Pointe Hilton Tapatio Cliffs Resort Overview

Nestled into the rugged terrain of the Phoenix North Mountains, about 20 minutes from

the airport, is the Pointe Hilton Tapatio Cliffs Resort, a 584-suite resort offering luxurious amenities and activities.

Within a Spanish-Mediterranean resort village, each two-room suite features two color televisions with cable programming, fully stocked refrigerated mini-bar, spacious living room, separate bedroom, private balcony and complimentary daily in-suite coffee. The resort opened in 1982; in 2000, an extensive renovation reconfigured the layout of all suites to triple the size of the bathroom and vanity area. The Falls Water Village, a three-acre oasis of swimming pools, waterfalls and flower gardens opened in January 1997. Center-pieced by a 40-foot cascading waterfall and travertine pools, The Falls Water Village includes two large swimming pools and a 138-foot waterslide, 23 poolside cabanas, restaurant pavilion and more. Other facilities include an 18-hole championship golf course – Lookout Mountain Golf Club; Tocaloma Spa & Salon; two tennis courts; a total of eight swimming pools; fitness centre; sauna; biking and much more.

Five themed restaurants include the AAA Four-Diamond Different Pointe of View; Pointe In Tyme, featuring steaks, seafood and seasonal dishes; casual poolside dining at Cascades Café, serving salads and sandwiches; poolside bar at La Cantina; and pizza, salads and ice cream at The Works.

In addition, our award-winning concierge team is available daily to assist with any tours, reservations or general Valley information. Meeting facilities include 36 meeting rooms and a total of 65,000 square feet of indoor and outdoor function space.

Course Description: Lookout Mountain is a Par -71 course and has a driving range, putting green, practice tee and chipping green. Designed in 1989 by Golf Professional and golf course architect Bill Johnston, this beautiful resort layout weaves its way through rugged terrain that borders the Phoenix Mountain Preserve and offers spectacular views of both Lookout Mountain and Squaw Peak. This is an exciting golf course for players of all skill levels as it presents the finest characteristics from both desert golf and traditional golf layouts. Lookout Mountain Golf course was voted one of Arizona’s Top 25 Golf Courses. Back to Resource Information AFFILIATES Groups meeting in conjunction with a conference, but not part of the official convention program who require meeting space will work directly with our Event Services Department. All meeting space, if available, will be at the hotel’s normal prevailing room rental rates and will be subject to the hotel’s contract terms and conditions.

A listing of all affiliates should be sent to the hotel no later than 90 days prior to the actual event, so that they can be individually contacted by the Catering/Event Services Department to set up food, beverage and billing arrangements. You may contact your Catering/Event Manager for a listing of welcome amenities, specific preferences or budgeting guidelines. All amenity pricing excludes state sales tax, gratuity, and delivery fee. Room service gratuity is currently 20%. For a standard delivery, the fee is $3.00 per item per suite.

