President’s Column Welcome to the October 2013 edition of the PMI Netherlands Chapter newsletter. While writing this the Chapter Board is smoothly changing. Although elections for board members don’t seem to work for our chapter, we are close to filling all open positions renewing ourselves as we should do to grow. I am pretty sure that for the next edition of the newsletter we will present some new faces and of course the people behind those faces will introduce themselves at the annual meeting early next year. But before that we will have some exciting chapter events such as the one at ASML on the 15th of November and then one on the 28th of November at Philips Healthcare. Keep an eye on the website www.pmi-netherlands-chapter.org and make sure that you stay tuned and attend as many of the meetings, webinars etc. that you can. Coming up as well is the annual chapter survey. Please take a few minutes to complete this survey and send us your valued feedback. We are looking forward to receiving your feedback, criticism, and suggestions for improvements. I do promise that we will have a good look at the commentaries we receive from you as that helps us in growing and developing ourselves, staying close to what you, our valued members are looking for in the chapter. However bear in mind that everything we do is based on the effort of volunteers and that sometimes slows us down. There is however a remedy for that - you become a volunteer yourself. Interested? Check out VRMS at https://vrms.pmi.org/. Do you have other ideas that don’t fit in VRMS? Let us know via the annual survey of simply contact one of the board members. We are open to your ideas and wherever possible will support you. Perhaps the easiest opportunity is creating some input for our newsletter. There must be plenty to share, so write it down and experience the fun of that! Małgorzata, our Director of Marketing and Communications, is very willing to support you. Feel free to contact her for guidelines, support or input. Looking forward to your contribution! Last but certainly not least I would like to mention the upcoming PMI Netherlands Summit 2014. The call for papers is out and preparations for this event are already underway. Thank you for giving us your feedback via the small survey we had a few weeks ago. We will carefully look at all your suggestions and create a program that hopefully closely meets your expectations. Welcome to the October Edition Welcome to the October 2013 edition of PMI Netherlands Chapter Newsletter, which in one place tries to gather all the news about our Chapter. Upcoming month will give you opportunity to attend 2 Chapter meetings and one webinar (see Events calendar). It is also a very busy month for participants of the PMP Exam coaching class organized by our PMI Netherlands Chapter. We’ve received first positive feedback of the autumn issue and we will be happy to see you in next edition, early next year. To give you even more opportunity for development, we invited Jan van Egmond to share with us how the Toastmasters Club can help us to be even better Project Managers = better Communicators. Last month we’ve started the preparations to the 2014 PMI Netherlands Summit. So please do not forget to book 12th June 2014 in your calendar. Events calendar

Update on Events On October 7th we were hosted by the AVANS University in Den Bosch for the second time this year. About 120 attendees including 75 students enjoyed the session on the exploration of the question “How does team diversity stimulate innovation and high performance?” The networking session afterwards in the bar of the university showed that the students were very talented networkers.

On November 15th we are guests at the premises of ASML in Veldhoven during a Friday afternoon session. The topic of this session will be Risk Management. The speakers – General Major T. Tieland (2nd in command of the Royal Dutch Airforce) and Karel de Bakker (University of Groningen) – will share their experiences and visions on the topic followed by a group discussion and Q&A session with both speakers and Herman Mooi from ASML.

Finally on November 28th we will have the last Chapter Meeting of this year. We are invited by Philips Healthcare in Best. The topic of this event is Project Management Culture. How do you determine the need for a (new) culture? How do you determine the goals? How do you achieve these goals? are the subtopics on which the speakers – Ed Babrich (Vice President Business Transformation at Philips) and Peter Storm (Former Dean of the Faculty of Management at the Open University of the Netherlands and awarded for his research in the area of Project Management by PMI) – will share their vision and ideas and challenge you to share yours.

Both November Chapter Meetings are open for registration. Please don’t hesitate to subscribe. The number of seats is limited and as always: Chapter Meetings (of course all without entrance fee) will give you the opportunity to gain knowledge, discuss the topic and network.

Retrospect “Euregio Project Professional Meeting” in Heerlen on Sept 25, 2013

As initiated by PMI Netherlands Chapter in cooperation with IPMA Netherlands a combined meeting of about 50 members from both PM organizations across Belgium, Netherlands and Germany was held by APG Groep B. V. (pension system for 4.5mln Dutch people) for elaborating and exchanging more information on project governance but also for getting further insights on the role of a project sponsor that is hardly defined anywhere.

