BICYCLE RACKS It is convenient to cycle to Langara along the nearby West 37th
Avenue Bikeway (Ridgeway Greenway) or along the Ontario
Bikeway. We have bicycle parking racks throughout the campus.
There is also a locked bicycle parking cage with lockers and
a compressed air hose located at the west end of the campus,
under the Bookstore and Library buildings. Access is between
the Langara Students’ Union and Langara Daycare. To gain
access, purchase a magnetic access card at the Bookstore for
$5.00 per semester. The bicycle cage is also located conveniently
by the entrance to the gym for easy access to showers and
rental lockers. Contact the Athletics Department in the gym
for locker rentals. Gym hours are posted at each door.

PARKING AND TRANSPORTATION Pay parking is in effect in all parking lots on campus unless you
display a parking pass clearly. There are two parking lots on campus
for employees: the Preferred Lot and the General Lot. If you wish
to bring your vehicle to work, you may register for a parking pass
that will allow parking in the General Lot only. A parking pass is a
taxable benefit and is available from the Facilities Department for
a refundable $10.00 deposit. Having a parking pass for either lot
does not assure you of a parking spot. During the fall and spring
terms, the parking lots can become quite congested, so arrive early.
Parking in the Preferred Lot is restricted to employees who
have purchased a pass for this specific lot. There are a limited
number of spaces available and the cost is $110 annually (excluding
the deposit). The Preferred Lot is only accessible from Ontario
Street. If you wish to park in the Preferred Lot, you must register
your name on the waiting list in the Facilities Department.
The General Lot is available to students and employees on a
first-come/search basis and is accessible from Ontario Street.
A short-term parking area is available opposite B Building,
however pay parking is mandatory and a pass is not valid here.
Parking without a pass or valid pay parking receipt will result in a
fine and/or towing. All lots are patrolled regularly by both security
and the parking lot contractor.

PRINT SERVICES The Langara College Printshop provides black and
white, high speed copying, full service colour, bindery
services, and Custom Courseware production.
Be aware of copyright laws when you do your own copying. Consult
the Langara Copyright Policy at www.langara.bc.ca/library/

Large quantities of handouts and worksheets that are consistently
produced for students should be produced as “Course Ware” which is
printed and sold to students in the College Bookstore.

INSTRUCTIONAL MEDIA SERVICES Instructional Media Services (IMS) is a resource centre for
faculty, staff, and students to assist with their instructional and
presentation needs. IMS provides a wide variety of equipment and
services. Training and consultation are also available on request.
If you are in need of support, IMS is responsible for maintaining all
audio/visual equipment in classrooms and lecture theatres. Contact

MEETING ROOM BOOKINGS Employee meeting room bookings are available online through
“myLangara.” Classrooms may be booked by completing a space
request form (available in the Mailroom). Remember to cancel
your booking if you decide not to use it. Meeting rooms are often
in high demand.
LIBRARY SERVICES The Library contains classrooms, computer labs, library materials,
media rooms, meeting rooms, private group study areas, Starbucks,
study spaces, a variety of study resources, and wireless internet.
FOOD SERVICES The College has three locations where food services are provided.
The student cafeteria is located off the main foyer on the main
floor of A Building. A coffee bar/cafe and food station are available
in the Students’ Union Building. The Bookstore also sells light
snacks throughout the year. Catering for meetings may be
arranged by calling ext. 5295 at least three days in advance.

CHILD DEVELOPMENT CENTRE (DAYCARE) The Langara Child Development Centre is a full-time inclusive
daycare centre that serves 62 children ages 18 months to 5 years in
three separate programs—one toddler program and two 3-5 years
programs. They are an inclusive centre with some spaces
designated for children with special needs. Priority in placement
is given to students and employees of Langara College.

REGIONAL ACTIVITIES Want to get some fresh air or exercise? There is a gymnasium
on campus and employees may use these facilities. Contact
the Director of Athletics and Intramurals (ext. 5421) for more
information regarding intramural activities. If you want something
less organized and at your own pace, take a walk on the Langara
Golf Course perimeter path.
THEATRE Studio 58, Langara’s nationally renowned theatre school, presents
plays throughout the year. Productions are designed and
directed by industry professionals working as guest artists of
the Theatre Arts Department. Ticket prices are very reasonable.

