  • GENESYS3 INTEGRATED ASSESSMENT SOFTWAREINTRODUCTIONGeneSys is a software system capable ofadministering,scoring and producing reportson a wide range of ability tests, personalityquestionnaires and interest questionnaires.GeneSys3 comes in two parts:

    ■ The system■ The tests and associated files

    You may expand the range of tests you useon GeneSys3 as and when you require bycontacting your supplier.

    To use GeneSys3 you will require a ‘ D o n g l e ’ , auser name and a password to enter the system.A ‘Dongle’ is a security device that preventsunauthorised persons from using GeneSys3.This helps to protect your dat a . The ‘Dongle’ fit sinto the printer port of your computer and con-tains a number of ‘credits’ that are gr a d u a l lyused up when you score tests. ‘ D o n g l e s ’remain the property of Psytech International and‘credits’ can be purchased and added to the‘Dongle’ over the telephone. A default user-name and password, to enable you to enter theGeneSys3 system, is installed on your systemwhen purchased (see installing GeneSys3).

    If you attempt to enter information intoGeneSys3 in an incorrect format you will notdo any harm to the system but the machinewill ‘beep’ at you.For example,you may try toenter a score value that is out of range for thetest you have selected and GeneSys3 will notaccept it.Simply re-enter the data correctly.

    While GeneSys3 has been designed to beeasy to use with easy to understand menus,icons and buttons,it is essential that youspend some time reading this User Guidebefore using GeneSys3 in order to make themost of the system.

    ENTERING GENESYS3To start GeneSys3, double-click the GeneSys3icon in the GeneSys3 group that was createdby the installation routine.The screen willpresent you with the logo and prompt you foryour user name and password.Note at thispoint the system is case sensitive – i.e.it willonly accept the user name and password withcapitals and lower case letters in the correctplaces.

    When you type in the password and click on‘OK’ the main menu will be displayed in theformat illustrated on page 7.

    The main screen contains 6 icons that repre-sent the main categories of activities on thesystem and it is only from this screen thatyou can exit from the system (by clicking on‘Exit’). To select an item from the menuscreen click once on the desired option.Eachof the icons leads to its own submenu, whichwe shall discuss later in this user guide.

  • OVERVIEW OF GENESYS3 CONTROL SCREEN

    In brief the main sections of the system are:

    Respondent/GroupThis is the area of GeneSys3 inwhich you create respondentrecords,enter, alter and view per-

    sonal and test data, administer tests and printreports on either individual respondents orrespondent groups.

    ProfileThis screen contains the functionsused for managing informationcollected on jobs.It is used for

    creating new job profile records, entering,altering and viewing the associated data,administering profile questionnaires and print-ing reports on job profiles which can becompared to appropriate respondent dataheld in the GeneSys3 database.

    NormsThis option provides the facility toview, create and add to normtables.Norms will almost always

    be used and are an integral part of the sys-tem,enabling you to compare a particularrespondent’s test score to an appropriatecomparison group of people who have sat thetest.This has the advantage of setting anindividual’s score ‘in context’. Some normsare provided with the system and users canadd and edit their own norms.

    SetupThis allows you to define andreview a number of settings thatcustomise the way the system

    works e.g.report options, setting passwordsand user security levels,setting user defin-able respondent attributes and viewing all thetests,questionnaires and reports on the sys-tem.

    Data ManagementThis allow you to back up datathat have been collected on thesystem,restore the system to a

    previously backed up database,import dataand export data to and from various file for-mats and clear all data from the currentsystem.It also allows you to anonymise all ora sub-set of the respondent records andOptimise the performance of the database.

    CustomThis allows you to create yourown test batteries from individualquestionnaires within the system

    and customise your own report styles fromsections of existing reports.

    NotesAdd notes to therespondent’srecord.

    SummaryDataInspect all therespondent dataheld in the data-base includingthe user-attrib-utes and theactivity log.

    Test EntryCapture testdata by enteringraw scores oritem responsesor administeringtests o n - s c r e e n .

    AttributesManage systemor user definedbio-data for thecurrent respon-dent.

    ReportsProduce reportson the respon-dent’s results.

    GENESYS3 RESPONDENT/GROUP SCREENThe Respondent/Group Management screenhas two modes. In each mode you haveaccess to a specific set of functions.Whenyou enter the Respondent/GroupManagement screen, you are in Respondentmode. You can switch between RespondentMode and Group Mode by clicking on theGroup or Respondent button on the side tool-bar. The functions available in each mode willbe described below.

    THE RESPONDENT MODE In Respondent Mode,you can perform actionsrelating to single respondents. You can insertpersonal data,alter and view personal andtest data, enter test data,administer tests andprint reports on one respondent at a time.

    Respondents on your system are held in orderof surname and the respondent screen willautomatically start with the first respondentlisted.Overview of the Respondent ScreenAt the left of the respondent screen six mainoptions are displayed:

    To leave the GeneSys3 respondent screenand return to the GeneSys3 control screenclick on the ‘Exit’ button.

    Creating a New Respondent RecordTo create a new respondent record click onthe Plus button on the top. You will be pre-sented with a clear screen and will be able toenter the following details:

    First you have to enter the respondent’sFamily Name. Type the Family Name as youwould wish to see it printed in a computer-generated report and press the TAB ➠ key tomove to the next input box. You must thenenter the respondent’s First Name.Again,type the First Name as you would wish to seeit printed in a report and press TAB ➠ .Alternatively, by choosing a field and clickingon it you can gain access to that field.

    The following data is also requested and may be entered using the same procedure:

    Age A whole number. Use 99 as a missing value.Sex Click on the down arrow to select one of M for male, F for female or U for

    unknown.Title e.g.Mr, Ms, Dr.Organisation The relevant organisation.

    You can add further details to the respondent record.These are described under ‘ExtendedDetails’ below.

  • You can amend the details that have beenrecorded for a particular respondent at anytime by selecting the appropriate field andmaking the changes.

