BENEFITS INFOTYPES

The employee information required for the administration of benefits is stored in infotype records.

Integration:The Benefits Administration component uses its own infotypes but also references information stored in infotypes in the Personnel Administration (PA-PA) component. The following table gives you an overview of these infotypes:

INFOTYPE USAGEFamily/Related Person (Infotype 0021) These records must exist before employees can include family and related

Date Specifications (Infotype 0041) A date specifications record for an employee can be used in certain circumstances as an override date. Certain eligibility rules, termination rule variants and cost rule variants for some plans allow a hire date override. For this to be effective, the employee must have a date specifications record of the same type specified by the eligibility rule variant.

Monitoring of Tasks (Infotype 0019) This infotype enables you to monitor stored reminder dates for tasks. The Reminder date should be written in the format mm/dd/yyyy. The Lead/follow up time can be entered as a frequency/a time factor before or after the deadline. This is also the override value if you define both possibilities.

To optimize work processes it is recommended that the key benefits infotypes are included in the infotype groups for your personnel actions. For example, you could include General Benefits Information Infotype (0171) and Adjustment Reasons Infotype (0378) in the following actions: Hiring and Organizational Reassignment.

Health Plans Infotype 0167

This infotype stores details of the health plans in which an employee is enrolled. For every health plan the employee is participating in, one record is created. Usually you do not need to make any changes to this infotype. It is automatically created and updated by Benefits procedures.

Plan Data:This section contains the health plan data. This includes the name of the health plan and the option the employee has chosen. For example, an employee might be able to choose the degree of health coverage, which would define the option here. Dependent coverage is also shown. This indicates exactly who is covered by the health plan.

Employee Data:The Area/Grp/status and Cost group fields contain information from the General Benefits Data (Infotype 0171). The employee eligibility is denoted by the Eligibility group, which matches that of the plan.

Coordination of Benefits:This information concerns whether the employee has any other benefit coverage which requires coordination for processing claims. The provider and policy number of this additional coverage is shown here.

Plan Dates:The Eligibility date is dependent on the plan. However an Eligibility override date is allowed. A Participation date for when the employee first participated in the plan is also stored here.

Plan Attributes:The Plan type, Eligibility group, and Eligibility rule which apply the plan are stored here. The employee must fulfill these latter two to be eligible for the plan.

Cost:The As of field here specifies from which point the cost of the plan is calculated. The cost and period are determined by the Option in the Plan data box.

Insurance Plans Infotype 0168

This infotype stores details of the insurance plans in which the employee is enrolled. For each insurance plan in which the employee participates a separate record exists. Usually you should not need to make any changes to this infotype. It is automatically created and updated by enrollment procedures. The infotype is used by Payroll and for evaluations of employee benefits data.

Plan Data:This shows how the plan fits into the entire plan structure. It also gives the cost and coverage formulas for the plan.

Administration:This information is created by the system at enrollment. It also gives the status of Evidence of Insurability (EOI) requirements for the plan.

Coverage:The coverage for the plan is fined in the cost formula for the plan. The coverage is then displayed here on the infotype. Salary and coverage overrides can be entered here.

Costs:The costs are defined in the cost formula for the play. They are calculated for the calculation date and then displayed here on the infotype.

Beneficiaries:This stores possible beneficiaries for the plan.

Integration:The possible beneficiaries are taken from Infotype 0021 Family / Related Person and Infotype 0219 External Organization records belonging to the employee.

Enrollment

The enrollment process allows you to enroll employees and make changes to employee benefit plan records. You can make adjustments to plan enrollments owing to employee life changes, enroll employees in new plans for open enrollment, enroll in automatic and default plans and also stop participation in plans.

The Adjustment Reasons Record (Infotype 0378) might have already been created during HR Personnel Administration processing, or you can create one by hand in Managing Employee Master Data.

Savings Plans Infotype 0169

This infotype stores details of the savings plans in which the employee is enrolled. For each savings plan in which the employee participates a separate record is created. Usually you should not need to make any changes to this infotype. It is automatically created and updated by Benefits procedures.

Plan Data:This section contains the savings plan data; the savings plan and the contribution amounts that the employee will contribute. This appears either as a percentage of the employee’s salary or as a flat amount. Both the pre-tax and post-tax values for these can be stored here.

Employee Data:The fields Area/Grp/status and Cost group are filled by information from the General Benefits data (Infotype 0171). The employee eligibility is denoted by the Eligibility group which matches that of the plan.

Contribution Data:This section specifies whether any post-tax contributions should start immediately in tandem with pre-tax contributions or not until the plan defined pre-tax limit has been reached. The account number to which the contributions are to be paid can also be stored here.

Plan Dates:The Eligibility date is dependent on the plan. However, an Eligibility override date is allowed. A Participation date for when the employee first participated in the plan is also stored here.

Plan Attributes:The Plan type, Eligibility rule, and Eligibility group are stored here according to the plan in which the employee is enrolled. The employee must fulfill these latter two to be eligible for the plan.

Plan Parameters:The employer contribution rule, the vesting rule and the investment group assigned to the savings plan are stored here.

Flexible Spending Accounts Infotype 0170This infotype stores details of the Flexible spending accounts (FSAs) in which the employee is enrolled. For each FSA in which the employee participates, a separate record exists. Usually you should not need to make any changes to this infotype. It is automatically created and updated by enrollment procedures.

The following table shows the types of data stored on the Flexible Spending Account Infotype:

General Benefits Data Infotype 0171

Definition:This infotype stores the benefit area, benefit group and employee status assignments of the employee.

Use:The employee must have a General Benefits Data record before enrolling in a benefits plan. This record must also exist before you create an Adjustment Reasons (Infotype 0378) record. This infotype might have already been created in HR Master data personnel actions or you can create it by hand in Employee Master Data. The Benefits system refers to these employee assignments (benefit area/ benefit group/employee status) in order to determine which benefit program the employee is permitted to participate in.

Structure

General Benefits Data:These values are provided automatically by the system’s eligibility calculation. To test if these values are current you can run the Displaying Change of General Benefits Data report.

FSA Claims Infotype 0172

This infotype stores details of the claims an employee has made against a Flexible Spending Account (FSA) in which he is enrolled. For each claim the employee makes a separate record is created by the system.

Use:You should not need to make any changes to this infotype. It is automatically created when you enter a claim in FSA Claims Administration or when an employee enters a claim in the Employee Self-Service Spending Account Claims.

Create Adjustment Reasons Infotype 0378

A Benefits Adjustment is the reason why an employee must make changes to benefits elections. This is usually a change in personal or working circumstances such as a new baby or a change of job. This is known as an adjustment reason and, when an employee wants to make an adjustment, he or she must have one of these infotype records.

Use:You can create these records. These infotype records allow you to track adjustment reasons that have occurred. The type of adjustment reason is the subtype of the record and points to the permitted changes for the adjustment reason as defined in Benefits customizing. The validity of this record represents the period within which the employee can make changes to benefits elections. Thus, when an employee has one of the infotype records, in Enrollment the system produces a Benefit Offer that is valid for the validity period of this record. The benefit offer allows a restricted set of changes to existing enrollments as defined for the adjustment reason in Customizing.

Integration:The benefit area is taken directly from the employee’s General Benefits Data (Infotype 0171) record. This record must exist before you create an adjustment reason record. You can create both of these records in Employee Master Data.
