Sundays River Primary School is honoured and extremely proud to present in 2017 the SUNDAYS RIVER VALLEY PROVINCIAL

ARTS AND CULTURE FESTIVAL hosted by SUNDAYS RIVER VALLEY PRIMARY SCHOOL in the Eastern Cape. The past five (5)

years we nurtured this Arts Festival, overcome obstacles and polished the festival to utmost perfection. We are now in the

position to expand this successful educational festival to Provincial level. For this achievement, we are extremely proud and we

THANK YOUR HEAVENLY FATHER for this. The 2016 festival was a roaring success and was also the last time that we presented

this festival at local and district level. We have reached the position and gained the necessary and vital expertise where we can

introduce this unique educational festival to the rest of the Eastern Cape.

What is different in this 2017 syllabus? A whole list of things has changed. First and foremost, this is a brand new syllabus with

most of the categories expanded to ultimate limits. This is done to accommodate pre-schools, primary schools, high schools and

adults. This said, it is clear that the Arts and Culture Festival brings along some competition within certain categories. This

implies that candidates will focus and master various techniques to utmost perfection in their preparation process.

A massive and new pool of specialist adjudicators are hired for 2017 to aid with the continuous flow of the festival and to uphold

our high standards. More venues are added ON THE PREMISES in order to accommodate more sessions per day which will also

assist in the general flow of the physical daily adjudication process. Sessions will begin 09:00 sharp every morning until 17:00 in

the afternoon with lunch between 13:00 and 14:00. The festival is extended to two (2) weeks in order to avoid congestion and

to accommodate all the new categories and sessions. There will be a good variety of food and other stalls on the premises for

the duration of the Arts Festival. Specialist workshops are scheduled during the morning and afternoon. This will be released as

soon as we have received all the entries in order to ensure that maximum participants can attend and learn from these

workshops. The process also assists us to prevent schools or individuals travelling far distances regularly during the festival.

Tea times for adjudicators are optional. Afternoon and Evening concerts (indoors as well as outdoors) will be scheduled and

released as soon as we have final confirmation and arrangements in place.

SYLLABUS & FESTIVAL LANGUAGE: After thorough consideration, I have decided not to translate the syllabus in Afrikaans.

There are several reasons for this. One of the biggest reasons is the lack of time. I simply do not have the time to undertake

such a big task. I have included a newly designed AFRIKAANS and XHOSA session into the Speech and Drama Category. All

categories are available in Afrikaans, English and isiXhosa. Schools, teachers, participants should indicate on the electronic entry

form their choice of language. This is imperative. See the section on ENTRY FORMS for more detail.

This is a very short summary of the 2017 Provincial Arts & Culture Festival. Take some time and STUDY THIS BOOKLET.

Everything you need to know is covered within.

Enjoy the experience!

1. Teachers should pay careful attention to fees. Study the fee structure. The structure is simple and clear enough.

Ensure that you transfer the correct amount.

2. Electronic Transfers are the preferred method. The handling and control of cash becomes cumbersome when the time

comes to work through the finances. We all know how this process works in schools. It is a tiresome business.

This section is of paramount importance. PLEASE read and study it very carefully.

The very first Arts and Culture Festival in 2012 set the standard for future festivals. Our festival is known all over as a festival

which established itself as a festival to be reckoned with due to its high standard and excellent adjudicators. In order to keep

pace with national and international standards we have adopted (in the various categories) new grading systems.

You will immediately notice that we (in general) do not issue MERITS (as known in Art Festivals in South Africa as an

achievement between 50 -59%) in the COMPETITIVE GRADED MUSIC SESSION. IN THE COMPETITIVE GRADED INSTRUMENTAL

MUSIC SESSION, WE FOLLOW THE GENERAL MARKING CRITERIA AS PUBLISHED BY THE ASSOCIATED BOARD OF THE ROYAL

SCHOOLS OF MUSIC (ABRSM).

PLEASE CONSULT THE INDIVIDUAL SESSIONS FOR THE APPROPRIATE GRADING SYSTEM.

GENERAL GRADING

90%+ = Engraved Gold Medal

80 – 89% = Gold

70 – 79% = Silver

60 – 69% = Bronze

50 – 59% = Blue (Merit)

Please check the GRADING SYSTEM for each category.

