Getting Started With PMC

1. Plan.

First, decide what you want to achieve. Do you need to build your brand? Grow your sales funnel and increase leads? Customize and download a poster for an event or your demo showroom? Send an OFT (Outlook file template) to a customer or prospect? By defining your goals upfront, you will be able to plan accordingly and enhance your chances for success.

2. Learn the PMC vocabulary.

Review the Glossary of Terms at the end of this User Guide for definitions of all PMC assets, features, and functions.

3. Log in to PMC.

Visit PMC at avaya.com/partnermarketing and log in with your SSO email address and password. (SSO is Avaya’s single sign-on process for all Avaya portals.)

4. Explore!

Experienced user? Use the navigation menu at the top of the home page to directly access campaigns, link your campaigns to your social media accounts directly from PMC, explore your Collateral (formerly your Library), analyze results and view metrics, view and manage your contacts, and manage your account.

5. Find and use marketing content.

There are two main types of content available in PMC:

1. Campaigns. These are sets of marketing activities and downloadable documents packaged and intended to be activated at the same time or as multiple touches at different times.

EXAMPLE: When Avaya releases a new product or solution, a campaign will be made available to help you introduce it to your prospects or existing customers. The campaign may include a variety of materials, such as an HTML email, OFT (Outlook file template), telemarketing script, online banner, and premium content.

2. Collateral/Marketing materials. This includes individual sales tools, emails, posters, brochures, and other materials.

• Some of these can be co-branded and customized (such as “Build Your Own Emails,” posters, and sales presentations).

• Some can be downloaded and personalized outside of PMC on your own (such as OFT and HTML email files, posters, flyers, etc.).

You can find campaigns and marketing materials on the PMC home page by using any of the links described in step 4 (“Explore!”). Once you have added materials to your Collateral section, you can access them by clicking the Collateral link in the top navigation bar. You can search for collateral using the Search box, filter it by type, or sort by date or name.

Return to materials you have in progress by selecting the Campaigns link. You can click the Create Your Own Campaign button, search for campaigns using the Search box, filter campaigns by status, or sort by date created or campaign name.

6. Navigate through PMC.

On the home page, the top navigation bar contains links to some of the most commonly used areas of PMC.

• Home: Click to access the PMC home page, designed to help you plan, view campaigns, and see what’s new.

• Campaigns: Clicking this link will bring you to a list of all your activated, recommended, best-performing, and available campaigns.

• Social Media: Click this link for tools to share your marketing activities via your social media accounts.

• Collateral: Click this link to access all the collateral types available in PMC, including marketing activities (HTML emails) and downloadable Avaya resources (white papers, sales presentations, telemarketing scripts, OFTs, etc.). Use the tagging/filter system to drill down to exactly what you are looking for.

• Analysis: Click this link to see the results of your email campaigns, web plugin activity, online ads, CRM integration opportunities, and engagement activities.

• Contacts: This is where your email contacts are stored and managed.• Settings: Click the arrow next to your user name on the right side of the

navigation bar to make changes to your PMC account settings, provide feedback, or log out of PMC.

• My Messages: Click the envelope icon to access your messages (including content notifications, error messages, and others).

Marketing Planning GuidesAs an Avaya Partner, you’re an integral part of how we approach our marketplace—and a vitally important representative of our products and services. Avaya has created a series of marketing planning materials and an executable plan to support you in all your branding, marketing, and lead generation activities. Our series of“how-to” strategic marketing guides provides you with the insight and information you need to create a sound marketing strategy—and implement it with the latest, most effective tactics.

To find and download Avaya strategic marketing guides, click the “It’s my first time here!” box on the PMC home page and choose the “guides” link (#2) from the “Start” section of the pop-up menu.

Finding Marketing Collateral (Customizable and Download-Only) You can find all marketing assets available in PMC by clicking the Collateral link. The Collateral section includes both customizable and download-only resources available to you in each solution area.

