NFL’s 100th Season Kicks Off at the 2019 Enshrinement Week Powered by Johnson Controls (Aug. 1-4)

Honor the Heroes of the Game, Preserve its History, Promote its Values & Celebrate Excellence EVERYWHERE

Dear Volunteers:

Welcome to the Team!

On behalf of the Pro Football Hall of Fame and the 16 Committee Chairpersons, I express sincere appreciation to you for volunteering your time to the 2019 Pro Football Hall of Fame Enshrinement Week Powered by Johnson Controls.

Whether you are a rookie volunteer or a seasoned veteran, your excitement, passion and inspiration are what is going to make this the best that Canton has ever seen.

For those of you who attended Training Camp on July 16th, you heard the powerful message of 3 Strategies that Lead to Greatness: “Commit to Reaching Your Full Potential; Communicate Memorable Messages; and Ignite the Eagerness in Others.” Use these messages during your volunteer time during Enshrinement Week Powered by Johnson Controls, in order to provide a Hall of Fame experience to all of our guests.

We are also very proud of our commitment to the Mission of the Pro Football Hall of Fame. Our Mission to Honor the Heroes of the Game, Preserve its History, Promote its Values & Celebrate Excellence EVERYWHERE is evident in everything we do. Our goal as volunteers is, through this mission, to make this “The Most Inspiring Place on Earth!”

Before each game, legendary Buffalo Bills coach and Class of 2001 Gold Jacket Marv Levy used to ask his team “Where would you rather be than right here, right now?” Because of your work and dedication, nearly 700,000 people, if asked that same question, would rather be nowhere than right here in Canton, Ohio celebrating excellence, honoring eight new heroes of the game.

No matter your role, you play a key part in achieving the success of each and every event. We hope, through your efforts, to inspire our guests, so that they leave Canton with great memories and the desire to return again and again.

I also hope that this is a fun and rewarding experience for all of you and that you also become inspired to continue to help the Pro Football Hall of Fame as we grow into the future.

Sincerely,

Doug Froelich General Chairman

All volunteers are required to fill out a Volunteer Application which can be found on the Hall of Fame website https://www.profootballhof.com/enshrinement-volunteer-committees/

The deadline for applying to be a volunteer for the 2019 Enshrinement Week Powered by Johnson Controls is June 1, 2019. After that date, each committee chairperson will review the applications and choose the volunteers for their committee based upon the information that is provided on the application. It is critical that the time and physical requirements of each committee is understood.

Note: You must be 18 years or older to volunteer. Exception: Anyone who is 16 or 17 years old may apply to be a volunteer if their parent volunteers on that committee and the chairperson of that committee approves the application.

You must be 25 years or older to volunteer for the Transportation or Corporate Host committees. Since driving an official HOF vehicle is involved in these committees, you must also possess a valid Ohio Driver’s License and submit to a background check.

The committee chairpersons will do their best to match each applicant to a committee which can utilize that person’s skill. However, there is no guarantee that all applicants will be placed on a committee or one of their preferences. Remember that every committee plays a vital role in the success of the Enshrinement Week events and we hope you will be willing to do your best on whatever committee you are place upon.

Once you are placed upon a committee, the Chairperson will contact you regarding your responsibilities as a volunteer.

All volunteers are required to attend a mandatory training session called “Training Camp”. This Training Camp is for all volunteers, both rookies and veterans alike. It will train and inspire you to be a member of the best volunteer team in the country.

MANDATORY COMMITTEE MEETING – DETERMINED BY EACH CHAIRPERSON

Each committee has one individual committee meeting where the committee chairperson will explain each person’s role on the committee in detail. Your chairperson will be in contact with you regarding the time and place of your committee meeting.

What it Means to be a Hall of Fame Volunteer

Welcome to the most inspiring team of volunteers in the country!

Some people believe that volunteerism is a dying art. Or that the youth of America is too busy with careers or social media to volunteer. Nothing could be further from the truth. Every year the Hall of Fame Team of volunteers continues to grow. And as Johnson Controls Hall of Fame

Page 10: 2019 Playbook 7-21-19 - Pro Football Hall of Fame · All volunteers are required to attend a mandatory training session called “Training Camp”. This Training Camp is for all volunteers,

COMMITMENT • INTEGRITY • COURAGE • RESPECT • EXCELLENCE 10

Village becomes a reality, the need for well trained and inspiring volunteers will explode. We thank you and appreciate your willingness to be part of this team.

