Dear Trekker:

Thank you or registering or the2011 Trek Across Maine. This will be the 27thannual ride and we are excited to celebrate the success o the American LungAssociation with a weekend ull o un. The Trek is one o Maine’s largest healthpromotion events and a celebration o volunteerism, ftness, cycling, and mission-based undraising, along with un and memories to last or many years to come!

The Trek is more than just a 3-day bicycle ride. The average amount o money

raised by Trek participants is 50% higher than the minimum required. While somefrst time Trekkers ocus largely on the event, many join those veterans who havebecome deeply connected to our mission. The Trek Across Maine provides the vastmajority o our resources. Trekkers are the investors in our work and we take thisrelationship very seriously.

We are committed to assuring that the maximum amount o money raised by theTrek goes to our mission–oriented work in Maine and not to overhead. You are

a critical actor in keeping costs down. We are very pleased that so many o youare using our electronic options or undraising and communications. Your actionsreduce our expenses and reduce pollution.

WHAT TO EXPECT AT YOUR TREK EXPERIENCE

Your Trek Experience Includes:

• Dinner on June 17; break ast & dinner on June 18; break ast & lunch on June 19• Overnight accommodations or June 17 & 18 based on choice and availability

in a dorm room, gym/feldhouse or campsite. Additional accommodations areavailable at your own expense. ALA provides shuttles to designated motels.

Completing Your Paperwork

You can submit Trek related paperwork via email, snail mail (postmarked by) or axbe ore May 24, 2011 to quali y or speedy check-in.

Your paperwork is considered complete once you have:• Submitted the minimum o $500 in pledges or $400 or ages 7-17 (collected

and/or billed)

• Had your bicycle inspected and have submitted the Bicycle Inspection Form(signed by a bike shop). You may have your bike inspected in your state• Signed and submitted your Sa ety and Crash Prevention/Code o Conduct Form

Note: DO NOT send any paperwork after May 24. Once this date has passed,you must bring all paperwork with you for regular check-in at Sunday River on June 16, 2011.

Speedy Check-In

Speedy check-in is a huge beneft to Trekkers when they are checking in a SundayRiver on Thursday evening (2:00pm—9:30pm - Line closes at 9:15pm). The line ismuch aster, in act, it’s speedy!

As a part o speedy check-in, we simply ask you to sign our Waiver o Liability, pick up your commemorative Trek t-shirt, map and other event items.

Trekkers who submit all their paperwork and a balance o $500 in collected orbilled pledges by May 24, 2011 are automatically qualifed or Speedy Check-In.

Trek Accommodations Options

Gym and camping areas are available on each campus. Trekkers are able to sign upor a dorm bed, not a dorm room. ALA provides a dorm bed waiting list option or

Trekkers that are interested in requesting a dorm bed the weekend o the Trek.

Waiting List Rules:• ALA will take names or the waiting list on Thursday, June 16th at Sunday River.

No names will be added to the list prior to this date.• The list will be capped at 200 names on a frst come-frst served basis.• You can request a bed in the same room as a riend/ amily member, but we

cannot guarantee that your request will be ulflled.

NOTE: If you are not attending the Trek, you cannot give your bed away toa friend or family member. If you can’t attend, please contact ALA with thisinformation and your dorm bed will go into the pool for available rooms onthe waiting list.

Colby Loop Route Accommodations

I you select the Colby Loop option you will stay at the Colby College campuson both Friday and Saturday night. You and your bike will be transported romFarmington to Colby College on Friday, between 12:30 p.m. and 4:30 p.m. Yourluggage will be transported directly rom Sunday River to Colby College campus.

I you choose “o campus” arrangements on Friday, you must arrange your owntransportation to and rom the campus as shuttle service will not begin untilSaturday at 1:00 p.m.

Alternative Accommodations

Optional accommodations are also available o site, but you must make and payor your own reservations. ALA provides shuttle service to/ rom the below listed

motels and on college campuses.

Trek Volunteers are responsible or li ting over 4,500 pieces o luggage each dayand you will carry your own luggage to your dorm room (a ter a ull day o cycling).Please pack in small sized so t-sided du el bag weighing no more than 20 lbs.Each Trekker is allowed one personal bag and one sleeping bag (and one tent i camping).

Identifying Yourself

Each Trekker is assigned a unique Trekker number. This number is used to identi yyou during the entire weekend. For sa ety purposes it is mandatory to wear yourTrekker number while riding. Should you have a problem, this number will help usretrieve your medical and emergency contact in ormation immediately.

You will receive your Trekker numbers when you check-in at Sunday River alongwith instructions on proper number placement.