BANQUET BEVERAGE SELECTION The Arizona State Liquor Commission regulates the sale and service of alcoholic beverages. The Pointe Hilton Resorts are the only licensed authority to sell and service alcoholic beverages for consumption on premises. It is a resort policy; therefore, liquor may not be brought into the resort for use in banquet or hospitality functions. Arizona State liquor laws permit alcoholic beverage service from 6:00 a.m. through 2:00 a.m. Monday through Saturday and 10:00 a.m. through 2:00 a.m. on Sunday. We are happy to custom design menu proposals for your group and assist in selecting the proper menu items and program arrangements to ensure a successful event. Specialty and theme parties may be designed to meet your particular needs. Special meal requests are easily accommodated. Please advise your Catering/Event Manager in advance with any special dietary requirements. Back to Resource Information STANDARD BANQUET TERMS AND CONDITIONS 1. ASSIGNMENT/CONFIRMATION OF FUNCTION SPACE: Function rooms are assigned by the Resort according to the guaranteed minimum number of people anticipated. Room rental fees may be applicable if group attendance falls below the estimated attendance at the time of booking. The Resort reserves the right to assign another room for the function in the event the room originally designated for such function shall become unavailable or inappropriate in the Resort’s sole opinion. Extra charges may apply for unusual setup requirements, extra electrical hookups or telecommunication equipment. Upon review of your event requirements, Event Orders (“EO”) will be sent to you to confirm all final arrangements and prices. These EO’s must be signed and returned prior to the event and will serve as a part of this agreement. 2. GUARANTEE OF ANTICIPATED REVENUE: Final attendance on functions must be definitely specified and communicated to the Resort by 11:00 a.m. at least three (3) working days prior to the event. This number will be considered a guarantee not subject to reduction and charges will be made accordingly. If a guarantee is not given to the Resort on the date it is due, the expected number(s) indicated on the banquet event order will become the guarantee. 3. SERVICE & LABOR CHARGE: A taxable 23% service charge and the applicable state sales tax will be applied to all food and beverage charges. This service charge is not a gratuity and is the property of the Hotel to cover discretionary costs of the Event any time there is a change in setup/style on the day of the event, there will be an additional labor fee assessed. 4. OUTDOOR FUNCTIONS: The Resort reserves the right to make the final decision regarding outdoor functions. The decision to move a function to an indoor location will be made by 2:00 p.m. the day of the event, based on prevailing weather conditions and the local forecast. Any client decision to keep the function outdoors, that would require a move-in with less than four (4) hours’ notice, will be assessed a labor charge of $5.00 per person or a $375.00 minimum charge. 5. OVERTIME: You agree to begin your event promptly at the scheduled start time and agree to have your guests; invitees and other persons vacate the designated event space at the end time indicated on the final EO. 6. PRICE INCREASES: There may be increases in prices due to unforeseen changes in market conditions at the time of your event. We will communicate these increases to you in advance. We will require written confirmation that you agree to pay these increased prices. Alternatively, we, at our option, may in such event make reasonable substitutions in menus and you agree to accept such substitutions. 7. SET UP CHARGES. Should extensive meeting room set-ups or elaborate staging be required, there will be a set-up charge to cover Hotel costs and additional labor. If equipment is necessary that exceeds Hotel’s inventory, then you agree to pay for the cost of renting this additional equipment. You agree to indemnify us for any damage caused to any Hotel property as

a result of drayage related to your event, whether caused by you, your agents, employees, contractors, or agents. 8. OUTSIDE FOOD AND BEVERAGE: Due to state law, you may not bring into the Hotel alcoholic beverages. You must obtain prior approval from us before you bring in any food or non-alcoholic beverages from outside sources. A Hold Harmless Agreement and Liability Insurance are required if food or beverage products not purchased and served by Hotel staff are brought in for consumption by your guests. Service fees will apply to any outside food or beverage served in our function space regardless if Hotel labor is required. 9. AUXILIARY AIDS: The Hotel represents and you acknowledge that the Hotel facilities being rented for you including guest rooms, common areas and transportation services will be in compliance with our public accommodation requirements under the Americans with Disabilities Act. You agree that you will furnish to us a list of any auxiliary aids needed by your attendees in meeting or function space at least two weeks prior to your event. You agree to pay all charges associated with the provision of such aids by the Hotel. 10. SIGNS AND BANNERS: The Resort reserves the right to approve all signage. All signs must be professionally printed. No signs are allowed in the Main Lobby of the Resort or on the buildings exterior without prior approval. Printed signs outside function rooms should be free standing or on an easel. The Resort will assist in placing all signs and banners. A $50.00 charge per banner will apply. 11. PROMOTIONAL CONSIDERATIONS: We have the right to review and approve any advertisements or promotional materials in connection with your function which specifically reference the Hilton name or logo, Hilton does not offer or accept any terms or conditions which provide commissions, rebates, HHonors points or other forms of compensation related to revenue for food, beverage, room or equipment rental. Our bell services department is responsible for the movement of your luggage and golf bag handling/storage. Porterage charges will be outlined in your contract. The current rate for porterage is $4.00 in/$4.00 out per person, plus state tax, and is subject to change. Departure notices and bag pulls should be coordinated with your Catering/Event Manager. Our bell services staff also handles the delivery of any non-food and beverage guest amenities. The current rate for this amenity delivery is $3.00 per suite per item. BOX LUNCHES If you wish to order box lunches for your group, your Catering/Event Manager will arrange the order for you and provide delivery to your specified location on the property. Back to Resource Information BUSINESS CENTER (SELF SERVICE) The Business Center is adjacent to the resort lobby through the east exit. Arrangements can be made for large copy jobs, equipment rentals and Full-Serve requests. The Automated Business Center (in the same location) is available to guests 24 hours a day, and is accessible with a suite key. There is also a Security Camera installed in the Business Center for guest safety. The Automated (Self-Serve) Business Center enables guests to do just about everything except large copy jobs. Here’s a detail of our capabilities:

• INTERNET WORKSTATIONS: The Automated Business Center, powered by Showcase Business Centers, has three quality Dell computer workstations for guests to access their e-mail, visit websites, create and edit Microsoft applications such as Word, Excel and PowerPoint, and print in color laser or black & white. The fees are based on time usage and the workstations are activated with a credit card. The systems have CD readers, floppy drives, and USB ports for memory sticks/thumb drives.