• Option 1: The Search function is designed to find keywords in the description, title, and/or tags of each marketing asset. Type one or more keywords into the Search box to view a list of associated collateral.

• Option 2: Filter by collateral type (customizable or download-only).• Option 3: Sort collateral by date or name using the dropdown short By

menu.

Activating Your CampaignsA campaign is a set of marketing activities and downloadable documents packaged and intended to be activated at the same time or as multiple touches at different times. You can find a list of available campaigns by clicking the Campaigns link and then selecting recommended (most recent and best-performing) campaigns, or browse all campaigns.

You can also search for a campaign by keyword by using the Search box, or you can choose to create your own campaign.

Once you’ve selected a campaign:

1. Click the Details button next to the campaign description.

2. Then, click the Activate button.

3. Now, you can preview and select the marketing tactics available within the campaign. Click the Activate button, and you’re done!

Personalizing and Co-Branding Your Marketing ActivitiesMarketing activities are customizable and co-brandable marketing materials within PMC. These include HTML emails and customizable collateral. When you select a marketing activity template within PMC, the areas that you can personalize and co-brand will be indicated in the template.

To personalize your emails, landing pages, or other campaign activities, simply select your campaign from your list of campaigns, then click on the activity you’d like to personalize.

• Follow the steps for activating a campaign, then click the Campaigns link to find your desired campaign.

• Click the campaign, then click the activity (e.g., email/mailing) you’d like to personalize.

• Select Personalize from the left-hand sidebar menu. (Note: If you have not completed your company profile or set up your contact list(s), you may need to complete these tasks before launching your email.)

• Now, you can personalize any fields bordered by dotted lines.

PLEASE NOTE: Every template is different and will have different personalization options (for example, text fields, images, logos, and headlines).

• Finally, be sure to scroll down to the bottom of the page for additional personalization options, including the option to include links to your social networks within the email. Click the Apply button when you are finished personalizing your email.

• Next, scroll to the top right of your template and click the Publish Changes button.

• At any point, you can preview your email, landing page, or other marketing activity in a variety of sizes and formats.

• Finally, be sure to look for any other marketing activities within your cam paign that you may also need to

creating an email with an associated microsite/landing page, you will see the option to customize the landingpage and any other assets.)

EXAMPLE: Create Your Own Email

In addition to providing emails with content about Avaya solutions, Avaya has provided a “Create Your Own Email” template that you can fill with any content and images.

• To begin creating your selected email, click the Campaign link, and then select a campaign (or create a new campaign) to associate your Create Your Own Email with.

• Then, click the Add Activity button and select Email from the dropdown menu.

• Finally, click the Create Your Own Email button on the left side of your screen. A wizard process will guide you through the steps required to customize and schedule your email.

Sending an Email BlastWhen you have created your email and assigned it a contact list, you will see the option to preview and test it.If your test email is a success, click the Schedule button on the left-hand side of the screen to proceed to the final step: scheduling your email blast.

You can choose to send your email immediately or schedule it for a later time/date. Before you send your email, you can also choose when to receive an email status report on the success of your mailing.

After sending your email blast, you can access detailed reporting and analytics to assess the results, including the number of opens, emails delivered, click-throughs, and lead scoring data. You can also export lists of your contacts and their responses to your email. Please review the Analysis section of this Guide for more information.

Using Downloadable Emails (HTML and OFT files)Downloadable HTML emails cannot be sent through PMC. Instead, you can customize the template within PMC, then download the completed email to your computer and launch the email blast through your own email client. This offers you the option to send your email blast through your own email system.

Downloadable OFT emails are Microsoft Outlook email templates. They are great tools to provide to your sales reps for regular communication with their customers and prospects. These types of emails cannot be customized or sent through PMC. Instead, you can download and customize the completed email on your desktop and launch the email blast through your own email client. NOTE: Since OFT emails are designed to be sent outside the PMC platform, you will not receive any reporting or analytics through PMC on your downloadable HTML or OFT email blasts. (OFTs can only be used with Microsoft email clients; they will not work with Apple/Mac products.)

