How to book and pay

Please complete the enrolment form and send it to us

with a deposit of £100 (GBP) per student. We will

send you a booking confirmation, information pack

and invoice. The total course fees must be paid at

least 30 days before the course begins. For bookings

made less than 30 days before the course starts,

please send the total fees and proof of payment.

Payment can be made in the following ways:

Credit card (VISA, Master Card or American

Express only)

Debit card (VISA Debit or Master Card)

Banker’s draft, payable to Concorde International

Cheque (£ Sterling), drawn on an English

clearing bank

Bank transfer (see application form for details)

The registrar will be able to assist if you need any

further information.

How to make a booking

Enrolment forms

There are three enrolment forms, for junior

individuals, adult individuals, and groups. Please

complete the correct enrolment form, in full, with the

correct details. Incomplete or inaccurate forms can

mean significant delays in confirming your booking.

You must include the full name, date of birth (not age)

and sex of each student.

General booking information

Early booking is vital: The earlier we receive the

booking, the earlier we can confirm places and

respond to any specific requirements.

Options: We are happy to accept provisional bookings

for groups, subject to availability, without a deposit.

The booking will expire at the end of February, or

when the spaces are lost to another agency that has

paid a deposit. We confirm bookings only on receipt

of a non-refundable deposit of £100 (GBP) per

student. Names should be sent to us at least 30 days

prior to arrival. Normal visa regulations still apply.

Students who need a visa

From all students and accompanying adults who need

a visa, we should receive the following:

Clear copy of the student’s up-to-date passport

showing full name and date of birth

Full home address in home country

Dates of course and address of summer centre

Deposit of £100 (GBP) per student

Visas can take a significant amount of time to process.

We therefore require visa documents at the earliest

possible opportunity.

On arrival at the school the student needs to hand

their passport to the Centre Director who will check

their identity. Passports are normally handed back the

same day and need to be kept in a safe place. In

residential centres there is a safe to store passports

and pocket money. In Homestay, students should ask

their hosts where to keep items safe.

Documentation for parents

Students and parents need to receive a copy of:

(a) Joining Instructions (see pages 10-12)

(b) Centre Information (see pages 15-44)

(c) Booking conditions (pages 4, 5)

Parents/guardians need to sign the Concorde

International ‘Consent to Travel’ form.

Important things to note

Additional nights

Generally, although we welcome extensions, this is

limited to entire weeks and subject to availability. If

you wish to stay an extra night in residential

accommodation (or to arrive early), this is not usually

possible. If we do agree, please be aware that you

may be charged for a complete extra week. Additional

nights in accommodation must be paid for by students

on site if they have not been booked in advance with

the agreement of the Centre Director and/or the

Vacation Course Department.

Bus passes

Homestay students who need to take a bus to get to

school will need to pay for a weekly bus pass. This is

not included in the fees and costs between £12 and

£20. It can be bought on the bus. The student’s hosts

will be able to advise about this.

Daily transport

For unaccompanied Homestay students under 12

years of age, daily transport to and from school is

compulsory and charged automatically. Please see the

Agent’s Tariff for costs and more information.

Students requiring daily transport will be collected

either by taxi or by minibus. The Homestay will inform

students of the arrangements on arrival. The service is

charged at £49 per person per week and includes two

journeys each day—one journey in the morning from

home to school and one journey in the afternoon

from school to home. Where additional optional

excursions have been booked, an additional fee may

be charged.

How to make a booking

Unaccompanied children and assisted check-in

Unaccompanied students

Unaccompanied students under 16 years of age

cannot fly on budget airlines, and main airlines such

as British Airways charge a fee. It is the responsibility

of the person purchasing the flight tickets to arrange

and pay for this service as we are unable to assist with

payment to the airlines. Failure to do this may result

in the student missing their flight home and additional

costs being charged.

Arrival in the UK

On arrival in the UK unaccompanied children will be

met in the arrivals lounge by a Concorde courier or by

a driver. We will sign for the child and take

responsibility for them until their departure.

Departure from the UK

We can arrange for an unaccompanied student to be

taken to the airport and handed over to the airline.

Our driver will ensure the child is met at the airport by

a Concorde courier, who will look after them until the

airline is ready to take responsibility for the child,

usually 45 minutes before the flight departs. The

charge for this service is £35 per child and will be

added to your booking fee. If you do not require this

service you need to tell us how the child will check in

as we will not be able to assist unless pre-booked.

Insurance

Group organisers and their agents are strongly

advised to take out adequate insurance cover.

In the event of accident and injury caused by a

member of Concorde International staff or a member

of staff at one of the summer school locations our

insurance will cover any damages and medical

expenses that arise from this.