Identifying Your Luggage• You will receive two luggage tags. One is or your du e bag and one is or your

sleeping bag.• I you are camping you will receive three luggage tags. One is or camping gear.• The color o your luggage tags will correspond with the color assigned to your

accommodations or Friday night (ex. dorm, gym, camping). The number on yourluggage tag will match the number on your meal bracelet (ex. 1, 1*, 2, 2*).

• I you are taking a bus home rom Bel ast on Sunday, June 19, you will receivean additional orange luggage tag. It is imperative that you put this tag on yourluggage in addition to your other tags. Your luggage will be placed under aseparate tent in Heritage Park on Sunday in Bel ast.

• When you have arrived at the luggage location or your accommodations, thenumber on your meal bracelet will tell you which row your luggage will be in.

NOTE: Please be sure to remove all old luggage tags from previous years toavoid any confusion!

Identifying Your BikeBe sure to place your bicycle in the designated secure area and lock it. Each campusprovides security personnel to guard bikes.

All undraising must be accompanied by a completed pledge sheet, with the Trekker’s

name & Trekker Number. Without this in ormation we are unable to properly enterpledge in ormation into your account.

Cash:

Trekkers must convert cash to a bank check or money order (not a personal check)be ore submitting to ALA.

Checks:

Checks must be sent to ALA (by the Trekker or donor) as soon as they are writtenor collected. All checks must be payable to ALA. I you receive a check made out toyou, please endorse the back and write “payable to ALA”.

Billed Pledges:

ALA o ers billing service or pledges in the amounts o $25 or more. Please sendyour pledges to ALA on the provided pledge sheets or enter them online. The frstbilling will be mailed mid-July and continued on the 15th o each month throughOctober. Remaining unpaid pledges that represent the $500 undraising minimummust be collected or paid by the Trek participant.

Online Services:

• Donations can be made online using a credit card• Trekkers can enter pledges online themselves or donors who have asked to be

billed. Donors requesting to be billed will receive their frst bill a ter the Trek inmid July.

• Trekkers can NOT enter collected donations online (i.e. checks, money ordersor workplace giving). These should be mailed to our o fce.

Draft a Target List

You will be surprised at how many people you know and what a resource theycan be or undraising and encouragement. Remember you are not asking or acontribution or yoursel ; you are asking or their support o the American LungAssociation.

Fundraising Online

Create a Website: You can create your personal Trek undraising web page throughALA online services.

You can then email your page and request contributions rom amily, riends, co-

workers and businesses. The recipient can pledge you directly online with a creditcard, or they can choose to be billed a ter the ride.

Send out E-mails: E-mail is a great and simple way to get in ormation to a lot o people in a short amount o time. Unlike letters sent through the mail, e-mails canbe much shorter but can still be power ul tools to help you get your undraising

message to a large group o people.

When you write e-mails to potential donors, be sure these people actually usee-mail as a way o communication. For those people that use it everyday, it can be agood way to gain ast access to your audience.

It should be noted that e-mail may not be appropriate when targeting your "HeavyHitters" or large donations. In the event you are seeking large donations, a

personalized letter or ace to ace request is a better option.

FUNDRAISING MANAGING DONATIONS

Set a Deadline

People are generally motivated by deadlines. We give you a deadline or your ownundraising, and we recommend you give your donors an even earlier date. This is a

good way or you to assess your progress be ore it is too late.

A Gentle Reminder

Many people will get your letter, think to themselves that they would love to help,put the letter aside and completely orget they even received it.

The best way to send a reminder is to give personal training updates. Tell them howyour training is going.

Let them know that the undraising is going well, but that you still have $X togo be ore you reach your goal. At the end, ask them again i they would considersponsoring you or this great cause.

Single out Special Donors

Finally, think about setting at least one high giving mark or single out a hand ul o people you think might consider this higher level and writing them separate letters.

Note: Remind them that their donation is tax-deductible.

SAFETY REGULATIONSRULES TO KNOW AND FOLLOW

Rules:

• Ride on the right side o the roadway, with tra fc. Remember: No Dra ting!• Children under the age o 7 may not ride. Children between 7-12 must ride on

a tandem bike or tag-a-long.• All Trekkers under 18 MUST ride with their parent or guardian at all times

during the Trek (limit three children supervised per adult).• When riding, you must always wear an ANSI or SNELL approved helmet, even

on college campus grounds.• Riding with a MP3 player, iPod or other music device IS STRICTLY

PROHIBITED!• Obey the signals and instructions o the Trek Volunteer route marshals, sa ety

patrol and riding police o fcers.• The American Lung Association in Maine and our many volunteers

provide route support rom 7:00am until 3:00pm.• The Bicycle Coalition o Maine provides Sa ety Patrol support along the

Trek Route. The Sa ety Patrol cyclist are along the route ensure everyone ispracticing sa e cycling habits. They can be identifed by their neon yellow sash.

