Why Sell Popcorn?

Popcorn sales can generate enough income to financially support your Scouting Program for the entire year! Some of the great benefits of selling popcorn include:

There is NO up-front cost to your unit. Units order only what they sell. Over 70% of sales support Scouting (32-37% of the

retail price goes directly to your unit., depending on the commission/prize structure you choose.)

A built-in prize program encourages Scouts to sell. Popcorn sales teach boys the responsibility and value

of earning their own way. Popcorn is easy to sell. Statistics show that seven out

of 10 people will buy Trail’s End popcorn, and nine out of 10 who buy will buy more.

Scouts can earn a free week at a Greater St Louis Area Council camp of their choice!

What the Popcorn Sale

Makes Possible

The popcorn sale is crucial in providing programs and services for all of our units and funding experiences uniquely suited for each pack and troop.

Some examples of how units use popcorn earnings:

Some examples of how the Council uses popcorn earnings:

Training for adult leaders so that Scouts have the very best leadership possible.

Maintaining camp properties for year-round camping and outdoor events.

Providing scholarships or “camperships” for Scouts who need assistance due to financial hardship.

Maintaining a library of DVDs, digital projectors, and screens for use in training and promotional programs.

Planning and conducting various Council-wide activities and events like Scouting for Food, Fright Fest, Day One, and Cub Adventure Camp.

Four Scout Service Centers and a support/professional staff available to help Unit leaders, parents and Scouts.

Three Ways to Sell Popcorn

Show N Sell (SNS) Unit Kernels place an order for bulk popcorn in advance. Units set up a display in their neighbor-hood. Scouts sell popcorn and hand it to customers at time of purchase.

Take Order (TO) Scouts take orders and turn them in to their Unit Kernel. One bulk popcorn order is placed for the popcorn sold by the entire unit. Scouts deliver popcorn to their customers after it comes in.

Online Scouts can sell popcorn to out-of-town family and friends at sell.trails-end.com. Each Scout must set up their own profile and send out a personalized link. The Council sends units their commission from these sales quarterly.

Show N Sell Your unit can hold a Show N Sell (SNS) anytime after popcorn is delivered on September 19 until October 24.

STEP 1: Find a location for your sale Identify a good weekend to host your sale and contact local businesses, churches, gas stations, fire departments or other locales to get permission to set up a table and sell popcorn on their property.

STEP 2: Order popcorn in advance You must place your SNS order online at scouting.trails-end.com by September 8. How much should your Unit order? If your unit held a SNS previously, order slightly more than you actually sold last year. If your unit has never held a SNS, feel free to call Jared White at 314.856.3028 for help determining a good estimate based on similar-sized units’ prior sales. Please note that due to the likelihood of melting, no chocolate popcorn is available for SNS.

STEP 3: Pick up your popcorn on September 19 You can find your district’s pick-up location on page 17.

STEP 4: Hold your sale See the opposite page for tips on setting up a great booth.

STEP 5: Close out your popcorn You may return any unsold UNOPENED cases of popcorn by October 24. Please see page 15 for our Return Policy. OPENED cases are your unit’s responsibility. You can use excess popcorn to fulfil Take Order sales, or you may try to sell it door-to-door.

STEP 6: Pay for your popcorn The Council will send you an invoice for all of your popcorn with your balance due in late November. See page 27 for payment instructions.

Tips for a Great SNS Booth

Here are some tips to make your booth stand out:

Reserve your spot early! Try local businesses with lots of foot traffic. Maybe your church would let your unit to sell after Sunday services?

When you confirm your location, ask if they need a copy of the council’s insurance coverage. If yes, you’ll find our Request Form at popcorn.stlbsa.org.

Assign 2 or 3 Scouts and parents to work the booth in 2-hour shifts.

Stack the boxes of products neatly, creating an appealing display.

Have the Scouts wear their Class A uniform during the sale.

Stand in front of the table, not behind it, to better engage the customers.

Create signs with pictures of your Scouts out in the community to show customers what their money is supporting.

Take Order Your Scouts can sell popcorn using the Take Order form anytime from September 1 until orders are due October 24.