First of all, Mr. Stellingwerf started with a little surprise that none of the attendees did really expect: ISO21500 („Project management – Guide on project management“) got ranked as no.5 in the sales charts of all over 80tsd. ISO standards! By working for ISO/TC 258 SG1 he develops a framework for project governance that is associated to ISO21500. But project governance does rather focus on interfaces between project management / program management / portfolio management and their stakeholders. Shortly described it deals with following objectives:

(1) Framework and principles by which projects are directed and controlled.

(2) System by which projects are directed and controlled.

(3) Assurance to do the right projects right!

Thus, project governance surrounds the environment of projects, programs and portfolios by making sure that environmental factors and organizational process assets are considered from the very beginning of any project life-cycle and maintained over programs and portfolios, too. A certain consensus on general definition of project governance has already been achieved but needs to be broken down in further details for which Mr. Stellingwerf was interested in getting more volunteers. Coming from theory into practice, Mr. Savelkoul, Manager Programme & Project Management, continued in giving a few more insights on project governance on how it was implemented at APG. Based on various analyses the success of a project very much depends on the commitment of sponsor (12%) and relationship between sponsor and project manager (12%) among many other managerial things. Therefore, it is the key to find the right match between sponsor and appropriate project manager. Usually, a sponsor looks for someone who does have same nature of person like herself of himself but those relationships are not always the best for the project team and its success of project by the end of the day. So, a perfect match between different human criteria for both sponsor and project management would be an ideal constellation that can be hardly found. For instance, he made very clear that an ideal sponsor cannot be easily found for endeavors such as a change of furnishing or even IT equipment of offices as those jobs are not valued enough in his

company. Here, project governance can help to tackle those obstacles in creating a better project environment for obtaining a higher performance and outcome of projects.

Finally, Mr. Hoitink illustrated the topic about project sponsor. There is hardly anything defined what a project sponsor should do, which skills the person should have and what the upper management can do to ensure finding the right sponsor for their unique project type. As a next step it got time for playing a game called “Cross the line Challenge”! All attendees were asked to leave their chairs and build up a lane along a line lying on the ground. He asked us several typical questions about project sponsorship and project management at which only those attendees should cross the line if they can answer the questions with a clear “Yes”. Questions about satisfaction on one’s project work and performance also in relation to project environment were brought up. The tricky part was for all those attendees who did cross the line in answering why they could not say “Yes”. Here, it was quite interesting to see how certain persons with their individual background reacted and what reasons they brought up why they did not cross the line. One person even stood still onto the line because he was not satisfied with his project work as he wanted to have bigger projects. All in all, it was a lot of fun and learning that all participants enjoyed.

Mr. Pijs and Mr. Fredriksz closed the event in saying good-bye to everyone and giving an outlook that such events of inter-chapter and inter-PM standards collaborations will be repeated in the near future.

Impression “How can Project Managers use diversity, creativity and innovation” in Avans

Hogeschool on October 7, 2013 On Monday October 7th 2013, at their premises in ‘s Hertogenbosch, Avans Hogeschool hosted a PMI Netherlands Chapter Meeting regarding, “How can Project Managers use diversity, creativity and innovation?“ Theresa Sigillito Hollema and Joost Kadijk gave an inspiring presentation about the awareness, skills, and approach needed to capitalize on diversity and creativity within your project … and beyond. The presentation and exercises showed that the following aspects can really make a difference in your success as a Project Manager. Have an open mind, show passion, be realistic in what you want, have fun on the job, care for your team, think of what you can do today, think out-of-the box, take your time to listen and to search for diversity and creativity. Besides this useful presentation it was a pleasure to take part in the interaction between a large number of students from Avans and the attending Project Management Professionals from PMI. The students were very enthusiastic and eager to learn from the professionals. It was great fun to be able to give advice on a variety of project management topics in return. There’s a lot of potential out there.