However, our insurance does not cover:

Any event beyond our control, for example natural

disaster, Act of God, terrorism, security alert.

These are deemed to be force majeure

Cancellation or curtailment of any course and

course fees including activity programme fees

Travel delay or missed departures

Medical expenses—if a student is ill or has an

accident while in the UK we will not cover medical

expenses or emergency repatriation

Personal belongings

Money

Passport or ID card

Personal injury or personal liability

Student Guard optional insurance

Concorde International does not sell insurance to any

students or accompanying adults.

Parents or agents should take out comprehensive

insurance for the period of a student’s stay in the UK

to cover cancellation, medical expenses, personal

injury, lost property and personal liability.

Accompanying Group Leaders should also take out

comprehensive insurance for the period of their stay

and should check with their insurance company to

see if the policy covers them and their personal items

(such as mobile phones and laptops) while working

overseas.

This insurance should be purchased in your own

country before travelling but if you are not able to do

this we recommend Student Guard insurance from

www.course-u-can.com who are able to provide

comprehensive cover at a reasonable price. Please

Insurance

Personal items

The following are not covered by Concorde

International insurance:

Money (unless stored in our safe)

Passport or ID Card (unless stored in our safe)

Mobile phones, MP3 players, laptops, portable

gaming machines and similar devices

Jewellery, watches and similar personal items

Clothes and luggage

If any of the above are lost, damaged or stolen

Concorde International will not be liable for

replacement or associated costs.

Medical insurance

If a student or accompanying adult requires medical

treatment due to illness or accident not caused by a

member of Concorde International staff, our

insurance does not cover medical expenses. For

example:

Injury while participating in sport or an activity

Injury by a vehicle as a result of not crossing the

road in a sensible manner

Injury through fighting or similar activity with

another student

Injury through deliberate misuse of equipment or

facilities on site or on excursion/transfer

Contraction of a virus or infection requiring

medication while in the UK or on return to country

of origin

Medical treatment due to failure to take prescribed

medication for a prior ailment

Medical treatment in the UK

Each of our summer schools has a member of staff

who holds a basic first aid qualification. They can

administer basic first aid such as plasters, support

bandages, or ice packs for minor sprains.

We do not carry thermometers, painkillers or

creams as our staff are not qualified to use or

administer any medication whatsoever.

Accompanying Group Leaders may be permitted to

treat a student within their group if they have the

permission of the parents and feel confident doing

so. However, this is entirely at the risk of the child

and Group Leader.

In most cases we recommend that an unwell child

visits the local pharmacy. Most outlets of Boots and

Superdrug have a pharmacist on site who will be

able to give advice free of charge for such ailments

as a high temperature, coughs and colds, and

minor injuries such as cuts, bruises and sprains.

They may recommend certain medicines or

treatments that the student or accompanying adult

will need to pay for in the store.

The pharmacist may recommend visiting a doctor,

and the summer school Centre Director or

Homestay Organiser will be able to advise as to

where this is located. Although the UK provides

free medical treatment to its citizens, overseas

visitors are usually charged a fee for visiting a

doctor. It is important to have medical insurance to

cover any such treatment.

Concorde International cannot be held responsible

for any costs incurred by students or accompanying

adults who are not properly insured.

Insurance and Medical Treatment

European Health Insurance Card

Some European residents can receive free medical

treatment in the UK but only on production of an EHI

Card, which replaced the E111 form in 2006. A

national ID card or passport will not be accepted by

many UK doctors so European agents, parents,

students and Group Leaders need to apply for the EHI

Card in advance of travel to the UK. The cost of this

will vary from one country to another.

What we require from a Group Leader

We have always welcomed adults who come to our

Summer Schools accompanying groups of students.

UK regulations require students to be supervised at all

times by responsible adults in the following ratios:

Age 8-10: one supervisor for every 8 students

Age 11-18: one supervisor for every 15 students

In addition to these ratios, you may suggest that your

clients consider paying for an extra Group Leader to

ensure they get sufficient rest during their visit.

Group Leaders should be aged 25 years or over, be

reliable, and have a competent level of English. They

should behave in an authoritative manner and should

be able to maintain discipline within their group.

Further, Group Leader participation in activities helps

to build good relationships between the leaders and

the students, and encourages team spirit among the

Group Leaders, students and Concorde staff.

By making a positive contribution to the Summer

School team, Group Leaders can make students’ stay

problem-free and enjoyable, and ensure that they go

home happy, enthusiastic, and wanting to return.