DIPLOMAS

Each candidate receives a state-of-the-art diploma. The level of achievement is indicated by the notarial seal according to the grading system of the session.

A CANDIDATE WHO RECEIVE A GOLD MEDAL, AUTOMATICALLY RECEIVE A GOLDEN DIPLOMA. IT IS THE OPINION OF THE

ORGANISER THAT IT IS INAPPROPRIATE FOR A CANDIDATE TO RECEIVE AN EMPTY DIPLOMA WITHOUT ANY NOTARIAL SEAL. THEREFORE, ALL GOLD MEDALS RECEIVE A GOLD SEAL ON THEIR DIPLOMA.

The decision of the adjudicator is final.

Adjudicators reserve the right to disqualify a candidate if the rules of the Festival are not obeyed.

1. Teachers, parents/guardians must ensure that all entry forms are completed in full, clear, legible hand writing. THE FOLLOWING IS

OF PARAMOUNT IMPORTANCE: FOR OBVIOUS REASONS TEACHERS ARE NOT ALLOWED TO GIVE ENTRY FORMS TO

LEARNERS TO COMPLETE. It happened in the past and we suffered to decipher the entry forms and sorting out correct sessions

for such learners. IF THE SORTING COMMITTEE COME ACROSS SUCH AN ENTRY – IT WOULD BE IMMEDIATELY DISQUALIFIED.

WE WILL ALSO NOT RETURN ENTRY FEES. PLEASE PAY ATTENTION TO THIS.

2. TEACHERS SHOULD USE THE APPROPRIATE ENTRY FORMS. DO NOT SCRATCH OUT PRINTED SCRIPT ON THE ENTRY FORM

AND WRITE OTHER INFORMATION ON THE FORM. ALL FORMS ARE 100% CORRECT. USE APPROPRIATE FORMS. SHOULD YOU

WISH TO WRITE A NOTE FOR MY ATTENTION, PLEASE WRITE IT ON THE ENTRY FORM. I HAVE NO OBJECTION TO THIS. THE

COMPLETE ENTRY FORM, TOGETHER WITH THE DIPLOMA, ADJUDICATOR COMMENTS ETC. WILL BE RETURNED TO YOU, THE

TEACHER.

3. All sessions will commence as stipulated on the program which all participating schools will receive on MONDAY

24th JULY August 2017. A group or participant not available at the start of the session will automatically loose his/her position on

the program and will have to wait until much later in the day to perform. THANK YOU TO THE SCHOOLS IN 2016 THAT MADE

ARRANGEMENTS IN THIS REGARD. THE FESTIVAL WAS RUNNING ON TIME WITHOUT ANY PROBLEMS.

4. All venues are in walking distance from the main building. Teachers and candidates to ensure that they arrive at least 15 minutes before

each session. Should you be late, then you will have to wait until much later in the day. NO EXCEPTIONS. Convenors on site will ensure

the smooth flow of arrangements.

5. All candidates to perform in school uniform unless otherwise stipulated in the syllabus. Teachers are also at liberty to decide appropriate

dress for the performance.

6. Entry forms and fees as well as accompanying art works, photography, EXCEPT POEMS AND SHEET MUSIC must reach Sundays

River Primary School no later than Monday 19TH June 2017. NO LATE ENTRIES WILL BE ACCEPTED. PLEASE PAY ATTENTION TO

THIS. You receive this syllabus (unlike other festivals) well in advance. There is no reason to submit late entries.

7. The Festival Officer reserves the right to combine classes or cancel any class due to insufficient entries.

8. Entries that exceed the stated time limit will be penalised and the adjudicator reserves the right to stop a performance that is overrunning.

9. There will be ONE Festival appointed photographer on the premises every day for the duration of the festival. A photographer from the

Press will also visit the festival during the week and will publish photos in the newspaper/s. NO OTHER PHOTOGRAPHY, SOUND or

VIDEO RECORDING is allowed during performances as they can distract performers as well as infringing copyright and our child

protection policy.

10. Mobile phones must be switched off inside the venues.

11. No smoking is allowed inside any of the venues. Please use the sand holders outside the various venues. Do not throw buds all over the

premises.