    Searching for an Existing RespondentYou can find respondents on the basis of theirFamily Name, First Name,Organisation orReference. To search for a particular respon-dent record, first click on the down arrow tothe right of the search field and select one ofthe criteria.Next enter the search text andclick on the binoculars icon to complete theprocess.Once the requested respondent isfound the person’s details will be displayed onthe respondent screen.The number of match-es will be displayed to the right of the searchfield in which case the system will producethe first match in alphabetical order. It is nowleft to you to find the next match by clickingthe arrow keys on the right-hand side to findthe desired record(s).

    Delete a Respondent from the SystemTo delete the current respondent fromGeneSys3 click on the ‘Delete’ icon. You willthen be asked to confirm the delete. To pro-ceed with deletion of the current respondentclick on ‘Yes’,to quit click on ‘No’.

    Note: This is a destructive function and,once used, all personal and test data,relating to this respondent,will be deleted irretrievably from your system.

    Moving through the Master TableYou can move through the respondents heldon your system one at a time in order of sur-name.Click on the ‘forward’ or ‘backward’arrows on the top toolbar of the respondentscreen to do this. You can also press [PageUp] and [Page Down] to do this.

  • Extended DetailsWhen you first enter the Respondent mode or create a new respondent,you will be presentedwith the extended details of the current respondent.These details may vary from system tosystem and the list below is what you would typically expect for systems supplied in the U.K.

    ReferenceAny unique identifier such as a NationalInsurance number or a candidate reference.

    Password Level‘Level’ refers to the password level that isrequired to access the details of the respon-dent. You can change the access level byclicking on the down arrow and selectingLow, Medium or High by highlighting thedesired level and clicking once more.Thelevel will be set to Low unless you change it.

    Pick–List‘Pick List’ items can be used to identify aparticular group of respondents, for exam-ple, by location,position etc.Eachrespondent can be identified with one ‘pickitem’.Respondents can be identified with amore advanced selection of characteristicsby using the ‘Attributes’ function.

    StatusDid the respondent complete the assess-ment as an applicant (e.g. for selection) or anon–applicant (e.g. for guidance)?

    Career AreaSelect one of the categories to indicate thebroad career or vocational area in whichthey are working.

    NVQChoose from 5 possible National VocationalQualification levels.

    DisabilityEnter one of the generic disability categories,learning,visual,auditory, physical,speechand language or other. Use user attributes tospecify further details if you need them.

    Educational LevelChoose from 5 pre-defined educational levelsor state if educational level is ‘Unknown’

    Ethnic OriginIndicate the respondent’s ethnic origin.Theethnic origin categories used in GeneSys3are those recommended by the Commissionfor Racial Equality (CRE, 1991).

    Group MembershipWhen creating a record you will be given theoption to add to a gr o u p . This box will indicat ewhich group(s) the respondent belongs to.

    To skip entering any item,press TAB ➠ when the cursor is beside it or use the mouse to clickon another field.Additional details are automatically saved to the database.

  • NotesIt is possible to attach notes containing anytext to a respondent record. To enter textselect ‘Notes’ from the side toolbar and clickon the Add button.This will bring up a texteditor from which you can edit your notes.

    Once you have finished entering/editing text,clicking on any option will save the entry witha record of the date and time.The ‘Delete’button will allow you to remove any textrecord.

    Summary DataYou can view all the information held on thecurrent respondent by clicking on the‘Summary Data’ option from side toolbar. Theview screen displays (in a scrollable window)the personal data of a respondent,the rawscores for all tests taken by that respondentplus the notes attached to the record.Enlargethe summary data screen to full height byclicking on the enlarge icon.Click on the iconagain to return it to its original size.TheSummary data screen can be printed outdirectly to printer, saved to a disk file or out-put to your word processor. To view thescores on a particular test,double click onthe test name in the results box.

  • Test EntryIn Respondent mode,you can enter data intoGeneSys3 from paper & pencil administeredtests,or you can administer tests and ques-tionnaires on-screen.Select Test Entry formthe side toolbar.

    You have a choice between three methods ofdata entry:Answer Sheet,Raw Scores orOn–screen. You can display complete testbatteries or elements of batteries by check-ing the ‘Show All Battery Elements’ box.

    Whichever option you select,you will be pre-sented with a list of all tests which areavailable in the chosen data entry mode.Highlight the test or test battery and click onthe ‘Proceed’ button.

    Answer SheetIf you select item data entry an on-screenanswer sheet appears.Either the numberkeys on the top of the keyboard or those onthe numeric keypad can be used to enterdata. If the numeric keypad is chosen the[Num Lock] key must be on before thesekeys will work. You can also enter the datawith the letter keys with A=1, B=2,C=3, etc.

    If you make a mistake in data entry, use theup & down cursor keys can be used to movebackwards and forwards within the answersheet.Once the cursor is on the mistake,simply press the correct key to fix it.Whenyou have finished entering the data, click onthe ‘Yes’ button to save your items.Clickingon the ‘No’ button will abandon the screenwithout saving,and clicking on the ‘Cancel’button will revert to the data entry screen foryou to make further changes.Credits willonly be deducted if the data is successfullysaved.

  • Raw ScoresIf you select raw score entry a list of thedimensions for the chosen test appears andyou have to enter the raw scores againstthese dimensions.Only raw scores within theacceptable range can be entered.When youhave finished entering the data, click on the‘Save’ button to save your items.Clicking onthe ‘Cancel’ button will abandon the screenwithout saving, will appear. Credits will onlybe deducted once the results have beensaved successfully.

    On–screenAll tests published by Psytech Internationalcan be administered by on-screen presenta-tion.Select the ‘On-Screen’ option toadminister a questionnaire.A list of the testson your system that can be administered on-screen will appear.

