Aberdeen City Council is arranged into six functions. Each function is divided into clusters, and within each cluster are service areas/teams.

About the Place Function This Function will lead on the direction and delivery of economic, social and physical strategies for the continuous development of Aberdeen as a globally competitive city. It will work in partnership with organisations and agencies in the development and growth of Aberdeen’s economy to deliver the Regional Economic Strategy.

About the City Growth ClusterThis Cluster is responsible for representing the council and the city of Aberdeen on local, regional, national and international stages, supporting inward investment and the promotion of the city as a competitive business location. Key responsibilities will be outward trade, a diverse employability and skills base; and a focus on tourism, culture and the development of our events programme.

About the Galleries, Museums and Archives team Galleries, Museums and Archives is responsible for the development, care and interpretation of the art and heritage collections held by the council. The historical records of Aberdeenshire Council are also preserved and managed by the team. Key responsibilities are visitor engagement, customer service and management of the sites across the city where these collections are accessed and displayed; this includes Aberdeen Maritime Museum, Aberdeen Art Gallery, Aberdeen Treasure Hub and Old Aberdeen House. The service also promotes and delivers a programme of exhibitions, activities, events and learning opportunities for all ages and abilities.

About the RoleTo manage the operation of security arrangements and customer care across the Museum and Gallery venues. The post has a key role in providing a first point of contact for visitors and users to venues. Tasks include managing the front of house team, delivering excellent customer care, organising security arrangements, staff rotas, building maintenance and cleaning duties. To provide support for a range of exhibitions, displays, collection work, events, functions & corporate hire. The supervisor team plays a key role in supporting out teams with AAGM with strategic planning.

The job requires weekend and out-of-standard hours working and lone working.

Key Outcomes and Task ExamplesThe post holder will deliver: Examples of related tasks: Manage the front of house team to

deliver excellent quality of service in all relevant areas.

Manage a team of Museum Assistants in the duties and responsibilities of their posts including allocating tasks and devising work assignments

Draw up work and holiday rotas as appropriate and ensure that all documentation is correctly completed.

Ensure that all site staff are well briefed and trained for their roles. This includes the operation of equipment, installation and handling of artefacts and works of art.

Maintain and administer all paperwork related to financial matters, including purchasing and invoices.

Participate in the recruitment and selection of Museum Assistants as required.

Carry out performance appraisal meetings and sickness monitoring of Museum Assistants. The postholder will also assist with any disciplinary / grievance issues which may arise.

Provide leadership and promote team development and demonstrate an emphasis on the highest quality of work, customer care and a welcoming first point of contact for visitors.

Deal with a variety of service-related issues by instigating solutions, promoting positive and courteous standards of customer care and adopting a collaborative team approach.

Advise the Museums Manager on new developments and techniques relating to the key tasks of the post.

Manage, organise and participate in the security and front of house service

across all Museum & Gallery venues, including opening and locking the buildings.

buildings are followed, including unlocking and locking of buildings at the start and close of the working day.

Ensure appropriate levels of staffing to ensure adequate surveillance throughout the building, including areas both open and closed to the public. This includes security cover for collections, exhibitions and activities taking place outwith standard opening hours.

Maintain a security key register and CCTV equipment where applicable.

Be familiar with and ensure that staff and contractors comply with the Council’s Health and Safety policies and the Museums & Galleries safety procedures. This includes the reporting of incidents, accidents and damage to works of art in line with the Museums & Galleries policies .

Participate in emergency call-out rotas for all Museums & Galleries sites and respond to out of hours emergencies.

Ensure that all alarm systems are tested regularly and evacuation drills are carried out on a regular basis.

Organise specialist support for collections work including artwork handling, moving and hanging

Work with Public Programmes, Collections and Museum Support teams in the provision of support and assistance with the Museums & Galleries varied exhibitions and events programme.

Assist with the installation of artefacts, works of art, exhibitions and displays, in the Section’s buildings.

Assist in the packing of works of art and artefacts and ensure they are handled and stored correctly.

Effect minor repairs as instructed by the relevant curator. Install, organise and advise on installation of Collections

artefacts and works of art in other Council venues and on loan to external properties. This may include risk assessment, safe working practice and use of scaffolding.

Work with appropriate Collections staff to arrange costings and participate in the transportation of works of art and collections artefacts both locally and throughout the UK.

Participate in the delivery of a programme of corporate hire activities; this includes risk assessment, calculating staffing numbers and working with clients on layout, technical issues and security.

Organise courier services between Museums and Galleries sites and other venues operated by Aberdeen City Council

Manage the care and maintenance of Museum and Gallery buildings and sites

Ensure that the Section’s buildings are properly maintained, including general housekeeping.

Supervise contractors and visiting tradesmen working within the Section’s premises.

Monitor and report any repairs and maintenance requirements to appropriate Council colleagues including Property Facilities Officers.

Ensure that all mechanical and electrical equipment is kept in a good state of repair.

Monitor heating and humidity plant and participate in environmental monitoring.

Carry out risk assessments and implement safe systems of work.

appropriate staff and work on the continual development and improvement of Museums and Galleries venues.

Carry out duties in compliance with health and safety regulations and procedures, which include ensuring the safety of visitors and users.

In the absence of a Senior Officer, take appropriate action to ensure the security and health and safety of venues, visitors and staff. This includes weekends, public holidays and out-of-standard hours.

Complete investigation reports and near miss forms. Reporting findings to the Health and safety team.
