    Business Rules->Admin Option->General Option->Voucher

    The Administrators are responsible for maintaining and monitoring thesystem. There are numbers of check box option has mentioned to suitebusiness activity only you need to set desired option and click on save button.

    BNG InfoTech Pvt. Ltd. has designed and developed theBNG Business Suite ERP Enterprise Resource Planning (ERP)

    software to computerize business processes practiced in the moderncorporate environment.

    The software is capable of dealing with the routine front-end activitiesof retailing to the boardroom activities of business planning. BNG

    Business Suite provides real time statements and reports requiredby managers and directors to take rapid commercial decisions.

    This manual is meant to serve as a guide to the BNG Business Suite ERPsoftware. This manual describes in an easy to understand manner, the step-

    by-step procedures to run BNG Business Suite ERP. The manual can be

    used both as a learning tool by the new user and also by an expert toexplore the advanced features of BNG Business Suite ERP.

    In admin option, as you can see in pictures

    given below, there is multiple tab buttons provided for specific purpose from

    where you can set your desired option as per your requirements.

    All option has been briefly described in the table given below:

    Options Descriptions

    Allow manualvoucher No.

    With the help this option you can modify your old vouchersnumber. Suppose you want to put your own number for your

    document. In this case you can manually insert voucher no.

    Allow voucher

    Date change

    If this option is checked then it will allow you to modify

    voucher date manually.

    Allow last

    voucher date

    This wont allow you to save the record if the date is less than

    the last bill/voucher date.

    Check negative

    stock

    If this option is checked then it will prompt you on the screen

    for negative stock and it wont let you save your record.

    Alert negative

    stock

    If this option is checked then it will warn you for negative

    stock but you are allowed to save record.Check stock on

    save

    If this option is checked then it will check stock at the time of

    saving your record whether the proposed stock in exists ornot.

    Update quantitybased on stock

    This option will let you update quantity on the basis of stock.

    Check for

    duplicate item

    With the help of this option you wont be able to insert

    duplicate record and shows you message on the display

    screen.

    Merge qty onsame

    parameters

    This option allows you to merge quantity having same itemname and its parameters. Suppose you make multiple entries

    for same item then it will make single item by mergingquantity.

    Auto calculateon round off

    If this option is checked then it will automatically round off thevalue.

    Show inventorylevel alerts

    If this option is checked then this will display message on thescreen whether your stock is going out of stock.

    Exclude FOCitem

    Means FOC (Free of cost) item is not included.

    Business Rules -> Admin Option->General Option->Account Voucher

    With the help of admin option you can also set your desired option associated with the

    account voucher only you need to check the option as per your requirement and all optionshave been briefly described in table given below:

    Options Descriptions

    Show Balance It shows account holders balance if you check this option.Show cheque

    type

    If this option is checked then it will show that what type of

    cheque he/she has. i.e. cross cheque, bearer cheque.

    Show cost

    center

    When you check this box it shows you cost center.

    Show

    department

    When you check this box it shows you department name.

    Show employee If this option is checked then it will show you employee name.

    Alert negativecash

    This will alert you in case of negative cash on the displayscreen if you check this box.

    Allow negativecash

    With the help of this option, you will be allowed to passnegative cash.

    Round TDSamount

    Your TDS amount will be rounded automatically if you checkthis option.

    Thousandseparator

    If you check this box then it will display comma separatorbetween thousands in the amount. i.e. 59,990

    Check amountat header

    If this box is checked then box for total voucher amount willappear in the form and the amount entered in the details

    below will be matched against the amount in the total voucher

    amount box.

    Validate costcenter

    If you check this box then cost center entry will be validatedfrom the cost center master.

    Validatedepartment

    After checking this box, this field validates department namefrom the department master whether the given department

    name exists or not.Validate

    employee

    After checking this box, this field validates employee name

    from the employee master whether the given employee nameexists or not.

    Business Rules -> Admin Option->General Option->Include field in item

    You can include more item attributes for specific item as per your choice. Please see details

    Options Descriptions

    Department If this option is checked then the generated item code willhave contain 2 letters (Alpha numeric).

    Item group If this option is checked then the generated item code will

    have contain first 2 letters (alpha numeric) of item groupsname.

    Attribute 1 to 8 There may be another item attributes as well i.e. size, color

    etc. and you can define your item attributes in this givenattributes field.