The Group Leader role

On confirmation of booking we will send you a Group

Leader handbook. Please ensure that each Group

Leader is given a copy, and that they are carefully

briefed, in writing, about their duties. Please point out

the following information:

1. Group Leaders are provided with free

accommodation, subsistence and excursions. In

return, they are expected to contribute to the smooth

running of the centre for up to 48 hours a week,

including the following duties:

Liaising closely with Concorde staff to agree their

daily schedule of responsibilities

Helping take care of students’ welfare

Supervising their students outside the classroom,

including morning, lunch and afternoon break

Assisting students on laundry days

Participating actively in the activity programme

Assisting with student discipline

2. On arrival day, Group Leaders should check

Concorde’s list of their students—check for

alterations, misspellings or non-arrivals.

3. Group Leaders must attend daily meetings with the

Centre Director, Academic Director and/or Activity

Manager, where they will be given important

information to pass on to their students.

4. Group Leaders must not make changes to the

academic or activity programme. Requests should be

made to the Centre Director, who will need to check

with Head Office.

5. Arrangements for departure and transfers should

be reconfirmed with the Activity Manager.

Important information

Passport/ID

Give your agent a copy of your child’s Passport/ID so

that in case of loss, this copy can be emailed/faxed to

the school to facilitate new documentation from the

embassy without delay.

Photography

We often use images of students (not identified by

name) in our publications. Please inform us in writing

if you do not wish your child to be photographed.

Air travel

Many ‘budget’ airlines do not accept passengers

under the age of 16 travelling on their own. Others

require such passengers to have (and pay for) assisted

airport check-in. Please check the airline booking

conditions.

Transfer services

A private transfer to and from all schools is available.

Please ask for a quotation.

Pocket money

In an emergency, Concorde International can make

advance payments of pocket money to students, but

you must first send us a fax of a bank transfer showing

that money has been paid in to our account.

International credit or debit cards may also be useful

for depositing money (surcharge applied). We strongly

recommend obtaining a debit card or international

cashpoint (ATM) card for the student to use in the

event of unforeseen problems.

Personal property

Parents must take appropriate measures to protect

valuables and other personal possessions. If anything

is missing when your child arrives home, please let us

know immediately and we will try to locate the item.

Expensive items should not be brought to summer

school unless they are fully insured.

Discipline

Concorde International reserves the right to apply any

suitable disciplinary measures to those who upset

their fellow students, break school rules, or break

English law. If a student continues to offend, we

reserve the right to send them home, at their parents’

expense, and with no refund on fees paid. Examples

of disorderly conduct are:

Threatening behaviour and abusive language

Suspected involvement with illegal drugs

Smoking outside designated smoking areas

Entering accommodation of the opposite sex

Leaving accommodation after lights-out

Theft or vandalism

Bullying

Students must pay for any malicious damage they

cause to property in their accommodation or on the

school premises.

Information for Parents

Legal constraints

Concorde International will not be responsible for

any injury to or by students or to any third party

other than our common-law legal liability in respect

of negligent acts on our part. In no circumstances will

we be responsible for consequential losses

irrespective of how they are caused.

In the unlikely event that your course or

accommodation is cancelled, changed or curtailed,

Concorde International will offer a reasonable

alternative course and accommodation, or a full

refund of fees for the hours of tuition or

accommodation lost.

‘Consent to Travel’ form, available from your agent.

Homestay information

Accommodation

Hosts have been selected because they offer clean,

comfortable, welcoming homes and friendly

hospitality. Please be punctual for your meals and let

your host know if you are going out with friends.

You will usually share a bedroom with a student of a

different nationality. Please make your own bed and

keep your room tidy. It is not possible to return to

your Homestay during the day, or until 5.00pm after

school.

Meals

You will have breakfast and dinner at home. Your host

will give you a packed lunch to take to school or on

excursions. In some centres you can have lunch in

school if you book it. The food will be different but

you will enjoy it if you keep an open mind!

Medical

Please let us know if you have any allergies or special

dietary needs. If you feel ill at any time, please tell

your host, Group Leader or member of Concorde staff

immediately.

Linen and laundry

Your host will provide you with bed linen (such as

sheets and pillow cases), and a towel for use in the

home. They may be happy to add some of your

clothes to the family wash. They will talk to you about

this when you arrive.

Telephone

Do not use your host’s telephone without permission.

You must pay for all your calls, or make ‘reverse

charge’ calls.

Security

Put your name in your clothes. Do not bring very

expensive items of clothing, jewellery, or equipment

such as laptops and games consoles.

Joining Instructions—Homestay

Arrival day

When you arrive, you will meet the Homestay

Organiser, who will make sure you get to your new

home. If you have a problem, please call the

Homestay Organiser. Their phone number will be on

your Concorde ID badge, which you should wear all

the time.

