This tutorial follows on from the presentation

This presentation deals with the output discussed

in the previous tutorial:

How to use the 5 THINGSTo design a workableQuality Management

System -

Hence we will nowJOIN-THE-DOTS

between the five things.

Here goes:

Define Your Processes

1

Following on from the guidance of the main

tutorial, the first step is to define our processes.

Let’s get straight into it.

The ABC Widget Company:

The areas consist of the following:

SalesMarketingProductionHuman ResourcesPurchasingFinanceTraining

Graphically, it looks like this:

Marketing

Sales

Purchasing

Human Resources

Finance Training

Production

The ABC Widget Company

To this we must add “required processes” as per

ISO 9001 requirements.

For our illustration purposes we will add:

Quality FunctionManagement Reviews

These processes should also be defined and is then graphically illustrated:

Management Reviews

QualityFunction Quality

Function

InternalAudits

Corrective Action

CustomerComplaints

Non-Conformances

The ABC Widget Company

When we put all of the processes together we have:

Marketing

Sales

Purchasing

Human Resources Finance

Training

Production

QualityFunction

Management Reviews

The ABC Widget Company

We have now defined our processes.

Let’s move on to the next section; determining our

measures

Determine MEASURES For Your Processes

2

It is not our purpose here to discuss world-class

measurement systems in depth.

We want to walk-through and the JOIN-THE-DOTS.

The actual measures to be used to track processes for

your organization is a unique situation.

As a reminder, typical measures could include:

For our purposes, we can illustrate the set-up of

measures for a process like this:

We can now adjust our graphical illustration like

this:

Marketing

Sales

Purchasing

Human Resources

Production

Finance

Training

Production

QualityFunction

Management Reviews

The ABC Widget Company

Our Quality Management System is now taking

shape.

Let’s move on to the next section; compiling our tree

of documents.

Compile YourTREE of DOCUMENTS

3

Briefly, ISO 9001:2015 requires that information

be documented.

In today’s world, most of our information is within

an IT-framework, although we must also include hard-

copy information.

We can illustrate as follows:

Soft CopyInformation

Hard CopyInformation

Documented Information

The ABC Widget Company

For the most part, our tree of documentation can be

illustrated like this:

Documented Information

The ABC Widget Company

We can see how this relates to our processes

that we previously defined.

Breaking down the information further, we

might have:

Documented Information

The ABC Widget Company

By building-out our treeof documents like this, we end up with a completed

tree of documents.

Our bird’s-eye view of our QMS might now look like

this:

Marketing

Sales

Purchasing

Human Resources

Production

Finance

Training

Production

QualityFunction

Management Reviews

The ABC Widget Company

Marketing

Thus our tree of documents “grows” in the background

– ready to support our processes as needed.

We are now about 60% complete.

Finalize The BOUNDARIES of Your SYSTEM

4

In our previous presentation we

mentioned some key requirements of the new

standard:

X

To re-cap, we have grouped a number of elements into

what we call

DEFINING THE BOUNDARIES OF OUR QMS

We contend that this is the most important part of our

QMS

As per the previous tutorial, considerations

also include:

x

By defining our boundaries, we determine what our scope of services is and thus what market we

serve.

It is also implied that we determine what market we

do NOT serve.

This simplifies our definition of processes, and

frees us to focus on the outputs concerned.

Thus this section allows us to TARGET our processes.

Further discussion of these elements is beyond the scope of this tutorial.

We will now move along and illustrate the defining

of our boundaries.

Boundaries of our QMSContext

InterestedParties

Scope

The ABC Widget Company

To this we must now add “non-ISO-specific”

requirements.

Thus:

Boundaries of our QMS

Who We Are

Values &

Mission

BeneficiariesBrand Identity

Sustainability

The ABC Widget Company

When we put it together, it looks like this:

Boundaries of our QMS

Who We Are

Values &

Mission

BeneficiariesBrand

Identity Sustainability

Context InterestedParties

Scope

The ABC Widget Company

Tackling these eight areas will serve as the “glue” for

our QMS

As per our previous tutorial:

Another way of putting it is that these considerations

will help to align our processes and let them

“talk” to each other.

The last thing we want is processes that act as

“silos”.

In a perfect world, we could even illustrate our

QMS like this:

BlackBox

A “Glued” QMS

Customer

BLACK BOXQMS

Seamless Process Engine

The ABC Widget Company

The eight areas as identified previously are

typical examples of where focus can be given to

CONTINUOUS IMPROVEMENT

These areas are beyond the scope of this tutorial-Every WORLD-CLASS

COMPANY should incorporate these

principles.

DetermineSEQUENCE & INTERACTION

5

In your own organization, the sequence and interaction of your

processes is unique.

For our purposes, the sequence and interaction

of our processes could look like this:

Marketing Sales Purchasing Quality Function

InternalAudits

Corrective Action

ANNUALMANAGEMENT

REVIEW

Human Resources

Production

FinanceTraining

The ABC Widget Company

Our Quality Management System is about 95%

complete.

Now that we have outlined some of the principles of the FIVE THINGS we can

finally get out our crayons!

The eight areas identified previously relating to our QMS boundaries have not

been indicated-

These eight areas should be integrated into our

organizational culture and individual processes.

We can however, make a basic illustration for our

complete QMS:

Let’s move on to the next section; determining our

measures

The above slide represents a model based on the five

areas that we have covered.

Keeping to the framework of these five areas will facilitate the journey to

world-class status.

Of course, other elements can be built around this framework as the need

arises.