PMP Exam Coaching Class in Action On 19th October, an autumn PMP exam coaching class started. It gathered people from around the world (Italy, Poland, USA, the Netherlands, Brazil…) but there were no language barriers since the classes were in English and the topic was the PMBOK. The main goal of the class was to learn how to understand exam questions and to answer them the PMI way. By discussing interactively in class with experienced PMP’s acting as volunteer coaches and listening to other people’s view, attendees were able to gain yet another insight into preparing for the exam which you don’t normally have when you prepare for the exam on your own. Being open to others’ experiences makes participants more adept to let loose of their fixed beliefs which they might have formed and developed over time and that’s a great benefit. The PMBOK is filled with best practices for project management regardless of industry, geographical area, or size etc. The greatest value is realized when you discover new ideas to implement that can improve your own project. After all, isn’t our challenge in projects and in the exam to choose the right option to improve the situation?

Exam-takers experience that the right answers to exam questions are not always correspondent to their own life experiences or the theory as they know it. And people often say, “here is a underlying so-called PMI-ism at work”. We say that every project has unique features, but on the other hand there are a lot of similarities and synergies too. Above all, in every project you put yourself in a contingent situation. For this reason, an open mind, quickly sensing, seeing from different angles and understanding what is at stake is a kind of mental agility which helps you immensely in relating to the wealth of practices, tool & techniques contained in the PMBOK . While it´s not the direct goal of our exam coaching class, which is to support candidates preparing for their exam, in my opinion an open and flexible mind has great intrinsic value in your project life when choosing the right facet of your project to improve. Just hearing the

introductions of the class participants makes us aware that we have an interesting and diverse group, with a mindset to share and learn from each other. It will not only help them to gain their PMP or CAPM credential but to also further develop into successful Project Management Professionals. Our next PMP Exam Coaching Class starts in February 2014. If you want to enrol, do it early, we do take registrations on a first-come, first-served basis.

PMP Exam Coaching Class Feedback from Lesson 1

Although I’ve been working in projects for more than ten years, from small to large size, I’ve never went through a formal training except for some crash courses from experienced colleagues or introductory workshops. I’ve mostly learnt from peers or by reading some reference books on the subject. As I got to know the PMI and the Netherlands Chapter, I started following some of their monthly meetings and I got interested in studying the PMBOK and obtaining my PMP certification. The main motivation for me is the desire to align with a well-established toolbox of processes that can improve project management “interoperability” and efficiency, and enrich my CV with a widely recognized certification. As I have a full-time job, I kept postponing this wish until I learnt about the opportunity to attend coaching classes that combine self-study with face-to-face group meetings where PMI volunteers support the preparation for the certification. Coaching classes are organized in a cycle of 4 Saturdays that is offered twice a year. I subscribed to the autumn cycle and went through the first lesson last 19 October in Utrecht. A group of 15 people gathered together in a nice U-shaped conference room. The background was quite heterogeneous in terms of nationalities and business area although most of the people were involved in IT-related projects.

Margo and Jolanda were the PMI volunteers who decided to spend their Saturday to support PMP aspirants. They made clear that their goal was to keep the session open, interactive and fun… and they managed to do so. The 6 hours slipped away very smoothly, there was good rhythm in the leading of the two coaches, and the approach was very effective. Beside some quick overview on the topics that we were asked to study in advance, we got two set of 25-questions to answer in 30’ each. Then, we received the correct answers with the explanation of why only one was right, while the other not. After that, each of us went to a whiteboard and noted the wrong answers. The whiteboard became a focus point of the gaps of the group and the learnings that were used by Margo and Jolanda to start a discussion bringing in real-world experience that helped us understand the PMI view on the situation.

Overall, I found the day very pleasant and fruitful. I met a good set of people and I’m looking forward to the next classes and, last but not least, “to measure the impact” of this learning through attending the PMP certification.

PMI and Toastmasters are both about Leadership As revealed in a recent report from PMI Pulse of the Profession TM (http://www.pmi.org/Knowledge-Center/Pulse/Pulse-Communications.aspx), 55% of project managers agree that effective communications to all stakeholders is the most critical success factor in project management. It was exactly for this reason that I joined the Toastmasters club years ago. For about 90 years, Toastmasters International has been recognized as the leading organization dedicated to communication and leadership skill development. Through its worldwide network of clubs, Toastmasters helps more than a quarter million men and women of every ethnicity, education level and profession build their competence in communication so they can gain the confidence to lead others on a weekly basis. My membership contributed significantly to my professionalism. I got new jobs and assignments due to the skills learned. I'm requested as a speaker and use my skills as a resource for building a new business: myself. A Toastmasters meeting is a “learn by doing” workshop. Members give short speeches which are evaluated by other members. All roles, from time-keeper and “ah-counter” to the Master of Ceremonies are performed by members both as a leadership and public speaking exercise.

