be a manual user action and after selecting files an available publishing job can be selected.

For example, selected files can be published from BC Meridian Enterprise to MS SharePoint without rendering to Adobe PDF. Besides manual actions, the trigger to initiate a publishing job can be a workflow transition. In the source system, the workflow must be configured to initiate the publishing. All publishing jobs and files handled by the BlueCielo Publisher are logged (either in an MS SQL Server or Oracle database) and, if necessary, notifications are sent to the appropriate persons. Rendering the files can be done with the generic rendering capabilities of BlueCielo Publisher or, to achieve a higher quality output rendition, by configuring the BlueCielo Publisher to use the files’ native applications. If, for regulatory reasons, the rendered files need to be watermarked or electronically signed, post-rendition options can be configured in BlueCielo Publisher. This is specifically necessary within FDA-regulated environments. The post-rendition options are completely new in the BlueCielo Publisher 2012 release and are explained in more detail below.

4.1 Publishing

BlueCielo Publisher can be used out-of-the-box to publish document content from and to BlueCielo Meridian Enterprise vaults and Windows folders. However, the BlueCielo Publisher can also be used to publish content to and from other platforms, such as:

MS SharePoint support The BlueCielo Publisher supports publishing to and from MS SharePoint sites and rendering the files during the process. In this way, for example, an MS SharePoint site can be used for the creation or updating of files, like standard operating procedures or safety guidelines, and the approved documents made available to the entire organization. BC Publisher can publish documents from Meridian Enterprise to MS SharePoint and vice versa. When working in MS SharePoint, a set of documents can be selected and publishing can be initiated manually. Another way of initiating the publishing job is by configuring the MS SharePoint workflow. BC Publisher 2012 can send rendered files to multiple MS SharePoint document libraries. The destination libraries can be based on a Meridian Enterprise property that is configurable on the Destination tab of the publishing job. BC Publisher 2012 allows publishing to and from MS SharePoint hosted in the cloud. Publishing jobs destined for MS SharePoint can be configured to authenticate against Microsoft Online Services.

BC ProjectForce support For BlueCielo ProjectForce 2012, we will deliver a BC Publisher 2012 release that enables publishing to and from MS SharePoint. The advantage is the support of hybrid documents and X-Refs in the publishing process.

The AutoVue Document Converter is available out-of-the-box with the BlueCielo Publisher as a generic rendering module for the extensive list of formats supported by this product. However, for optimal rendering quality, the BC Publisher can be configured to render with the native application. The following applications are supported:

Autodesk AutoCAD Autodesk Inventor Bentley MicroStation MS Office (Word, Excel, PowerPoint, Visio)

In BC Publisher 2012, some user interface optimizations have been implemented and some new features added for Autodesk AutoCAD:

Selection of the drawing layouts to be rendered Pen table support Hardcopy output can be selected, allowing batch printing of AutoCAD drawings

For Bentley MicroStation, the flexibility has been increased by supporting the use of

MicroStation macros. This allows control over the output with respect to: Color, monochrome, or grayscale output Current viewport, all viewports, or selected viewport Reference files Line weights Text as text entities (not line entities) Layers in rendered content

New in the BC Publisher 2012 is support for Autodesk Navisworks Manage. Autodesk Navisworks Manage is a review solution for design and construction management professionals seeking powerful insight and predictability to improve productivity and project quality. 3D design data, both geometry and information, can be

combined, regardless of authoring design tools or file size. Autodesk Navisworks combines precise fault-finding analysis and interference management together with dynamic 4D project schedule simulation and photorealistic visualization. Entire project models can be published and freely viewed in NWD and 3D DWF formats.

To allow rendering to the Navisworks format NWD, an AutoLISP routine is used in AutoCAD. The routine can be selected in the configuration of the BC Publisher. After rendition to the NWD format, the 3D Navisworks rendition can be stored in the BC Meridian Enterprise vault.

4.3 Post-processing

For regulatory reasons, for example to comply with FDA 21 CFR chapter 11 regulations, Adobe PDF renditions require post-processing to identify, authenticate, and authorize the rendition.

The BC Publisher 2012 release provides separate post-processing features to add the following to an Adobe PDF rendition:

Electronic signature The electronic signature is a text string that can be placed on a pre-configured location at the drawing. The text can be static, a specific property value from the source system or a

combination of properties. Various settings are configurable to position the electronic signature on the rendition.

Watermark Overlay A watermark can be overlaid on Adobe PDF renditions. The watermark can be static text or based on a specific property value from the source system (only Meridian Enterprise?). Watermarks can be conditionally applied based on the value of a property. Various settings are configurable to position the watermark on the PDF.

