What On Earth is the 5-Year Plan? So glad you asked. The district leadership team values servant leadership and continuous self-growth. To this end, the 5-Year Plan is a formalized commitment to the present and future leaders of the district to accomplish objectives that will better serve the district. As your servant leaders, we commit to use our abilities and resources to accomplish improvements in each of the specific areas. Each of the district leaders has chosen specific areas for improvement in the coming Toastmaster year. As your District Governor, I pledge to improve the following areas: 1. Relationship building: Someone once said

that people align themselves with a person before they will align to a vision. If I want to see you share my vision, I first need to build more relationships. Many people will test the waters before they identify their future leadership intentions. When we treat others according to the Golden Rule or when we fail to treat others properly, we lay the foundations for future relations. I commit to leading with integrity, dedication to excellence, service to members, and respect.

2. Development of a leadership pipeline:

Our district’s future is shaped by current leadership as well as the process by which we can identify and mentor new leaders. The best defense against apathy, burnout and membership loss is the development of a leadership pipeline. As experienced leaders share experiences and transfer their knowledge to others, new leaders will be inspired by our servant leadership qualities and become the leadership pipeline. I

pledge to generously share my knowledge and dedicate resources to growing the leadership pipeline.

3. Corporate sponsorship: While the district has limited experience with corporate sponsorship, in the coming year we intend to formalize this concept. Corporations can allow clubs to use their facilities, underwrite printing/training costs or donate supplies. As your district governor, I commit to expanding the concept of corporate sponsorship within our district. Our 5-Year Plan is member and future-focused. We want to have a long-term plan to reach distinguished status. As your district governor, I commit to be accountable to you in these areas. As you may have noticed, none of these are “new and improved” ideas. Sometimes we just need to get “Back to the Basics” to accomplish goals that are well within our reach. Success depends on shared accountability between leaders and followers. I value each of you and want to see you succeed. The district needs your help. Capture the vision, join us and become the key to success in your clubs, areas and divisions.

Members and Teamwork

As the Lt. Governor Education and Training (LGET) for 2014 – 2015, I am excited about all the possibilities for District 63! Can you feel the energy? Change is in the air as district leaders and club officers welcome the 2014-2015 Toastmaster year. As Toastmasters, we continually educate and train as we eagerly

Accept meeting roles, speaking assignments and opportunities to lead at the club, area, division and district levels. By now, I’m sure you have heard of the 5-Year Plan. As your Lt. Governor of Education and Training, my areas of responsibility under the 5-Year Plan are membership engagement and teamwork. Membership Engagement

Member Goals – The district leadership team will continue to use Toastmaster Educational programs/workshops all across District 63 to help members set and reach their personal goals and to help eliminate the fear of public speaking. I pledge to help members establish goals and celebrate their success stories.

Training – I pledge to make sure the summer and winter Toastmaster Leadership Institutes, make-up trainings, and workshops are fun and beneficial to members across the district. One way to add fun to these events is to create themes. When you attend the District Executive Council meetings you will

get your fill of themes such as “It’s all about the Member”, “Back to the Basics”, and “Courage to take the Lead”. Are you interested? Wait…other themes include “Positive Praise” and “Attitude is Every Thing”.

Membership Experience - Our district is blessed to have many veteran Toastmasters who share their experience with members who are just starting their Toastmaster journey. I pledge to encourage veteran members to mentor novice Toastmasters. I pledge to make our district a place where all Toastmasters feel valued and can contribute to the success of the district.

Member Feedback – I pledge to take into consideration the feedback gleaned from the previous Toastmaster year. I want to tap into the district’s strengths and make improvements in areas of weaknesses.

Teamwork

I pledge my commitment to uphold the C’s of the building blocks of effective leaders - Communication, Connection and Core Values. As a District 63 leader, I will be clear and prompt with my communication. I will seek to connect with all members in the district. I will model servant leadership and the Core Values of Toastmasters: integrity, dedication to excellence, service to the member, and respect for the individual.