Using EnewslettersAn Enewsletter is a type of HTML email. Avaya has created Enewsletters on a variety of topics, and you can also customize them by choosing from the selection of articles available through PMC. They are designed to:

» Warm up your leads, making them more approachable for your sales team. » Nurture your leads that aren’t yet in the decision-making part of the

buying cycle. » Cover topics that matter to your leads, like video conferencing, BYOD,

mobile collaboration, private cloud, CEM, and much more.

• To create and customize an Enewsletter, click the Campaigns link, then select Browse.

PMC TIP: If you want to send an email outside of the PMC platform, you will need to copy the source code from the rich text editor and then paste that code into your email provider of choice.

• Choose Enewsletter from the Marketing Asset Type menu in the left-hand sidebar. You will then see a view of all campaigns that contain Enewsletters.

• To send one or more Enewsletters, activate the Enewsletter campaign. Then follow the same steps outlined earlier in this Guide for sending an email blast to personalize and schedule your Enewsletter mailing(s).

Managing Your ContactsYou can create and manage your email contact lists and leads/responders by clicking the Contacts link in the top navigation bar.

• Create or import a contact list by clicking the Contacts link in the top navigation bar, then click the Add Contacts button. Select File Import from the dropdown menu.

• Next, from the pop-up box, select a file to import (acceptable formats are XLS, XLSX, TXT, and CSV). If your file has a header row, please check the box that says “File contains a header row.” This will allow you to map the headers in your imported list to your contact list in the next step.

• Now, click Create New and enter your contact list name, then click the Import button.

NOTE: You must ensure that you have the proper permission to contact everyone on your lists. This is a very important part of the process.

• On the following page, you’ll be able to map your column headers to the appropriate fields in your new contact list. (If you don’t see your desired field in the dropdown menu, you can create your own by clicking Create New.) Finally, click the Import Contacts button.

• Congratulations! You’ve just uploaded your contact list.

• To access and manage your existing lists, click the Contacts link in the top navigation bar, then click the name of an existing list to view list members and edit the list. You can add a member or import members from an XLS, XLSX, TXT, or CSV file, and customize opt-in emails sent to confirm your contacts’ subscriptions.

Uploading or Linking to Your LogoWhen you are creating a co-brandable or customizable marketing activity, you have the option to upload your company logo, or link to your logo on your company website using your URL.

EXAMPLE: Add Your Logo to a Poster

• Follow the steps to activate a campaign that includes a customizable poster (or other marketing activity).

• You may also begin by clicking the Collateral link and using the Search box to find and download a piece of collateral to personalize with your company name and logo.

PMC TIP: Your company has 2,500 email credits to use each month! Your company can use those email credits to send emails through PMC at no cost, or you can download email files to send via another system. Remember, each partner company has one account with the potential for multiple users.

• Click the Personalize button.• You can personalize any field bordered by dotted lines and add your

company website and logo.• To upload or link to your logo, click Edit Image in the Other Personalization

box under the poster.

• Then, click the Upload Image button to select your logo’s image file from your computer, or enter the URL where your logo resides.

• You will then see your logo in the pop-up box. You can choose to resize or crop it. When you are finished, click the Save button.

• Next, click the Apply button to add your personalization to your poster.

• Click the Publish Changes button at the top of the page to finalize your poster.

• Finally, right-click on the poster preview image to save your personalized poster as a PDF file to your computer or mobile device. You can also access your poster (and all other marketing collateral) by clicking the Collateral link in the top navigation bar.

Social Media IntegrationPMC enables you to share your marketing activities via your social media accounts.

• Click the Social Media link in the top navigation bar to get started.• Then, click the Settings link to connect your social media accounts to PMC.

• On the next page, click the Add Account button and select each account you want to link to PMC from the dropdown menu. Follow the prompts to complete the process.

