INVITATION TO PARTNERPerth will host the 2nd Australasian Exploration Geoscience Conference (AEGC) from Monday 2 to Thursday 5 September 2019 at Crown Perth. The AEGC is the largest petroleum and mineral geoscience conference in Australasia, and incorporates the West Australian Basin Symposium (WABS) and the ASEG-PESA International Geophysical Conference and Exhibition. The event will be jointly hosted by the Australian Institute of Geoscientists (AIG), Australian Society of Exploration Geophysicists (ASEG), and Petroleum Exploration Society of Australia (PESA).

The AEGC conference will attract a large number of delegates from across the spectrum of Australasian geosciences (including geologists, geophysicists, and geochemists) from the mineral, petroleum, and water resource industries, representing international and local companies, government and academia. A vital component of the 2019 conference will be the inclusion of dedicated streams for Australian basins, discovery techniques, mineral mapping, and remote sensing applications. The theme for the 2019 event is “Data to Discovery” and the conference organizing committee aim to provide sponsors and exhibitors with more exposure than ever before.

THE EVENT & TECHNICAL PROGRAMThe Australian Institute of Geoscientists, the Australian Society of Exploration Geophysicists, and Petroleum Exploration Society of Australia, have again joined to run the leading Geoscience Conference in Australasia. The conference is to be held in Perth at the recently upgraded Crown Perth function centre. The venue is located minutes from the city centre with free parking, good public transport options, and is within walking distance of the new Optus Stadium. Crown Perth has offered AEGC delegates a selection of accommodation options and attractive rates for those interested in staying at the venue during the conference.

The exhibition is a major component of the Conference and will feature the most up to date information on projects and highlight products available. The Conference Program has been designed to maximise the opportunity for delegates to visit the exhibition. All refreshment breaks will be located within the exhibition area and this will be the primary networking arena for delegates, sponsors and exhibitors. Exhibition Visitor Passes Exhibitors will receive two free Exhibition Visitor Passes to distribute to Guest Attendees who are not employed by or otherwise affiliated with the exhibitor and who would like to attend the exhibits.

The Exhibition Visitor Pass terms and conditions:

● The Exhibition Visitor Pass provides Guest Attendees with access to Exhibition Hall 2.00pm- 5.00pm Tuesday 3 September, 2.00pm-5.00pm Wednesday 4 September, and 9.00am – 12.00pm Thursday 5 September.

● The Exhibition Visitor Pass does not include catering or attendance at sessions.

● The Exhibition Visitor Pass must be collected from the registration desk.

● The Exhibition Visitor Pass can NOT be used to register Exhibit Booth Personnel. This is for attendee registration only.

Booth Staff The Booth Staff registration entitles the holder to attend the Welcome Reception, staff your exhibition stand and includes daily catering. The holder of a Booth Staff registration is not entitled to attend conference sessions. Booth Staff registrations can be purchased at a cost of $110.00 (Inc. GST) per person per day. Full Conference Registrations or Day Registrations can be purchased online.

Exhibitor Insurance Public Liability Insurance Terms And ConditionsAll exhibitors are responsible for their own insurance, including public liability. All exhibitors must hold public liability insurance of the minimum value of $10 million dollars. Exhibitors must provide a copy of their insurance policy and certified currency upon request. Companies responsible for bringing any item into the venue which causes any damage to the Crown Perth facilities or injury or damage to any property or person, either directly or indirectly will be held responsible for the damage or injury. Exhibitors/contractors shall indemnify the Crown Perth against all claims and all losses, costs, liabilities and expenses incurred by the Crown Perth, arising wholly or in part from an act or omission of themselves or their employees, agents, contractors and guests. Note: In accordance with Society Guidelines the Sponsorship & Exhibition Sub Committee will allocate trade exhibitors with their booth location and number or space location per the application forms and once all applications have been received. The Sub-Committee reserves the right to alter the floor plan or sponsorship/exhibition offerings as circumstances dictate. • We will take all diligent care to fulfil the above sponsorship and exhibition commitments. Sponsors and exhibitors are responsible for providing all their requirements ie banners, promotional material and any other material by the due dates requested by the Organisers.

• We reserve the right to introduce new packages and additional exhibition space should the opportunity arise.

• Sponsors and Exhibitors are required to make the necessary payments as per the payment schedule below (unless otherwise negotiated):- 50% due within one month of invoice date- Remaining 50% due no later than 2 March

2019.• Sponsors and Exhibitors are responsible for the

security of their own equipment and materials during the event and in transit to the event venue.

• The Sponsor/Exhibitor understand that all attendees must register officially and entry to the exhibition will not occur unless the attendee

is wearing the appropriate identification. Visitor badges are provided as a gesture of goodwill and not for use by the organisation’s representatives.

• The Exhibitor shall take all reasonable care when installing/dismantling their equipment and stand as not to cause damage to the venue carpet, walls, ceilings, fixtures and floors and the shell scheme booths supplied by the appointed stand contractor including panels, fascia, spotlights and furniture. The Exhibitor is deemed liable for repairs if the structures are damaged.

• The Organisers reserve the right to request removal of any items that may be deemed unacceptable and impacts fellow Exhibitors.

• All promotion must be conducted from your booth.• All Organisations are expected to conduct their

business in a professional, ethical manner and any breach will result in immediate cancellation of the Sponsorship/Exhibition package.

• If an Organisation is found to not align their values with that of the AEGC 2019 Host Organisations, this may result in cancellation of your Sponsorship/Exhibition package.

CANCELLATION POLICY• The submission of an application by a

representative from your organisation is regarded as a firm booking.

• All cancellations must be made in writing to the Organisers and notice acknowledged in writing by the Organisers.

• Any reduction in a Sponsorship and/or Exhibition allocation (once accepted by the Organisers) will be considered a cancellation and the cancellation policy will apply.

• Should the balance payment be outstanding at time of cancellation, the Sponsor/Exhibitor is liable for the balance as per the cancellation policy.

• There is no opportunity to transfer your Sponsorship/Exhibition booking to another AEGC event.

CANCELLATION DATES• Before 31 December 2018, full refund less a $250

administration charge• Between 1 January 2019 and 30 April 2019: 50%

cancellation fee of total contribution will apply• From 1 May 2019: 100% cancellation fee and will

be liable for payment of the balance should it not have been received by the cancellation date.