12. Audiences are welcome to attend all events and their support is greatly appreciated by the performers, particularly in classes

where the entries are small. Not only can you enjoy several hours of music, dance or drama, but you also have the opportunity

to hear a professional give valuable advice and guidance. NO ADMISSION FEE will be charged during the adjudicating phase

for audience members.

13. The audience are expected to behave appropriately, e.g. not entering or leaving the venue while a performance or adjudication is

in progress and above all to remain silent while participants perform and when the adjudicator or stewards speak. Anyone deemed not

to behave appropriately will be asked to leave; no refund will be given in this case.

Page 129 of 26 14. Teachers, Parents/Guardians are responsible at all times for the welfare of the children/young people in their charge. The Festival does

not hold itself responsible for any injury sustained by any candidate or member of the public whilst on the Festival Premises.

15. Please ensure that all entrants are placed in the correct classes. Once the programme has gone to press it is difficult to make

changes.

16. Presentation is an important part of any performance, so consideration will be given to entrants who, for example - introduce their work

clearly and acknowledge applause at the end.

17. Any complaints relating to the festival should be sent to the Festival Organiser in writing. Any queries regarding a session should be

directed to the Festival Organiser.

18. The decision of the Adjudicator is final. He/She shall have the power to withhold any award if, in his/her opinion a performer not reaching

a sufficient standard.

19. See the various categories for detailed rules and regulations.

20. We expect all candidates to adhere to the rules of the Festival. The rules are stipulated for a reason. See under THE VARIOUS

CATEGORIES for a detailed outlay thereof.

21. Candidates should not wander around in the school building. Bathrooms for boys and girls are clearly marked. We expect absolute

silence in the corridors as the rest of the school’s day to day activities continue in normal fashion.

22. Adjudication will commence every morning exactly 9:00 and will continue throughout the day till 17:00 in the afternoon.

23. Lunch will be served to all adjudicators between 13:00 and 14:00.(see the section about tea/coffee/lunch for staff)

24. Various stalls/stands will be available on the premises and will operate every day for the duration of the Festival. Some of these stalls

will we be open until 18:00 in the afternoon.

25. Teachers/group leaders should report to the secretary on duty outside the venue on arrival. The secretary will

inform teachers about on-site and actual developments at that specific moment. Information boards will be

available outside each and every venue with a detailed list of the happenings inside the venue. It will also be marked

with colour pencils to ensure that everybody is aware of the session progress.

26. MOST IMPORTANTLY: There is a shop across the road from Sundays River Primary School. NO CANDIDATE is allowed (without adult

supervision) to leave the premises of the Festival. This is a farming, citrus and tourism area. Massive trucks, busses and tractors are

constantly on this road. The Festival nor Sundays River Primary School will take any responsibility for any accidents that might happen during

the festival. Headmasters, Teachers and Parents/Guardians should pay careful attention to this. Should the Organizer notice children moving

across the road to the shop, I will assume that permission was given by the child’s parent/guardian or teacher. High School pupils should NOT

send younger children to the shop. There is NO reason to visit the shop. There are plenty of food stalls on the school premises. You can pick

and choose what you want to eat and drink. Furthermore, children should stay clear of the swimming pool area. The swimming pool is not a

VENUE. You do not belong there. Access gates to the pool will be locked for the duration of the festival. It is end of winter. It is still very cold.

There is no need to wander around at the pool.

IMPORTANT: ALL TEACHERS ATTENDING THE FESTIVAL ARE INVITED TO ENJOY BOTTOMLESS CUPS OF COFFEE/TEA

EVERYDAY IN A SPECIAL MARQUEE TENT INFRONT OF THE ASSEMBLY HALL. THIS MARQUEE TENT IS AVAILABLE FOR

TEACHERS AND ADJUDICATORS. EACH DAY THERE WILL BE SOMETHING LIGHT TO EAT for example, BISCUITS, MUFFINS ETC.

THE BOTTLED WATER IN THIS TENT IS ALSO FOR THE TEACHERS AND ADJUDICATORS. TEACHERS WILL ALSO FIND BAGS OF

ORANGES AND LEMONS IN THIS TENT. PLEASE HELP YOURSELF. I HAVE ARRANGED IT FOR YOU. This is an added extra that I

have arranged for teachers. There are also lots of wooden benches all over the premises. Sit and relax.

