Banner is a web-based, administrative software application developed specifically for higher education institutions. Banner provides an online environment that will allow Ball State to perform administrative and operational functions more effectively, as all information (data) will now be totally integrated and shared among different departments across the university.

Banner comes in two different flavors: Internet Native Banner (INB) and Self Service Banner (SSB). This document explains how to navigate through Internet Native Banner using Banner’s Main Menu.

Banner Main MenuThe Banner Main Menu encompasses everything you need to access and navigate through menus, forms, and jobs. The main menu consists of the menu bar, the toolbar, the form window, search & navigation, menus, messages, and the auto hint/status bar. Understanding your work space will help you navigate through Banner to access what you need to complete your tasks.

Banner Main Menu The Banner Menu Bar and Toolbar provides access to many of the same functions, such as SAVE, QUERY and RECORD.

The Banner Menu Bar: File menuIn Banner, at the top of every screen, you will find the MENU BAR. There are nine pull-down menus on the menu bar, each with a variety of selections. The menu bar is accessible anytime except when a dialog box, alert box, or list of values (LOV) is displayed on the screen.

The options listed within the menus are contextual, meaning you will notice changes within the drop-down menu options relative to the form you have open. A dimmed option on a pull-down menu means that it is disabled.

Forms can be accessed from the list of forms that are stored in the FILE MENU.

Banner remembers the forms you have accessed during your current Banner session.

To quickly view or open forms from this list, SELECT FILE MENU, and then click-on the form name from the list.

The list is refreshed each time you log out and log back into Banner.

The FILE MENU contains standard Banner and Oracle functions.

The file menu may also be accessed at any time by right clicking on a blank section of any form.

If you know the form’s sever-character code, select this option to enter its name in the field labeled, GO TO. . .

The Rollback action depends on what type of form is currently used. (GUAPARM)

Clears the message line; redraws the screen.

Accesses the Object Search Form (GUIOBJS) to locate a form, job, or quickflow if you know part of its name, description, or type.

Returns you to the calling form and enters the selected value into the field that called the form.

Cuts selected text and places it on the clipboard.

Displays the editor window, which is used to enter and update text.

Copies selected text and places it on the clipboard.

Pastes text from the clipboard to the cursor location.

The EDIT MENU contains standard editing functions found in most office applications.

The OPTIONS MENU varies from form to form. Some take you to other blocks and windows within the current form, other options take you outside the current form.

Except for Banner’s Main Menu, the options menu may also be accessed at any time by right- clicking on a blank section within any form.

Moves the cursor to the previous enter-able field.

Duplicates the contents of the same field in the previous record and copes it into the new record. Used in blank row of a repeating record.

Moves the cursor to the next enterable field.

Clears all information from the current field on your display. It does not remove information from any records or tables.

The ITEM MENU enables you to move from one field to another and clear and duplicate data within a form.

NOTE: In Banner, “ITEM” is used to refer to a field.

Moves cursor to the first enterable field in the previous record.

Moves cursor to the first enterable field in the next record of the current block. If the cursor in the last record, a new record is created.Scrolls up the list of repeating records, putting the first displayed record at the bottom of the list.

Scrolls down the list of repeating records, putting the last displayed record at the top of the list.

Clears all information from the display of the current record.

Removes all information for the current record. When you save, the record is permanently deleted.

Inserts a new blank record in the existing records.

Duplicates the content of all fields in a record and copies them in to a new record.

Temporarily locks the contents of the record so no other Banner user can update it. TIP: Save, Rollback, then EXIT release the lock.

The RECORD MENU allows you to work with records within a form.

The QUERY MENU contains the functions used to search for information in the database based on specific criteria.

Puts the form into Query mode so you can enter search criteria to find information already in the database.

Searches the database and displays records that match your search criteria.

Enters the criteria from your last search (enabled only when you are in query mode.

Cancels the query and takes the form out of query mode.