    Business Rules -> Admin Option->General Option->MRN

    An administrator can set general option associated with MRN (Material Receipt Note) tofulfill their business requirements in the BNG business suite software. For more information,

    please see details in table given below:

    Options Descriptions

    Excess qty inMRN(%)

    This option allows you to set desired MRN(%) means if youenter 10% in this field then at the time of receiving MRN you

    can receive 10% more qty. against purchase order . Let us

    take another example, suppose you made a purchase order of10 qty. for any item, then you are allowed to receive only 10

    qty. but with the help of this option, if you set excess MRN 10

    % then you are permitted to receive 10% more qty. than thePurchase Order.

    Validate IMREnumber

    Inward material received number (or the gate pass number) ofthe items received against the MRN. This number validate

    against MRN whether the no. exists with the IMRE No. or not.

    Manual taxes &

    dutiescalculation

    If you check this box then you will be able to calculate manual

    taxes & duties manually.

    Rate cant bemore than PO

    rate

    If this option is checked and rate is more than the PO rate thenit wont allow you to save your record.

    Hide pricerelated entry

    It wont show price related entry at the time of receiving MRN ifthis option is checked.

    BNG Business Suite Retail-ERP software facilitates better searching option capability sothat user can easily search for specific item name or barcode as per requirements. Please

    see details in table mentioned below:

    Key press This option allows you to search specific name as well as code

    Search by pressing key. It can be character or number.

    Search Base Code: if you select code from drop down list then this column

    will appear as a first column in the data grid and it will startsearching on the basis of key which you enter.

    Name: if you select name from the drop down list then thiscolumn will appear asafirst column in data grid and starts

    searching on the basis of key which you enter.

    Admin->Business Rules->Report Options

    This option facilitates better report settings as per your requirements only you have to

    select desired option from the list and click on save buttons. Fore more Details, please seein table mentioned below:

    Option Descriptions

    Top Company Name: This will print company name at the top ofthe report page.

    Branch Name: This will print branch name at the top of thereport page.

    Address: This field will appear at the top of the report page.

    Bottom Company Name: This field appears at the bottom of the report

    page.Branch Name: This field appears at the bottom of the report

    page.

    Address: This field appears at the bottom of the report page.

    Options User Id: If you check this box then it will display user Id in

    your report page.

    Run Date: this option displays print date in your report page.Page No.: it shows page no. it this option is checked.

    Margin Top: you can set top margin by selecting/entering margin

    value.

    Bottom: you can set bottom margin by selecting/enteringmargin value.

    Left: you can set left margin by selecting/entering margin

    value.Right: you can set right margin by selecting/entering margin

    value.Default: It takes default margin value if you click on this

    button.

    SpreadOption

    Column Headers: this option will let you set your desiredcolumn headers in your reports.Row Headers: if you check this box then you will be able to

    set your desired row headers in your reports.Grid Lines:

    Border: This option allows you to set border.Grid Color: you can also set your desired grid color by enabling

    this check box option.Shadows: you can set your desired shadow setting if this

    you can set your desired preview option from the drop down listi.e. page width, page height, whole pages, three pages, four

    pages etc.

    Business Rules -> Admin Option->Retail Options->Counter Activity

    You can apply settings associated with the counter activity in BNG Business Suite ERP-Retail software.

    Options Descriptions

    Cash carried

    forward

    If you enable this option then it displays you opening

    cash at the time when you open the cash counter.

    Business Rules -> Admin Option->Retail Options->Auto Option

    BNG Business suite-ERP software provides better data export/Import facility. You can send

    your data electronically with the help of communication medium i.e. mail, SMS instantly.Only you need to make settings as per your requirements and click on save buttons. Details

    have been mentioned in table given below:

    Options Descriptions

    Backup Select backup from drop down list. Here there aretwo option given:

    Begin of day: if you select this option then it takesdata backup automatically after beginning of day.

    End of day: And if you select this option then it takesdata backup automatically after ending of day.

    Send report Select option from drop down list. Here there are twooptions given below:

    Begin of day: if you select this option form dropdown list then your report will be sent to destination

    as soon you begin of day on the POS machine.End of day: And if you select this option from drop

    down list then your report will be sent to destinationafter ending of day.

    Mail To In this field you have to type an email Id of recipients.

    Mail CC You can Type multiple recipients email address forthis field.

    EDI There ate two option given below:

    End of day: after selection this option from dropdown list you will be able to send EDI after ending ofday.

    Begin of day: if you select this option form dropdown list then your EDI will be sent to the

    destination after beginning of day.

    Send SMS Using this option you can send SMS to any mobile

    number.