FIRE ALARMS AND BUILDING EVACUATION The College has a two-stage evacuation alarm system, the
first stage being intermittent warning bells, and the second
stage being continuous ringing of the alarm bells. Evacuation
only takes place once the continuous ringing begins.

BUILDING SERVICES The Facilities Department ensures that the college environment
is safe and comfortable. If you notice anything on campus
that you would consider unsafe or if there is a building-related
matter (e.g. your immediate environment is too hot or too cold,
lights are burned out, a sink or toilet is stopped up), please
notify the Building Services Manager as soon as possible.

SAFE WALK Security on campus offers employees a safe walk service to parking

LOST AND FOUND The Langara College Information Kiosk, located inside the main
lobby of A Building, provides students, employees, and visitors with
answers to their questions. All lost and found enquiries should
also be directed to the Kiosk. To report a lost or found item, visit

Emergencies and security.
EMERGENCY FIRST AID If you come upon an emergency life-threatening situation, dial
9-911 for police, fire, or ambulance service (if using an internal
phone) or call 911 if using a pay or cell phone. As soon as you
have dialed 911, call Security so they can assist the police.

Ensure that the accident scene is safe to minimize further danger to
the injured person or yourself.
Do not move the injured person unless there is a high risk of further
injury. Keep calm. Do not leave the patient unattended.
If the injured patient is able to walk, escort them to Health Services
on the first floor of B Building, 8:30 am to 4:30 pm, Monday to Friday,
or the Continuing Studies Office after 4:30 pm (except Fridays).
If the patient cannot or does not want to walk to Health Services,
contact College First Aid by calling ext. 4444 . Give the exact location
and nature of the injury. A first aid attendant will respond.
Stay with the injured person until the first aid attendant arrives.
Follow the attendant’s instructions after he/she arrives.
If you find any unusual circumstance such as a door left open that
should be locked, or if you notice any suspicious occurrence or
person, please contact Security right away. Report all incidents of
theft or suspected theft to Security immediately.
If you have concerns or suggestions regarding workplace health or
safety, or if you need to report unsafe work practices or conditions,
please contact a member of the Health and Safety Committee.

INJURY ON DUTY/WORKERS COMPENSATION Providing a safe and healthy workplace is a priority of the
College. In the unlikely event that you are injured in the course
of your duties, it is important that you report the incident to
your Supervisor immediately. If you require medical attention,
contact an occupational first aid attendant (ext. 4444) or go
to Security or Health Services. The College provides WCB
coverage for all employees and practicum students.

SCENT AND ODOUR-FREE GUIDELINESSome people on campus have an allergy or a sensitivity to strong
scents and odours. Langara is committed to providing a safe campus
for students, employees, and visitors with environmental allergies
or sensitivities because when everyone is healthy, we can all do
our best work. The College’s guidelines for a scent and odour-free
environment provide information about the health risks associated
with strongly scented products or potent odours. Find out how you

provided that their enrolment in the Plan is optional.

GROUP REGISTERED RETIREMENT SAVINGS PLAN (RRSP)
Regular and permanent employees are eligible to enrol in the Group
RRSP Saving Plan.
This is an entirely voluntary investment plan administered by Great
West-London Life. Deposits may be made by lump sum directly to
Great West-London Life or by payroll deduction. An information
booklet available in HR provides forms and details of the plan as
well as retirement planning in general.
HEALTH AND WELFARE BENEFITS Health and Welfare Benefits are available to eligible College
employees. Health and Welfare Benefits are comprised of the
Medical Services Plan of BC (MSP), extended health benefits (EHB),
dental insurance, short-term disability insurance (STD), long-term
disability insurance (LTD), group and voluntary life insurance,
and accidental death and dismemberment insurance (AD&D).
Benefit eligibility is outlined in your appointment letter. If you
have questions regarding your eligibility and benefit entitlements,
contact Human Resources, or consult your collective agreement or
terms of employment. Pacific Blue Cross (for EHB and Dental) and
Sun Life (STD, LTD, Group/Voluntary Life and AD&D) information
booklets are available at www.langara.bc.ca/departments/human-