    Double-click on the test you want to adminis-ter. The computer software from this pointcarries out the administration of the chosenquestionnaire,or battery, automatically. Allthe instructions necessary for a candidate tocomplete the questionnaire(s) are providedon-screen.When the candidate has complet-ed the questionnaire the system is lockeduntil the administrator presses F1.

    AttributesAttributes are additional user definable datafields that can be added to the respondentrecord.These attributes are defined in theAttributes section of the Setup menu.

    To assign user-defined attributes to therespondent record click on the ‘Select button.If user-defined attributes exist on your sys-tem,an attribute screen will appear intowhich you can highlight the attributes thatapply to this respondent.

  • Select attributes by clicking on the desiredattribute and clicking on the ‘Add’ button.This will assign these attributes to therespondent’s record.One all attributes havebeen added,exit the ‘Select Attributes’screen to display the attributes that havebeen selected.At this stage it is possible todeselect attributes by highlighting a previous-ly chosen attribute and clicking on the‘Remove’ button’.This will remove the attrib-ute from the ‘Currently Assigned Attributes’box.

    ReportsChoosing ‘Reports’ from the respondentscreen will display all the available reports.

    For a list of all available reports,see SystemInformation from the main Setup menuoption.Select the report you require by dou-ble clicking on the mouse.Once a report hasbeen selected,a list of norms available forthe tests that belong to the chosen report willthen be displayed.Select the appropriatenorm for the respondent. Click on the‘Generate’ button to complete this process.Once the report has been generated,it willdisplay in your rtf compatible word-proces-sor.

    Once the report or reports are displayed,youcan edit or print them.Printing is carried outin the usual manner by clicking on the ‘File’menu then ‘Print’ or by clicking on the printericon (both options are standard print func-tions).

    On exiting your word-processor, you will bereturned to the GeneSys3 report screen andyou can then generate additional reports asrequired.

  • THE GROUP MODEA powerful feature of the GeneSys3 system isthe facility to create subsets of the data heldon your master table.These subsets arecalled Groups.Group functions provide theuser with the ability to perform a number ofthings on a whole group of people at once,saving time and trouble.Groups also help youto keep your data organised in a logical man-ner for later analysis.

    Enter the Group mode of the RespondentGroup Management area by clicking on the‘Group’ button at the bottom of the sidetoolbar.

    Displays all thegroup members,allows creation ordeletion of groups.

    Allows reports to begenerated for agroup as a batch

    Allows Data input ineither item or rawscore form for all themembers of a group.

    Permits the assign-ment of certainvalues to all themembers of a group.

    Creating a GroupTo create a new group,click on the AddGroup (+) icon.Enter the name to describethe group and click on the tick to register thegroup,or on the cross to abandon.Once cre-ated, you will be placed in the Membersmode and from here you will be able toassign respondents to the group.

    Adding Members to a GroupYou can add respondents to the group bysimply selecting the names from a list or byusing filters (specifying particular values toinclude or exclude respondents in the maindata base).

  • Add by Simple Selection: If you select the ‘simple selection,you will bepresented with a list box as below, containingall respondents names in the database pre-sented in alphabetical order. Build your groupby highlighting names in the list box andtransfer the names to the current group boxby clicking on the ‘Update’ button.Namescan be removed from the group in the mainGroup screen (see ‘Deleting respondentsfrom a list’ below).

    Add by using a Filter:The filtering process provided with GeneSys3allows you to use almost any informationcontained within GeneSys3 to find respon-dents to make up the group.

    There are five categories of information onwhich the GeneSys3 database can be filteredincluding main details,additional details,attributes, tests and groups.Within each filtercategory, there are several filter properties(sub-categories) that can be used.On eachfilter property there are a number of possiblefilter operations (e.g.‘equal to’ ‘greater than’‘like’).Only those filter operations that pertainto the filter property will be available.A filtercan be built up using several categories,properties and operations allowing very spe-cific queries to be created.

    In setting up a filter, first select the categoryby clicking one of the options in the ‘FilterBy’ box.Once selected, the filter propertiesthat relate to this category will be displayedin the Property list box.Highlight the filterproperty and select the filter operation andvalue.If the filter property value consists ofpure text instead of numbers or dates,it willbe necessary to enter the required searchtext in the ‘Value’ box.

  • Complex FiltersA complex query can be set using a BooleanExpression.A Boolean expression is a querythat uses boolean operators to combine key-words.The boolean operators set theconditions for a search.The three booleanoperators you can use in GeneSys3 are:

    The boolean operators are most useful whencombined to produce a more complex,spe-cific query. Use brackets (parentheses) togroup parts of the boolean expression togeth-er that must be evaluated first. To setbrackets,highlight the first statement to begrouped and then click the bracket button.Next,highlight the last statement and clickthe bracket button to close the brackets.

    Example:In the example opposite,GeneSys3 willfirst search through the database findingall who are in one of the Constabularygroups,then it will select those recordsthat have one of the rank attributes set.

    Note:If you don’t use brackets,the keywords combined by the AND operator will be evaluated first.If you don’t use brackets,the keywords combined by the OR operator will be evaluated last.You cannot use the AND NOT operator before bracketed terms.You can combine exact phrases with other keywords using a boolean operator.The boolean operators are not case sensitive,i.e.they do not have to be capitalized.

  • Deleting Respondents from a GroupRespondents may be deleted from a group inthe main Group screen.First select the groupand then highlight the names from the groupfor deletion.By default,the record will beremoved from the group but will be retainedin the database.Optionally, the names canbe permanently deleted from the database aswell by ticking the option box opposite.

    !If there is any chance of unintentionally deleting valid records, first make abackup of your database as this process is irreversible.Deleting a GroupTo delete a group that has been sav e d ,s e l e c tthe ‘Delete’ icon (trash can) from the top menu.

