Automobile Alley Holiday Light Installation RFP 2019 Introduction and Objective: Downtown Oklahoma City Partnership is seeking a third-party company to provide holiday light installations in Automobile Alley in downtown Oklahoma City. The holiday lights on Broadway have become an annual attraction for downtown visitors and residents in Oklahoma City. This is the 9 th year that this project has been carried out. Installation has historically been concentrated on Broadway Avenue between NW 4 th and NW 10 th , but has grown to include some buildings on the numbered streets east and west of Broadway. Awarded Contractor will be responsible for working with Downtown Oklahoma City Partnership staff and its partners to develop, design, execute and manage the project. Services will be provided during the 2019-2020 holiday season, with contract to begin October 1, 2019. The services are intended to be comprehensive and are described below under scope of work. Minimum Qualifications: In order to be considered for selection, a corporation or other legal entity (a “Proposer”) shall meet or exceed each of the following minimum qualifications. Proposals that do not meet the following minimum qualifications shall not be considered: The Proposer must have been in existence in its respective state for a continuous period of three (3) years prior to the date of the RFP. The Proposer must have at least three (3) years of continuous, first-hand experience designing, managing, installing, and maintaining external, street décor elements. Fully bonded and insured. Completion of the Oklahoma City Streetcar Safety Training. Scope of Work: Please see provided photos and map for scope of project installations. Scope of work for the Automobile Alley Lights on Broadway program is as described below: Pricing for the purchase, installation and maintenance of holiday lights, based on current stock of functional materials and designated building locations on a per building basis. o DOKC currently owns over 3,300 UL50 G12 lights and would only need pricing information for replacement lights or new lights for buildings that have not been lit in the past. Pricing for light-mounting hardware, brackets or any other equipment needed, based on current stock of functional materials. o DOKC currently owns the wooden slats used to light all the buildings shown in “Group #1 – 2018 Buildings” in the attachment. Please include pricing for additional wood slats needed. Contracting with and oversight of holiday lighting supply vendors. Connect with property owners on electrical requirements or needs. Consideration for installation of lights in or near Streetcar Zone. Must be present to during Lights On Broadway event, November 23 th , 2019. Maintenance of installed lights, including replacement of any missing or damaged. Maintenance or repairs must be completed by 5:00 p.m. the day after an initial report is made. Vendor must supply necessary contact information for reporting. o Services provided by the Contractor will include all materials, labor, supplies, equipment, tools, transportation and other items necessary for execution of the lighting program. o One year-agreement, with annual renewal based on DOKC’s review of contractor’s fulfillment of agreement.

Introduction and Objective:

Downtown Oklahoma City Partnership is seeking a third-party company to provide holiday light installations in Automobile Alley in downtown Oklahoma City. The holiday lights on Broadway have become an annual attraction for downtown visitors and residents in Oklahoma City. This is the 9th year that this project has been carried out. Installation has historically been concentrated on Broadway Avenue between NW 4th and NW 10th, but has grown to include some buildings on the numbered streets east and west of Broadway.

Awarded Contractor will be responsible for working with Downtown Oklahoma City Partnership staff and its partners to develop, design, execute and manage the project.

Format and Content of Proposals:

Submissions in response to this RFP must include the following information: • Letter of introduction, qualifications, relevant experience, photos of past projects and references (minimum of

three). • Pricing for all buildings shown as “Group #1 – 2018 Buildings” in the attachment. This should be inclusive of any

additional material or equipment needed to complete installation. • Per strand purchase and install costs for any new strands needed to light the buildings contemplated in “Group

#2 – Possible Additions” of the attachment. • A clear written explanation of any warranties provided for lights that may be purchased by the proposer

during the 2019-2020 holiday season. • A timeline for installation to be completed by November 20, 2019 and removed by January 15, 2020. • Given that, in past years, this project has dealt with ice storms and a large batch of faulty light strands that

have resulted in significant re-installation work, proposers should specify in their proposal how they would handle such an event in a timely manner and the impact of this work on the overall project budget.

• Proof of Insurance. • Proof of completion of the Oklahoma City Streetcar Safety Training.

Additional Stipulations and Considerations:

• Where building facades allow, installers should expect to work around active retail shop windows. • DOKC intends to maintain ownership of any purchased lights and brackets upon completion of the 2019-

2020 holiday season. • If awarded this project, you will have the opportunity to install holiday lights in Midtown for the 2019-2020

holiday season. Details will be provided after submission of the RFP.