Following enrolment, it is important to promptly notify HR of any
changes to your name, address, list of dependents, or beneficiaries.
Appropriate forms are available online.
For Extended Health Benefit claims, you can record your eligible
expenses on the claim form and sending it along with your official
receipts to Pacific Blue Cross. You can also register for Caresnet and
submit e-claims for expenses for some paramedical services. Caresnet
has a mobile app for viewing coverage and submitting claims.
WELLNESS PROMOTION PROGRAMThe Wellness Promotion Committee was developed as a part
of Human Resource’s Workforce Strategy to support employee
well-being. The Committee’s aim is to maintain a comprehensive
workplace wellness program that offers Langara employees
resources and support to create a healthy work environment.
Adapted from Canadian Cancer Society’s WellnessFits Program, our
approach is to “educate, act, and support” our employees.

Health and Welfare Benefits and Fringe Benefits are an important
part of the full compensation package and are provided to employees
by Langara College. The information outlined on the website at www.

only intended to provide a general overview of benefits provided to
employees by Langara College.
EMPLOYEE AND FAMILY ASSISTANCE PROGRAM (EFAP) The Employee and Family Assistance Program is a voluntary,
confidential short-term counselling and advisory service that
connects you and your eligible family members to an external
network of professionals that can be contacted 24/7. This group
of professionals includes psychologists, social workers, addiction
and career counsellors, child and eldercare specialists, and legal
and financial experts. The service is offered by Shepell•fgi, one of
Canada’s largest and most respected EFAP service providers.
Shepell•fgi provides assistance for a wide variety of issues including
alcohol and drug misuse, bereavement, child and eldercare, couple
and marital relationships, parenting, crisis counselling, stress/
anxiety, and depression.
The cost of the service is paid by the College and as such, is available
at no cost to you. Information brochures are available from Human

employee-resources/collective-agreements.html.
FEE WAIVERSAs an employee, you may receive tuition fee waivers for many
Langara College Continuing Studies and Regular Studies courses
(subject to the Fee Waiver Policy). Fee waivers are not available for
travel programs and do not include the cost of textbooks, materials
and similar fees, taxes, etc.
Check the current College calendar for courses of interest to you.
Fee waiver application forms are available online and are subject to
availability and approval.

requisitions for computers and related equipment and provide
technical support for College-installed and approved systems.

TELEPHONES AND VOICE MAIL Each office in the College has a telephone extension
number assigned to it. Department Heads must notify the
Switchboard of the name, office number, and start date
of all new employees so that a voice mail account can
be established and phone directories are updated.

Outgoing personal long distance calls are not permitted on the
College phone system except in an emergency. If you are required
to make a personal long distance call, provide the Switchboard
Operator (dial 0) with your name, date, time, and phone number
called, so that you can be billed for the call.
Extra extension phones or new telephone lines are provided
by Information Technology; however prior approval is required
from your Division Chair, Dean, or Director.

EMPLOYEE COMMUNICATIONS Want to know what’s happening at Langara? By The Way is the
College’s weekly employee newsletter. It contains up-to-date
information about events of interest to the College, policy and
procedure changes, and information about upcoming final exams,
etc. Log in to myLangara to view current and past newsletters
and submission instructions.
Be sure to check your Langara email frequently for other
employee communications, such as bi-weekly HR Updates,
monthly College Compass, and list-serv announcements.
OFFICE SUPPLIES General office supplies such as paper, pens, chalk, envelopes,
mark books, and file folders are available by completing a
Request for Supplies form and leaving it in the Mail Clerk’s
mailbox. Your supplies will be placed in your mailbox
the next day.
MAIL SERVICE The Mailroom (room B243) is located in B Building and
is accessible with your office key. For faculty and some
administration, a mailbox will be assigned to you as soon as
you begin work at Langara. Department and lab mailboxes
are arranged in alphabetical order. All outgoing mail for
Canada Post is picked up twice daily between 9:30 am and
2:30 pm. College-related correspondence that needs postage
and has your name and department in the top left hand
corner of the envelope along with any prepaid mail can be
put in the mailboxes found in the mail sorting area. Postage
for personal mail can be purchased at the Bookstore. Mail
is sorted and placed in mailboxes as soon as possible after
delivery to the College. Large parcels that will not fit in your
mailbox may be found on the shelves labelled as English,
Career, Social Services, Science and Math underneath the
mailboxes. Please note that students are not permitted in the
Mailroom. If necessary, and in an emergency, have student
assignments handed in to the General Office (room B234)
and College staff will then place them in your mailbox.