• COLOR PRINTING AND BLACK & WHITE PRINTING: By using the Showcase

Workstations, guests can print files via e-mail, floppy disk, USB memory stick or CD in both color and black & white. There is a $3 minimum access charge and rates are based on time used and prints made. A credit card is needed to access the workstations.

• PRINTING FROM A LAPTOP - Also, we have determined that there is a large need for our

guests to be able to visit the Automated Business Center with their laptops and print out documents. We have installed a nice HP Laser Printer in the Automated Center for guests to utilize at no charge. There is both a parallel connection and a USB connection to accommodate all users.

• REMOTE PRINTING FROM SUITE - The PrinterOn Service (remote printing from the guest

suite) is a great new feature, allowing guests to upload file from a web based program for retrieval in the Automated Business Center. It supports common file types such as Microsoft Applications and PDF formats. Instructions are located on the Internet Instruction card on the desk in every suite.

• INCOMING FAXES - Incoming faxes are processed by the Communications Department and

held securely behind the Front Desk. The guest suites are immediately messaged and delivery is offered. We have found that it is of benefit to hold the faxes at the Front Desk for quick pickup during the day when guests may be in a nearby meeting etc. Delivery to the suite of all unclaimed faxes is done after 5pm each day. Guests may send faxes with the assistance of the Full Serve Business Center Attendants or Resort Concierge. The Automated Business Center can also SEND faxes, but not receive (for obvious guest privacy issue reasons).

• FULL-SERVE - Full service is available for copies and special projects such as tent cards,

nametags and poster printing/signage. The copy rates are comparable to local print shops and we have the capacity to produce large volumes and quick turnaround times. Please see separate Full Serve Rate Sheet for additional details.

• Zip Checkout: If zip checkout is requested, your room folio is provided at your door early in the

Back to Resource Information FIRE CODES The following are some general regulations that fall under local fire authorities’ specifications. They should be considered when planning and coordinating space, decorations, etc., in the ballrooms and meeting rooms. Where exits are not immediately accessible from an open floor area, safe and continuous passageways, aisles or corridors shall be maintained leading directly to every exit and shall be so arranged as to provide convenient access for each occupant to at least two exits by separate ways of travel. The aisle needs to be as wide as or wider than the exit to which they are leading. There will not be any setup permitted in front of any exit doors. Staggering of dining tables is not permitted. All room sets must be in compliance with the local fire Department regulations pertaining to occupancy load, mandatory aisles and ceiling clearance fire exits. Any event which has vehicle displays, fog machines, fueled cooking demonstrations, laser exhibits (including tabletop) or extensive productions with staging and props must have a certified permit from the local Fire Marshall. All associated fees for permits, floor plan approval and stand-by fire watch are your responsibility and final approved copies must be received at least three days prior to the event. Every required exit, exit access or exit discharge shall be continuously maintained free of all obstructions or impediments to full instant use of fire or other emergency. No furnishings, decorations, or other objects shall be placed so as to obstruct exits, access thereto, egress there from, or visibility thereof. No open flame devices shall be used in any meeting rooms. When necessary for ceremonial or religious purposes, the fire marshal having jurisdiction may permit open flame lighting under such restrictions as are necessary to avoid danger of ignition of combustible materials or injury to occupants. POSTING OF EVENTS Please advise your Catering/Event Manager as to which events you want posted on hotel signage. Back to Resource Information PRE-CONVENTION SUMMIT In order to introduce our clients to the key contacts of the hotel, we would like to arrange a pre-convention summit a day or two prior to your main group arrival. Please advise your Catering/Event Manager as to who will attend from your organization and what a convenient time would be for this meeting (time ranges from 30 minutes to one hour). Please note that for smaller groups, a smaller more personalized meeting may be set up involving key operational department heads. Back to Resource Information PRINTING SERVICES The Business Center is adjacent to the resort lobby through the east exit. Services include equipment rentals and full service requests. The Automated Business Center (in the same location) is available to guests 24 hours a day, and is accessible with a suite key. There is also a Security Camera installed in the Business Center for guest safety. The Automated (Self-Serve) Business Center enables guests to do just about everything except large copy jobs. Here’s a detail of our capabilities:

• COLOR PRINTING AND BLACK & WHITE PRINTING: By using the Showcase Workstations, guests can print files via e-mail, floppy disk, USB memory stick or CD in both color and black & white. There is a $3 minimum access charge and rates are based on time used and prints made. A credit card is needed to access the workstations.