Just by agreeing to be a volunteer is an inspiration to others. Every one of us has special talents and skills. It is inspiring to watch each volunteer share and use those skills in order to provide a Hall of Fame experience to every guest.

Inspiration comes in many forms and means different things to different people. The following is just a short list of things each volunteer can do to help make all of you become inspirational volunteers.

1. Always wear a smile. It is important to be friendly and courteous to every guest, vendor and volunteer. It is amazing how a friendly disposition can be infectious.

2. Go the extra mile. You never know when you will make a difference in a person’s day. Every interaction with our guests gives you an opportunity to make a positive impression of their experience. Take advantage of every opportunity.

3. Don’t take advantage of your position. Could you sneak a friend into an event? Could you get an autograph or picture of a Gold Jacket without anyone knowing? Perhaps, but an inspiring volunteer always does the right thing, no matter who is watching. That’s what makes you inspirational!

4. Have Fun. You will inspire others to volunteer because they see how much you enjoy being a volunteer.

It is important that you wear the official committee uniform at all times during your shift. Throughout the week, guests will recognize and seek out the properly attired volunteers as a smiling, helpful person who can answer their questions.

If you are going to stay on campus after your shift is over, please have a different shirt to change into. We do not want to confuse our guests by having “volunteers” on campus who cannot assist them.

VOLUNTEER PARKING and SHUTTLE

Parking is extremely limited on campus. Please follow the following rules for all volunteer parking.

Wednesday, July 17th – Wednesday, July 31st.

All HOF Campus parking lots are closed due to the installation of tents. Parking will be at the McKinley High School parking lots. The HOF Shuttle will shuttle you to the Hall of Fame and then return you to the parking lot. There is no charge for parking or the shuttle transportation. The shuttle runs daily from 8:00 am to 9:30 pm. Thursday, August 1st – Sunday August 4th:

All HOF Campus parking lots are closed to parking, except for credentialed parking lots. All of the committees will receive a limited number of parking credentials for the new Stadium Park Lot (old Softball Lot) or Lot E (Dennis R. Smith). We ask that all volunteers attempt to carpool in order to maximize the number of volunteers parking on campus. If your committee does not have enough parking passes for every volunteer, you will receive parking passes for either the Mercy Medical Lot or the Stark County Fairgrounds. Free shuttles are available from Mercy and the Fairgrounds (wristband required).

Volunteers will receive a parking credential from their chairperson that is valid on the day of their scheduled shifts. Please read the credential carefully and use the map on the back for access information to your designated parking area. Remove your valuables and lock your vehicle. Your credential must be displayed on your dashboard. Failure to present a credential will result in being denied parking. Security is under strict direction to deny parking to non-credentialed vehicles.

All volunteers will park in one of four lots: Stadium Park Lot, Dennis R. Smith, Stark County Fairgrounds or Mercy Medical Center. For those parking at Mercy Medical Center you will be shuttled to the corner of Harrison and Helen. For those parking at the Stark County Fairgrounds, you will be provided a wristband for free shuttles to and from the fairgrounds. The shuttle from the Fairgrounds will pick-up and drop-off at Harrison and 17th Street.

The shuttle running from the Mercy Medical Center lot to the designated drop off at Harrison Medical Building will run at the following times:

Thursday: 3:00 pm – 2:00 am

Friday: No Shuttle

Thursday: 8:00 am – Midnight

Friday: No Fairgrounds Shuttle

Saturday: 8:00 am – Midnight

Sunday: 8:00 am - Midnight

VOLUNTEER TENT

The Volunteer Tent is located at 2228 Barr Avenue, just north of the Green Lot. This tent is for volunteers only and is provided as a place for the volunteers to relax, cool down, get something to eat or drink and rejuvenate before, during or after their shifts.