As LGET for 2014-2015, I am looking forward to all the opportunities that are out there for District 63 and its members. By focusing on membership engagement and teamwork, I hope to build relationships in Toastmasters that will last a lifetime. As individual members, I challenge each of you to embrace change and become engaged with the transformation sweeping over the district!

Why Not? Saturday, April 6th marks the day that I was elected Lt. Governor of Marketing (LGM) for District 63. District 63 is made up of approximately 2000 members in 87 clubs that extend from the Tennessee River in the west to middle and east Tennessee, southern Kentucky, and eight counties in the southwest

tip of Virginia. I joined Toastmasters in 2003 while working at Philip Morris, USA. My journey to the prestigious honor of Distinguished Toastmaster (DTM) and service to the Richmond community include the following accolades: Outstanding Toastmaster, President’s Distinguished Club, President’s Distinguished Area, President’s Distinguished Division, Division Governor of the Year and Past Lt. Governor of Marketing. Knowing where you are at any point in time is critical to success, that’s why I support the development of a 5 year plan focused on the expectations of the members and sustaining District 63’s legacy of success. The 5 year plan, an evergreen document, will serve as the footprint of our success. As Lt. Governor of Marketing (LGM), I pledge to improve the following areas: 1. Coaching / Mentoring

I will work with the district leadership team to enhance awareness of the Toastmasters International Club Coach Program. I will encourage and support existing clubs to take advantage of the

program and to create innovative ideas to support completion of the High Performance Leadership (HPL) Program. I will spread the word about the benefits of mentorship and its role in the achievement of the prestigious Distinguished Toastmaster (DTM) award.

2. Chartering New Clubs I will work with district leadership, past and present, to build new corporate and community clubs, and develop a District 63 Chartering Team with a focus on building strong clubs across the district.

3. Training I will strive to build organizational capability by working with district leadership and the Lt. Governor of Education and Training to develop training sessions that will promote growth through awareness of existing Toastmasters tools and resources (i.e. Free Marketing Resources, Digital Resources, Advanced Path/Map Out Your Manuals; District Performance Reports).

4. Relationships I will work with district leadership, past and present, to build on District 63’s legacy of success by developing lasting relationships within the community and corporate world. I will recognize the accomplishments of District 63 membership at all levels of the organization via social media, district newsletters, and annual events. I will enhance awareness of Toastmasters International resources designed to acknowledge corporate and community sponsorships through annual training events and quarterly newsletters.

The question for the New Year is … Why Not? Why not make this year a year focused on achieving your individual goals? Step up to serve as a Club Coach or Club Mentor; give back to the members of your home club and the district. You are a critical piece of our success! I cannot imagine the district without the members! 2014 – 2015 is our year to believe, achieve and exceed all expectations!

Introducing the Regional 5 Advisor

It was an ordinary spring day at work, back in 2002, when a co-worker invited me to a Toastmasters meeting. To entice me, he said that one of our clubs was having an open house and there would be free food. I love a free lunch, but before I said yes, I asked the one question that a lot of visitors usually ask before attending: “I won’t have to speak, will I?”

Several years later, after giving more than 100 speeches, serving in several club officer roles, serving in several district officer roles (both appointed and elected), driving several thousand miles around our district, and taking several vacation days for Toastmasters events, I accepted an appointment to be the Region 5 Advisor for 2014-2015. All of this happened because I wanted a free lunch and didn’t have to speak at a Toastmasters meeting. Looking back on that spring day in 2002, I can’t help but think that my co-worker somehow tricked me! Seriously, the only regret I have is that I didn’t join Toastmasters 20 years earlier. By now, some of you may be wondering, “What is a Region Advisor and how did you get appointed?” For years, each region was assigned two International Directors. The International Directors were responsible for creating and maintaining policy for the organization, and working with the leadership of their districts regarding their operational, day-to-day activities. Over time, Toastmasters International split the duties of the International