STEP 1: Host a Unit Kickoff and distribute forms At a pack or troop meeting, gather the Scouts and parents, explain the sale and deadlines, get them excited about selling and give everyone a Take Order form. See the opposite page for kick-off ideas.

STEP 2: Collect the Scouts’ orders Set a deadline to turn orders in a week or so before you must place the unit order on October 24, giving you time to follow up with anyone missing and to tally everyone's orders together. You do not need to collect payment for the popcorn at this time.

STEP 3: Place your unit’s bulk popcorn order You must place your Take Order order online at scouting.trails-end.com by October 24. You should order the exact amount of popcorn sold.

STEP 4: Pick up your popcorn on November 7 or 8 You can find your district’s pick-up location on page 17.

STEP 5: Sort popcorn and distribute to Scouts Find a space for your unit’s popcorn, and divide it up for each Scout. The Scouts will then deliver the popcorn to their customers and collect payment (these checks should be made out to your unit.) If you need more popcorn than you originally ordered, call the council at 314.256.3038. Please see page 15 for our Return Policy.

STEP 6: Pay for your popcorn The Council will send you an invoice for your popcorn with your balance due in late November. You will submit one check made out to the council. See page 27 for payment instructions.

Don’t leave popcorn until the customer pays for it. Have customers make checks payable to the Unit. Count out loud when making change. Say “Thank you for your order. See you next year!”

Review safety rules for youth and adults:

Youth should be selling with a buddy or accompanied by a chaperone.

Emphasize that youth do not enter homes.

Online Sales Your Scouts can sell popcorn online anytime! For online sales, popcorn is ordered by and shipped directly to the customer.

STEP 1: Set up a Leader Account This will allow you to see which Scouts have created accounts and track any sales they make. Make sure you search for “Greater St. Louis Area Council” as your council and select the correct unit.

STEP 2: Have Scouts set up Scout Accounts Each Scout will need to visit sell.trails-end.com to set up a personal account. Scouts’ last names are never visible through this system.

STEP 3: Scouts can send a personalized link to family and friends To sell to friends and family who may be out of town or out of state, Scouts can generate a personalized link or email to send electronically.

STEP 4: Track your Scouts’ sales You can download a report of all your Scout’s sales and count any sales made between August 1 and October 25 toward their prize and bonus prize goals.

Your unit will not be billed for online sales. Each customer pays online at the time of purchase. At the end of each quarter, the Council will issue a check to your unit for a 32% commission for any sales in the prior three months.

NOTE: The Online Sales site (sell.trails-end.com) is different from the site you use to manage your popcorn orders (scouting.trail-end.com). You will have separate log-ins for the each.

Two Different Websites

The “Popcorn System” is scouting.trails-end.com, which is the site you use to manage your sale and order popcorn. Your log in will be given to you by Council. See p. 14 for more information.

You must register yourself for the Online Sales site. Make sure you create a LEADER account. If you have a child creating a scout account they will not be able to use the same email address as yours.

Show N Sell Return Policy

Only full, unopened cases of popcorn may be returned.

If your unit pre-orders more than 50% of its entire 2013 sales (Show N Sell and Take Order combined), the unit forfeits its return privileges. You can always order more popcorn once you sell your original quantity.

Use any leftover Show N Sell popcorn to fill your unit’s Take Order before returning popcorn to the council.

Returns will only be accepted at (1) Hautly Cheese in Fenton, MO on Thursdays in October, email [email protected] for appointment, (2) Ritter Service Center in Cape Girardeau, or (3) Southern Illinois Service Center in Herrin.

No SNS returns will be accepted after October 25th.

Take Order Return Policy Because you will order exactly what has already been sold to customers, there should be no popcorn to return. If you must return popcorn, please email [email protected]. Returns will only be accepted on a case-by-case basis. No returns will be accepted after money is due on December 5.

Online Sales Return Policy No returns for online orders will be accepted because the popcorn is sent directly to the customer.