The Volunteer Tent is open to all volunteers Wednesday through Sunday to sit in and relax. It will be stocked with water and box lunches on:

Thursday: 2:00 pm – 8:00 pm

Friday: Noon – 5:00 pm

Saturday: Noon – 7:00 pm

Sunday: 2:00 pm - 7:00 pm

VOLUNTEER FOOD AND DRINK

We cannot stress enough how important it is to keep yourself hydrated and fed during your volunteer shifts. It is extremely hot and most of the volunteers are working outside in the sun. It is not uncommon for volunteers to get caught up in performing their duties and neglect their own health. So please ensure you are hydrating and you have enough to eat.

Water is available in the Volunteer Tent throughout the weekend. If you are working a volunteer shift in the stadium or cannot leave your post, your Chairperson will make arrangements for you to have water. It is important that you keep yourself and fellow volunteers well hydrated.

Page 13: 2019 Playbook 7-21-19 - Pro Football Hall of Fame · All volunteers are required to attend a mandatory training session called “Training Camp”. This Training Camp is for all volunteers,

COMMITMENT • INTEGRITY • COURAGE • RESPECT • EXCELLENCE 13

Meals are provided to every volunteer that works longer shifts. Your chairperson will provide you with a meal voucher for your meal. Vouchers can be redeemed in the Volunteer Tent for a boxed meal, which typically contains: turkey or ham sandwich; Bags of chips; piece of fruit and cookies.

*** Please see your Chairperson if you have dietary restrictions.

It is also recommended that every volunteer apply sunscreen every two hours you are outside. Sunburn, sunstroke and heat exhaustion are all serious conditions that volunteers must take every step to avoid.

Volunteer Rules and Guidelines NO ALCOHOL DURING VOLUNTEER SHIFT

There is a strict “No Alcohol” policy for all volunteers before and during their shift.

If you would like to stay on campus after your shift is over and consume alcohol, please change out of your committee shirt and remove your credentials. Remember, while you are wearing your committee uniform, you are a representative of the Pro Football Hall of Fame.

NO AUTOGRAPHS OR PHOTOGRAPHS

The Pro Football Hall of Fame has a strict NO autograph/photography policy that applies to all paid staff and volunteers.

During your volunteer shift or while wearing your committee uniform, you agree that you will not:

• Solicit Enshrinees, Gold Jackets or dignitaries for autographs, photographs or video; and • Have friends or family solicit Enshrinees, Gold Jackets or dignitaries on your behalf for

autographs, photographs and/or videos.

NO TIPS, GIFTS OR GRATUITIES

The Pro Football Hall of Fame has a strict policy that NO tips, gifts or gratuities may be solicited or received by any volunteer during their volunteer shift or as a result of fulfilling their volunteer duties.

It is not unusual for guests of the Hall of Fame to feel generous and appreciative of your efforts as a volunteer. In fact, your desire to go “above and beyond” for all of the guests is what makes you an inspiring volunteer. However, it is not appropriate for any volunteer to receive gifts in return for providing excellent volunteer service.

Page 14: 2019 Playbook 7-21-19 - Pro Football Hall of Fame · All volunteers are required to attend a mandatory training session called “Training Camp”. This Training Camp is for all volunteers,

COMMITMENT • INTEGRITY • COURAGE • RESPECT • EXCELLENCE 14

If offered a tip, gift or gratuity, politely decline the offer and thank them for recognizing your efforts. If they insist, recommend that they tell Pro Football Hall of Fame President David Baker’s office about their positive experience with the volunteers.

RUNNING LATE FOR SHIFT

If you are running late for your shift or are unable to make your assigned shift, please contact your Committee Chairperson or Vice Chairperson as soon as practical. Make sure to have your Chairperson and Vice Chairperson’s contact information with you at all times in case of an emergency.

CELL PHONE POLICY

You are permitted to have your cell phone with you during your volunteer shift, subject, however, to the following restrictions:

• Refrain from taking personal cell phone calls, checking cell phone messages or surfing the internet while working your volunteer shift.

• If you need to use your cell phone during your shift, please do so in a non-public area such as the Volunteer Tent.

You are permitted to use your cell phone if it is related to performing your assigned tasks as a volunteer.