    BATCH DATA-INPUTIf you have data on a group of respondents,you can process them as a bat c h . First creat ethe Group Management screen as describedab o v e . From the Group screen, click on theRespondent tab to enter the respondents c r e e n . When you create a new respondent,you have the option to add the name to anexisting GROUP b e f o r e c r e ating the record.You do this by selecting the group on the dropdown list at the top of the screen. Once therecord has been creat e d , the only way to addthe respondent to the group will be by usingthe simple filter method described ab o v e .

    Once all the records have been created andassigned to a group,return to the GroupScreen and select the ‘DATA ENTRY’ option.Once selected,you can enter test scores ineither raw or item response form.Highlightthe test(s) for which you have results andclick on the ‘Proceed‘ button. You can nowenter the results for each respondent in thegroup and once completed,you will be pre-sented with a transaction summary.

  • REPORTSOnce you have collected (or entered) data onthe same measures for a group,GeneSys3can produce reports for all the members ofthe group simultaneously. These reports canbe standard individual or dedicated groupreports.A group report is a single documentthat combines the results from a number ofrespondents in a group.An example of agroup report might be a listing of all appli-cants rank ordered by their test results,weighted,if necessary according to the per-ceived relative importance to the rolerequirements.

    GeneSys3 will only give you the option togenerate a specific report if one or morerespondent records in the group contain thenecessary scores.If in generating the report,the required data is not found for a givenrespondent,you will be prompted to skip therecord with the missing data or abort thereport generation.

    GROUP ASSIGNIn the group management screen,you mayassign biographical information to the entiregroup.This could be a user or system definedattribute, organisation name,reference ornotes.It is even possible to assign the samename to the entire group as part of thearchiving process for the purpose ofanonymising individual records.

  • DATA INPUT FROM A BITMAPSCANNERThis facility, once implemented,will enableGeneSys3 to accept data read from speciallydeveloped answer sheets scanned by com-patible Bit-map scanners. It also provides thefacility to add data from additional tests toexisting records.

    OVERVIEW OF NORM FUNCTIONS Although your GeneSys3 system may be sup-plied with a number of norms for each test,you are provided with a number of functionsfor creating and managing your own norma-tive data.

    Two different methods of storing normativedata are available on GeneSys:

    ● SDNorms and● Frequency Norms

    SD NormsThese norms are based on means andStandard Deviations such as are commonlyfound in norm tables supplied in a tests tech-nical manual.If a GeneSys3 user has a set ofmeans and standard deviations for a particu-lar test,these can be easily entered intoGeneSys3 through an input table.

    F r e q u e n cy NormsThese norms are based on the actual fre-quency of a particular test score found in aspecific normative group.Thus, unlike thecase of standard norms where only summarydata for a normative group is required, actualtest scores must be available before a fre-quency norm can be constructed.GeneSys3is able to take the test scores held in themaster table,or scores for a particular groupof people,and form a frequency norm fromthem.

    Both normative methods will result in thesame mean and standard deviation.For SDnorms,held only in mean and standard devi-ation format it is only possible to produce a‘normalised percentile’, i.e.a percentilebased not on the true distribution of scoresbut one that assumes the normative group isnormally distributed.Frequency norms,on theother hand,produce accurate percentilesbased on a respondent’s actual position with-in the true distribution for that normativegroup.

    Available for bothStandard andFrequency norms,thegeneral view providesdetail of the samplesize,mean and stan -dard deviations for allthe dimensions of atest.

    Histogram view pro-vides a frequencyhistogram for all thedimension of a test.This is only available forfrequency norm data.

    Norm Table view pro-vides either a sten orstanine norm table onfrequency data .Alternatives will beavailable in the future.

    The details,whereavailable,provides abreakdown for eachnorm on a number ofbiographical variablessuch as age,sex,ethnicorigin etc.Note thatnorms developed priorto GeneSys3 may nothave details.

    CREATING A USER NORM

    To create a new norm,click on the test youwish to create/edit a norm for. SelectFrequency if you plan to use GeneSys3 resi-dent data and SD if you have externalinformation in the form of mean scores andstandard deviations for the test dimensions.Add the sample size at this stage to avoidhaving to enter it later. The sample size willnot be accepted for Frequency Norms asthese are generated from data held in theGeneSys3 system.

    Clicking on the ‘OK’ button will create anentry in the norm list for the norm categoryyou have specified.‘Cancel’ will exit withoutsaving your work.

    Once created you will be given differentoptions depending on whether you selectedfrequency or SD norms.

  • Creating SD NormsOnce the norm information has been entered,you will be presented with a table displayingthe dimensions,sample size,mean and SDas follows:

    If you have already entered the sample size,itwill be displayed.For each dimension the val-ues for the specified sample should beentered.Highlight the box and enter thevalue. You can move to the next box either byclicking it with the mouse or by using thearrow keys once you have entered the appro-priate value.

    Creating Frequency NormsFrequency norms can only be created fromdata that is resident within the GeneSys3database. Once a blank norm table has beencreated, it will be displayed in the generalview. To add cases to the norm,click on the‘Add to Norm’ button.Scores can be addedto a norm either from the entire database orfrom a specific group already specified withinthe Group Area of GeneSys3.

    Editing a NormWhen you select the general view, you will beable to edit SD norms in the same manner asthey were entered.Please note that some SDnorms provided with the system may beclosed and can therefore not be edited.Norms created using the Frequency formatcannot be edited.

  • Viewing the Frequency HistogramGeneSys3 can generate a frequency his-togram for a specific test norm group inrelation to a particular dimension. To viewthis histogram,select the ‘FrequencyHistogram’ view and select a dimension.

    Viewing the Norm TableBy selecting the Norm Table view, GeneSys3will create a sten or stanine norm table forany Frequency norm.

    Viewing the Details For norms created within the GeneSys3 sys-tem,further details are available. Detailsinclude a breakdown of the norm group byage,sex and any other biographical data thatmay have been set for the members of thenorm group.

    Delete a NormIf you wish to delete a user–defined normfrom your system, first select the test,andthen the name of the norm that you want todelete.Click on the ‘Delete’ button. You willbe asked to confirm that you really want todelete this norm.If yes,the norm will bedeleted permanently from your system.