Counts the number of records that match the search criteria and displays that number on the Auto Hint line.

If more records meet the search criteria that fit in the window, clicking this option replaces the current set of displayed records with the next set.

The HELP MENU is an important tool when you need more information about a form.

With the cursor placed in one of the form fields, you can select Dynamic Help Query to learn more about a particular field within the form you are using.

This option opens a new browser window to SunGard Higher Education resources.

Show keys provides a list of functions and associated keystrokes for the current field or form.

Extracts Banner data (for the current block), along with Key data, for use in a spreadsheet. This is available only from certain forms.

The Banner ToolbarIn Banner, at the top of every screen, you will find the TOOL BAR just below the Menu Bar. The icons in the toolbar represent shortcuts to frequently used actions. The icons are grouped by functions.

3 EXIT: clicking the X will close the current form, a Query mode, or Banner itself depending on where the X is, in relation to the Main Menu.

Use these icons to save your changes, clear a form to start over, or select records from within a form.

1 SAVE: this option saves valid changes made to the current form. Invalid changes cannot be saved. For help, regularly check the AUTO/HINT STATUS BAR located at the bottom of every screen.

3 SELECT: this options selects the currently highlighted record in a form.

FRS to FOAPAL Conversion

Enter the FRS fund, account, and subcodes in the labeled fields, and then click on CROSSWALK.

This utility will translate the FRS codes into new FOAPAL Values. Only FOAPAL values can be used in the Banner Finance system.

Object Search and Help

Search With object search, you can access a form, table, job, or quickflow if you know part of its name, description, or type.

If you can remember part of the form or table’s name, its description, or type, you will be able to find it using the system’s wildcard.

The search wildcard is a % symbol. Used in combination with a few characters of the name, description, date can improve your chances of finding what you need quickly.

IF you search from a form, THEN the current form you are on remains open.

IF you exit the found object, THEN you return to the original.

Auto Hint/Status Bar• Displays if a list is available for the field

• The number of query hit counts.

• Describes the field where the cursor is located.

Help CenterUse this link to find detailed information about specific Banner forms by system.

You can access Banner modules using either

The Form Window

The FORM WINDOW is always anchored to Banner’s Main Menu. This section of the Main Menu is your main workspace.

A form in Banner is where you can enter and look up information in the database. A form visually organizes information so it is easier to enter and read. A Banner form is similar to a paper form except information is entered once and then used by other forms, reports, and jobs. Forms can include blocks, windows, dialog boxes, and alert boxes.

The Banner Form What is a Banner form?A form in Banner is where you can enter and look up information from the database. A form visually organizes information so it is easier to enter and read. A Banner form is similar to a paper form except information is entered once and then used by other forms, reports, and jobs. Forms can include blocks, windows, dialog boxes, and alert boxes.

INFORMATION BLOCK

Contains information that determines what is entered or displayed on the remainder of the form.

Displays data about the information entered in the KEY BLOCK. This is the area where you enter information prior to updating a record.

FORM FIELDS: You can enter, query, change, and display specific information. Fields are labeled within a block. There are usually multiple form fields within a block. You can enter, query, change and/or display specific information within a field.

NOTE: You may not be able to navigate to all fields within a form. On query-only forms, you frequently cannot move through any fields at all. Disabled fields appear grey-out.

PULL-DOWN LIST: Use pull-down lists to select a field value from a list of pre-defined values.

 A down arrow in the right side of the field indicates that the field has a pull-down list.

TABS WITHIN THE FORM: Tabs may appear within a form. Tabs are used to arrange information in a meaningful way, and allow you to navigate easily between groups or blocks of information.

Radio Buttons are used to select one of several options. Only one radio button can be selected at a time.

Checkboxes are used to enable or disable features or options.

Form Components and Blocks Form ComponentsAll Banner forms are made up of three components: Records, Fields, and Blocks.

BlocksA block is a section of a form that contains relation information.