*** NOTE*** Due to the number of guests at Johnson Controls Hall of Fame Village, cell phone coverage may be spotty at times. There is enhanced cell phone coverage inside of Tom Benson Hall of Fame Stadium. In addition, Wi-Fi is planned to be available inside of Tom Benson Hall of Fame Stadium.

General Hall of Fame Campus Information ACCIDENT/INJURY REPORTS

Any time that you witness or are made aware of an accident or injury during your volunteer shift, you are required to fill out an Accident/Injury Report. Each Committee Chairperson has blank copies of this report. Copies are also available at all of the Guest Services Tents. It is important that you fill out the form as completely and accurately as possible. It should be filled out as soon as possible after the incident while the events are fresh in your mind. Make sure to give the completed form to your Committee Chairperson who will then forward it to Kevin Shiplett at the Hall of Fame.

A copy of the Accident/Injury Report Form is attached to the back of this handbook.

COMMUNICATION - CHAIN OF COMMAND The single most important factor in the successful execution of all of the events during Enshrinement Week is communication. Even with the countless hours of preparation involved, situations will arise that you, the volunteer, will not be sure how to handle. Your response can have a lasting impression on the success of the event and our guests’ experience. If you are confronted with a question or situation in which you are unsure of how to respond, follow the following procedure for the quickest and best resolution:

1. Contact your Vice Chairperson or Chairperson. Always use a radio if you have one available. If not, call them on their cell phone. Every committee is responsible to have their Chairperson or Vice Chairperson available by radio or cell phone at all times during their event.

2. If your Vice Chairperson or Chairperson cannot resolve your situation, the Chairperson shall make immediate contact with either: their Hall of Fame Staff point person or the appropriate Chairperson from another committee, depending on the situation. Each Hall of Fame Staff point person will be issued a radio to be monitored during their events. If the Hall of Fame Staff point person cannot be contacted via radio, the Chairperson should call their cell phone. The Hall of Fame Staff shall instruct the Chairperson how to resolve the situation.

3. NEVER hesitate to communicate with your Chairperson or Hall of Fame Staff to resolve issues that arise. Our guests and their experience during Hall of Fame Week will be enhanced by your abilities to assist them whenever possible.

4. HOF Command and Control Center. 330-588-3700. For all other issues or questions that you cannot resolve through the above, call the HOF Command and Control Center. This office is situated in the Hall of Fame building and is set up to handle all issues related to the Hall of Fame Enshrinement Week.

EMERGENCY SITUATIONS If you are on the Hall of Fame Campus: In any safety or life-threatening emergency, YOUR FIRST CALL IS ALWAYS TO 911. Remain calm and provide as much detail as possible to the operator. Do your best to locate the street or tent location of the incident. Remain on the line until the operator tells you to hang up. After you have called 911, find a volunteer with a radio and call Kevin Shiplett or John D’Egidio and inform them of the emergency. If you cannot find someone with a radio please call HOF Command & Control Center at 330-588-3700.

It is on Woodward Avenue near George Halas Drive (west of the Gold Venue/north of the Diamond Venue). See the attached map for the exact location. GOLF CART RULES *** Sign Attached Agreement *** Driving a golf cart is a very serious responsibility. The following rules are mandatory and have been developed with the safety of the passengers and all guests in mind.

• No one under the age of 18 may operate a golf cart. • Only authorized volunteers may drive a golf cart. Authorized drivers are those who have

a valid Ohio Driver’s License and have been approved by their Chairperson to drive a golf cart.

• You are required to fill out a Golf Cart Safety Procedures form. • Prior to driving a golf cart, make sure all occupants are seated; hands and feet are inside

the golf cart; and alert all occupants that you are ready to start moving. • Do not exceed the number of passengers the golf cart has been designed to

accommodate. • Never make a sharp turn. Approach a hill or rise in a straight line. • Avoid driving through pedestrian traffic if at all possible. If unavoidable, drive very

slowly and with extra care and attention. • Always drive the golf cart at a reasonable speed, which can be impacted by weather

conditions and/or surroundings. • Do not drive a golf cart after dark unless the area is well lit and/or the golf cart

headlights are turned on. • Set the parking brake before leaving the golf cart. • When leaving the golf cart unattended, always remove the key.