    Font SizeThe preferred font size (it is advisable toleave this as the default or smaller as reportgraphs may not fit on a single page).Shouldyou want to change the font size please testprint or print preview to ensure that the for-matting is OK.

    Font NameThe preferred font type.Should you want tochange the font please test print or print pre-view to ensure that there are no formattingproblems.

    MarginsAllows you to set the Left,Right, Top andBottom margins displayed in either metric orimperial measurement,whichever is set.Thedefaults are advisable.Should you want tochange the margins please test print or printpreview to ensure that there are no format-ting problems.

    LogoAllows you to specify your own logo,whichwill then appear on each report.

    Logo Width/Height/AlignAllows you to adjust the size and alignment ofyour logo.Please test print or print preview tocheck size.

    Word ProcessorProvides the option to set the respondentname and page number in the header andfooter respectively.

    Respondent ReferenceAllows you to set the form of address for therespondent within Psytech reports.For a for-mal address i.e.Ms Smith,tick both title andFamily name. To address the respondent b ytheir first name only, tick the First name boxonly. For First name and family name,tickboth boxes.By default,this is set to First andFamily name.Should you wish to changethese settings,preview a test page to ensurethat the correct form has been set.

  • PASSWORDSInevitably the testing of individuals involvesthe collection of strictly confidential informa-tion.Such information has to be subject tosecurity restrictions,therefore the allocationof passwords is necessary. In addition to sim-ply assigning passwords for each user, addedsecurity is achieved by linking each passwordto a specified access level.Access to the var-ious GeneSys3 functions and recordsdepends on the password level set for theindividual who has logged onto the system.The combination of these security elementsresults in a secure and confidential system.

    Passwords are set by choosing thePasswords option from the Setup menu.Thisselection will display a list of Users into whichthe names of the users who are to beassigned passwords are added. To completethe process,add the password itself and theuser access level.

    HighAllows users access to allGeneSys3 functions withoutexception.

    MediumUsers assigned to this levelhave the following restric-tions:● not permitted access to

    the password function ● not allowed to install new

    tests,reports etc.● not allowed to clear down

    the master table● not allowed to import or

    LowProvides access to a limitednumber of GeneSys3 options.Users at this level are able toaccess any function availableon the respondent screen oron the batch menu of themain screen.Basically thislevel allows data input, testadministration and reportgeneration.

    Once you have finished mak-ing alterations to Passwords,click on ‘OK’ to save or‘Cancel’ to quit.

  • USER ATTRIBUTESGeneSys3 attributes are categories of info r m a-tion that may be assigned to a respondent’sr e c o r d . Once set, attributes are used for thepurpose of finding individual respondents orgroups of respondents with particular speciali-s ations or combinations of skills.

    For example,you may want to search in thefuture for all people who can offer a foreignlanguage or who have a PhD, and so chooseto specify these attributes. You may chooseto create a norm of all graduate recruits whosuccessfully completed the graduate trainingprogramme.

    To set up an attribute header, highlight‘Attributes’ in the attribute display windowand click on the ‘Add’ button.Enter theAttribute header and click on ‘OK’.

    To add the attribute content, highlight theattribute header in the attribute display boxand click on ‘Add’.

    Click on the first empty cell in the matrix andtype up to a maximum of twenty characters.It is advisable to restrict the length of theattribute/category, as it may not be visible onthe display. When you have finished makingalterations to the attribute list,click on ‘OK’to save or ‘Cancel’ to quit.

    Attribute headers and attributes may berenamed or deleted by highlighting the itemto be deleted and clicking on the ‘delete’button.

    ! When you delete an attribute,it will be removed from all respondent recordspossessing that attribute.If you rename an attribute,it will be reassigned to allrecords possessing the attribute in its original form.

  • PICK LISTThe Pick list has a similar function to theuser defined attribute but for any givenrespondent record,only a single parametermay be assigned.‘Pick List’ items can beused to identify a particular group of respon-dents, for example, by customer, location,department,cost centre etc.Pick list itemsare added and deleted in the same way asattributes (described above).

    !When you delete a pick list item,it will be removed from all respondent recordspossessing that item set.SYSTEMClick on the to see the details of all thetests,batteries,reports and norms that areresident on your GeneSys3 system.

    Use the scrollbar to the right of the displayscreen to display more information.Whereavailable,you can display the technical man-ual for a test by clicking the View Manualbutton. You will need to have Adobe Acrobatinstalled.

  • CREDITSThe use of tests on the GeneSys3 systemmay require credits.This is a royalty payablefor the use of the particular application and isdeducted from one or more counters held onthe software key (called a dongle) installedon either the printer or USB port of the com-puter. The number of credits that arerequired by each test is displayed in Systemsection of the Setup screen described above.

    To update credits, click on the ‘ U p d ate Credits>>’ button, select the counter you wish tou p d ate (if it is not already selected) and enterthe number of credits required. Click on ‘ N e x t>>’ to proceed to the next stage as fo l l o w s :

    At stage two you will need to contact PsytechI n t e r n ational or an authorised distributor whowill ask you for these codes and will issueyou with a credit update authorisation code totransfer the required number of credits. E n t e rthese six letters into the ‘ A u t h o r i s ation Code’box and click ‘ U p d at e ’ . If you made a mistakein entering the code you will be asked to typeit in ag a i n . In the unlikely event that you enterthe code wrongly three times the updat eo p e r ation will be aborted and you will need togo through the above procedure ag a i n .

    Should your system contain applications thatuse another counter for credits, you will needto resume the credit procedure,this timeindicating,from the first screen,the counteryou wish to update.

  • Your supplier keeps an automatic log of thenumber of credits that have been transferredand received and once the credit update hasbeen successfully completed you will be sentan invoice for the appropriate amount.

    You should ensure that a stock of credits isalways kept in the event that you are unableto reach your supplier.