• PRINTING FROM A LAPTOP - Also, we have determined that there is a large need for our

guests to be able to visit the Automated Business Center with their laptops and print out documents. We have installed a nice HP Laser Printer in the Automated Center for guests to utilize at no charge. There is both a parallel connection and a USB connection to accommodate all users.

• REMOTE PRINTING FROM SUITE - The PrinterOn Service (remote printing from the guest

suite) is a great new feature, allowing guests to upload file from a web based program for retrieval in the Automated Business Center. It supports common file types such as Microsoft Applications and PDF formats. Instructions are located on the Internet Instruction card on the desk in every suite.

• FULL-SERVE - Full service is available for copies and special projects such as tent cards,

nametags and poster printing/signage. The copy rates are comparable to local print shops and we have the capacity to produce large volumes and quick turnaround times. Please see separate Full Serve Rate Sheet for additional details.

PRODUCTION GUIDELINES Swank Audio Visual is the in-house AV Company for The Pointe Hilton Tapatio Cliffs Resort. Swank Audio Visuals has provided outstanding service for meetings, conventions and special events nationally since 1937. You may contact them through the Resort Operator, by touching 4642 on any House telephone, or by dialing direct (602) 375-4642. If you choose any other audio visual provider (hereafter referred to as Provider), certain Resort guidelines have been established to protect the interests of both your organization and that of the Resort. Compliance with these standards will authorize your chosen Provider to conduct business within the facilities of the Resort. At the Resort’s discretion, those requirements may include, but are not limited to the following: 1. A Certificate of Insurance with liability coverage of at least two million dollars per occurrence. The

policy must hold harmless the Resort and any Resort Employee or Guest where the incident involves Provider’s equipment or employee(s).

2. A license to conduct business within the City of Phoenix and the State of Arizona. 3. A Security Deposit of $1000.00 is required to offset any damage caused during the movement and/or

operation of Provider’s equipment or by any Provider employee. The Property Operations Department may refund funds up to the whole amount following an inspection of the Resort’s facilities.

4. As most of the Resort’s meeting space is fitted with built-in sound and lighting systems, usage and/or

equipment fees will be assessed per day for each “house patch” or lighting control. Charges will be generated by Swank Audio Visuals. All needs must be coordinated with their office.

5. Any storage of Provider’s equipment and/or materials is subject to availability and current room

rental fees. 6. All rigging and power requirements must be reviewed for safety and feasibility. A cost estimate to

facilitate installation, rental, and removal by agents of Swank Audio Visuals will be provided within two business days of their submission.

7. Use of electricity will be billed based on installed power at $1.50 per amp / per leg (phase) / per day. 8. A “House Technician” will be assigned for the duration of your program to facilitate house systems

integration. Billing will be calculated according to the published rate schedule in day and/or half day increments.

9. The following must be made available to Swank Audio Visuals at the earliest opportunity: any

entertainment riders, a complete set of diagrams including stage size(s), all lighting plots with load weights and cable runs.

10. Provider must forward a complete schedule of events to the Resort to include (but not be limited to):

load in/out, power tie-in/disconnect, audio testing and playback, “dark time”, and fogger/hazer use. Trucks and/or forklifts may not be parked on Property for any length of time except during load-in and load-out.

11. The use of foggers/hazers requires written permission from the Resort. Provider must submit a

schedule with use date(s) and time(s) to deactivate smoke sensors. A Technician is required for fire watch at a 5-hour minimum during all sensor outages.

12. Provider shall not nail, screw or otherwise attach to any wall, ceiling, stage, flooring or any other

Resort structure or property.

13. All personnel and/or scissors-lifts must travel on plywood panels with a thickness of at least half-an-inch to protect Resort flooring.