• Riding Police O fcers and Riding Medics are also present along the routeensuring the sa ety o all our Trekkers• Be mind ul o automobile tra fc. The general public is not used to 2100 cyclists

on the road and may not be paying attention to their driving.• Ride in single fle. We must share the road sa ely and respect ully with all

vehicles and other cyclists.• Ride a sa e distance away rom the cyclist in ront o you.• Never stop abruptly in the middle o the cycling lane.

• Be ore you stop on the road, shout “Stopping” and give a hand signal. Pull as aro the right side o the road as possible.

Before You Ride Safety

Maintain & Regularly Inspect Your EquipmentBe sa e and keep your bike tuned up. Take it to one o our Sponsoring Bike Shops atleast twice a year or pro essional inspection. Secure any loads tightly to a rack ortrailer. Be ore every ride be sure to:

• check that the brakes work properly and don't rub• check tires and to ensure that they are frm• make certain quick releases and other bolts are tight

Be Prepared Always take along basic tools, patch kit, pump, rain gear, a ew extra dollars andchange ( or a pay phone). In addition to water bottles, pack an energy bar just incase your ride lasts longer than expected.

Dress for the OccasionWear bright colors to be easily seen. Don't wear loose clothing and don't leaveany laces or strings dangling or they may get tangled in the gears or wheels. Wehighly recommend that you wear padded cycling shorts to help prevent cha fng andadditional padding or long rides. Cycling gloves protect your hands and help reduce

atigue. NEVER wear headphones on a bike, you need all your senses!

Wear a Helmet Correctly

Helmets are required by law or anyone under 16 but everyone is required to weara helmet in order to participate. I your helmet doesn't ft properly, it isn't likelyto serve you well i you crash. Do the "Eyes, Ears, Mouth Test" every time you gocycling. First, place the helmet on your head -- it should be level and snug. I it slidesaround you need to insert additional pads.

• Eyes: looking up past your eyebrows, you should seethe edge o the helmet

• Ears: the straps should meet right under your earlobes• Mouth: when buckled, the strap should be loose

enough so you can breathe and insert two fngersbetween it and your chin, but tight enough that i youdrop your jaw you can eel the helmet pull down onthe top o your head.

While You Ride Safety

Watch for AnimalsAnimals are o ten excited by the movement o bicycles. Always yield to horses.Most unleashed dogs are not dangerous. Simply stopping may halt their chase.Squirting water and a orce ul "NO!" also work well. Never kick at dogs.

Use Care at Rail Crossings

Always cross train tracks at right angles and avoid drain grates to prevent yourront wheel getting pulled down.

Don't Swerve Between Parked CarsRide in a predictable manner by proceeding in a straight line.

Make Eye Contact

The best way to communicate your intentions with other drivers is to get theirattention with eye contact.

Be Prepared for Weather ConditionsI it's raining, allow yoursel extra distance to stop. I it's clear, use ample sunscreenand drink extra water.

Anticipate Hills by shifting in advance.

Only Pass on the LEFT Only pass on the le t o other cyclists. Call out “On Your Le t” to warn them.

Create GapsCreate gaps in the line to allow space or passing cyclists or cars to advance.

Think For Yourself -- Fight Mob Mentality When riding in a large group, the "strength in numbers" can be intoxicating.Remember that individual thinking and action is essential or everyone's sa ety.

Ride Single File in Traf cAlways ride single fle except when passing others. Also, noti yother bicyclists o approaching cars by shouting "car back!"

Watch for Potential HazardsScan the road 100 eet ahead or hazards such as debris, tracks, drains or potholes.Allow time to maneuver around these hazards and negotiate with tra fc. Avoidriding into an opening with tra fc. Avoid riding into open car doors by givingyoursel 3 or 4 eet.

Warn Others When Approaching Bicyclists must yield to pedestrians. Be courteous by warning others with a ring o your bell or a riendly greeting. Allow plenty o space when passing.

Signal Before Stopping When you are preparing to slow or stop, indicate your intentions to others usinghand and verbal warnings.

Pull Off Road When Stopped I you need to stop or any reason, pull completely o the road to avoid obstructingother bicyclists and other road users.

ROAD SAFETYRIDING WITH OTHERS

Getting your body in the right shape or bicycling is extremely important. You musttrain on a bicycle to specifcally prepare your body. Complete at least one set o back-to-back 50 mile rides a week be ore the Trek to understand how your bodywill react to long distance riding.