    REMOTE ADMIN SCREENTo continue functioning,the GeneSys3remote questionnaire administration system(described in below) will periodically requirean unlock code which is generated in theRemote Admin section of the Setup menu.Enter the code issued by the RemoteAdministrator software and click on the‘Unlock Code’ button.This unlock code mustnow be entered into the remote question-naire administrator to release further use.

    Should the code have been entered incor-rectly, you may repeat the process.

    GENESYS3 DATA MANAGEMENT FUNCTIONSOVERVIEW OF DATABASE FUNCTIONS

    Import data and updates from aGeneSys3 or GeneSys2 system,aremote administration file,new normsand questionnaires etc.

    IMPORTGeneSys3 allows you to import data,userdefined norms, custom questionnaires andreports and attributes that have been createdin another GeneSys3 system.It will convertthe GeneSys2 data into GeneSys3 format.

    GeneSys3 Export File (.gse)This file contains respondent records from aremote GeneSys3 system.How to generate a‘.gse’ file is explained in the ‘Export’ sectionbelow. First locate the ‘.gse’ file by selectingthe drive letter and folder in which the filewas saved. Once found, the ‘Import’ boxappears.As there may be more than oneExport file for importing,once the import but-ton is clicked,you are given an opportunity toselect the file you require.

    Export data,norms and questionnairesto be used by another GeneSys3 sys-tem or in text or excel format.

    Backup and restore the GeneSys3main database.

    Connect to an alternative GeneSys3database on the local machine oracross a network server.

    Utilities to optimise and anonymiserespondent records.

  • Once the file is selected,the GeneSys3merge wizard appears.This is described inthe section ‘Merging databases’ below.

    Only results for which tests exist on your cur-rent system will be imported.

    Remote Administration File (.gsi)The GeneSys3 Remote Administration systemgenerates item response (.gsi) files which canthen be imported into the main system forscoring and reporting.

    First locate the ‘.gsi files by selecting thedrive letter and folder in which the files havebeen saved. Once found,the ‘Import’ boxbecomes active,allowing the import to pro-ceed.As there may be many .gsi files forimporting,once the import button is clicked,you are given an opportunity to select therecords you require using the GeneSys3merge wizard.This is described in the section‘Merging databases’ below.

    GeneSys3 Attribute DefinitionUser defined attributes (described in an earli-er section) may be shared by differentGeneSys3 systems within one organisation tomaintain consistency. Once created by oneuser, they can be exported to other users toform part of an organisation’s data collectionsystem.

    GeneSys3 Battery FileWhile standard questionnaires and batteriesform part of any GeneSys3 install set,customquestionnaire batteries do not.Therefore,when installing or reinstalling an additionalGeneSys3 system,it may be necessary toimport any user defined batteries in use.

    GeneSys3 Norm FileUser defined norm files can be made avail-able to other GeneSys3 users by firstexporting (see below) from the source systemand importing them from within the destina-tion system.First select GeneSys norm filefrom the menu and select the norm cate-gories to import.

    GeneSys2 databaseGeneSys2 users can transfer their entire GS2database to GeneSys3.Select the option andlocate the folder that contains the GeneSys2database files,GS2M.DB, GS2M.PX andGS2M.MB.This will usually reside in a foldercalled ‘C:\GS2’. Once located, the IMPORTbutton will become active allowing you toprocess the database.

    As there may be many records for importing,once the import button is clicked,you aregiven an opportunity to select those recordsyou require using the GeneSys3 merge wiz-ard.This is described in the section ‘Mergingdatabases’ below.

    In importing the GS2 database,GeneSys3momentarily passes control to the Paradoxdatabase to verify the integrity of the data tobe imported.If for any reason,this processhalts or returns an error, this indicates thatthere may be a fault in your GeneSys2 data-base.This will need to be fixed from withinthe GeneSys2 system by deleting the offend-ing records before the import can take place.If in doubt,contact Psytech for assistance.

  • Merging DatabasesWhen importing respondent records frome x t e r n a l , remote or satellite systems,GeneSys3 import wizard will guide youthrough the process. When entering the wiz-a r d , you will be presented with the first recordof the batch to be imported and a choice of‘ A c c e p t ’ ,‘ S k i p ’ , ‘Continue’ or ‘ A b o r t ’ .

    If a duplicate name is found in the dat ab a s e ,a further set of choices will be offered to you.This split screen presents details of therespondent record being imported at the topof the screen and details of the first duplicat ein the dat abase below. If there is more thanone duplicate in the current dat ab a s e , click onthe down-arrow next to the existing respon-dent name to display further mat c h e s .T h edetails presented should usually be suffic i e n tto determine whether the records belong tothe same respondent or simply to two respon-dents with the same first name and surname.

    Merge with selected record — If the recordsbelong to the same respondent but they rep-resent results of different measures, perhapscompleted at different times.

    Replace selected record — If it is your judge-ment that the record being imported is moreup to date than the existing record on thedatabase.

    Create as new record — If the duplicate pre-sented corresponds to a different respondent.

    Skip record — If there is an exact match andyou decide against importing the record.

    If you wish to proceed with the entire importusing the same options,check the box ‘Dothe same…’

  • EXPORTGeneSys3 supports a wide range of exportformats providing very flexible output possi-bilities.

    GeneSys3 Export (.gse) — The ‘.gse’ is theGeneSys3 native format and will contain acomplete set of necessary database filesincluding respondent’s attributes,raw anditem scores,notes and group data.It is pos-sible to export the entire database or aselection of records associated with a group.

    Delimited Text File — This function allowsyou to export selected portions of yourGeneSys3 master table to a comma separat-ed text file.On selecting this function theGeneSys3 export wizard will appear which isused for both export to text and to Excel filesand is described below.

    Microsoft Excel (.xls) — This export functioncreates an (.xls) file that can be read byMicrosoft Excel and many other proprietarysoftware systems.On selecting this exportoption,the GeneSys3 export wizard willappear which will guide you through theexport process.

