    Pro#ect Performance Report

Reporting project performance is a ey function of successful project management. The projectteam and staeholders must be ept well!informed on project status at regular inter"als

throughout the project as well as when any changes are made to the project. There are many project characteristics which can be included in the Project Performance Report. #ome of theseinclude analysis of project performance to date$ ris and issue status$ wor completed duringcurrent reporting period%ne&t reporting period$ significant accomplishments$ forecasts$ "arianceanalysis$ and project changes. While there's no standard format$ the project manager shouldmeet with the project sponsor and ey staeholders in order to agree to a format and what will beincluded in the performance report. They should also agree on how often the report will bedistributed. These agreements should be documented in the Project (ommunications Plan.

The Project Performance Report should always be distributed to the meeting participants inad"ance of any meetings to allow time to re"iew the content. The purpose of the report is tosummarize and communicate project information to inform all staeholders as well as pro"ide anobjecti"e analysis of the project's performance. )elow are some sample outputs of a notionalProject Performance Report for a project de"eloping a new tooling product called the * Tool.

+. ,nalysis of Past Performance - To date the * tool project has been highly successful. ,ll project team members continue to be engaged with their assigned tass and all acti"ities andmilestones to date ha"e been met. ,s the project now enters the product testing phase$ the project team has successfully accomplished the planning$ design$ and build of the prototype* Tool. Throughout the planning$ design$ and build phases of the * Tool Project we ha"e acumulati"e #chedule ariance of !/0$122 and a (ost ariance of /122 3see Table + below4.5ur cumulati"e #P6 is 2.78 with a cumulati"e (P6 of +.22. This indicates that while the project is slightly behind schedule$ it is within our appro"ed tolerance and we e&pect to be

bac on schedule within the ne&t wee as we enter the testing phase as we ha"e accountedfor non!mandatory testing in the project schedule. 5ur (P6 indicates that the project ise&actly on cost up to this point.

    9. (urrent #tatus of Riss and 6ssues - To date the project team has performed e&ceptionally inidentifying$ mitigating$ a"oiding$ or resol"ing many riss and issues. While the team iscurrently addressing additional riss and issues$ we do not e&pect any impact to the scope$schedule$ or cost of the * Tool project. ,s new riss and issues are identified they will beadded to the ris and issue logs in accordance with the Ris Management Plan andcommunicated to all staeholders. ,dditionally$ as riss and issues are resol"ed$ allstaeholders will be notified as well.

    0. #ignificant ,chie"ements - The project team has achie"ed a fully functional prototype of the* Tool. While testing must still be conducted as we enter the ne&t phase of the project$ wefully e&pect that the prototype will perform well and any issues identified during testing will be minimal.

. Wor to be performed in the ne&t reporting period includes full scale material$ performance$and field testing of the * Tool. The prototype will be subjected to standard organizationaltesting methods and the appro"ed performance standards will be applied. While engineeringresources will be released bac to their functional organizations$ it may be necessary to seefurther engineering support if issues are identified during testing. This possibility has beendocumented in the Resource Management Plan.

    1. There was one project change identified and implemented during the last reporting period. This change called for changing the * Tool handle's material from steel to rubber in order toimpro"e the tool's ergonomics. This change was appro"ed$ implemented$ and all productdesign and project documentation has been updated and distributed to all staeholders.

uals the budgeted amount for this project.

;. During this past reporting period the project team performed e&tremely well. 6 would lie tosingle out ?. Doe for his e&ceptional engineering support and ensuring that all design worreflected the appro"ed handle change for the * Tool. ?. Doe also wored e&tremely longhours in bringing the prototype of the * Tool to completion.

, lesson learned from this reporting period is that the earlier in the project changes are identifiedand appro"ed$ the easier the project team can implement the change and remain on schedule. This lesson will be included in the project closeout documentation and archi"ed.