    Mobile No. In this field you have to type your mobile NO.

    Auto click send When you click this option your EDI will be sent tothe destination automatically.

    Business Rules -> Admin Option->Retail Options->MTO Setup

    Select proper settings for MTO as per your requirements. Details have been mentioned in

    table below:

    Day diff.

    between orderand job

    delivery date.

    With the help of this option, it shows you no. of day

    between order date and delivery date. i.e. if yourorder date is 10/01/2009 and job delivery date is

    15/01/2009 then the total differences between orderdate and delivery date will be 5 days.

    After checking this option, your sales will be posted

    online in accounts.

    Service tax

    inclusive

    When you check this option, service tax will be

    included with the net price at the time of makinginvoice.

    Invoice rate>=MRP

    When you enable this option, it will check forwhether the invoice rate is greater or equal to the

    MRP or not.

    BOM based

    You can make service invoice on the basis of BOM

    (Bill of material).

    Offline posting

    This option allows you to post sales offline in

    accounts.

    Lock bill on

    settlement

    After settlement of billing, it will lock the bill means

    you are not allowed to modify bill which had alreadybeen settled. Only authorized user will be able to

    modify the bill with the help of unlock option.

    Gift voucher

    This option facilitates you to send mail to the destination via internet instantly. Make propersetting as per your choice and click on save button. Fore more details, Please see in tables

    Options Descriptions

    Server type Select server type from the drop down list i.e.Microsoft Outlook, SMTP, Static IP etc.

    Server name Type server name for this field i.e. net4india.com.

    Display name Type your name for this field as per your choice.

    Email Id Type your email Id for this field.

    Password Type your password for this field.

    Send to draft After sending mail, another copy of mail will be

    saved to draft folder automatically.

    Email Signature Please write your own information for this field and

    this will acts as your electronic signature as far asdata security is concerned.

    Document export

    The are two option provided for this fields:

    HTML: If you select this option then your document

    will be exported in HTML format.EXCEL: if you choose excel format then whole

    document will be exported to excel file formatautomatically.

    Report export type The are two option provided for this fields:HTML: If you select this option then your report will

    be exported in HTML format.EXCEL: if you choose excel format then report will

    be exported in excel file format automatically.

    Business Rules -> Admin Option->CRM

    This option provides you settings associated with CRM. Make proper setting according toyour requirements and click on save buttons. Details have been mentioned in the table

    given below:

    Business Rules-> Attribute Definitions

    With the help of this option, you can add item attributes as per your needs to suite your

    business activity and click on add buttons. For more details, please see details mentioned intable given below:

    Item An item is any object that the company deals with

    during its course of business. i.e. belt, shoes etc.

    Dynamic At the time of making invoice, you will be able to

    select item attribute(i.e. color,Size, etc.) Dynamically (run time changes).

    Type To specify the type of item, e.g. Plastic or Metal. Allitem types are system-defined. Select the appropriate

    option from the drop-down list.

    Use Master With the help of this option, you are not allowed tochange item attributes dynamically. It will pick up

    attributes from the item master which is already been

    mentioned.

    validate This option enables you to validate item attributes

    from the item masters. If it is not matching with theitem master then you will not be able to save record

    until your attributes match with the item master.

    Business Rules-> Payment Mode

    This forms associated with the accounts. Please see details given in table below:

    There are two types of pay modes given below:

    Fixed: you can set your payment mode from here. Ifyou choose fixed mode then payment will be made in

    fixed mode.

    Definition: if your payment mode is in definitionmode then customer will be able to pay in different

    mode. Let us understand it by an example suppose a

    customer has to pay 1000 rupees at bill counter indifferent mode like 200 will be paid as cash, 500 will

    be paid as credit card, 300 will be paid as cheque.Advance payment can also be made. This facility of

    BNG Business Suite-ERP software fully satisfied theERP business Goals.

    Post to Type the account holders name for this field to whompay is to be made.

    cancelled You can also cancel it by checking this box.

    Options Descriptions

    Type Select item type from the drop down list. i.e. finished, non-stock, z item.

    Cost price If you check this option then cost price will show at the timeof making invoice.

    Transfer price The price to be used when transferring the item withinbranches. The text box will only accept numeric values After

    checking this box, it shows you transfer price at the time ofmaking invoice.

    Dealer markup It shows dealer markup price of items after checking thisbox.

    Dealer price The price at which the item is to be sold to the dealer. The

    text box will only accept numeric values. It shows dealerprice of items after checking this box.