    GeneSys3 Attribute Definition file (.gsa) —User defined attributes may be exported sothat they may be shared by differentGeneSys3 systems within one organisation.

    GeneSys3 Battery File (.gsb) — All the cus-tom questionnaire batteries within aGeneSys3 system may be exported to satel-lite systems.Once imported into the satellitesystem,unwanted batteries may be deleted ifthey are not required.

    GeneSys3 Norm file (.gsn) — All user definednorms within the geneSys3 system may beexported to satellite systems.Once the user-defined norms have been imported into thesatellite system,unwanted norms may bedeleted if they are not required.

  • EXPORT WIZARDThe GeneSys3 export wizard allows you tospecify the exact information that is to beexported.

    First provide a name for the export file orclick on the ‘Browse’ button to be assisted inthis process.

    Four categories of data may be exported;Personal details, Raw scores, Item responsesand User Attributes.The system attributes arecontained within the Personal detail options.

    First use the mouse to check the Personaldetails you want to export. You may select asmany items as you wish.When you haveticked all that are required, click on the nextcategory to select the tests for which youwant to export the raw score data. Continuewith the same process for the item responsesand User attributes.

    Once all the information has been selectedfor export,click on the ‘Export’ button tobegin the process.

    BACKUP/RESTORE

    BackupThe GeneSys3 respondent database is at thebasis of the system’s operation. If the databecomes corrupt or are accidentally deleted,the system will not be able to function prop-erly. It is for this reason that you are advisedto back up your databases regularly.

    To backup a database, choose Backup fromthe side menu and indicate the name andlocation by clicking on the ‘browse’ button.By default GeneSys3 will save the backup fileto its working directory. It is recommendedthat you keep at least two backups of yourmain database in different locations.

  • RestoreTo restore a previously backed up database,click on the Restore button and use thebrowse facility to find the backup file.Unlessyou selected another location,this will residein the default GeneSys3 working directory.

    !When you execute this option, your entire database will be over written by thebackup and therefore should only be considered when the current database iseither unusable or unstable.

    DATA LOCATIONGeneSys3 will allow you to connect to adatabase at another location.This facilitymay be useful in a multi-user environmentwith more than one user independently col-lecting assessment data.The other locationneeds to be a GeneSys3 implementation,complete with subfolders. You will need userrights to access a database that was not cre-ated by your local system.

    When connecting to a database that is notresident on your machine,do take care asyou may be able to make irreversiblechanges to another users’ database and/orlock resident users out of their own systems.

    To connect to another database,use thebrowse window to locate it and click on‘Update Location.If the data location youhave selected is valid,you will be connected.

  • UTILITIES

    Anonymise DataIn line with good practice and data protectionprinciples which state that data should onlybe processed for limited purposes and notkept longer than is necessary, GeneSys3allows you to anonymise respondent recordsonce they are out of date.This option may bepreferred over deleting respondent recordsas it would still retain all the associated testscores for use in later validation.The‘Anonymise’ function will either apply to theentire database or to a group of respondents,created in the group area described above.This function replaces the first and familyname of all the selected respondents withthe word ‘ANON’.Other identifying data fieldse.g. employee or National Insurance numberwill be retained but may be replaced in theusing Group Assignment function describedabove.

    !Once executed,this process is irreversible,so ensure that you have backed upyou database if there is any possibility of unintentionally erasing records thatare needed in their entirety.

    Optimise Database FilesThis procedure reformats the GeneSys3database to make sure they are in the mostefficient format for access, leading to anincrease in performance.

    OVERVIEW OF CUSTOM The Custom features within GeneSys3include the specification of new report stylesand questionnaire batteries based on reportsections and questionnaires that are residentwithin the system.Thus a battery of meas-ures can be constructed to address specificwork relevant demands and a single associ-ated report compiled that provided thespecific information that is sought.

    When the Custom option is selected from themain GeneSys3 menu,select either customi-sation of reports or questionnaires by clickingthe relevant icon.

    CUSTOMISATION OF REPORTSReports contained within the GeneSys3 sys-tem have mostly been designed in a modularmanner based on sections which can beorganised to your own requirements.Sections may include the main narrative sec-tion,the profile charts,interview prompts andthe various derived styles such as manage-ment team roles. Most measures areprovided with an extended report which con-tains most available sections for thatmeasure.In addition, many include a feed-back style report which is written in thesecond person in a form that is designed forrespondent use. You can combine the sec-tions of these reports to construct a specialreport to suit the circumstances.

    Once you have selected the Report Definitionoption you will be presented with two listboxes.The list box on the left presents all thereports available on your system and the boxon the right the sections of the new reportyou are defining.

  • To add a new report, click the ‘Add’ buttonand enter your new report definition name.As this is the name that will be displayedwhen prompted for reports on respondents,to avoid confusion,make the name as mean-ingful as possible.

    Click the to the left of the existing reportname to reveal the associated sections thatyou can choose from to define your newreport.

    Once it appears, highlight the report sectionyou require and click the button to addit to your new definition.Click on the‘Generate Contents page’ box if you want tostart with a header page which includes thecontents of the report.Once you have addedall your report sections,you should reviewwhere you would like line or page breaks.Should you require a line or page break aftera section,highlight the section and click thebutton of your choice.

    REMOTE QUESTIONNAIRE ADMINISTRATOROVERVIEW OF RQA FUNCTIONSThe GeneSys3 Remote QuestionnaireAdministrator allows users configure one ofyour GeneSys3 on-screen questionnaire bat-teries to be run as an external programentirely separate from your GeneSys3 sys-tem.This external program will administer thespecified questionnaire battery and save arespondent’s data in a user specified datafile. No dongles are required to run this exter-nal program as the external program doesnot score the questionnaire.Instead data filescreated by the questionnaire administrationprogram must be imported into the GeneSys3system.Credits for scoring the questionnaireare deducted from the GeneSys3 system dur-ing the import stage.

