Accounting

SYSTEMS 3000 Accounting is very user friendly yet provides the Business Office with

the intuitive visual tools to meet complex reporting requirements. This powerful

computing application allows for strategic planning and management. The on-screen

visual interface creates an ideal environment for the first time user as well as for the

more sophisticated users. New Jersey is the only state reporting we do. The state’s Board

Secretary’s Report and account number changes are one of our most important jobs.

SYSTEMS 3000 Accounting includes complete A/P, A/R. G/L, & Fixed Assets

subsidiaries. This system also includes a full line of management tools including

Comprehensive Security, Budget Preparation & Projection, Internal/External Payroll

Interface, Vendor & Account Management, Purchase Order Integration, functionality

with 3rd Party Vendors such as: Educational Data & Infobid, to name a few. Our unique

custom reporting, graphics analysis and on-demand query will boost your office’s

productivity and performance.

Payroll

SYSTEMS 3000 Payroll Management System provides your district with a new

dimension to payroll processing. This advanced platform of payroll technology, fully

integrated with the Personnel system, eliminates data entry redundancy while

improving up-to-date minute accuracy. The system allows for complex payroll scenarios

providing your district with all the necessary data and tools to effectively manage your

payroll needs.

SYSTEMS 3000 Payroll is intuitive and easy to use, tracking all wages, taxes, benefits,

deductions, payroll-to-budget account distribution, direct deposit information, etc. It

also includes the ability to calculate Chapter 78, P.L. Health Benefit contribution,

generate your payroll agency checks and a self-service employee portal system,

allowing employees to view their check stubs & W2’s, keeping a 7 year history online.

User-generated reports are dynamic and allow for customization. All required quarterly

reports are generated from the system, including the NJ-927, WR-30, 941, Pension

Reports and Annual W2’s.

Personnel

SYSTEMS 3000 Personnel application provides an accurate and comprehensive way

to effectively manage personnel needs. While sharing the basic employee database

with Payroll, H/R segregates those functions specific to the Personnel Department with a

series of simple, logical procedures and integrated parts to the database, providing for

extensive reporting capabilities.

SYSTEMS 3000 Personnel features an easy to use environment for first time users, as

well as for those most demanding ones, without sacrificing functionality or

performance. Included are : Multi-Year Salary Projection (allowing for accurate budget

projection), Health Coverage/Total Benefit Package Information, Scatter

grams/Negotiation, Tracking of Professional Development Hours (allowing for

generation of employee workshop certificates), Position Control, Employee

Certifications/Fall Report, District Job Assignments, Daily Attendance, Substitute

Tracking, Attendance Integration Functionality with 3rd Party products like AESOP,

Generation of Annual Contract Letters and much more! This advanced, integrated

system will place your district in full compliance with state requirements and at the

forefront of office automation.

The three applications within the Office 3000 software package- Accounting, Payroll,

and Personnel-comprise a fully integrated accounting, payroll, and personnel system

designed specifically for New Jersey school districts. System integration permits data

sharing among the three applications, therefore eliminating any duplication of data

entry. Integration between these applications allows for the automation of many

functions, enabling districts to:

In Accounting:

System-generate the new payroll purchase order and encumbrances at the start

of each new fiscal year (salary/expense account data from Payroll creates the

file needed to generate the payroll PO encumbrances in Accounting).

Automatically update/adjust payroll PO encumbrances throughout the year to

reflect any staff/budget changes (updated salary/expense account data from

Payroll creates the file needed to update the payroll PO encumbrances in

Accounting).

Automatically reduce payroll PO encumbrances to expenditures each pay

period (transfer of payroll expenditure data from Payroll to Accounting).

Import future year budget preparation data directly into the Budget Projection

Module (Transfer of future year salary data from Personnel into Accounting).

Import Purchase order data from third-party bidding applications (such as

Educational Data) to Accounting, automating purchase order entry.

In Payroll:

Automatically update new fiscal year payroll salaries for all employees (transfer

of contracted salary data from Personnel to Payroll).

Synchronize remaining contract days that can be printed on employees’ payroll

check stubs (transfer of remaining sick/personal/vacation day balances from

Personnel to Payroll).

Import substitute payroll data, automating timesheet entry (transfer of substitute

days/hours worked from Personnel to Payroll).

Import/Export of NJEA dues (no manual data entry for annual dues changes).

Expenditure accounts are cross-referenced and verified against those identified

as salary accounts in Accounting.

In Personnel:

Interface with NJSmart (Staff Reporting and Data Submissions: SMID, Staff,

Evaluations)

Attendance Import (automatically generate employee attendance records in

Personnel from your third party substitute placement application).

System Generated Position Control Codes (transfer of employee budget spread

data from Payroll system-generates and assigns a numeric position control code

for each employee record within Personnel)

Automatically update position control budget spread information (based on

payroll budget spread changes-transfer of updated budget spread data from

Payroll updates UPC budget spread data in Personnel).

Generate annual contract letters/notifications and mailing or file folder labels

(export employee data from Personnel to be used as the source file with

Microsoft Word mail merge).

Web Based Employee Portal-Allows all employees who receive a paycheck out

of the payroll module the ability to see their paystub online as well as their w2’s. It

also houses self-serve info forms directly on the internet making it convenient to

the employees to fill out these forms online and submit to the payroll

administrator online (i.e. change of address, exemptions, etc.) and much more.

NJEA Dues interface-Allows the payroll user to export reports to file with NJEA,

also allows for the import of the NJEA files.

Payroll Agency Module-Allows for the interface with Accounting to issue checks

to vendors in the amount withheld from the employees, making the process of

inaccuracy impossible.

P.L. 2011 c.78 Health Benefit Contribution Calculations & Deductions-New law in

affect for health benefit calculations.