TIMESHEETS All employees who are paid on timesheets
must ensure that their sheets are approved
and submitted by their direct supervisor.
The timesheets must be completed and
forwarded to Payroll by the payroll cut-off
to ensure prompt payment.
PAYROLL All employees are paid by direct deposit to
a financial institution of your choice. If you
wish to change the financial institution
that is receiving your direct deposit, you
must notify the Payroll Department and
provide them with a cancelled cheque from
your new financial institution.
Faculty are paid monthly on the last
day of the month. Support Staff and
Administrators are paid biweekly on
alternating Fridays. Payroll enquiries should
be directed to the Payroll Department.

PERSONNEL FILE/ACCESS TO PERSONAL INFORMATION Human Resources is responsible for
maintaining your personnel file. Personnel
files for Continuing Studies instructors and
program coordinators are maintained by
the CS Department Administrator. This file
contains all of your employment-related
information including, but not limited to,
your C.V., appointment recommendations
and letters for appointment, evaluations,
benefit and pension applications,
commendations and censures, leave
requests and approvals, and payroll-related
information.
The information in your personnel file is
confidential and subject to protection under
Freedom of Information and Protection
of Privacy legislation. You may request to
view the contents of your personnel file by
contacting HR at least 24 hours in advance.
Access to your file by others apart from HR
and Payroll employees is limited to your
Supervisor for College-related purposes.
Your Union or Association representative
may also access your personnel file, but only
with your written consent.
Should you require a Confirmation of
Employment letter that is often required
by financial institutions for loans and
mortgages, contact HR and give at least
24 hours’ notice.
UNIONS AND ASSOCIATIONS Langara is comprised of four unions or
associations:
• Langara Faculty Association (LFA) is a union that represents instructors, counsellors, librarians and co-op education officers.
• Canadian Union of Public Employees (CUPE) Local 15 – VMECW represents support staff employees.
• Langara Administrators Association (LCAA) is a voluntary association that represents administrators.
• British Columbia Nurses Union (BCNU) represents the Community Health Nurse.
The LFA, CUPE, and the LCAA each have
a notice board located in the hall next to
the Mailroom. The LFA also has an office

EXPENSES The College will reimburse employees
for mileage incurred on College business.
A completed Expense Report Form, signed
by the Budget Officer for your department
and forwarded to the Accounts Payable
Department will result in prompt payment.
Calculation of mileage incurred is as
follows:
• You will be paid for the mileage from the College to the alternate site of the business that you are carrying out on behalf of the College
• You will not be paid for mileage from your place of residence to the College
• Other expenses incurred on College business may be reimbursed if approved in advance

BUDGET SPENDING All expenditures of department budget
must be approved appropriately. Division
Chairs are the first line approval officers in
the instructional areas and all expenditures,
whether for supplies, additional staff or
capital equipment items, must be approved
and signed for by them and in many cases
the Instructional Deans.

REPORTING ABSENCES
For all absences due to illness, you must notify your Supervisor
and the Switchboard each day of your illness up to 10 days.
Switchboard will complete a Notification of Absence form and copy
the Dean or VP; Division Chair or area manager; Department Chair;
and Payroll. The Switchboard operator will also put a Return to
Work form in your mailbox for completion if you are absent for 10
days or less. Upon your return, you must complete this form and
send it to Payroll.
Please note that your record will show that you are absent due to
illness until Payroll receives your completed Return to Work form.
Note: If you are a Cupe member, the College may request a
validation note from your doctor for illness.
Long-Term Absence Due to Illness of More Than 10 Consecutive DaysAt least one month before a pre-scheduled absence (e.g. surgery) or
upon commencement of an unscheduled long-term absence, you will
need to obtain a Long-Term Absence Form from Human Resources.
The form contains instructions for reporting absences and outlines
your responsibilities and the process to be followed.
Sickness and absences.
If you have any questions regarding the forms or process, please
contact Human Resources.
Please note that it is not College policy to cancel classes during
an instructor’s absence except as a last resort. A colleague or a
substitute will take over for you during any illness. Absence for any
other reason should be discussed in advance with your Department
and/or Division Chair.