If you are making your own way to your Homestay,

you must contact them, or Concorde, with your arrival

details to make sure there is somebody at home when

you arrive. Your parents may phone the Homestay to

make sure you have arrived safely.

On your first morning at school, you must show your

Passport/ID to the Centre Director.

Important information

Insurance

Please make sure you have private travel insurance.

Pocket money

Concorde International fees include tuition, activities,

excursions, entry tickets and accommodation. For

your personal money, we recommend about £60 per

week. Pocket money can be kept safe by Concorde.

Residential rules

Students need to respect the rules of the residence.

We have rules so that we can manage the school

properly and make it a safe and secure place for

everybody. Students should respect other students’

property and should respect the customs and

traditions of students from other countries.

Here are some of the school rules:

No smoking anywhere in the building

Students cannot change their rooms without

permission from the Centre Director

Fire alarms are only for when there is a fire.

Students will have to pay if they set off a fire

alarm when there is not a fire.

Students may only enter rooms used by Concorde

International.

Students should not make a lot of noise.

Students must be in their rooms by 10.00pm.

Concorde staff can check a room if a student is

suspected of stealing from other students, or

from Concorde staff or from the school. Staff can

also take away items that are disruptive or

dangerous, or that might threaten the safety or

reputation of other students or staff members.

Joining Instructions—Residential

Arrival day

When you arrive at school go to the Concorde

International office where you will meet the Centre

Director, who will show you to your room. If you are

making your own travel arrangements, please contact

Concorde International with the exact arrival details.

You must show your Passport/ID to the Centre

Director to prove your identity.

Students should arrive before dinner, which begins at

18.00, and should phone their parents to let them

know they arrived safely. Concorde staff will help

them.

Students arriving late may not get their preferred

room, and may need to change rooms more than

once.

In some centres students share a room. Students

should make their bed each morning and keep their

room tidy. Concorde staff are on duty at all times.

Important information

Medical

Please let us know if you have any allergies or special

dietary needs. If you feel ill, tell your Group Leader,

teacher or an Activity Leader immediately. Please tell

us if your medication needs to be refrigerated.

Welfare

Concorde staff are responsible for your welfare and

discipline. They will check you have settled in and will

help you if you have problems.

Security

Put your name in your clothes; do not bring very

expensive items of clothing, jewellery, or equipment

such as laptops and games consoles. Concorde

International can not be held responsible in any way

for any loss or damage to personal items.

Pocket money

Concorde International fees include all tuition costs,

activities, excursions, entry tickets and full board

accommodation. For your personal money, we

recommend about £50 per week, or perhaps a little

more for students who like shopping! Pocket money

can be kept safe by Concorde.

Damage

Students are responsible for paying for any damage

they cause in the school and residential

accommodation. This will be charged on departure.

Examples of charges are: fire extinguishers £60; fire

alarm set off £80; lost key £15-£40 depending on

centre; charge for graffiti/malicious damage depends

on the damage.

Insurance

Please ensure you have private travel insurance. See

pages 6 and 7 for more information.

Information about the residence

Meals

All meals are taken in the school dining room. They

are self-service and there is a choice of meals. Meal

times are usually as follows:

Breakfast 07.30

Lunch 12.30

Dinner 18.00

Laundry

A laundry service is provided every week. Some

centres have self-service laundry. Group Leaders and

Concorde staff will be able to help you.

Classes

On the first morning, you will have a language test so

you can be placed in the appropriate class for your

level. You then have a welcome class. Classes are held

from 9.00 to 12.30 with a break from 10.30 to 11.00.

There are also two afternoon classes per week.

Books and materials

Course materials will be given to you in class. You will

also be given a Concorde International folder, map

and handbook.

Concorde ID badge

You will be given a Concorde International ID badge,

which you must wear at all times.

Activity programme

You will be given a timetable that will show you what

you will be doing each day. Please read this, and the

notice boards, every day. If you are not sure what you

should be doing please ask a teacher or an Activity

Leader.

Facilities

The schools have good sports facilities. If there is a

swimming pool it can only be used when there is a

member of Concorde staff present.

Arriving at school

Time

Students should arrive at school at 8.45am.

Proof of identity

Students need to give the Centre Director, or their

teacher, a copy of their passport (or National ID) in

order to prove their identity.

Contact details

Students will need to fill in an emergency contact

form. They will need to know their parents’ telephone

number and home address. This is so that people can

be contacted in case of emergency.

Concorde ID badge

Students will be given a Concorde International ID

badge, which they must wear at all times.