WARM-UP VENUE: Teachers/candidates are welcome to use the computer department for the purpose of warming up. DO NOT fiddle with

the computers. No eating and drinking allowed in this room. Keep the doors closed at all times. DO NOT turn the air-conditioner off. It is on for

a reason.

THIS NOTICE IS RELEVANT TO MANUAL ENTRIES ONLY

THIS festival is presented at PROVINCIAL level. It is simply IMPOSSIBLE for the committee to honour all requests from schools and

individuals. We would like to make the following very clear:

We cannot accommodate all schools on ONE day. This is impossible. It is one of the main reasons that this festival is now extended to two (2)

weeks. It does not imply that you will travel every day. It simply allows us to accommodate much more schools with heaps of entries and to

schedule all the other competitions and functions, which adds to the status of this professional festival, with ease.

Spelling and incorrect information on the entry forms. We cannot emphasise this enough. ENSURE that your hand writing is clear.

ENSURE that you spell the names and surnames of participants correctly. Names and Surnames on Diplomas are checked in a 3-phase

procedure. This system is in place to ensure that it has become almost impossible for the festival to issue diplomas with mistakes on them.

Once these diplomas are dispatched to the printers, the process follow its natural course. We cannot print individual diplomas on the spot. IF

THERE IS A MISTAKE ON A DIPLOMA, then the responsible teacher will have to take responsibility for this.

DIPLOMA LANGUAGE. It is imperative that teachers and individuals will clearly indicate their choice of language ON the entry form. If

nothing is indicated, the festival will automatically issue a diploma in ENGLISH except for the Afrikaans Speech and Drama category. The

festival does not make any mistakes with this. Wrong language diploma issues are due to the simple fact that teachers and individual entrants

does not indicate the choice of language on the entry forms.

LATE ENTRIES: As from 2017 we will not, and cannot accept late entries. We only have the June holidays to finalise all admin for the festival.

This means that whilst everybody is on holiday, we are working and planning day and night. Remember, we are also teachers, but we prefer to

present to you a unique educational festival. Ensure that your entries reach us on the given date. Everybody has more than enough time to

ensure on time submission.

CONTACTS: Entry forms should be delivered by hand, neatly sealed and clearly marked. Some teachers do this brilliantly. Thank you for

that. The next best method is to carefully scan the documents and then email them to [email protected]. The final option is to fax them to

(042) – 2340322. Please do not email us the same batch of entries twice. It is very, very confusing and a waste of precious time. As we

receive the entries via email, they are printed immediately and wrapped together with the name of the school clearly marked on it. As from 2017

you will receive an immediate email with the following message once we have received your entries. For every e-mail you send, with entries

your will receive the following reply message: If you do not receive this message, then it simply means that we

did not received anything from you.

TRAVELLING TO FESTIVAL PREMISES: Most of the schools will agree that we always try to minimise travelling. However, this is not always

possible, but we do try our very best to accomplish this. To date we have been very successful. The festival is now Provincial which will bring

about new challenges. We will always try to find a solution for you.

FINALLY: There are going to be huge activities during the 2017 Provincial Festival. Do your planning. Allow your learners to be part of

something unique and educational. A complete list of shows, activities, workshops, competitions, live performances etc. will be released to all

schools as soon as we have finalised everything. Some schools make an educational outing of this festival. They contact us for

accommodation during that week especially from the Wednesday onwards in order for them to be part of the annual Citrus Sports

Festival which happens at the end of the Provincial Arts Festival. See dates for this. Many of those schools participate in above

sport festival, but we also arrange for their music candidates to perform live on stage. This is the kind of exposure that we give to

the children. To perform live on a stage to thousands of festival visitors is something very unique and special. The children love it.

PLEASE CONTACT US FOR MORE INFORMATION. THE POSSIBILITIES ARE TRULY ENDLESS!!!

We are extremely excited about our new website. For the first time the festival boasts a website of its own. The website has been designed by

Toyzit Solutions. There are several reasons for this website and the site features the following:

The website makes use of cutting-edge technology.