    Sale markup It shows sale markup price of items when you check this

    box.

    Sales price The selling price of the item. The text box will only accept

    numeric values. It shows sales price of item when you checkthis box.

    MRP The maximum retail price of the item. The text box will only

    accept numeric values. It shows you MRP when you check

    this box.

    Business Rules-> EDI Definitions

    You can define your EDI definitions on the basis of which your EDI (Electronicallydata interchange) will be send to the destinations. Make proper setting and click onsave button to apply. For more details, please see table descriptions mentioned

    You can set your document layout setting as per your requirement to fulfill your businessneeds. This form is associated with the document printing. Make proper setting and click on

    Voucher type Select voucher from drop down list for which you wantto set layout setting.

    Format There are two options given below:

    Window: after selecting this option from drop down list,you will be able to see print preview in window format

    and you also will be able to take print in window format.

    Dos: If you select this option from drop down list thenyou will be able to see print preview in dos format and

    gives you print out in dos mode.

    Print file

    Print No. of copies Select no. of print copies from the drop down list.

    Header From branch master:

    Top Detail:Company Name: it displays company name in theheader section for every page.

    Counter No.: it display counter no in the header sectionfor every page.

    Time: it shows system time in the header section forevery page.

    User Name: it shows user name in the header sectionfor every page.

    Party Name: it shows party name in the header sectionfor every page.

    Book No.: it shows book no. in the header section forevery page.

    Margin Top: select top margin size from drop down list or youcan also insert manually.

    Bottom: select bottom margin list from drop down listor you can also insert size manually.

    Left: select left margin size from drop down list or youcan also insert margin size manually.

    Right: select right margin size from drop down list orinsert size manually.

    Default: if click on this button then your margin size will

    be set according to default value.

    Discount percent Having checked this option, you will be able to seediscount percent in the form.

    Discount Amount This will show you total discount amount in the form ifyou check this option.

    Tax Code Your tax code will be shown in the form if you check thisoption.

    Tax Amount This option shows you tax amount if you select thisoption.

    Net Amount This option shows you Net Amount in the form havingchecked this option.

    Print bottom detail If you check this option then you will be able to takeprint bottom detail for the documents.

    Print page No. This will simply print page no. for the document if you

    check this option.

    Print for companyname

    This option gives you facility to print company name forthe documents.

    Amount in word This option shows you amount in word format.Print Inclusive Tax With the help of this option, you will be able to take print

    out of the documents along with the inclusive tax.

    Your Bill Saving

    Tender Amount Amount paid by customer at the time of billing is calledtender amount. And this amount appears in printed

    document if this option is checked.

    Footer Authorized Caption: only authorized user is allowed to

    write caption in the footer section.Name: This field shows name for the signing authority.

    Description Item Code: It shows item code in description field.Item Name: It shows item name in description field.

    Item Specification: It shows item specification indescription field.

    Barcode: It displays barcode in description fields.Barcode Description: It shows barcode description if

    this box is checked.Inventory Group: it shows inventory group name if this

    box is checked.Sales Person: It displays sales persons name in

    description field.

    Business Rules-> Color Theme

    BNG Business Suite-ERP Software provides color scheme which facilitates you to chooseyour desired color as per your choice and click on ok button to apply. Please see details intable mentioned below:

    Options Descriptions

    Color Theme You can choose different color theme from the drop

    down list and by default color theme is BNG.

    Form You can set forms background as well as foregroundcolor by simply click on color box and choose your

    desire color.

    Shape: You can set shapes back color as well as border color.

    Frame You can set desired frame background and foregroundcolor by clicking on color box.

    Grid Here you have multiple color boxes to choose and youcan set your grids color according to your choice.

    Text Box/Combo Box You can set textbox color as well as combo box coloras per your choice.

    Picture Box Picture box background color can be set by clicking on

    Tab Set your tab color as per your choice.

    Command Button Choose command buttons color from the color tool

    box by simply clicking on color box.

    Label Choose labels foreground as well as background color

    With the help of setup option, you can set up your company as per your

    requirements to suite your business goals click on save buttons. Fore more details

    please see in table mentioned below:

    Options Descriptions

    Name In this field you have to insert company name.

    Alias You have to insert alias company name as per your choice.

    Address Enter address for this field.

    Phone Enter phone number for this field.

    Fax Enter fax number of the company for this field.

    Email Insert email id of the company for this field.

    Website Enter website of the company.