Dynamic print stamp Another option is to add the specific details of a rendition, called a print stamp (screendump). This allows adding text to the rendition like "Document printed on: 05/05/2011 1:45 PM. Print valid for one day only".

Signature pages A separate signature page can be required for Adobe PDF renditions. The signature page manifests all of the approvals in the workflow process applicable to the document. The post-processing feature supports multiple signature page templates. Each template has its own settings and can be applied conditionally depending on a property value of the source document.

Prior revisions Once a new revision is available and is rendered to Adobe PDF, not only the active revision may require a watermark or electronic signature, but also the prior revision. The prior revision can be watermarked with configurable text:

4.4 Publisher platform

4.4.1 Clustering BC Publisher application servers

With the support of renditions in BC Meridian Enterprise 2012 and multiple platforms being supported, the workload of BC Publisher increases. In BC Publisher 2012, the workload can be spread over multiple BC Publisher application servers. This requires that the Publisher web services must be configured at one of the BC Publisher application servers (the primary server). That server will maintain the publishing queue and distribute the publishing jobs to the other application servers (secondary servers). The Publish job must be distributed to the BC Publisher Application server which has the appropriate licenses to execute the job.

4.4.2 Near real-time publishing

When renditions must be generated within workflows, the BC Publisher should create renditions at workflow initiation instead of at scheduled times. BC Publisher 2012 has been improved so that it can publish and render immediately on demand.

4.4.3 Compatibility

Publishing modules written in Visual Basic 6 that have been developed for older versions of BC Publisher are incompatible with Publisher 2011 and higher. A legacy module is provided for Partners and customers that want to use such modules with Publisher 2011 or higher. This Visual Basic 6 wrapper makes it possible to use such modules with the latest Publisher versions in most cases. Please contact BlueCielo to assist in enabling legacy modules within the BC Publisher 2012 configurator.

5 Microsoft SharePoint solutions

Microsoft SharePoint is an ideal portal for collaboration, publishing information, and integrating business processes. Microsoft SharePoint provides storage and search and retrieval functionality for office documents with metadata, check-in/check-out, and revisions. However, the management and publication of engineering data like drawings and specifications with all of their relationships, deep CAD integration, and extensive approval processes require more functionality. BlueCielo offers extensive engineering content management solutions that enable you to optimize all your business processes in which technical documentation is crucial. Through integration with Microsoft SharePoint, your engineering content management (ECM) solution can be expanded even further within your enterprise. BlueCielo not only provides solutions to provide engineering content to the rest of the organization through Microsoft SharePoint, we also provide solutions that use Microsoft SharePoint as an engineering collaboration portal.

5.1 Publishing to Microsoft SharePoint

To disclose knowledge to the enterprise, Microsoft SharePoint is used as a portal with a standard and modern user interface. Engineering content can be provided to Microsoft SharePoint sites with our BlueCielo Publisher. If required, the documents can be rendered to Adobe PDF first and, based on status changes in the BC [M] vault, the documents and their metadata can be sent to Microsoft SharePoint. This is specifically

useful to provide information without expecting the Microsoft SharePoint users to make changes to the documents, for example, in case of regulations, standards, and procedures.

New in the BC Publisher 2012 is the possibility to use MS SharePoint as a content

source. Documents can be rendered and published from a MS SharePoint site to another site or to another content management system, like BC Meridian Enterprise.

5.2 BC [M] Web Parts

The internal user community that requires engineering content for their own business processes can access the data through Microsoft SharePoint. A web part enables the users to directly access the technical content that resides in the BC [M] vault.

Depending on the configuration of the Microsoft SharePoint site, the appropriate content can be made available to the users working within a specific Microsoft SharePoint site. For example, this is useful to provide Microsoft SharePoint sites for specific project teams. Another option is to show a BC [M] navigation view in the web part, like My To-Do list. The web parts can be considered as a extension of our BC [M] Web Access. With BC [M] Office Web Client licenses, you are also entitled to install a BC [M] Office Web Part,

which includes our viewer. The BC [M] Office Web Client license requires a BC [M] Database Connection license. In due time, we will also bring a BC [M] Power Web Part to market that can be used with the BC [M] Power Web Client license.

5.3 Collaboration portal with Microsoft SharePoint

If collaboration is required with user groups outside your organization, like contractors who need to participate in a project, an engineering collaboration portal can be created

with Microsoft SharePoint. This solution is based on our BC [M] Global Collaboration Framework, for which more in-depth information is provided in a separate white paper. The concept of the collaboration solution is that documents in BC [M] are enlisted for collaboration with a specific Microsoft SharePoint site. The enlisted documents are visible within the Microsoft SharePoint site. In the site, new documents can be created and will be synchronized to BC [M]. The BC [M] Global Collaboration Framework solution ensures that the ownership of the documents is managed correctly.