It is designed to allow easy access to everything that you want to know (easy navigation).

It allows you to browse the category that you are interested in without reading all the other information.

Online submission is done via the website.

You can contact the organiser of the festival directly via the website.

The website is interactive. You can use the blog session for discussions, questions, ideas etc. The organiser will screen these

conversations before posting them live.

THE SUNDAYS RIVER VALLEY PROVINCIAL ARTS AND CULTURE FESTIVAL

PROUDLY HOSTED BY:

SUNDAYS RIVER PRIMARY SCHOOL

The Festival would like to thank Mr. Gerhard Hattingh from MAFUTA COMPUTERS for many, many hours and

weeks of intense work with the design of our brand-new website. It is truly a unique piece of work, user-

friendly and professional.

The festival is proud to be associated with such professionalism and again reflects the extremely high standard

of this Provincial Festival.

Thank you

The Arts Festival accommodates many adjudicators for the duration of the festival from all over the Eastern Cape.

Candidates should be properly informed that the function of the adjudicator is not to pull him or her apart, but instead, to give valuable criticism

based on what they’ve heard during a session. Some adjudicators have a special way to bring candidates into a relaxed state before actual

performance, whether with a smile or a friendly good morning or good afternoon. Others appear extremely difficult and annoyed, but give

candidates equally excellent advice and guidance. This is normal. No human is the same. We all differ. These adjudicators are all experts and

highly skilled in the various fields with years of experience.

The identities of the adjudicators are revealed in the time and venue allocation program which is normally sent to all participating

schools three weeks before the festival. Until then their identities remain confidential with the Festival Organizer and the Principal of

Sundays River Primary School. Please do not ask us before the time. We will not reveal their identities. The adjudicator could be

Alfred Brendel or Shakespeare– it makes no difference. If your work is up to standard – there is no concern about WHO the

adjudicator is.

Some sessions will only have ONE adjudicator, other sessions may have two, three or even a panel of judges, depending on the

entries per session received.

The accommodation of the various adjudicators remains confidential.

The Adjudicators decision is final.

Any queries or comments that may arise from participation in the festival should be directed in writing to the Festival Officer.

In general, adjudicators (in some categories) will adjudicate certain sessions according to certain general criteria which they (at times)

attached to the diploma together with their comments. Other adjudicators judge without this criterion. NO ADJUDICATOR WILL

EVER ADJUDICATE A LEARNER AGAINST HIGHER CRITERIA THAN THAT OF HIS AGE OR GRADE. ADJUDICATORS ARE

WELL AWARE OF THE AGES OF THE LEARNERS AND THEIR CURRENT GRADES. THE ADJUDICATION PROCESS IS

ALWAYS EXTREMELY FAIR AND OPEN.

Most of the adjudicators will give brief comments and suggestions when a session is finished. Others might even give comments and

suggestions immediately after individually. There is never any certainty about this matter. This really depends on the adjudicator.

This is truly valuable information. It is requested that all candidates remain in their venues for the duration of their session. It is by

watching others perform and hearing the Adjudicators comments that maximum benefit is derived from the Festival. This should

always be borne in mind!!!

Teachers are requested not to interfere with adjudicators. Please leave them alone. There are some teachers that are very

forward to approach adjudicators thinking that they know better. Adjudicators are here to render their services to Sundays River

Primary School. It should always be remembered that adjudicators (for the duration of their stay) are employed and paid by

the festival and they will act according to the rules of the festival and school as discussed with them during the planning

stages.

As far as humanly possible we aim to bring in adjudicators not known by the public and teachers. However, this is not always

possible. Certain adjudicators are well-known; others are totally unknown to most teachers and participants and others did excellent

work during the past five Festivals and are brought back for 2017. We also aim to bring in new adjudicators every year, but this is not

always possible. You can expect to see some more and new adjudicators in the music category as well in the speech and drama &

finally in the arts and crafts categories in 2017.

Adjudicators are here for only one core reason. We should learn from their expertise and advice.

ENTRIES / INSKRYWINGS

Entry forms are not published separately. All entry forms appear within this syllabus immediately after each and every session. Entry forms

may be photocopied. Please visit our website for electronic entry submissions. FAST AND EASY!