Induction lesson

After the test, students have an Induction Lesson, and

are given a Student Handbook. During the lesson they

receive lots of important information about the school

and about their stay in England, including:

Who is who: Centre Director, Academic Director,

Activity Manager, Teachers and Activity Leaders

School rules

Safety and security while in England

Explanation of the academic and activity

programmes

Explanation of the student ID badge: it must be

worn around the neck during classes, meals and on

excursions.

UK culture

First Day at School

Placement test

Students take the Concorde International placement

test in the first class on the first morning. The test

includes a writing test, a speaking test, and a multiple

choice paper. Students are then allocated to a class

(maximum size 15, average size 12) according to the

following criteria:

Age: Young Learner; Junior; Senior

Test results

Nationality: we aim at international classes

Sex: we try for equal numbers of boys and girls

Orientation tour

On the first afternoon, Concorde staff take students

on a walking orientation tour of the town or city

centre.

This is not a guided tour but simply a walk around to

show students the main places and the meeting point

in the school.

Students will also be shown how to find the chemist,

the Post Office, where they can buy SIM cards, and

anything else they ask about at the time.

Lessons

Lessons are held every morning and on 2 afternoons,

with a total of 20 hours’ tuition. Each class has two

teachers, who share the teaching of that class. All

Concorde International teachers meet the

requirements of the British Council Accreditation

Scheme. They hold a recognised TEFL qualification or

a Post-Graduate Certificate in Education in an

appropriate subject.

English in Action

This is a unique Concorde International programme.

Students and teachers work together to choose a

weekly project topic for their class and then plan it

together. Students are given help with vocabulary and

strategies for how to complete their work. During one

of the morning classes students go into town to

complete the English in Action research component of

their project, discreetly supervised by their teacher.

Students can carry out a survey, use a questionnaire,

interview people on the street, and then add this

information to their project. They present their work

to the rest of the class on the last day of the week.

English in Action is an excellent way of encouraging

students to use their language skills in real-life

situations and of bringing them into contact with

native English speakers.

lessons. In Lessons 1 and 2, the emphasis is on

functional English and communication skills. In

Lessons 3 and 4, students work on a weekly project,

which is incorporated with English in Action or

Performance preparation (on alternate weeks), and

excursion preparation work.

Afternoons

One of the afternoon lessons focuses on UK Culture

and cultural language. In the other lesson, usually on

the last day of the week, students have an

opportunity to give a presentation about their Project

Work or give their Performance (alternate weeks),

and enjoy the graduation ceremony for students who

are leaving.

Late arrivals

Groups arriving a day or more after the normal arrival

day may be taught as a closed group for the first few

days to avoid disruption to the existing academic

programme.

Performances

These include a variety of drama and role-playing

sketches and presentations, which students usually

perform in front of the whole school on the last

afternoon of the week. They are a lot of fun, but there

is also a high academic focus that tests students’

pronunciation, intonation and clarity of speech, and

also helps to improve students’ confidence in

speaking.

Group Leaders are welcome to bring a video camera

to record the performances and show them to

families and schools on their return home.

Folkestone town

One of the sunniest seaside resorts in England,

Folkestone is enormously popular with Concorde

students. Situated on the south coast, the town has a

vibrant shopping centre and weekly market, a

colourful harbor, and soft sandy beaches with

excellent views to France. The cathedral city of

Canterbury is only 30 minutes away, and London can

be reached in just over 1 hour 40 minutes by coach or

train. Folkestone’s proximity to the Channel Tunnel is

turning it into a cosmopolitan gateway to continental

Europe.

K College is a modern campus with large classrooms

and excellent facilities including a gym, a dance studio

and two coffee shops. It is situated in a quiet

residential part of town but is only a 10-minutes walk

from the town centre.

Sports activities include swimming, badminton and

basketball at the leisure centre, and nearby Radnor

Park is great for football and team games. There is

even a Ski Slope just round the corner! Excursions are

to London, Brighton, Cambridge, Canterbury, Leeds

Castle, Dover Castle, bowling in Ashford, and Howletts

Wild Animal Park.

There are evening activities twice a week, including

the ever-popular disco, plus karaoke nights, quizzes

and film nights.

Most hosts live within walking distance of the school,

but some students may need to use public transport.

Greenwich has a wealth of history and heritage

including the Royal Palace, the Royal Observatory, the

Cutty Sark, the National Maritime Museum and of

course the Greenwich Prime Meridian where, in 1884,

0°Longitude was established to set a standard for

international time and navigation. Greenwich is home

to a UNESCO World Heritage Site which includes the

Queen’s House, designed by Inigo Jones in 1616, and

the Old Royal Naval College, designed by Sir

Christopher Wren between 1696 and 1712. As well as

the historical connections Greenwich is also an

excellent location for shopping and has easy access to

Our summer school is located in Queen Anne Court,

one of the four buildings that make up the Old Royal

Naval College. This is now part of the University of

Greenwich, and, while the exterior of the building

remains traditional, the inside has been transformed

to provide modern learning facilities.