VISITOR INFORMATION TENTS *** See Map Attached*** There are five Visitor Information Tent locations, four on the Hall of Fame Campus and one located at the Stark County Fairgrounds. These VIT’s are staffed by the Guest Services Committee and a Hall of Fame staff person. These tents are a wealth of information ranging from dates, times and locations of all events which occur during Enshrinement Week Powered by Johnson Controls plus places of interest in Stark County. The attached map shows the locations of the Visitor Information Tents. If any guest is seeking information that you cannot provide, please direct them to one of the VIT’s.

LOST AND FOUND Lost and Found is located at the Guest Services office (Ticket Office) in the Hall of Fame Museum. LOST OR MISSING CHILDREN PROCEDURE If you find a lost child, it is very important to follow the following steps:

1. Stay calm, keep them calm and assure them you will help them. 2. Introduce yourself and ask them their name. 3. Stay with them for several minutes in the area you found them in case their parent(s)

return there to look for them. Notify a fellow volunteer to walk to a nearest intersection and notify a uniformed law enforcement officer.

RADIO RULES AND RESPONSIBILITIES Radios are an important communication tool for the volunteers and Hall of Fame staff during Hall of Fame Enshrinement Week Powered by Johnson Controls. It is very important that everyone remember and follow the rules set forth for their use:

1. Each committee chairperson shall fill out an equipment request form specifying the dates and number of radios needed.

2. The chairperson or their designee shall be responsible for picking up the radios from the Operations Department and returning them by the end of the day for recharging.

3. Each radio will have a “channel guide” listing each channel and the committee/purpose assigned to that channel.

4. Every volunteer who receives a radio understands that it is an expensive piece of equipment and all efforts MUST be made to prevent any lost or damaged equipment.

5. The chairperson or their designee is responsible for collecting the committee’s radios and returning them to the Operations Department where they will be counted and an acknowledgement of receipt will be given.

6. Helpful tips for using the radios: • Listen before transmitting to make certain others are not using the channel. With

so many radios in use, there will be times when two people transmit at once, cancelling each other out.

• Do not push the transmit button and start talking simultaneously. Get into the habit of a brief pause between keying up and speaking, otherwise your first syllable or word will be cut off.

• Speak clearly and directly into the front of the radio. Hold the unit no more than two or three inches away.

• If you have an earpiece attachment for the radio, make sure the voice microphone is attached as close to your mouth as possible.

• Make certain you are on the proper channel. As there are multiple channels in use, occasionally check the channel indicator to make certain the channel knob wasn’t bumped or changed.

• Be careful what you say on the radio. Everyone on your channel can hear your conversation, including guests who can overhear radios that are turned up.

RESTROOMS *** See Campus Map Attached*** Public Restroom facilities are located inside Tom Benson Hall of Fame Stadium and throughout the Hall of Fame Campus. Attached is a map showing the locations of each public restroom. Make sure you know where the nearest restroom is to where you are volunteering so you can quickly direct any inquiring guests. TRANSPORTATION LANES *** See Map Attached*** During Enshrinement Week Powered by Johnson Controls, specifically Thursday, August 1st, Saturday August 3rd and Sunday August 4th, the Hall of Fame Campus is extremely crowded with people, cars, buses and golf carts. Mixing all four together can be extremely dangerous. There are certain areas and traffic lanes on the Hall of Fame Campus that are limited to pedestrians only, cars only, golf carts only or a mixture. It is extremely important that all volunteers learn and understand the restricted areas for the safety of all guests. A map showing golf cart restrictions is attached. A Red Line means golf carts are NOT permitted. Golf carts are only permitted in the Green Line or Yellow Line (one-way traffic only) lanes. Be a role model and follow all of the restrictions at all times. Sometimes it only takes one person to go into a restricted area only to then be followed by many others. STADIUM RESTRICTIONS The Pro Football Hall of Fame adheres to NFL Best Practices as far as security and permitted items allowed into Tom Benson Hall of Fame Stadium. These Best Practices are followed for all three major events inside the stadium during Hall of Fame Enshrinement Week Powered by Johnson Controls including August 1st Hall of Fame Game between the Atlanta Falcons and the