In 2007, I participated in a chapter meeting of PMI Netherlands, which was facilitated by "Het Sprekersgilde," one of the Toastmasters clubs in Amsterdam. I had never heard about this organization before. I was deeply impressed by the presentation skills of the speakers, energy and confidence of the Master of Ceremonies who introduced the speakers. When I became a member, I learned that Toastmasters is much more than just advanced presentation skills. It is about leadership.

Leaders must not only accomplish, they must communicate. By regularly giving speeches, gaining feedback, leading teams and guiding others to achieve their goals in a supportive atmosphere,

leaders emerge from the Toastmasters program. The organization answers a new generation’s plea: Where can I go to become a better communicator and ultimately, a stronger leader? When visiting a club as a guest, you can expect a warm welcome every time at each club. I joined Toastmasters as a member of “Het Sprekersgilde.” I launched a successful club in Amersfoort, fulfilled board functions and was area governor for the area of the Flevopolder, Utrecht, Gelderland. Recently I’ve initiated a better speaking club for consultants, professionals and project managers. This new club both builds on the proven Toastmasters Program as well as the popular management philosophy of The Theory of Constraints (www.toastmasters.nl/toc). Toastmasters members learn to tell their stories. They listen and answer. They plan and lead. They give feedback — and accept it. Through our community of learners, they find their path to leadership. Toastmasters Club is probably the best place to improve your communication skills and develop the most critical success factor for project management.

Chapter Guest Pass program

Are you a PMI member living or working in the Netherlands and who has not joined our chapter yet? Want an easy way to find out how great the programs of the PMI Netherlands Chapter are? Make use of the Chapter Guest Pass program now!

There are more 1200 PMI members in the Netherlands, but we only have 837 people who are members of the PMI Netherlands Chapter. The Chapter Guest Pass program is meant to introduce PMI members who are not a member of the PMI Netherlands chapter, with an opportunity to join the chapter for the remainder of their PMI membership. This way they can discover the benefits, activities and value of joining our chapter by trying it out at no cost for the remainder of their PMI membership cycle (read: gratis, ).

How does the program work?

The PMI members are proactively being approached by our Operations Officer to inform them about the Chapter Guest Pass program. They receive a code to activate the Chapter Guest Pass program.

The Chapter Guest Pass is valid for one time use from the point of initiation through the end of the member’s current PMI membership cycle. We encourage the PMI members to activate the code as soon as possible to get to become fully immersed in the chapter and its activities and enjoy the benefits for the maximum amount of time.

Since the launch of the program earlier this year, more than 70 PMI members have joined the PMI Netherlands chapter using the Chapter Guest Pass. If you’re not a member of the chapter yet, use

this program to discover the benefits, activities and value of joining our chapter. And if you’re a member of the chapter and know other PMI members who are not a member of the chapter, share this information with them and let them know that they can now join for free. We will be happy to guide them through the enrolment process.

Grant me the serenity to accept the things I cannot change.

The courage to change the things I cannot accept, and the wisdom to hide the bodies of those I had

to kill today because they got on my nerves. And also, help me to be careful of the toes I step on

today as they may be connected to the feet I may have to kiss tomorrow.

Help me to always give 100% at work.... 12% on Monday 23% on Tuesday

40% on Wednesday 20% on Thursday

5% on Fridays And help me to remember...

When I'm having a really bad day, and it seems that people are trying to wind me up, that it takes 42 muscles to frown, 28 to smile and

only 4 to extend my arm and smack someone in the mouth!

The easiest way to get the proper engagement of stakeholders in your project is to miss the first deadline.

Project manager is...

...a person who thinks nine women can deliver a baby in one month. The longer the project report, the fewer people read it.

It doesn't matter what your boss thinks as long as he doesn't cry.