    The GeneSys3 questionnaire administrationprogram can be used to administer a ques-tionnaire battery to a number of individualssimultaneously, either on a number of stand-

    alone PC’s or a number of PC’s connected viaa network.If the administration program isrun on a network,it can be copied into adirectory that is accessible by all networkusers.Individual data files will,in that case,be stored in this same directory making col-lection of the data and import into GeneSys3an extremely simple process.If the adminis-tration program is used on a number ofstand-alone PC’s then it will be necessary tophysically remove the individual data filesfrom these machines in order to presentthem to GeneSys3 for import.

    Two programmes are required to use theRemote Questionnaire Administrator, one toset up the battery for use and the other toadminister the selected battery. Both pro-grammes are installed from the mainGeneSys3 CD directly on to the remotemachine.Installation instructions are providedin the Appendix.

  • CONFIGURING THE REMOTEADMINISTRATION OF AQUESTIONNAIRE The first step in configuring the remoteadministration of the questionnaire is to runthe GS3RQA programme by clicking its iconfrom the desktop or program group.

    The Configuration, like the actual remoteadministrator itself is password protected.The default (or factory setting) is SYSTEM (allin uppercase) which should be changedimmediately.

    If you are using GeneSys3 RemoteQuestionnaire Administrator for the first time,you will need to change the password.Clickon the PASSWORD button and enter andthen repeat your new password before regis-tering it by clicking on the OK button.Thispassword will be required both for the con-figuration and the Administration programs.

    Indicate the questionnaire you wish toadminister by clicking the down arrow on thelist of available questionnaires.

    Next select the location for the item responsefiles that are generated for each respondent.This location could be a network server fold-er into which item response files from anumber of workstations could be stored tofacilitate the import process.By default,thedata folder will be set C:\Programfiles\GS3RQA\Data.

    Once the questionnaire and data directoriesare have been set,click on the SAVE buttonto register your choices.

  • REMOTE QUESTIONNAIREADMINISTRATIONThe Remote Questionnaire Administration(GS3RQA) software will administer the ques-tionnaire or test battery that has been set upin the configuration program.If you are usingGS3RQA for the first time you will be prompt-ed for a release code.The release code isavailable from the main GeneSys3 Setupmenu and for security reasons is alsorequired every 60 days or after 50 respon-dents have completed the battery orwhichever comes first..The process of gen-erating this release code is detailed in theSetup section of this manual.

    Once a valid release code has been enteredyou will only be prompted for the main pass-word,which is shared with the GeneSys3Remote Questionnaire configuration program.

    Once the password has been entered, therespondent can now enter his/her details andclick on the ‘Proceed’ button to commencethe test.

    On finishing,a screen appears requestingthat the administrator be called.

    The administrator will then press F1and the respondent’s details and test resultsare saved in an individual file on disk.

    !Note: No credits are required for the remote administration of a test.The creditswill be deducted when the test results are imported into GeneSys3.

  • IMPORTING TEST RESULTS INTOA GENESYS3 DATABASEOnce you have selected the location of yourRemote Administration data files e.g.C:\pro-gram files\gs3rqa,the ‘Import’ button willbecome active.Before initiating the import,you have the option to add the respondentsto an existing group.This will allow you toaccess all respondents in group mode andproduce one or more reports for the group asa whole rather than each of the respondentsindividually.

    The import wizard will then be loaded andyou will then be prompted with each of thenames of the respondents who have com-pleted the remote assessment.

    GeneSys3 imports all the details and itemresponses of the respondent(s) whose file(s)are found in the folder you have selected.

    KEYBOARD USER’S GUIDE

    This manual assumes that the GeneSys3 sys-tem is being used with a mouse and that therespondent (completing a test on-screen) willbe using the keyboard. However, it is possibleto access all GeneSys3 options using thekeyboard alone. In addition,it is assumed, bydefault that respondents completing ques-tionnaires on-screen will use the keyboard.This is to maintain standardisation which isnot possible given the variety of mouse con-figurations that exist.Consequentlyinstructions for mouse use are omitted frominstruction screens for all Psytech tests.Should you or your organisation wish to stan-dardise your testing practices using themouse as the primary input device, alterna-tive instructions screens can be supplied.

    To use GeneSys3 without mouse support,youwill notice that by pressing the key onthe keyboard,different options will becomeactive.Once active, you can press the key to perform the command. Inaddition,most GeneSys3 functions buttonshave one letter that is underlined.In order toselect the function,hold down the keyand press the underlined letter of whichevermenu you want to access.E.g. To create anew norm from the Norm area,press N. To exit from any screen press X.

    To select an item from a list box,use the cur-sor keys to highlight the item and press enter.In GeneSys,this is the equivalent of double-clicking the item.For list boxes where youcan select more than one item e.g.extendedgroup details,use the cursor keys to selectthe first item and then hold down the key while using the cursor keys toselect further items.

    Getting Hold of Acrobat ReaderAdobe Acrobat Reader is ‘freeware’ and youcan obtain a copy from the cover CD of thevast majority of computer magazines. You canalso download the Reader from Adobe’s web-site.If you cannot access the Internet and donot have a CD-Rom drive,call Psytech foradvice.

    What is Acrobat Reader?The reader is basically an advanced ‘fileviewer’ for the Adobe compressed format‘PDF’ files, the format chosen by Psytech topresent its test manuals.It allows you tobrowse the contents of the file much as youwould browse the contents of a magazine.Specific pages can be viewed in any numberof sizes and printed as desired.

    Accessing Psytech Manuals fromwithin GeneSys3 To access the Psytech test manuals fromGeneSys3,select the Setup option from themain menu and click ‘System’. If you select atest under the ‘Tests’ category and a manualis available, a ‘View Manual’ button willappear.

    Once located,the reader will be launchedand the manuals loaded in to it for you tobrowse.