Directors and created a new position – the Region Advisor. As a result, each Region now has one elected International Director and one appointed Region Advisor. The International Directors focus on creating and maintaining policy at the International level, while the Region Advisors work with the leadership of their districts by focusing on the operational, day-to-day activities such as membership building, Distinguished Club planning guidance, special events, successes and conflict resolution. Much like Area Governors need to be available and responsive to clubs within their respective areas, Region Advisors need to be available and responsive to needs within the district. Our district is one of eight districts in Region 5. It is my privilege to serve the leadership teams of all eight districts – to help them help their members succeed, which in turn will help their clubs, areas, divisions, and districts succeed. I am really looking forward to serving as our Region 5 Advisor and representing our district to the best of my abilities. I truly believe that my success in Toastmasters is the result of those who came before me, those who took this journey with me, those who continue to travel with me, and most importantly, my faith. Thank you all for helping to prepare me for this opportunity.

Kim Santan, ACS, ALB Division C Governor

Hi, my name is Kim Santan and I’m the Division C Governor and Division Governor Coach. “What’s that?” you say, well a

little background first.

I joined Toastmasters (TM) in September 2009 as a way to network with fellow employees at Unum Insurance Company. Nobody warned me about the leadership journey ahead! Shortly after joining, my club asked me to serve as secretary; I would be at the meetings anyway and minute-taking didn’t sound too difficult; I agreed. The following year, I agreed to serve as the Vice President of Education only to find out that our current President was getting married and leaving Unum. I ended up serving as the Club President. From there, I stepped up to serve as Area governor, with no ambitions to go any higher. I’ve found that God has a funny way of teaching us lessons, and so about half way through the Toastmaster year, the Division Governor resigned and I ended up serving as both Area Governor and Division Governor concurrently for about 6 months. I am now entering my 2nd term as Division Governor, and to be honest, it’s the best job I’ve ever had. In my role as Division Coach, I am able to share my enthusiasm and love of Toastmasters with the other 5 Division Governors.

So, back to the original question, “What is a Division Governor?” A Division Governor serves as a liaison between the top three district officers and the members of a division. Division Governors plan, organize and implement all the major activities such as Toastmasters Leadership Institutes and local contests. Division Governors also plan additional training or other activities that might be helpful to the members of the district. For instance, during my

first year as Division Governor, I organized a special training event on speech contests and judging. Division Governors make sure that Area Governors have what they need to be successful in their role and assist them with any questions from their clubs. I visit each of the clubs in my division and help with any special events they may have planned. As a matter of fact, I had the honor of serving as the keynote speaker at the speech craft graduation for our Hixson club and have helped in various roles in club speech contests and open houses. Division Governors have extraordinary opportunities to build relationships within their divisions. Last year, I also oversaw the Division C Celebration under the leadership of Gayle Mingledorff. Gayle is a member of Monday Mumblers who were celebrating their 55th anniversary. As the oldest club in Chattanooga we wanted to celebrate this milestone in a big way… the 55th anniversary of their club became a division-wide celebration. Each club provided a display, gave tribute to Minnie Rader, a former Division C Toastmaster who died earlier in 2014, and walked through the decades recognizing major events in Division C history. There were games, food and frolic throughout the night; everyone had a great time. As a matter of fact, we had so much fun, that we have decided to make this an annual event in Division C to celebrate the accomplishments of all the clubs in the division. If you love Toastmasters, enjoy sharing your Toastmaster knowledge and want to build positive friendships throughout your community, consider stepping into the role of Division Governor!

Hi, I’m Jayne Phillips and I am proud to serve as the Area 42 Governor, Division D and Area Governor Coach for the 2014 – 2015 Toastmaster year. I have been a member of Area 55, Division E Metroplex Motivators Club since 2007 and have served in the following club officer roles: Sergeant of Arms, Vice President of Education, President, Treasurer, Vice President of Public Relations and Secretary (current position). The Metroplex Motivators club meets each Thursday from 12 PM to 1 pm at 490 Metroplex Drive, Nashville, TN. We are an open, corporate sponsored club and would love to have you visit. After serving at the club level, I served 2 consecutive years as Area 55 Governor (2010-2011, 2011-2012), followed by Division E Governor (2012-2013). One of my proudest accomplishments is the honor of being awarded Division Governor of the Year. You may be asking yourself, what is an Area Governor? The Area Governor serves as the direct liaison between the district and the clubs. What are the responsibilities of an Area Governor?