It is a fantastic location. To get to school from their

accommodation, right in the centre of Greenwich,

students have a 4-minute walk along the River

Thames. All bedrooms are single en-suites and the

accommodation is of a very high standard.

The focus of the activity and excursion programme is

London and its attractions. Students will visit central

London on 4 afternoons per week and entry tickets to

many of the attractions are included in the fees.

The city of Rochester

Within easy reach of London, Rochester has always

been an important commercial maritime centre and

has long been associated with the famous author,

Charles Dickens. Rochester Castle, which dates from

1127, is a dramatic landmark on the banks of the River

is in the cathedral precincts and just a 3-minute walk

from the castle and the high street. This is an ideal

centre for students who enjoy sports as there is a

The University of Worcester

Worcester’s university is the fastest growing

university in Britain and is set in a beautiful woodland

location on the edge of the city. The city centre is just

a short walk away, across the River Severn.

The campus has excellent facilities including modern

classrooms, computer rooms, drama theatres, dance

studios and a sports hall. It also has Astroturf pitches

for football and hockey, two basketball courts, and

other large sports fields. The Students’ Union building

is brand new. The Worcester centre was rated best by

Concorde students for on-site facilities in 2012.

All of the afternoon and evening activities take place

Booking an optional excursion

The standard Summer School programme for any

given week includes one or more half-day or full-day

excursions. You can download the full weekly

programmes from the Junior Courses page on our

website www.concorde-int.com. Each centre has a

different programme so please look at these carefully.

For groups wishing to change or add to any of these

excursions for the week/s you have booked, the

optional excursions handbook offers some ideas.

Please note that if you add to or change one of the

standard excursions there will be an additional

charge, which you will find in the handbook. There are

no deductions for standard activities or excursions

that you do not take.

Groups should inform us well in advance if they wish

to change an excursion so that we can make all the

necessary arrangements. Individual students cannot

change their programme.

Disneyland Paris

In association with GTS Tours we offer a three-day

excursion to Disneyland Paris that includes travel,

hotel accommodation and entry to Disneyland. There

is a full day in Paris, so there is plenty of time for

sightseeing and shopping.

This excursion needs to be booked well in advance, so

please contact us for more information and prices.

Please note that students and Group Leaders need a

passport or visa that allows them to visit France.

Travel costs

Prices for optional excursions depend on the size of

coach required by the group, and each coach size has

a fixed price. The price quoted for an excursions is

therefore based on the price of the coach not on the

number of seats taken. If a group is smaller than 20

students it can be often be cheaper, and in many

cases quicker, to go by train.

Locations

Concorde International has excellent relationships

with a number of specially selected state secondary

schools throughout Kent (Ashford, Canterbury,

Folkestone, Rochester, Whitstable) and in Cambridge.

How Buddy Programmes work

For groups of students aged 12-16

September to July (Term-time only)

Our unique Buddy Programme offers students a

fantastic opportunity to experience life in a British

state school, attending regular classes (such as

science, history or maths) alongside a ‘buddy’ with

whom they share the school day—classes, lunch and

break times, sports afternoons, and any extra-

curricular activities.

The ‘buddy’ will not usually be a member of a

student’s host family, but will be specially selected by

the school staff from among a group of enthusiastic,

motivated pupils who have chosen to be part of the

Buddy Programme. Students and buddies are paired

(one-to-one) for the duration of the programme,

often resulting in friendships that last well beyond the

flight home.

Each buddy school has a liaison officer who will assist

the accompanying Group Leader during the

programme, and a Concorde International member of

staff will be available at all times.

You can choose between two types of Buddy

Programme. In a ‘Buddy Only’ programme, students

spend the whole school day with their British buddies.

In a ‘Buddy Plus’ programme, students spend the

mornings in EFL classes - at the school, but with

Concorde teachers - and then the rest of the school

day, from lunchtime onwards, with their buddies.

Accommodation

Most Homestay families are within walking distance

of the school but some students will need to travel to

and from school by bus. Students will have breakfast

and dinner at home, and on school days a hot lunch

with their English buddy. Packed lunches will be

provided for excursions.

Activities and excursions

It is possible to include a number of excursions to

famous locations, such as London, Cambridge,

Brighton, Canterbury and Oxford. It is also important

to experience the local attractions and cultural history

in your chosen location, so when making your booking

please ask us for some suggestions and prices.