Delivery & Distribution

On the distribution date: Pick up your order at your district’s assigned location (see the

following pages for details). Be prepared with enough cars and volunteers when you pick up your order. For planning purposes, here is an estimate of how much popcorn you can reasonably expect to fit in an empty vehicle.

Car: 20 cases

SUV/Minivan/Truck: 30-40 cases

Full Size Van: 50-70 cases

Check over your entire order at the distribution site to ensure no products are damaged and that your order is complete. If any products are damaged, exchange it before you leave or contact your local Service Center.

Sign your unit’s delivery slip to show that you received your complete order.

Storing popcorn and distributing to your unit: Find a clean, cool and dry location that is large enough to separate

orders by patrol, den, or Scout. Avoid hot, humid or damp areas where the popcorn might melt or be otherwise damaged.

Have a receipt for each patrol, den, or Scout to verify the amount of product they received.

After delivery, if customers notice something wrong or are not satisfied with the product, please direct them to email [email protected] and the company will arrange for a replacement product to be sent directly to the customer.

Be sure to order your popcorn by the deadline so that you can pick it up on the assigned distribution date.

Commission Options

All units receive a base commission of 32%. Each unit must choose one of two commission options:

Prizes Option (default option) Unit earns only base commission (32% total), and

each Scout earns prizes (see pages 22-23 for examples) based on the retail value of the popcorn he sells. See page 21 for prize ordering instructions.

Money Only Option The unit earns an additional 3% commission

(35% total) and no Scouts earn prizes, except Bonus Prizes.

If your unit chose the Prizes Option (see previous page), the Unit Kernel can order prizes right after placing your Take Order popcorn order. It will automatically tell the prize system your order totals, making the process simpler. Just click on the “Orders” menu, then select “Prizes”.

Scouts who sell at least $2,500 (online, face-to-face or combina-tion) in any calendar year re-ceive 6% of their total sales in-vested in their own college scholarship account. That is $0.06 of every dollar they sell! Once Scouts are enrolled, 6% of their sales each year will be added to their account. Scouts only have to hit the $2,500 mini-mum one time.

Blitz Weekends

September 26-28 October 17-19 We want to encourage Scouts to sell Take Order popcorn door-to-door by holding two Blitz Weekends. All Scouts who sell door-to-door either weekend will earn a special patch. Each weekend has a different complementary patch, which fit together. We will also have additional incentives for our top-selling units. It’s a great time to sell any leftover Show N Sell Popcorn! Here are some tips to make the most of your Blitz:

Set Goals for the Unit and the boys. E.g. Our troop’s goal is for every Scout to earn free Cub Adventure Camp, or John-ny’s goal is to sell $30,000 to win the Segway.

Divide the community up into Sales Territories for each Scout.

Break it down into bite-sized pieces for families: "Sell for 2 hours this weekend", "Hit every house on your street", etc.

Get 100% of your families committed and selling. Make it fun - wear a Mohawk, have games, prizes, music, get

your scouts PUMPED UP!

Fill It Up Contest

Challenge your Scouts to fill up an entire order form with orders. If they do, they'll be entered in a drawing to win cool prizes! Fill up an entire order form and send a copy to the Scout Office by Monday at 5pm each week September 15-October 20. Drawings take place the following Wednesday. Send them to Kim Westerman at [email protected] or fax to 314-256-3039. Send it in once, and you'll be entered every week. Filled up more than one form? Every additional form is another change to win!

Paying Your Balance

In late November, you will receive your unit’s final invoice in the mail.

Review the invoice to make sure everything is correct.

Get one check from your unit for the entire balance due made out to “Greater St. Louis Area Council BSA”.

Sign one copy of the invoice, then mail it with your check in the return envelope provided or send it to: Greater St. Louis Area Council, BSA PO Box 952685 Saint Louis, MO 63195-2685

Allow a week for processing. You can see if the check has been processed by downloading your Unit Invoice from the Reports section of scouting.trails-end.com and checking your Remaining Balance.

You may also pay in person at your closest Service Center. We still recommend waiting to receive your final invoice in November before paying to avoid any billing discrepancies. If you accidentally overpay, refunds can take up to 4 weeks to process.