• After linking your social media accounts to your PMC account, you will have the option to post about each marketing activity you create. Simply click the Share link when it appears during the marketing activity creation process. You can also create social media posts about anything you like and schedule them from the Upcoming Posts link.

CRM IntegrationYou can integrate your existing customer relationship management (CRM) account within your PMC account. This enables you to track and manage all your contacts, leads, and opportunities through one convenient interface.

• Click the Social Media link in the top navigation bar, then select Settings.• Click CRM Settings in the left-hand column, then click the Add New CRM

Integration button. Click the CRM account you wish to link to from the dropdown menu, then fill in the required fields.

Analysis (Results)PMC’s enhanced e-marketing tools make it easy to view the results and measure the success of your marketing activities.

Select Analysis from the top navigation bar for tracking information about your emails, web plugins, and lead activity.

EXAMPLE: Email Summary (Email Blast Results)

Select Analysis from the top navigation bar, then click Email Summary and select a completed email blast to view the results of your mailing, including:

• How many recipients opened your emails• How many clicked on your links• How many visited your landing page and filled out your registration forms (if

applicable)• Number of bounces and undeliverable emails

NOTE: To export a list of recipients who opened your email or took other actions on a specific mailing, click the Campaigns link, select the mailing, click the Activity Log in the left-hand sidebar menu, and then click the Export All button.

Lead Scoring

PMC will give each of your contacts a lead score, using the following lead process and scoring methods:

1. Contact. Every lead starts out as a contact. Contacts can be created either when you upload a list or throughsubmission forms.

2. Lead. Once a contact has reached a certain lead score threshold (15 points), they become a lead.

3. Hot lead. Once they reach a higher lead score threshold (50 points), they become a hot lead.

Lead scores

• Email click = 10 points• Email open = 3 points• Panel viewing duration = 5 points• Form submission = 60 points• Email sent (each time you send an email to a contact) = 1 point• Panel click (each time a contact clicks in a panel or landing page) = 15 points• Panel view (each time a contact views a panel or landing page) = 10 points

Managing Your PMC Account PMC Account Settings

• From the top navigation bar, click the arrow next to your name and select Settings from the dropdown menu.

• On the next page, use the left-hand sidebar menu to make changes to your account settings using the available links.

• Manage Users: Add, edit, or remove users from your account, or change their roles.

• Company Profile: Add or edit your company details.

• Contact Fields: Add custom fields to your PMC contacts.

• Social Media: Connect your social media accounts.

• Install Analytics: Install your website analytics embed code to enable tracking and reporting on visitors to your website.

• Notifications: Set who receives email notifications for supplier messages, web analytics, and social content approval.

• Tracking Options: Select regions for which you want to disable tracking for visitors and whether you would like to prompt them to allow tracking.

• Scheduled Reports: Schedule reports to be sent by email.

• Suppression List: Add email addresses and domain names for contacts you want to prevent from receiving email communications.

• Lead Management: Route email notifications to support lead management to the owner of each lead.

• CRM Settings: Manage your linked CRM accounts.

Glossary of Terms

Analysis

Analysis refers to data that measures the effectiveness of your marketing activities.

Campaign

A campaign is a set of marketing activities and downloadable documents that are packaged together and intended to be activated at the same time or multiple touches at different times. For example, when Avaya releases a new product or solution, a new campaign will be created to introduce it to your potential clients or existing customers. This new campaign may include an HTML email, telemarketing script, OFT, web plugin, and premium content.

Collateral (formerly Library)

The Collateral section contains a complete list of all marketing assets that support each Avaya solution area. When you click the Collateral link, you will see My Collateral (a list of all collateral you have previously customized or downloaded); you can also choose to browse all available collateral, view either customizable or download-only collateral, and search by language, solution pillar, target market/vertical, marketing asset type, or file type (email (HTML, OFT), Excel (.XLSX), Flash movie, PDF, PowerPoint (.PPT), video file (MP4, WMV), Word (.DOCX), or ZIP).

