DATA COLLECTION NOTICE – PRIVACY ACT

In December 2001, new Privacy Legislation came into force. This legislation covers sector organisations who hold or collect

personal information or sensitive information. All schools have to comply with the National Privacy Principles contained in the

Act and schools must provide details of how collected information will be used.

The following Collection Notice outlines the collection, use and disclosure of personal information collected from families

enrolling at Star of the Sea Catholic Primary School.

1. Star of the Sea Catholic Primary School collects personal information, including sensitive information about pupils and

parents or guardians before and during the course of a pupil’s enrolment at the School. The primary purpose of collecting

this information is to enable the School to provide schooling for your son / daughter.

2. Some of the information we collect is to satisfy the School’s legal obligations, particularly to enable the School to discharge

its duty of care.

3. Certain laws governing or relating to the operation of school require that certain information be collected. These include

Public Health and Child Protection laws.

4. Health information about pupils is sensitive information within the terms of the National Privacy Principles under the

Privacy Act. We ask you to provide medical reports about pupils from time to time. On occasions health information may

be disclosed to staff to enable the School discharge its duty of care.

5. The School from time to time discloses personal and sensitive information to others administrative and educational

purposes. This includes to other schools, government departments, Catholic Education WA, the Catholic Education

Commission, your local diocese and the parish, schools within other Dioceses / other Dioceses, medical practitioners,

and people providing services to the School, including specialist visiting teachers, sports coaches, volunteers and

counsellors.

6. If we do not obtain the information referred to above we may not be able to enrol or continue the enrolment of your

son/daughter.

7. Personal information collected from pupils is regularly disclosed to their parents or guardians. On occasions information

such as academic and sporting achievements, pupil activities and other news is published in school newsletters,

magazines, local newspapers, our website and social media. If you do not wish to have your child’s name or

photograph published in these mediums, then this request needs to be put to the Principal, in writing.

8. Parents may seek access to personal information collected about them and their son/daughter by contacting the School.

Pupils may also seek access to personal information about them. However, there will be occasions when access is

denied. Such occasions would include where access has an unreasonable impact on the privacy of others, where access

may result in a breach of the School’s Duty of Care to the pupil, or where pupils have provided information in confidence.

9. As you may know the School from time to time engages in fundraising activities. Information received from you may be

used to make an appeal to you. It may also be disclosed to the P&F co-ordinators assisting in the School’s fundraising

activities solely for the purpose. We will not disclose your personal information to third parties for their own marketing

purposes.

10. We may include your contact details in a class list and School directory. If you do not agree to this, you must advise us

now.

11. If you provide the School with personal information of others, such as doctors or emergency contacts, we encourage you

to inform them that you are disclosing that information to the School and why, that they can access that information if they

wish and that the School does not usually disclose information to third parties.

CONDITIONS FOR ENROLMENT

RATIONALE: Catholic schools exist to further the mission of the Church. In Western Australia the Mandate of the Bishops requires the Catholic Education Commission of Western Australia to make Catholic school education available to all Catholic children, insofar as this is possible.

1. Star of the Sea Catholic Primary School is a Catholic school that is part of the Catholic Education

Commission of Western Australia (CECWA). The first condition for admission is that students and their parents accept the values underlying the Catholic philosophy of education, and that, students, of all faiths or of none, undertake to participate fully in the faith practices and observances of the school.

2. First preference in admission is given to families who are actively involved in the Catholic Parish

Community. It is not desirable to admit students who would be disturbed because the values, beliefs and practices which are nurtured by the school are not encouraged and supported in the home. It is not possible to separate the educational and spiritual aims of the school. Should a student or parent have difficulty in accepting our Catholic way of life, it might be wise to find another school where the student is more at ease because the educational and spiritual aims of the school are so integrated. Students do not have our religious practices forced upon them, but they are expected to embrace and follow them in a respectful way.

3. When accepting a place at the school, students and their parents make a commitment that they will abide

by the school rules, policies and standard of conduct and behaviour. It is recognised that these standards may require a greater commitment from students than may be expected at other schools.

4. Acceptance of a place implies the undertaking on the part of the student to understand and support the

programmes of the school, and to participate fully in all school activities, both curricular and co-curricular, as required of them; and an undertaking on the part of the parents to support and encourage this participation.

5. It is an expectation and the responsibility of parents to attend meetings, organized by the school, that relate

to their child/ren’s education or needs.

6. Students are enrolled on the assumption that they are able to benefit from the academic and other programmes of the school. It is to be understood that students, as well as receiving benefits, are expected to contribute to the academic and general life of the school.

7. Should a parent have a concern regarding the school they must initially contact the class teacher or a

member of the Leadership Team. Social media must not be used to air grievances regarding the school.

8. Parents/Guardians are responsible for the prompt payment of all fees and charges as rendered by the School in terms of the fee collection policy. This policy can be obtained on request. An enrolled sibling will not be allowed to commence at the School if fees for the other sibling/s are in arrears without consent of the Principal.

9. Any change of address, or wish to cancel the application for any reason, must be notified in writing. If a parent wishes to change an application to an earlier/later year for some reason, this must also be done in writing.

10. Failure to notify change of contact details may render the Application for Enrolment void.

11. All relevant enrolment information must be disclosed on the Application for Enrolment. Failure to fully

disclose this information may render the application void, eg. students with special learning needs, students with disabilities and students on medication.

12. Students, in Years 5-6, are involved in an Individual iPad Programme. Each student is to have their own

device for use in the classroom and at home through a school developed, parent funded programme. Financial options are available to parents to suit their individual circumstances.

13. Parents/Guardians will actively participate and commit to school activities eg. Parent/Teacher meetings,

Sacramental programmes, Parent Information sessions, P&F fundraising activities, Busy Bees, weekend School Masses, all Sporting Carnivals etc.

I will not open or respond to emails and communications from people I don’t know. I will report the offending emails and communications to a teacher or parent, given they might not be from the person they say they are from. This also applies to social media.

I will not supply my picture or personal details over the Internet to anyone I meet online.

If I see anything offensive or upsetting on a digital device, I will close the lid (Chromebook) or press the home button (iPad) and immediately tell the teacher and not show this content to other students.

I will not answer any questions about my family or myself online.

I will not respond to any messages that make me feel uncomfortable in any way. I will immediately report this to my parents or teacher.

I will obey all copyright laws and will acknowledge the source of all work copied or reproduced from the Internet.

I will not place food or drinks at or near the digital devices and associated hardware.

I will not add or remove any software without permission from the Information Technology Coordinator.

I will treat the computer facilities and equipment with respect and care.

I will immediately report any hardware malfunctions or problems to the class teacher.

I will cover or lock away devices when not in use.

I will not alter the configuration of the digital devices.

I will ensure that my behaviour when using ICT reflects our Catholic school values.

I will not use another student’s device or allow another student to use my device.

In the event of damage of my device as a result of others actions, I will not approach the other person or their family. I will report any incidents to the class teacher.

I understand that unacceptable use of ICT will result in a consequence following the school’s Safe School Policy. I understand that my right to access digital devices will be removed for a period of time if I breach any of these rules. More serious incidents may result in the school involving the police. I understand that the school will take no responsibility for inappropriate use, Internet access and damage at home and outside of school hours.
