Regular billing and collection of service charges, including management fees. As from 1st October 2007, all demands for service charge must be accompanied by a prescribed summary of leaseholders' rights. The demand will not be valid without the statement and the leaseholder will be legally able to withhold payment. Arrears collection management. Provided any queries are answered expeditiously, we will offer a guaranteed six week turnaround of each quarter's accounts (delays outside of our control may be subject to extra charges). We will advise on sufficient procedures and systems to provide timely final accounts and annual statutory summaries to the leaseholders. We are aware that careful forward planning is necessary in terms of major works of repair, both in the specification and the pricing of work and the financial provision for them, and we will assist with long term budgeting. We would be pleased to discuss your specific requirements if you do not need the full service.

Everyday Management including:

Prompt response to all notifications of maintenance issues, enquires and complaints from property owners, occupiers or the management committee.

Provision of an out of hour of hours emergency contact for urgent incidents.

Monthly inspections of buildings and grounds and maintaining a log of reports and inspections.

Engage and instruct contractors to attend to any agreed and budgeted maintenance issues identified and submit a report to the management committee and/or arrange for immediate urgent remedial work to be carried out.

Authorisation of payments to sub-contractors on the satisfactory completion of work undertaken.

Ensure all necessary Insurance Policies are in place subject to an annual review of costs and risks.

Unless otherwise directed, attend all Management Committee meetings (up to four per annum).

Liaise with members of the Company (i.e. the owners or their agents) in instances of any breaches of the lease.

Where fees are more than £2500 per quarter we will provide a full day per quarter, assisting with any property management or accounting issues.

Full Company Secretary Provision is available for an extra fee. Company Secretarial duties include ensuring Company records are properly maintained & Companies House requirements are fulfilled

Work with the Company Secretary and assist with submitting all statutory returns.

If required, call & attend the AGM to take minutes & provide copies on request; OR, we can assist with the preparation of the agenda for the AGM and circulate same to all leaseholders by the required date.

Prepare and issue minutes of the Management Committee meetings (maximum four per annum, further meetings may be subject to an extra charge).

Preparation of a reserve fund plan relating to cyclical maintenance.

Detailed records of all transactions, with all expenditure suitably authorised.

Administering bank accounts and providing full cash book reporting.

Provision of a periodic budget report of income & expenditure and cash flow, including obtaining and assessing annual quotes for regular work.

Annual preparation of draft accounts in anticipation of audit & subsequent liaison with the auditors.

Prepare budgets and advise to the appropriate level of service charge.

Process insurance claims.

Supply information to solicitors with regard to past accounts, minutes, insurance, Memorandum & Articles of Association at no charge to the Company.