- Assistance and support for area and division-wide events

- Attendance at District Executive Council meetings

- Communication to clubs within your area (as early as possible!)

- Plan. It is crucial to communicate and engage the club officers. Be sure to use the available

- Organization/Planning of area contests - Provision of support services for club

officers within your area - Submission of Area Governor Reports on a

timely basis - Visiting clubs in your area in preparation for

submitting Area Governor Reports Of these areas, let’s take a closer look at assistance and support for division events and area governor visits. Assistance/Support for area and division-wide events Have you ever heard the phrase, “It takes a village to raise a child?” Well, it takes a village of Toastmasters to successfully conduct area and division events. Area Governors are vital to the favorable outcome of training and contest events. Area Governors have unlimited opportunities to establish relationships with fellow district leaders at District Executive Council meetings. When you establish these bonds of friendship, you’ll have fewer problems recruiting Toastmasters to fill in roles for area and division contests. I have experienced firsthand the need to call upon my peers to fill in for me during a Division D/E/F Contest when my father was ill. My peers stepped up and filled in for me… the contest went on without a hitch.

Area Governor Visits Area Governors are required to visit each area clubs at least twice a year. The best way to ensure a successful visit is to reach out to your club officers in advance and plan the visits early in the year. Division Governors typically send out a spreadsheet that will list all the officers in your area clubs. As soon as you can, introduce yourself and go over the club’s Distinguished Club Plan with the officers. Once these tasks are complete, assess the strengths and weaknesses of the club. Perhaps the club can benefit from a Better Speaker Series or Better Club Series Presentation - offer to present these to club members – and be sure to get

speech credit for your presentation! Finally, be sure to provide encouraging communication and consistent follow-up to ensure progress with the Distinguished Club online resources such as the Initial Area Governor and Final Area Governor Visits’ forms to assist you in your responsibilities. My journey from club officer to the district Area Governor Coach has been an exciting one! I know that together we can accomplish amazing things! I am looking forward to working with all of the District 63 Area Governors.

Cothron and Leona Johnson will form the Public Relations Committee for our District. We, as the District 63 Public Relations Committee pledge to increase communication and member engagement in public relations activities throughout the district. By increasing communication and engagement, we can build bridges that span individual, club and even cultural differences. Stacci will serve as the public face of the Public Relation Committee and is the official Public Relations officer. Her responsibilities include coordinating all aspects of public relations for the district leadership team, ensuring compliance with Toastmaster International branding requirements, and updating the web site. Jeanetta will serve as the newsletter editor. She is responsible for soliciting, editing and formatting articles. Leona, with the assistance of Don Bittick, as well as input from the district leadership team, will be responsible for revamping of the District 63 web site. Once the web site is operationally functional, Stacci will update the web site content so Leona can become responsible for the district’s social media efforts such as Facebook and Instagram.

The Public Relations Society of America conducted a crowdsourcing campaign to produce the following definition of public relations: “public relations is a strategic communication process that builds mutually beneficial relationships between organizations and their publics”. Is your relationship with your local Toastmasters club beneficial? What about your relationship with your area and division clubs? What about the district clubs and specifically the district leadership? Can any of those relationships be better? Intrigued? Curious? Then keep reading. District 63 covers a vast area. So vast, in fact, that one lone public relations officer is unable to effectively keep up with all the district activities while simultaneously updating the web site and coordinating the newsletter. Get Moving! Make your speeches interesting through body language.

Here’s how you can incorporate appropriate body language into your speeches:

Start with eye contact. Focus on individual listeners for five to 10 seconds.

Smile!

Express emotion with your facial muscles

Avoid distracting mannerisms –such as fidgeting, twitching, key jingling, hands in pockets.

Highlight the action verbs with action.

Stay true to your personality. Respond naturally to what you feel and say.

Make gestures convincing. Every hand gesture should be total body movement that starts from the shoulder – never from the elbow.

Vary your speaking position by moving

from one spot on the stage to another.