If a form contains more that one block, each block (except for key blocks) may be enclosed in a beveled box.

Most Banner forms include KEY BLOCKS.

Start by entering a unique code such as an ID number, term code, or document number in the Key Block. The Key block must be filled in before you can move to the form’s details in the Information Block.

Entering the unique code in the Key Block helps the database know what piece of information you want to retrieve.

The INFORMATION BLOCK contains information related to what was entered in the Key Block.

A gold line may separate each Information block on the form.

The INFORMATION BLOCK populates with information relative to the ID code that was entered in the KEY BLOCK.

Navigating Form Blocks and Fields

Navigating BlocksThere are three ways to navigate in between Blocks or Tabs from within a form.

1 You can select OPTION from the menu bar. When you are in most forms, Banner lists related forms to the one you have open, in the options menu. You can select a related form from the list. When you close out of the related form, you will be taken back to the original, or “Calling” form where you started.

2 You may use the NEXT BLOCK or PREVIOUS BLOCK functions from the toolbar at the top of the screen.

You can also use Ctrl+Page Down to reach the Next Block or Ctrl+Page Up for the Previous Block.

Double-clicking in the Name Type field produced this pre-defined list of values (LOV) to select.

Field ValuesAny data that is entered or displayed in a field is a value. There are two types of values: Free-format and List of Values (LOV).

List of Values (LOV)Data on the LOV comes from previously defined values on a validation form. Fields that you can search for a value in the database also have a drop-down arrow next to the field. The most common example is the ID field on the %IDEN forms.

When you double-click on a LOV field, use the search icon, or press the F9 key, previously defined values are displayed.

An example would be State codes–IN, OH, PA, FL, MI, etc.

Free-Format Field ValueYou have free access to type in whatever information is required

The values are not previously defined on a validation form.

An example would be Street Addresses

Search FieldIf a field is a search field, you must click the search icon to search.

An example would be ID, Last Name, First Name.

Navigating FieldsTo navigate in between fields, use the TAB or ENTER KEY to advance to the next field, use Shift+TAB to go back to the previous field.

Form Records

RecordA record is a group of fields that make up a logical unit. There may be more than one record in a block.

For example: A person record is made up of several fields: ID, Last Name, First Name, Middle Name, Birth Date, Change Indicator, Type.

Record counterThe record counter displays the number of records viewed and the number of total records.

NOTE: A question mark in the status line signifies that there are more records, but you haven’t gotten to the last one, so the computer does not know how many there are yet.

Types of Forms Form CategoriesBased on their usage, forms can be categorized as being either a set-up or day-to-day form. Set-up forms were used during the implementation of this product and will be restricted to a few users.

Accessing Forms The forms are organized by process in nested folders creating a hierarchical menu structure. You can enter and access information through a series of forms.

From the BANNER MAIN MENU, you can expand and collapse content by double-clicking on the folders. You can double-click on closed folders to view items contained within the folder or double-click on open folders to collapse them.

You can use several methods to access Banner menus.

1 Use the GO TO field from the Main Menu to either enter or search for a form name using the % wildcard

2 Use the hierarchical menu on Banner’s Main Menu.

3 Access the GO TO field within a form by pressing the F5 function key.

4 Use the OPTIONS MENU from within a form

6 Select the SITE MAP link, then click on the process in the list.

All folders contain forms.

Double-click on the folder to expand or contract it.

Double-click on the form to open it.

Accessing and Searching for Forms Access the GO TO field within a form by pressing the F5 function key.

After the function F5 key is the GO TO field is added above the open form.

Hierarchical Tree Menu Finance MenuYou can enter and access information through a series of forms.

From the BANNER MAIN MENU, you can expand and collapse content by double-clicking on the folders. You can double-click on closed folders to view items contained within the folder or double-click on open folders to collapse them.

Finance FormsThe forms are organized by process in nested folders creating a hierarchical menu structure.
