Title of Risk Assessment Face to Face Teaching in a Computer Lab Teaching Space Date of assessment 22/09/2020

Department Library Date review due Week 4, Term 1

Description of Task/Process This covers teaching activities in a Computer Lab, where the teaching staff are leading the group discussion or teaching session and has been specifically developed in response to the Covid-19 outbreak.

Assessment carried out by Hywel Rowles

Additional information

This covers the following rooms R0.39 = 12, R0.41 = 10

**Room Occupancy in Red**

Teaching staff is defined as the person who is providing face to face teaching. At this time, teaching will be to a smaller group of students as per the Returning to Work during Covid-19

Teaching Head / Programme Lead are defined those who have responsibility for the teaching programme. They must discuss this risk assessment in advance of the start of term with those who are involved in the teaching of that programme and refer also to the Blueprint Risk Assessment for Returning to Work during Covid-19

Students are the only likely persons to use the computer lab space, although it is recognised that there could also be others, such as IT staff and Estates maintenance/ servicing staff who have to access the space intermittently as well as Estates Cleaning staff.

All Computer Lab spaces will be pre-booked in advance. These spaces are likely to have relatively fixed layouts due to the equipment and cabling involved and will vary in size and shape but will generally fall within the scope of this risk assessment.

Transmission of Covid-19.

An infected person could be present in the Computer Lab who could transmit the virus to others.

Students and Teaching staff as well as others.

(Eliminate) Anyone feeling unwell will not come into the University.

(Reduce) The Programme Lead will have reduced the number of face-to-face teaching sessions within the overall teaching programme, with the rest being carried out online.

(Reduce) Class sizes may be reduced; where this is the case the same teaching staff may have to teach more instances of the same class format to repeat delivery of the teaching to other groups.

(Reduce) Where space permits, students attending the Computer Lab will be separated to 2m, reducing the likely spread of the virus.

(Reduce) Layout drawings will be displayed in the room showing where students should sit and circulation routes.

(Reduce) Ventilation will be via open windows, or via forced ventilation, where Estates have confirmed that the systems should not transmit the virus, otherwise the systems will be switched off.

(Reduce) Where practical students

should be asked to share their screens with the teaching staff to avoid the teaching staff having to visit the student at their screen.

(Isolate) Perspex screens or another physical barrier will be provided to separate students using computers where it is necessary to arrange seating to be closer than 2m distance.

(Control) The Teaching staff will manage entry and egress from the space advising students to fill the room in a way that avoids or limits crossing paths and in a way that maintains distancing.

(Control) Students arriving at the room before the end of the next session, should queue outside the room in accordance with signage instructions, until the previous session has exited.

(Control) Students arriving at the room before the teaching staff arrives, and so access to the room cannot be supervised by the teaching staff, should file into the room occupying the seats furthest from the door or closest to the front first to

avoid unnecessary crossing-path with other students

(Control) The lead teaching staff must explain to students, at the start of each computer lab session the appropriate procedure for helping students at their screens.

(Control) Where it is necessary for the teaching staff to visit the student at their screen, the teaching staff should maintain a distance of at least 2m and the student should always continue to face their screen.

(Control) In this type of environment, the teaching staff may stand and move around in the space. Teaching staff to be mindful to maintain 2m as far as reasonably practicable from others if moving in the space.

(Control) All teaching staff to use hand sanitiser before they touch any IT or AV equipment provided in the space (or any other equipment that they may be demonstrating).

(Control) Each room to be provided with a supply of disinfectant wipes. Levels to be checked periodically by ambassadors.

(Control) Teaching staff to inform ambassador team if supply of wipes is exhausted.

(Control) At the beginning of each session, students should take a disinfectant wipe and wipe down any hard surfaces where they are sitting and to dispose of the wipe in the nearest bin. Hand sanitiser to also be used by students to cleanse hands prior to touching the IT equipment.

(Control) Touchpoints regularly cleaned by Estates Cleaning team.

(Control) Teaching staff will wear a face shield.

(Control) Students will wear face coverings (unless they carry an exemption).

(Control) Computer labs used intermittently to be managed through a suitable booking system to manage numbers.

(Control) Teaching staff to follow the guidance on the Stay Safe at Warwick webpages if anyone reports they or members of their household have Covid-19 symptoms.

(Control) Information on how to reduce transmission of the virus

provided to staff and students, with reminder signage and information being on display around the University.

Inadequate Distancing / Uncontrolled contact

Attendees unable or not following the 2m distance separation

Students and Teaching staff / Teaching staff

(Eliminate) There should be fewer who attend, as only those who are timetabled to be there should be present.

(Eliminate) Students who arrive at the Computer Lab when they are not timetabled to attend or booked in, to be turned away by the teaching staff if they cannot be accommodated in the space safely.

(Reduce) One-way systems may be possible where there is more than one entrance to a Computer Lab.

(Reduce) There is a 10-minute gap between each class which should permit students to leave and move between classes without encountering the next group of students.

(Isolate) Less than 2m distancing between computer lab users is only permitted where students are positioned back to back or where Perspex screens (or similar physical barriers) can be fitted in between.

(Control) Locations where students sit to be adequately indicated either by a sticker on a desk / seat and/or indicated on a layout plan on the wall. Students should not be positioned face to face unless they can be maintained 2m apart or a Perspex screen is in use.

(Control) 2m distancing markers to be displayed outside of the Computer Lab for queuing purposes and 2m distance signage to be displayed throughout the building.

(Control) In this type of environment, the Teaching staff may stand or move around in the space. Teaching staff to be mindful to try to maintain a 2m distance from others. Students to be asked to share their screens for online help rather than expect the teaching staff to come round to their screen.

(Control) Teaching staff to assist the movement in / out of the space (where necessary) and to request that students sit in the allocated seats only. Students should be encouraged to fill the lab space front to back.

Work should not be carried out until the assessment is completed and all required control measures are in place.

Additional Comments from Risk Assessor(e.g. funding or practical implications)

There may be resourcing implications as follows:Teaching staff will need to be supplied with face shields to deliver against this risk assessment and a means to clean and store these when not in use. There should be sufficient stocks of hand sanitiser for staff to use prior to running sessions within a Computer Lab.Disinfectant wipes will need to be routinely ordered and plentiful stocks maintained. Resources will be required to replenish in used lecture theatres.Additional cleaning by Estates Cleaning may be required in highly used spaces and to empty waste receptacles where disposable face coverings and wipes may be thrown away.