Integration

Students should have an English language level

equivalent to CEF Level B1 (Intermediate) or higher in

order to benefit from the experience and integrate

effectively. Students with a lower level should enrol

on the ‘Buddy Plus’ programme in order to prepare

for the integrated classes.

Groups should be of mixed age in order to limit the

number of international students in each class.

Students will be expected to follow the school rules,

which may differ from their school at home, and to

wear their own school uniform.

Bespoke programmes

In addition to the summer programme, we welcome

school groups to Canterbury Study Centre throughout

the academic year.

With the year-round study courses we offer a truly

personalised, tailor-made service. With our assistance

you can design your programme to suit your

requirements and help your students make the most

of their new and exciting learning experience.

Courses can be designed to complement your school

curriculum. We offer exam preparation courses and a

variety of stimulating academic programmes on

themes such as British Culture, the environment and

tourism. In addition to the EFL classes, a programme

of activities, visits and excursions can be included to

give your students the best possible experience during

their stay. Courses can be for a few days or up to six

weeks.

Trinity exams and PON groups

We are a registered Trinity GESE centre and welcome

groups who want to study for, and take, the Trinity

examination with us.

We welcome PON Groups from July to October and

are happy to work with you to put together a specific

programme of study, activities and excursions. We

also offer residential courses for PON groups. Please

Concorde International’s responsibilities

Brochures, booking forms and agents’ tariffs

Each year we will send you, in such quantities as you

require, a supply of our literature in order to assist

you in selling our courses. If you require further

supplies you can request them at any time. Orders

are normally dispatched the same day.

Group options for summer schools

We are happy to accept provisional bookings for

groups, subject to availability, without a deposit. The

booking will expire at the end of February, or when

the spaces are lost to another agency that has paid a

deposit. We confirm bookings only on receipt of a

non-refundable deposit of £100 (GBP) per student.

Names should be sent to us at least 30 days prior to

arrival. Normal visa regulations still apply.

Enrolments

On receipt of the completed enrolment form we will

send you joining instructions and written

confirmation of the booking. We will issue you with

an invoice, which will be addressed to you and will be

the Nett price due to us unless otherwise agreed. We

expect our payment terms to be adhered to, and will

not hold places for which payment is overdue. We

will normally send you Homestay details 7–10 days

prior to the client’s arrival.

Conduct of courses

We conduct our courses and any incidental services

to the highest standard in accordance with British

Council and ENGLISH UK requirements and

guidelines. Your written feedback (positive or

negative) on any aspect of our services is always

welcome. Day-to-day questions or problems can be

raised with your normal company contact. Matters of

a personal, serious or confidential nature should be

addressed, in writing, to the Managing Director.

Agent responsibilities

Advertising our courses

To clearly and honestly promote our courses to

clients, and not to make claims on our behalf that are

not part of our advertised services or course content.

There are occasions when we are able to respond to

special requests but these should be agreed with us

prior to your confirmation with the client.

Sending information to Concorde

To ensure, in order to comply with British Council

regulations, that we receive, before the stated

deadline, full and accurate information about

students’ names, dates of birth, travel arrangements,

and medical or dietary requirements.

Insurance

To ensure insurance cover has been arranged for all

students. We strongly recommend that students take

out full insurance for the period of their stay.

Concorde International cannot be held responsible for

any costs incurred by students who are not properly

insured. Please see pages 6 and 7 for more

information.

Payment

To adhere to the published payment terms.

Leaders

To ensure accompanying Group Leaders are fully

aware of their role and follow the guidelines we set

out for leaders. Please see page 8 for more

information and ask us for a copy of the Group Leader

Handbook once your booking is complete.

Flight details

To provide flight details well before the flight date.

We reserve the right to make an additional charge if

these details are missing or not provided in good time.

We also reserve the right to charge an additional fee

for transfers at unsociable hours.

Commission rates

Junior summer courses

We pay commission on the individual package price

only. Commission on supplements and optional extras

may vary. Group bookings are invoiced at the agreed

Nett rate.

Payment of commission

In the event of your client paying gross fees directly to

Concorde International we shall account to you for

commissions earned according to our tariff rates or by

mutual agreement at the end of each quarter, on 20

March, June, September and December. We pay such

amounts Nett of bank charges to your designated

account, or hold them as a credit on your account if

preferred. In the event of any overdue balances this is

held against the unpaid account. All commissions are

inclusive of VAT if this applies.

Extensions

When students extend their stay or upgrade their

course to one of a higher price, we shall account for

commission at that time and credit the additional

amounts quarterly as above on receipt of the

relevant payment. Should any such changes

necessitate an adjustment to the original invoice we

will keep you fully informed.