Collateral Types:

• Customizable collateral includes a variety of marketing assets that can be customized with your company logo and selected editable content (e.g., colors, images, and specific text areas). When you select a customizable collateral template within PMC, the customizable areas will be indicated in the template.

• Downloadable collateral cannot be customized within PMC. However, some downloadable collateral can be downloaded to your desktop and customized outside of the PMC platform.

• Print collateral includes brochures, posters, case studies, white papers, and other assets that you can download as a PDF file. You can then save the file to your computer and print it out if you choose. (Some print collateral is also customizable.)

Contact Lists

Your contact lists contain the email addresses of the customers, prospects, and leads that will receive your online correspondence. Contact lists may also include other information about each recipient such as name, telephone number, and address.

Personalization

This is the process by which you can customize marketing activities to extend your brand. PMC marketing activities can be personalized to a variety of different levels, including the ability to add your company logo (co-branding), insertyour own contact information and call-to-action text, and select different images from the Avaya image library. When you select a marketing activity template within PMC, the customizable areas will be indicated in the template.

Emails/Mailings

• Create Your Own Email• This is a “blank slate” HTML email template. You can create your own HTML email

by entering your own content, images, call to action, and/or premium content.• Customizable HTML Email• This type of HTML email enables you to upload your contact list,

personalize and co-brand it, and then send it through the PMC tool at no cost. You will have access to very detailed reporting, including opens, delivered, click-throughs, and lead scoring data. This type of file is located in the Campaigns and Collateral areas of PMC.

• Downloadable HTML Email• This file is located under marketing activities within a campaign. Use this

type of HTML email when you want to just download it to your computer to conduct the email blast through your own email client and not use PMC to send to your list. You will first be able to customize this template within PMC before downloading it. NOTE: You can download and customize this type of email on your desktop, but you will not receive any reporting or email analytics through PMC.

• Downloadable OFT Email• An OFT is a Microsoft Outlook email template. It’s a great tool to provide

to your sales reps for regular communication with their customers and prospects. You can download and customize an OFT on your desktop, but you will not receive any reporting or email analytics through PMC. (Please note: OFTs can only be used with Microsoft email clients; they will not work with Apple/Mac products.)

Landing Page

Landing pages are specific web pages associated with syndicated emails. For example, an email promoting a white paper may include a link to a landing page where the recipient can fill out and submit a form in order to download the white paper. The landing page is automatically associated with the syndicated email when you are customizing it in PMC to ensure that your branding is carried through consistently from the email to the landing page.

Lead/Responder

A lead or responder is any potential customer who interacts with one of your marketing activities. This may include opening an email, submitting a form, and other actions. To help you prioritize leads, all leads are given a score. Points are assigned to leads whenever they interact with your marketing activities. For example, leads are given points for opening an email and additional points for visiting your landing page, downloading materials, and taking various other actions.

Marketing Assets

Marketing assets are available through the Collateral section, which contains a complete list of all assets that support each Avaya solution area.

OFT

An OFT is a Microsoft Outlook email template. It’s a great tool to provide to your sales reps for regular communication with their customers and prospects. You can download and customize an OFT on your desktop, but you will not receive any reporting or email analytics on this type of email through PMC. (Please note: OFTs can only be used with Microsoft email clients; they will not work with Apple/Mac products.)

Reference Materials (formerly Resources)

Includes downloadable materials like telemarketing scripts, OFTs, white papers, brochures, etc. OFTs can be customized and cobranded after they are downloaded and in your Microsoft outlook client.

Submission

A submission occurs each time a lead fills out a form on a landing page, microsite, or ad campaign. You will receive an email notification every time a submission is made with that lead’s information and where the submission was made.

Unsubscribe

An unsubscribe link is automatically placed in every syndicated email. When a recipient clicks on the link, they are automatically removed from your list. NOTE: It is a legal requirement to include an unsubscribe option in every email.

Web Plugin/Online Banner

A web plugin is anything you can embed into your company website, including banner ads.