14. All scaffolding must have screw jacks and must set on plywood panels with a thickness of at least

half-an-inch to protect Resort flooring. 15. No equipment and/or cases may rest against any door, doorjamb or wall surface under any

circumstances. 16. At least twelve inches of clearance must exist above all Pipe and Drape hardware to avoid any ceiling

damage. 17. Provider is responsible for all trash removal associated with their activities to avoid a cleaning fee of

not less than $500.00. 18. At least fourteen days before load-in, any Provider wishing to be “direct billed” must complete and

submit to the Resort Accounting Department a credit application that is subject to approval. 19. All Provider Staff must be identifiable by company name with shirts or prominently displayed stage

passes. Smoking is not permitted in any ballroom area, foyer or any location where Resort Guest contact is possible.

Rates and Fees Schedule: AV Technician (5hr Minimum) Rate: $650.00, Monday through Friday, $750.00 Weekend Rate. • Airport to Hotel: Airport Phone Board Look for the Courtesy Phone Board located in the baggage claim area of each terminal. Dial the number Hilton Tapatio Cliffs Resort and request a pickup. The cost is $45 one way. The Pointe Hilton Tapatio Cliffs Resort is approximately 12 miles from the airport and will take approximately 20 minutes to get there.

• Departures from Hotel to Airport

Transfers depart every hour on the hour and can be arranged through the hotel concierge. It is recommended to depart the resort at least two hours prior to your flight departure time. Costs to and from the resort using the Airport Phone Board can be master billed if a list of names cash, credit or suite charge is also accepted. Guests will need to check with the Front Desk if they wish to their suite.

• Super Shuttle

PYROTECHNICS The storage, use or display of pyrotechnic material or devices, fireworks (Class “C” explosives) and similar incendiary devices intended for theatrical or entertainment purposes, in interior locations of hotels or other facilities owned or managed by Hilton Hotels Corporation is prohibited. The use or display of such devices on the property of, but exterior to such hotels or other facilities owned or managed by Hilton Hotels Corporation shall be governed by the following requirements. All requirements in local and/or state regulations with respect to the display of pyrotechnics shall be adhered to. The local fire department shall be notified on the day of the scheduled display to confirm the exact time the event will commence. When fire department attendance at such displays is required, such displays shall not commence until the fire department representative confirms the adequacy of the preparations and authorizes the event to begin. Only licensed operators shall be permitted to use or display outdoor pyrotechnics. Proof of current licensure shall be provided by the operator to the hotel or facility representative at least five business days in advance of such activities. All required state and/or local permits associated with the storage, use or display of pyrotechnics shall be obtained from the appropriate authorities having jurisdiction at least five business days prior to such events and copies thereof provided to the hotel or facility representative in advance of the scheduled event. In order to maintain a quality image for all Hotel guests, there are a few things we ask of you during your stay: Only professionally printed signage is allowed in the meeting/convention areas. These signs can be used with easels or in sign stands. No handwritten signs or flipcharts are allowed outside the meeting rooms. No banners can be hung along the walls of the Public Areas. Banners may be hung from the skirting of the hospitality desks and at outdoor functions. Hotel personnel can hang the signs at a fee of $50.00 each. In addition, nothing is to be placed over exit doors or located to conceal or obscure any exit. The cards are designed to bring special recognition to any Pointe Person they feel provided exceptional service at any time during their stay. TELEPHONES/TELECOMMUNICATIONS The following types of telephones are available for your hospitality desks and staff offices. Please advise your Catering/Event Manager if you need the use of a phone for your program.

• House phones These are for resort in-house use only. There are complimentary house phones in each meeting room.

• Unrestricted Lines

These lines offer resort wide calling in addition to the ability to dial off property. Dial 9 for an outside line. An unrestricted line does not allow for in bound calls to be made directly to the line, all incoming calls are transferred to the phone from the main switchboard by the resort operator. The price is $150.00 + tax one time installation charge. Local and long distance calls are billed separately.

• DID Lines These lines offer resort wide calling, dialing off property (dial 9 for outside line) and direct inward dialing to telephone without going through the resort operator. The price is $225.00 + tax one time installation charge.

Speaker phones are available and require an unrestricted or DID line. Price is $50.00 + tax per day.

• Cable Modem for Internet Access Approximately ten times faster than DID phone line. The set-up fee is $400.00 per meeting room for the first personal computer and $150.00 each for each additional personal computer.

• Wireless Internet Access