ALL ENTRIES MUST:

1. be made on the proper forms 2. be completed in full. Entries will not be accepted if incomplete. 3. be completed and signed (where necessary) 4. ensure that the handwriting is clear and legible

5. include all the names and surnames of the candidates especially where a group entry is made. In a group entry (except drama groups,

speech choir, class singing and choirs) each candidate receives a diploma unless teachers prefer that each candidate receive a diploma.

Please see the FEE STRUCTURE for this type of arrangement. We do not want to decipher the correct spelling of names and surnames. All

diplomas are printed according to the entry forms. Please ensure correct spelling of names and surnames. This is very sensitive. If the

Festival Officer is unable to read the writing, he will type the name or surname according to his knowledge if he does not have a contact number

of the teacher or candidate. Contacting teachers during the holiday is a waste of precious time. PLEASE ADHERE TO THE RULES.

of FEES above).

7. NO LATE ENTRIES WILL BE ACCEPTED. Please check the various opening and closing dates in this syllabus. It is very important and

the organizer has imposed extremely strict behaviour on the part of the Festival committee regarding late entries. It will not be

tolerated as we cannot see any reason why entries should be submitted after the closing date.

2. Candidates who enter more than one item in a class must complete an entry form for each entry and must accompanied by the

appropriate fee.

3. No changes will be accepted after the entry has been received except when the responsible teacher make direct arrangements with the

4. It is not necessary for teachers/parents etc. to put the entry forms in a particular order. Please submit

them in one big bunch and save yourself some administrative work. We will do all of the work! Rest assured!

The Sundays River Valley Provincial Arts and Culture Festival 2017 proudly hosted by Sundays River Primary School aims to provide a safe

and caring environment for all its participants, and to conform to current child protection legislation. The following constitutes the policy -

PURPOSE

The purpose of the Art and Culture Festival is to advance the education of children and adults in Arts and Culture, by hosting an annual

non-competitive and in certain classes a competitive festival and presenting public performances.

ENVIRONMENT

It is our policy to involve parents/guardians/carers and teachers in partnership with us, to ensure a safe environment at the festival, insofar

it is reasonably practicable.

APPLICATION

The policy relates both to children under the age of 18 and to those vulnerable adults who are identified to the organizers prior to their

arrival at the festival. The festival recognizes the needs of children who are disabled or from ethnic minorities, and will seek to meet any

specific needs notified to the festival in advance by parents/guardians/carers or teachers.

PERSONNEL

The Provincial Arts and Culture Festival at Sundays River Primary School is held by our Department of Art and Culture and is assisted by

private and full-time staff and volunteers, all of whom have independent references and are briefed about the terms of this policy. Should

any problem arise regarding the terms of this policy, it should be notified to the Festival Committee, identifiable by badge, who will take

appropriate action in a discreet manner.

PREPARATION

All participants in this festival will be expected to have seen this policy. In accordance with this policy, it is essential that

parents/guardians/carers not personally attending the festival be satisfied that their children etc. are accompanied and adequately

supervised by responsible adults acting on their behalf. The staff of Sundays River Primary School will not undertake this role. With group

entries, the group leader must ensure that all parents/guardians/carers are aware of this policy. Each person signing the entry form

thereby takes full responsibility for those entered by the form.

CHANGING AREAS

It is emphasized that the article above applies equally to changing areas, i.e. that responsibility remains with the supervising adult in each

case. Property left unattended is not the responsibility of Sundays River Primary School nor the festival committee.

PHOTOGRAPHY

As previously mentioned in this booklet, no photography (including video photography) is permitted at the festival, other than by accredited

members of the press or appointed photographer by the Festival Organiser. Such photography will always take place in a public place.

Any parent/guardian/carer not wishing the individual (s) in their care to be photographed must notify the photographer before the start of

the festival.

CONCLUSION

Everyone concerned are again reminded of the purpose of this festival. Sundays River Primary School and the Festival Committee will not

tolerate inappropriate behaviour from any participant. Participants should always keep in mind that (although such Festivals can be lots of

fun) any Festival of this kind is a learning process. We provide a professional platform for all to showcase their respective talents and it

should be respected as such.