Referrals

If a student approaches us directly and quotes you as

the source through which they learnt about Concorde,

or if we become aware in any other way that you

introduced the student to us, we will pay commission

to you as if they were one of your clients.

Cancellations

Cancellations must be made in writing. Fees will be

retained according to when notice is received: £100

retained for 30 days’ notice; one week’s course fees

retained for between 8 and 29 days’ notice; full

course fees retained for 7 days’ notice or less.

If Concorde International has to cancel, change or

curtail a course, we will offer a reasonable alternative

course and accommodation, or refund fees for the

hours of tuition or accommodation that are lost.

Refund requests

Refund requests must be submitted to Concorde

International and will be considered by both Concorde

International and the agent. We will advise agents of

any request that may affect their commission.

If a visa has been refused please forward a copy of the

refusal notice. Deposits will not be refunded without a

refusal notice.

Deposits and payment of the balance

The non-refundable deposit of £100 (GBP) per student

must be paid for the exact number of places to be

reserved. This is a deposit per place and not a sum on

account, so if, for example, 50 places are booked and

only 30 places are confirmed, 20 deposits are lost.

No places are secure without a deposit. Final payment

should be sent at least 30 days prior to a student’s

arrival. If we do not receive the balance on time, your

course, accommodation and transfers may be

cancelled. Any deposits paid will be lost.

Refunds

Refunds are NOT given in the following instances:

If services are not used or are cancelled by clients

on arrival or during the programme.

In the case of late arrival, early departure, illness,

accident or absence of any kind, or of the

expulsion or suspension of a student due to

antisocial or disruptive behaviour.

For cancellation or failures due to factors beyond

the school’s control, such as airline cancellations,

war, riot, global pandemic or any “Act of God”

such as a natural disaster or volcano.

If a group, or a student in a group, having paid a

deposit, is refused a visa to travel, the deposit will be

refunded on receipt of the refusal papers.

Legal constraints

Any event beyond our control, such as a natural

disaster, ‘Act of God’, terrorism, or security alert is

deemed to be force majeure.

We reserve the right to refuse admission or to dismiss

a student for misconduct or non-attendance. We

reserve the right to expel the student, at their own

expense, and with no refund of fees paid. Students

must pay for any malicious damage caused to

property in their accommodation or on the school

premises.

Concorde International will not be responsible for any

injury to or by students or to any third party other

than our common law legal liability in respect of

negligent acts on our part. In no circumstances will we

be responsible for consequential losses irrespective of

how they are caused.

Any disputes will be settled under the current laws of

the United Kingdom.

Student behaviour and discipline

Concorde International expects students to adhere to

the school rules as explained on page 9, ‘Information

for Parents’. Where a student has behaved badly and

we decide to send the student home this will be at the

parents’ expense.

If a student needs to be sent home we will endeavour

to contact you, the agent, first, to explain the

situation and to provide you with the information you

need. We may ask you to assist with the repatriation

of the student or we may liaise directly with the

parents depending on the severity of the incident and

the timescale involved.

It is important that you clarify this policy with parents

and that they understand that neither you nor

Concorde International is liable for any refund of

course fees or expenses as a consequence of the

student’s expulsion.

Child Protection Policy

In conjunction with the British Council and Young

Learners English UK, Concorde International operates

its own Child Protection Policy, which all staff and

Group Leaders must adhere to. A copy is available on

request.

Transfers

Shuttle service

Concorde operates a shuttle bus service every Sunday

and Wednesday in July and August from Heathrow,

Gatwick and Stansted airports to our centres in

Ashford, Broadstairs, Cambridge, Canterbury,

Folkestone, Greenwich and Rochester. There is no

shuttle to or from Worcester.

The service runs between 07.00 and 21.00. Depending

when the majority of our groups arrive or depart,

there may be a waiting period of up to 4 hours.

Groups on flights scheduled to arrive before 07.00 or

after 21.00, or depart before 09.30 or after 22.00, can

only be accepted by prior agreement in writing at

least 30 days before arrival. Significant extra costs will

apply, which we will agree with you in writing.

We must receive flight details at least 14 days before

arrival or we cannot guarantee a transfer. If we

receive incorrect flight details we cannot be held

responsible for transfer delays, and you will incur

extra costs if we have to change your transfer

arrangement at short notice. Typically, you would be

charged taxi rates.

Taxi service

On days other than Wednesday and Sunday, and on

any day between 21.00 and 07.00, we provide a

transfer service by taxi only. Individuals and small

groups can, if they prefer, choose this service at any

time on any day to avoid waiting for the shuttle bus.

You will be charged the taxi rate at the time of

booking, or the difference between the shuttle and

taxi rates if the transfer has already been paid for.