    PAN NO. The permanent account number of the customers companyInsert PAN (permanent account Number) NO. For this field.

    This option facilitates you to set up your branch as per your requirements to fulfillyour business goals. Only you need to fill the forms and click on add buttons. For

    more details, please see in tables mentioned below:

    Name During the branch setup, you have to enter your name.

    Alias Insert alias name as per your choice.

    Print Name Type print name for this field as per your choice.

    Type

    Controlling Branch Select controlling branch name from the drop down list fromwhere it is being controlled.

    Address Type branch address for this field.

    State Type branch state name for this field.

    Phone Insert branch phone number for this field.

    Fax Type FAX no. of the branch for this field.Email Write down company Email address of the branch for thisfield.

    Weekly Off Select closing day from drop down list you want to keep

    close your branch. By default it is Sunday.

    Admin ->Setup ->Voucher Type:

    You can set up your voucher type as per your requirements to suites your business

    goals and click on add button. Details have been mentioned briefly in tablementioned below:

    Options Descriptions

    Name Voucher name is the unique name, which is displayed in

    Transaction form. You can change it as per your requirement.

    Print As Voucher printing name is only used for printing purpose. Itcan be differ from voucher name.

    Book Name By default, Book name is created for all the vouchers. First of

    all, we select an appropriate book name from the given listand others then.

    Voucher Type &

    Alias

    You can select voucher type from the drop down list .Here

    you enter a suffix as voucher alias. suffix refers to thetext(alphabetic/numeric) that appears to the beginning of the

    voucher number.

    Sequence Type You can select the sequence type from the given options,Daily, Weekly, Monthly and Yearly. Let us understand all the

    above with the help of an example. Vimal clothing companyhas specified SAVas prefix and, 1is starting number and daily

    as Sequence for the retail voucher. Now when the companyenters a retail voucher on 25-10-2008, the first voucher

    number will be SAV1, second voucher number will be SAV2and so on. As the company has selected Daily as sequence

    type, SAV1 will be the voucher number for the first voucherentered on 26-10-2008.

    Start From Here you enter the starting number of the voucher.

    Linked Default Unit: In default unit we select the unit types as stock

    or pack.Account Name: Here we select the account name as per

    voucher type name. Suppose a company have more then onebranch at different location and company transfers their stock

    to these locations through the stock transfer out document.And company wants separate transfer voucher number series

    for each branch documents. In this case you will create aseparate transfer voucher for each branch and in account

    name field branch account will be mention.Attribute Base: select attribute base type from drop down

    list. There are tow types of attributes give below:

    Direct: if you select this option then you have to typethe item attributes manually in the form i.e. attribute

    size, color, style etc. Dynamic: if you select this option from the drop down

    list then you can insert item attributes dynamically at

    form run time by selecting the list which appears

    instantly by pressing F4 key or pressing search key forspecific item attributes which is already mentioned inproduct type.

    Stop Cursor At: The position at which the cursor will be

    placed at the time of retail billing. This is a functionalityprovided to ease the billing process.

    Reference:

    Table Type:Against document: In this field we select the option as

    barcode, batch no, qty, rate, discount etc. to define the cursor

    placing after entering the item.Auto Fill Document: Auto fill document option works same

    as against document option. the only difference is auto filldocument picks all the data and show it in the transaction

    form. after that you have option to keep same order orchange it as per your requirement. Lets understand it by an

    example .after receiving a order from customer side you wantmake a invoice against that order to keep track of all the

    information of order and sales invoice. In this case you selectthe order number from orders option and it shows all the

    details part:Required Authorization: This option is used for authorized

    a document. Suppose In vimal clothing company, purchasedepartment makes a purchase order of a customer but

    department head wants to his authorization before processingof the order. After check on this option, any document which

    is not authorized, will not followed to the processing. Aftercheck the order, department head will click on lockbutton in

    the form to authorize the document. Now this order will befollowed to the next step.

    Multiple Authorizations: Multiple authentications work

    same as required authentication. Only difference is that ifnumbers of people who will authorize the document are more

    then one. After check on this option a new window will open.In which you can mention the authorized persons name and

    their sequence to authorize the document.

    Select voucher name from drop down list and thisvoucher name appear at the time of printing invoice.

    Print Name Type print name as per your choice.

    Admin ->Balance Transfer->Account:

    This option facilitates admin to transfer any account where he/she wants to transfer.Only you need to mention branch name, accounts name and click on start button and

    this will start to transfer account. For more details, please see table mentioned
